ADMISSION: Daily Admission - $103 Day Pass - $206 years and under - Free

All exhibitors are required to purchase admission passes on arrival, or pre-purchase passes at the Vermilion Agricultural Society Office Prior to the Vermilion Fair.

STOCK TRAILER & RV PARKING:

Camping is available on-site for exhibitors, but availability is limited. For all camping inquiries, please contact the Vermilion Agriculture Society Office at 780-853-4108.

RV camping spots are $50 per site and power hook-ups are included. Please request an RV spot on the entry form; spots will be only held with payment.Loading and unloading of livestock will be allowed in front of the buildings where stalls are located, but vehicles must be removed immediately after the last animal is taken off the vehicle. Stock Trailers will be parked off-site, in designated zones.

VEHICLE PARKING:

Free vehicle parking is available in the designated parking zones. All passenger vehicles must be parked in the designated parking zone, violators will be towed at the owner’s expense All license plates must be registered with the Vermilion Agricultural Society Office and included the exhibitors entry form.

GENERAL RULES & REGULATIONS

INTERPRETATION

1. Throughout the Competition Book, Vermilion Fair of Vermilion Agricultural Society shall be referred to as the “VAS” or the Vermilion Fair”

a. “Directors” means the Board of Directors of the

VAS

b. “Judge” means the person(s) contracted by the VAS to decide events/competitions/shows at such the Vermilion Fair

c. “Exhibitor” means any owner signing an Entry Form and/or the lessee, manager, agent nominator, driver, rider or employee of such owner

2. The VAS Management has the final and absolute right to interpret these rules and regulations and to determine all matters, questions or differences in regard thereto, or otherwise arising out of, or in connection with, or incident to the VAS.

3. The VAS Management has the right to amend or add to these Rules and Regulations from time to time

4. Any exhibitor who violates any of the rules and regulations printed in the Competition Book will forfeit all privileges and premiums upon decision of the management.

This may include any or all of the following: a. Prizes, awards b. Prize money c. Forfeiture of any or all passes, entry fees and

stall rental fees

ENTRY PROCEDURE

5. Exhibitors are encouraged to place their entries online where applicable

6. An entry will be considered valid only when the VAS receives a properly completed and signed Entry Form including payment in full by no later than the entry closing date. The VAS reserves the right to refuse any entry, at its sole discretion, and to return any entry fee without further liability. Closing dates are stated in each competition section.

7. If an Entry Form is sent by FAX machine:

a. Please indicate that you have faxed your entry, on the entry form

b. Entries will only be accepted if payment is made by credit card and the credit card information is completed on the form

c. Do not FAX an Entry Form more than once unless instructed to do so by the VAS

8. Payment of entry fees will be accepted by MasterCard/VISA or cheque.

9. Exhibits that have been erroneously entered, may, at the discretion of the Agriculture Manager, be transferred to their proper classes prior to judging

10. Unless otherwise specified, no entry is required for championships or specials, provided the animal or article is entered in the appropriate regular class. First and second prize winners are automatically eligible for championships

EXHIBITS

11. All exhibits shall be under the control and direction of the VAS but solely at the risk of the exhibitor. The VAS will not be responsible for damage, injury, loss or theft of any exhibit, irrespective of the cause of such damage, injury, loss or theft. Each exhibitor will be solely responsible for any damage, injury, loss or theft occasioned by or arising from any article exhibited by him/her and shall indemnify the VAS against all legal or other proceedings in regard thereto.

EXHIBITOR CONDUCT

12. Any false representation, interference or unacceptable conduct on the part of an Exhibitor will be dealt with by the VAS according to the circumstances of the case.

13. Upon the discovery of any fraud, deception or dishonest practice, either in the preparation or ownership or of any misrepresentation concerning any article exhibited, which may have affected or have been intended to affect the decision of the judges, the Executive Committee has the power to withhold the payment of any prize awarded.

14. Smoking is PROHIBITED in the barns and indoor areas.

15. It is the responsibility of each exhibitor to keep stalls, pens and/or exhibit areas clean and neat and professional displays are encouraged. Space visible to the public and/or your neighbouring exhibitors must be finished attractively.

JUDGES AND JUDGING

16. Judges are expected to familiarize themselves with all the rules and regulations of the Vermilion Fair and to particularly note those bearing on the classes to be judged by them

17. In the absence of competition in any class, the judge will award such premium as he/she determines the exhibit deserves. He/she will exercise his/her discretion as to whether first, second or any premium will be awarded. Judges may not award prizes to unworthy exhibits.

18. If there is any question regarding the legitimacy of an entry, or the right of an article to compete in any Section or Class, the judge shall report this to the Superintendent or clerk in charge

19. All judging documentation (each page initialed) must be signed with the judge’s regular signature and returned to the Agriculture Show Office as soon as the awards are completed. Judges should not leave the Vermilion Fair until they have ascertained that there are no protests against any of the awards in the classes they have judged.

