Okay, lets have it out! What tool is best for capturing and organizi ng

notes? For a long time I used nothing but Notepad, plus some hand-

crafted AutoHotkey scripts. As I got further into my GTD implementation,

I wanted something that fit that methodology better and also integrated

well with Microsoft Outlook. By the way, this post probably reeks of

Procrastivity, but lets indulge for a bit.

I canvassed the field multiple multiple times. I installed and uninstalled

many a tool on my poor tired laptop, probably making a mess of my

registry. There were two tools that I kept coming back to: EverNote and

OneNote. Eventually those were the only tools left. For several months I

used both tools simultaneously, going back and forth between the two

trying to find that one reason that would tip the scales. That one reason

never came. Both tools had some great features, and each tool also had

several painful shortcomings. To help force the decision, I did what any

self-respecting anal-retentive manager would do: I made a list!

The list below represents those features that were important to mefor my

system along with Low/Medium/High priorities. Where there were major

shortcomings, I tried my bestto find a work-around as if I had already

decided to select that tool and make it work.

Occasional hangs,but pretty rare.

the time it openedand loaded thepage, I almost forgotwhat I was going to

jot down. Not reallyan issue on myshiny new D630.

So which one did I finally pick? Well, I broke down and bought a copy of

OneNote 2007. One of the biggest reasons was desktop search capability.

Even though EverNote has some very nice tagging capability, which

trumps filing, search trumps tagging. Its like rock-paper-scissors but

without the circular relationship.

I also started to realize that I wasnt going to get anything (short of buying

a tablet PC) that did highly reliable hand-writing recognition. I was

occasionally impressed by that function in EverNote, and I have to give

them credit since they are the only ones to have something like this in

product, but its just not good enough yet to be useful. You cant extract

the text, and if you peek at the XML content, youll see what I meant by

shotgun approach above. For a given hand-written word, any word that is

reasonably close gets entered into the database as a match. Its a one-to-

many relationship, so you think its working because you get positive hits.

When you search on what you expect to match, it matches fairly often.

Whats not so obvious at first is that lots of other stuff (incorrect words)

will match too. This one-to-many structure is probably why EverNote

doesnt let you copy the recognized text from a hand-written paragraph.There is no cohesive translation per se.

The final nails in the coffin were the editing capability (GUI) and the ability

to make synchronized tasks in Outlook with a single click. There are

some short-comings to this feature which I will discuss in a future post,

but still pretty handy.

So thats where I am today. It would be great to hear from you as to what

tools you prefer and what you think of my assessments. Please post your

Good topic! I just wanted to say for those with learning

disabilities or who are more visual I think OneNote is the best

product. I have sever dyslexia so I spell words backwards

most times, and how I spell it on one day may not be the

same the next. So tagging in Evernote by using words is analmost useless method for me. It would mean I could have 3-4

tags for the same thing spelled differently, or that I have to run

a Word document to spell check my tag, copy/paste into

Evernote each time.

OneNote however is great for this, not only is the same

spellchecker features in Word on the screen already but the

visual tags are fantastic. They mean I dont have to use

written words for tags, I can use the icons. I have made full

use of this creating tags with icons for things like MapDirections (the Car Icon) travel plans (the plane icon), Make a

Call (the cell phone icon), E-mail someone (the email icon)

Goals reached (Smiley face icon) Goals not reached (Frown

icon), Achivents (Ribbon Icon), Money item (Dollar sign) ect.

So I just press on the icon that relates to my tags and I have

it tagged avoiding my writing disability.

Its also great because I can visually see from the icons what

types of things I need to get done today (which is good

because I invert letters when I read as well). Ive used it all

through law school and am using it heavily in bar review right

now and the visual tags make it very effective for me.

The only issue is searching tags, I cant seem to find a away

to just list all my make a call tags very easily. Oh, and I

wish it had an Iphone App!

Now that Evernote has actually updated to Version 3, here are

a couple of things that they added.

1. Allows you to copy and select text

2. Full Handwriting and Image Text Finding

3. PDF Support (using either Adobe or Foxit iFilter

4. Free Syncroniztion of Handwriting and multiple databases(known as notebooks.

With these new features, Evernote is probably better now than

OneNote.

Also worth noting is how Evernote and OneNote can beaccessed via a smart phone or on the internet. Evernote can

be accessed on the iPhone with a great user interface.

