Selecting the FLSA Summary Report To locate the FLSA Summary Report, go to Reports in the upper left hand screen and click on it. Next double click on Secretary (Patti’s) Reports to open the report group. Entering FLSA Payroll Hours The following instructions detail how to run Firehouse reports to determine which Caldwell Fire personnel have FLSA hours and then how to create a payroll entry in Firehouse through the staff activity module to enter the FLSA hours.

Selecting the FLSA Summary Report

To locate the FLSA Summary Report, go to Reports in the upper left hand screen and click on it. Next double click on Secretary (Patti’s) Reports to open the report group.

After Secretary (Patti’s) Reports opens, double click on the FLSA Summary Report or highlight FLSA Summary Report and click on the Run button to start using the report.

Selecting the FLSA Detail Report

To locate the FLSA Detail Report, go to Reports in the upper left hand screen and click on it. Next double click on Secretary (Patti’s) Reports to open the report group.

After Secretary (Patti’s) Reports opens, double click on the FLSA Detail Report or highlight FLSA Detail Report and click on the Run button to start using the report.

After selecting the needed FLSA report, the Output Report To screen will open up. Select the Default Printer option and then select the OK button to print the report.

After clicking on the OK button, the query parameters screen will open up. It is required that a date range be entered in the Pay Period Dates filter. To enter the payroll period date click on the 3-dot box to the right of the green box.

After clicking on the 3-dot box, the calendar screen will open. Double click on the dates you wish to enter into the Selected Dates field. An alternative method is click on the dates you want and then use the > arrow button between the calendar and the selected dates field to move the dates over. Once the two dates have been selected, click on the OK button to return to the query parameter screen.

Once you return to the query parameter screen, select the Run Query button. The report will now be sent to the printer that is set as your specified default printer. Once the report has printed you can now proceed with entering the FLSA payroll entry.

Entering FLSA Hours in Firehouse

The next step to entering Caldwell Fire's personnel regular hours is to locate and click on the Activity button on the toolbar.

Once the activity screen opens, select the Default Activity Code field. The activity code for regular hour payroll is FLSA and it is located in the Duty / Payroll lookup table group. The code can be looked up using the 3-dot box and the activity code look-up table or simply typing FLSA in the default activity code field.

Answer Yes to create a new staff activities record in Firehouse.

The activity screen will open with all required fields completed. Next select the Add Group button to enter shift personnel who have FLSA hours for the pay period. Note - The Start and End dates are the last day of the pay period. The Start and End time fields are disabled because there are no start and stop times for this type of activity.

To select the individuals who have FLSA hours, highlight the CFD Off Duty Personnel group listed in the Group Name list. Next, highlight the first person listed on your FLSA report, and then holding the Ctrl key; use your left mouse button to select the remaining individuals from the Staff Member list. When you have selected all personnel, click on the OK button to proceed.

When the Staff Activity - Group Add screen opens up, select the OK button to proceed. *Do not put any values in the Hours Worked or Hrs Paid. You will need to edit each individual’s hours from the Staff Activity screen.

Once you return to the Staff Activity screen you will need to edit FLSA hours for each staff member. There are two methods of editing staff member FLSA records; you can

a. Edit a Group, or b. Edit Individually

To edit a group of staff members, select the Edit Group button.

Highlight the first person of your group listed on the FLSA summary report with the number of same hours, and then holding down the Ctrl key; use your left mouse button to select the remaining individuals from the Staff Member list. Next check the boxes next to the Hours Worked and Hours Paid fields. Enter the hours for these individuals and then select the OK button to return to the staff activity screen. Complete this process for all groups of individuals who have the same number of total hours.

Once you have complete entering groups of personnel, you can edit individual personnel records by double clicking on their entry or highlighting their name and then selecting the Open button.

After the individuals Participant Detail screen opens, enter the number of regular hours in the Hours Worked field for the selected individual. When you exit the Hours Worked field, the Hours Paid field will automatically update with the new value. Select the Save and Close buttons to close the Participant Detail screen. Repeat this process until all entries have been edited.

When all the individual entries listed in the worksheet have been adjusted, right click on the Save button. Then select Save & Close to save the regular hour's staff activity entry and close the activity screen.