20. The decision of the judges shall be final in all cases. However, should an exhibitor have a protest, the following procedure must be followed:

a. All protests must be in writing and must state plainly the cause of complaint or appeal and must be delivered to the VAS Office within two (4) hours of judging (for livestock).

21. Any exhibitor who by himself/herself interferes or shows disrespect to any judge during the performance of his/her duties on the premises occupied by the VAS or is guilty of conduct calculated to bring the VAS into disrepute shall be subject to any or all the forfeitures and/or penalties provided for in Rule #4

AWARDS

22. Prize money will be mailed as soon as possible after the close of the Vermilion Fair and will be paid in Canadian funds.

23. Each exhibitor shall agree that photographs taken of the exhibitor and/or exhibits by any photographer approved by the VAS may be used for purposes of promotion by the VAS or its official sponsors

2018 EXHIBIT HALL

1. ENTRIES CLOSE JULY 20TH, 2018. No exceptions.

2. Exhibitors are encouraged to submit entries online at www.vermilionag.ca/fair.html

3. NEW: Entry fee will be 10 percent of the winnings per exhibitor, based on total winnings of $10 or more. Youth classes are exempt from this fee.

4. NEW: Prize payouts (minus 10 percent entry fee for non-Youth classes) will be available for pickup at the Vermilion Ag Society office between August 13 and August 31, 2018. Exhibitors with mailing addresses outside of Vermilion will receive their prize payouts by mail. Any prize payouts not collected by August 31st (end of business day) will be forfeited.

5. Please read directions carefully for each section (regarding dimensions, size, quantity of items required, etc.). Failure to follow directions will result in the item being disqualified.

6. Exhibitors of Hall exhibits are not required to be members of the Society, although they are cordially invited to do so. Membership is $1.00 per year.

7. Entries MUST be listed on the Entry Form in the order shown in the Prize List. A separate Entry Form must be filled out by each exhibitor. No exhibitor may show more than one exhibit in any one class.

8. The directors may require any exhibitor, if the question arises, to make a statutory declaration that the work exhibited is of the exhibitor’s own making and/or has not previously been shown at the Vermilion Fair.

9. Articles shown in collections cannot be shown in single classes and vice versa. No article will be judged in more than one section.

10. The judges are instructed not to award prizes: unless an article is deemed worthy of merit; to articles borrowed or purchased for competition; or to those incorrectly named or listed by the exhibitor.

11. All exhibits must be fresh and clean. Articles that are defaced by wear, soiled, or unfinished are not eligible for competition and will not be accepted or entered for prizes by the Directors in charge. Wearing apparel exhibited may have been worn, but must be cleaned and pressed.

12. The judges will cut all loaves and cakes and open all exhibits shown in jars.

13. Judges’ decisions are final. When there is only one exhibitor in a class, the first prize, if merited, will be awarded. When articles are not worthy of first prize, judges may, at their discretion, award a prize or prizes of such grade as the articles merit. Hall Directors cannot hold a judging position or serve as judges.

14. All food & perishable items will be shown uncovered and Exhibitors can have their items returned.

15. Tags must be picked up at the office PRIOR to judging and must be attached to all exhibits before bringing them to the Exhibit Hall. Summer hours beginning June 1st of the Vermilion Agricultural Society office are Monday through Friday, 8:30 a.m. to 3:30 p.m.

16. EXHIBITORS PLEASE NOTE: All exhibits must be in place between 9 a.m. & 12 noon Wednesday, July 25th, 2018, and must not be removed from the building before 6 p.m. of the last day of the fair.

17. The Exhibit Hall will be closed at 6 p.m. on the last day of the Fair; exhibits must be picked up no later than 8 p.m. Exhibits may also be picked up on Sunday between 9 a.m. & 11 a.m. All exhibitors must be accompanied by a Hall Director when picking up exhibits. Please arrange to have someone pick up exhibits if you are unable to do so. Any exhibits or containers remaining unclaimed after August 31st will become property of VAS and will be donated locally after a 2-week holding period at the office.

18. Liability: Vermilion Agricultural Society Directors and volunteers will use diligence in caring for the safety of articles after their arrival but will in no case be responsible for any loss or damage that may occur.

19. The Vermilion Agricultural Society Executive Board reserves to its Board the final and absolute right to interpret these Rules and Regulations, and settle and determine all matters, questions, and differences in regard thereto, or otherwise arising out of, connected with, or incident to the Fair.

Colour of straw, size of head, quality and purity as to variety, as well as make-up of sheaf, will be considered in judging. Sheaves of fodder should not be stripped of foliage as this is one of the chief points considered in judging.
