The Exhibitor's manual has been prepared to provide you with not only the essential information and guidance with all

aspects of the physical preparation and onsite management of your stand, but also other additional resources and

information details that you may need.

Regulation for Stand Design

BARE SPACE

Stand Designer need to carry authority letter from the Participation company for taking possession, & the contact detail of concerned agency in charge

All stall designing agency should maintain the timings & discipline as per the guideline of exhibition management team at the site.

EXHIBITORS WITH BARE SPACE

Exhibitors will have to submit their stall drawing and to scale mock-up, complete with details of exhibits, Electricity, telephone and other installations and elevation for approval of the Organizer before 15th November 2017. If exhibitor fails to submit the same before deadline, the exhibitor will have to pay a penalty of Rs. 1000/- per week after 16th November 2017.

GUIDE LINES FOR STALL DESIGN APPROVAL

For bare space stall designing maximum permissible height is 12 feet & the sharing wall with the neighboring stalls must not exeed 10 feet (3 meters).

Exhibits must be placed at least 1 meter away from the boundary of the open sides of the stand. No part of the exhibit should project out of the stand boundaries even when the exhibits are demonstrated.

In case any construction guidelines are violated, the Organizer will take corrective measures at the risk and the cost of exhibitors. Charges for such modifications will have to be borned and paid by the exhibitor before the closure of the exhibition.

Note: No fabrication or construction work in any medium will be allowed to be executed within the hall (Exhibition Site). Only ready made/ prefabricated structures/ components/ items will be allowed to be installed in the stand area. No Part of the hall will be allowed to be used as workshop space for production of exhibition/ display requirements. Exhibitors must get jobs executed and well finished at their own outside places and bring them in only for installation/ display in permitted areas in the halls.

1) Letter from the company authorizing them as the official stall designer

2) 2 Passport Size Photographs of the workers working in the stall

4) Letter from the Stall Designing Company (on company letterhead) with details of Workers with name,

address and contact number.

5) Working Hours at the Exhibition Site: Morning 9 am to Evening 8 pm

IMPORTANT

1.

The exhibitor should insure their materials, exhibits under insurance coverage at their own risk & cost.

2.

On-Site Handling: Only such exhibits which can be hand carried (not exceeding 50Kgs) by one person shall be allowed

to be delivered/ removed from the exhibition Hall by exhibitor. Exhibits/ material requiring mechanical assistance must be

handled by the Official Freight Forwarder & On-site handling agency. The Official Freight forwarder & On-Site handling

agent will follow your advice and instruction for

the placement of exhibits in your stall.

Exhibitors should contact the

official contract for the further details about hire of equipment and Scheduled of arrival of exhibits, etc.

3.

All payments will be settled prior to exhibition as per our estimation,

by Demand Draft / Cash at the exhibition venue

during exhibition.

4.

Exhibitors are requested to contact official freight forwarding agents for shipment schedule, arrival details, and charges

for the shipment, to and fro from their port and onsite handling.

5.

The

above charges are applicable from 9:30 to 20:00 hrs. For

services required after these hours, a surcharge of 50 % shall

be applicable on the above tariff.

6.

Chargeable volumetric weight will be calculated as 1 CBM = 500 kg and all charges shall be applied on gross weight or

volumetric weight, whichever is higher.

7.

Exhibitor should send product leaflet along with the packing list to the Official Contractor to enable them to study the

exhibits under movement.

8.

Handling equipment brought from outsider from any other agency,

than Official Freight Forwarder and Onsite handling

agent,

are strictly prohibited and shall not be permitted to operate at the exhibition venue.

9.

WEIGHT BRIDGE SLIPS FOR VERIFICATION OF WEIGHT WILL BE FURNISHED BY THE EXHIBITOR AT SITE.

PLEASE NOTE:

1. It is compulsory on part of the exhibitors to use services of approved freight handling / forwarding agency at the exhibition site (The exhibitors are not allowed to order equipment

for assembly and erection work from outside). The packages which can be easily carried in

hand can be handled by the exhibitors on their own, if they wish to do so. 2. Exhibitors should advise transporters to carry “Weigh-Bridge Certificate” so that, there would

be proper assessment of the weight to be handled by the approved freight handling / forwarding

agency. 3. Exhibitors should send product leaflets along with the packing list to the approved freight

handling / forwarding agency to enable them to study the products in advance for handling at

the site. 4. INSURANCE: Exhibitors should arrange for insurance cover for their booths / machines

& all commodities involved throughout all stages of the exhibition. i.e. arrival on site till

final departure from site

The Govt. of India has levied a service tax on handling charges plus on other charges except re-imbursement expenses to be invoiced by all freight forwarders and handling agents. Therefore the same shall be charged accordingly

ONSITE HANDLING TARIFF FOR OTHER FORWARDERS

A. SEA FREIGHT SHIPMENTS:

1 Unloading and shifting to booth & loading back on the transport (vehicle)

Euro 70.00 per CBM (Min. 02 CBM)

2 Unpacking & Re-packing Euro 20.00 per CBM (Min. 02 CBM)

B. AIR FREIGHT SHIPMENTS:

1 Unloading and shifting to booth & loading back on the transport (vehicle)

Euro 0.70 per kg (Min 200 kgs)

2 Unpacking & Re-packing Euro 0.20 per kg (Min 200 kgs)

STORAGE CHARGES FOR AIR / SEA SHIPMENTS

Euro10.00 per CBM

Service Tax will be levied on the total handling as per the Govt of India’s new ruling.