Evernote can also be accessed from the internet. OneNote

can only be accessed with smartphone that uses Microsoft

Windows Mobile. OneNote cannot be accesses over the

internet.

For these reasons, I stopped using OneNote (after three years

with it) and moved to Evernote. I need access when Im away

Great comparison. It was nice to see a side by side

comparson of EverNote and OneNote. I think one of the major

reasons people prefer OneNote is the interface. Despite its

lack of some specific features, one thing everyone seems to

agree on is that it is so intutive and easy for just about

evryone to use. I really hope that future versions include more

features found in applications like Excel and possibly one day

the ability to have live data in there.

One of the key features for us was OneNotes ability to share

notebooks and have others update them. You only need

server space to do it and it works kind of like a Wiki.

So if you want to share your notebook and have 4 or 5 people

access it, you can all buy Evernote or use Hamachi 2.0 to linkyour computers to a central server.

Good point, collaboration was once a big disadvantage

for Evernote, but both sharing and collaboration are

now available. Of course, actual collaboration with

multiple editors is a premium/paid featurefor Evernote.

I dont understand your problem regarding searching in

Evernote. The programs built-in search facility with orwithout tags is outstanding, why do you need Desktop

Search?

For me, EN is unparalleled, its weaned me off the

disgracefully expensive and outdated Info Select and the only

thing on my features wishlist is a Linux desktop app.

Alan I agree the search feature in Evernote is great,

but most of the time Im searching for things that are

not in Evernote (emails, Outlook tasks, spreadsheets,

presentations, text files, etc). Google Desktop Search

and Windows Desktop Search are great free tools for

finding this stuff. Since neither can index the Evernote

database, Im stuck running multiple separate

Im very interested in what you say about Info Select.

Ive used Info Select for many, many years I still use

it every day. I take your point about the expense also

its obsolescence (my biggest objection is the complete

failure to consider the on-line option I find this

incomprehensible).

On the other hand, ISs search seems to be

unparalleled. My knowledge of Evernote is so limited

that its close to non-existent(!), but from what I can

see it fails to match IS in one respect, and this is a

crucial point for me. With IS, you dont have to tag. In

other words, you dont have to know all the possible

ways you might later want to find your information at

the time you put it in. As a historian, I constantly put

data into IS knowing its important, but without knowinghow Im going to use it. IS allows me just to drop a

note into a general topic (folder) to which I can come

back later. Or a search will bring it up in a context I

havent previously considered.

I cant see how Evernote allows this maybe it does

and Im wrong but it looks to me as if its a huge

grab-bag where things might get lost. Also, with IS, you

can create patterns, and you can stick with them,

modify them, or discard them later. Can you do this inEvernote?

I suppose what makes me wonder most about

Evernote is that almost the first thing it asks you to

decide is what Notebook you put something in. Info

Select doesnt require this.

Hi Nick -

From your description of Info Select, I think the

notebooks in Evernote can be set up to do the

same thing. I would recommend having a default

notebook named something like ! INBOX. I use

a special character so that it sorts to the top of

the list. You can let items go there by default

without any tags if you dont want to think about

it when you capture the information. Later youcan create as many topic notebooks as you like,

and drag & drop notes from the Inbox to those

notebooks. I wouldnt recommend it, but you can

avoid using tags altogether if that is your

preference.

some time ago put exactly the same questions.

I confess that I havent quite been convinced by

Evernote. But thats in part perhaps because I havent

been brave enough (or had the time) to make the

rules for automatic tags

Hi James I need to do a full update to the post

above Some features related to tag & category

assignment, and the intersection panel, were definitely

lost in the transition from EverNote 2 to Evernote 3.

You can find some discussion of this here, here, and

elsewhere. After this amount of time, it doesnt seem to

be coming back. Your best best is to to use a saved

search to approximate this functionality.

my work. Im an academic and one of my core activities is

writing articles, essays, chapters and so on. I use IS for

storing and arranging all my notes, information, data etc., and

I find Info Selects ability to allow you to create your own

hierarchy, and to search literally everything absolutely

essential.

What I cant seem to discover without actually using Evernote

is whether it can match IS in this regard. What Im asking,

essentially, is whether, as in IS, you can drop information

into relevant folders that you can work with later, i.e. create a

sort of loose structure that you can update and change

constantly, but which instantly searchable a the same time. At

least from the publicity, Evernote looks like a big grab-bag of

stuff, so that you can search and find anything, but perhaps

Hi Nick Evernote has a few ways to organize. First

of all, you can create multiple notebooks and easily

drag and drop notes between them. The notebooks can

be either local, synchronized to the Evernote cloud, orpublished. When you search, you have the option of

searching within a specific notebook or across all

notebooks in your database. Beyond the hard

landscape, Evernote also has saved searches with

some pretty nice syntax available, as well as tagging

capability. With tags, you can establish a hierarchy and

group tags under other tags, etc.

Im sure there are differences in the ways that Evernote

and Info Select operate. I have never used Info Select,

so I cant say for sure what you would be loosing.

Since Evernote is free, my recommendation is to try it

out for a while (without migrating any of your current IS

data) and see if you like it.

server and you can ever work in colaboration, more users can

edit the same note at the same time. Thats cool. But you

need a Microsoft Sharepoint platform(server) to share files.

Ive dumped Info Select in favour of Evernote. Regarding

folders. The main limitation of Evernote which attracts

criticism is that there is no nesting of your folders (notebooks).

However, its a deliberate policy. The philosophy seems to be

that its better to search data than to structure it.

This was the way Info Select was in V1 in when dinosaurs

roamed the Earth.

The good news is that you can nest tags. So Ive adopted the

strategy of thinking of tags as folders then the problem goes

away.

I only have 3 folders: Photos, Invoices and Everything Else.

The advantage of this strategy is that you can allot multiple

tags to a note whereas it can only be in one notebook.

Thanks for this, Alan your thoughts are interesting. I

have a related comment though. I often enter

information that I know will be important to me, but at

the time Im entering it I dont know exactly HOW I am

going to use it. Thinking up tags, therefore is not

always possible at the time. )As you know Info Select I

can use its jargon here.) What I do in situations like

this (which occur every day) is create a Topic with

some general heading, and drop notes into it the topic

is like an old manila folder that I know Im going to

open some time soon when I know the context in

which Im going to use a particular piece of information.

Its only then that I know my Tag. The powerful thing

about IS is that it strikes a balance between the less

structured approach of Evernote, and the ability to

LOOSELY structure my information in as many ways

as I like, so that I can find a piece of information whenI dont have a Tag and might not know exactly the right

search to perform to find it.

When Im writing an article for instance, Ill have

loosely arranged potentially useful information in one of

those manila folder topics, and I will read through it all

to remind myself of what Im doing. With the structure

you describe (with all my information in an Everything

Else folder) I dont think Id be able to do that.

I use a fridge door tag for stuff like that. Or you can just have

a Temp default notebook to dump stuff in.

I am exactly like you, I cant choose between Evernote and

OneNote. SO hard! But if I really have to choose, I think it

would be Evernote, just because it is quicker to load, LOL.

One problem with OneNote Web app, which is particularly

stupid and annoying, is that the search box that shows in the

desktop program disappears. For the life of me I do not know

where it is. And I tried control-E to do a search in the Web

app, but it does not work. That pretty much kills off Onenote

for me, since I need the mobility.

I use MobilerNote (Free) with WiFi (Free registration on their

site to activate) to sync my iPhone and iPad with OneNote.

Since I use IE, I never really notice problems with web pages

dropped into a notebook page.

I use different notebooks/folders (color coded) for different

things like projects, software have v. desired and tracking

keys and serial numbers, SAP transactions and source data

attributes (and meanings), etc.

OneNote (two thumbs up) and MobilerNote on the iDevices!!

I really want to like evernote because it has some features

that one note does not, but I find the layout really unintuitive to

use. I also find for clipping things which you would like to read

later that the view is not very convenient for reading, but

maybe that is because I have a mini netbook.

I am surprised that people have trouble with loading onenote,

because I have the opposite problem. Onenote loads quickly

on startup and evernote takes forever. I have trouble with

clipping too, its very slow in evernote, I dont know why. I like

onenote for lists and compilations of info, such as info for a

trip, etc. but I like evernote for storing whole webpages that I

want to refer to later. Im sort of using both right now trying to

figure out which to use as the main note taking. I was lucky

that I got onenote free with my work office suite.

The layouts in the two tools are definitely different. The thing I

like about the Evernote layout is that you can quickly sort

and/or filter long lists of notes by different columns. With

OneNote 2007, some of sections were getting cluttered with

long list of page tabs. Hopefully Ill be able to try ON2010 in a

few months to see if it is any better in that respect.

Hi Thiago I agree, it is definitely time for an update.

OneNote 2010 has some updated features and

potentially (TBD) better integration with Outlook 2010. I

recently upgraded all of my Office apps to 2010, so I

can now test them out. At the same time, Evernote 4.0

looks really snappyand responsive. I am currently

working on some other things, so Im not sure how

soon I can update the comparison. It is definitely on my

list.

I second Thiagos request on an update mainly because I

was an original Evernote user but things just got way out of

control and it only took a year (wrote about it here:

can tell, youve been using your OneNote system for multiple

years now Carl. Im impressed that it lasted that long and

wonder if we missed out on something by not trying OneNote

fully. Would love an update on how things are going with it in

general. Would love your wish list of what you want it to do

too mainly b/c were trying to program our own system

Sadly, this is a dance Ive done many a time I even made

the analretentive list, though not quite like yours above (Mine

was more a who does which better, may the highest score

win!) Just my luck they tied.

So after a while not using either (Completed my degree) After

a few post college jobs Ive landed one with a project of

unimaginable scale, and horrible documentation. So Ive come

to accept notepads (those ones you use pens on!) Simply

werent going to work out even for just keeping immediate

issues.

Kind of wish one would just crush the other in quality and

feature set to make this easy for me.

I agree, its a tough call. Of course, if one would just

crush the other it may also start to become increasingly

incredible. Im assuming the app for the iCrap is also

awesome but considering it runs on a typical garbage Apple

product, it might not run at all for you!! Anyway, I cant

imagine shopping for anything without the cam grab feature

and my pre-shopping web clipped Evernote research.

- Professional Use: Hands down OneNote. This is almost

entirely due to Evernote being more free form without enough

view control. Using OneNote in the workplace, I have one

notebook per project. I use tabs for different project elements

such as Contact #s, Admin Stuff, Call Logs, etc. while I use

pages within the tabs for individual records. The view usage

allows you to organize and find documentation with

tremendous ease. Comparing this to the search function in

Evernote which returns EVERYTHING, I find OneNote to be a

no brainer in the work place. Add to this the integration with

the MS Office Suite, OneNote really is hands down the

professional choice.

I realize some of you need to use one tool or youre never

happy so consider the work life balance aspect as making the

move to a dual platform approach. I love work because it

makes me rich but other than that, I really do hate it so by

keeping my OneNote off of my mobile device, it does prevent

me from working at all times. For example, if Im with a

hooker, Ill answer a business call but I quickly wrap it up by

saying I dont have my notes with mecall you back. On the

flipside, using Evernote only for personal uses, I wont searchfor Contact Lists and have my favorite prostitute list come up

on the screen with a co-worker looking over my shoulder.

So at 7PM on a Friday night, Ill exit OneNote for the weekend

and open up Evernote for the weekend. Have a good weekend

all!!

The List. I think you helped me determine which one to

pick niether! I will continue with hand written notes and filing

until both programs fix the items you list above. Ill probably

give Evernote a shot since it is free.

Hi Roger

This depends on how you scan the notes. A lot of

scanner systems output PDF files, which can be

attached and viewed in Evernote or also kept in a folder

on your computer. Evernote also indexes these PDF

files for search within Evernote. The order of the pageswill not be altered or reordered by Evernote.

I started with evernote years back, switched to Onenote for

for a while, now I am using both: Onenote for Reference

material while keeping Evernote for the initial part of GTD

process: collection & actionable stuff. I find that using tags in

Evenote is much easier for actions & todo lists & the structure

folder concept in Onenote is more suited for reference

material.

Worse, if you have that graph in the main bod, as you type it

doesnt move with the text you type above it.

I dont get how they dont have this right. They have templates

for different text bubbles on a single page. if you have a text

bubble above another one and start typing in the above you for

lets say 50 lines, it just writes over the other text bubble

instead of pushing it down.

Its such an asinine oversight.

I agree the editing features are definitely not as good as

in some of the other MS Office apps. Thats why in my

OneNote note taking setup, I try to keep everything in

one text field without any other floating objects. I

posted some of those details here and here. Of course,

this is just for note taking and basic project tracking. If

you are editing more complex documents, you may

want to try another tool.
