POLICIES & PROCEDURES
Guarantee Policy In order to improve on your guest experience we require your guaranteed number of attendees seven days before your event for either Sit Down Plated, Buffet, Stations, or Style Packages. The general account will be billed for the actual number of attendees or the guaranteed attendance count whichever is greater.
For a Sit Down Package you may offer your guests a choice of two entrées and a vegetarian choice; however we must have an estimated number of each entrée two weeks prior to your event. An additional $5.00 per person will be applied when offering a third entrée (not including a vegetarian option.) Place cards are required to designate entrée selections to the banquet staff. Please Note: No food or beverage is allowed to be brought in the Embassy Suites in compliance with the hotel policy with the exception of the wedding cake/cupcakes/cookies from a licensed bakery.

Cancellation Policy All deposits and payments are non-refundable & non-transferrable, should you decide at any time to cancel your wedding the above penalty charges will be assessed based on the receipt of a written cancellation request.
Administrative Fee & Tax On all food and beverage functions there will be a 22% Administrative Fee and 8% NYS Sales Tax applied. Prices quoted are exclusive of administrative fee and tax. The Administrative Fee is for the administration of the special function/banquet and is not purported to be a gratuity and will not be distributed as gratuities to the employees who provided service to the guests. No other labor fee or charge is a gratuity for employees. A gratuity is not required or expected. We pride ourselves on providing our employees competitive compensation.
Your Wedding Planner Once you have booked your reception you will receive professional services from our Catering Sales Manager; whom will answer any questions, provide event suggestions and act as your hotel contact throughout the planning process. As well as:
• Act as Menu Consultant for all Food and Beverage Selections
• Detail your Banquet Event Order outlining event specifications
• Recommend Preferred Vendors
• Provide a Cost Estimate and Payment Schedule
• Establish contact with our Reservations Coordinator, who will provide a rooming list for your guestrooms
• Oversee the set up of the contracted banquet space for your event here at the Embassy Suites
• Coordinate on-site wedding ceremony rehearsal and wedding ceremony
Menu Planning Menu planning and selections should commence six months prior to your wedding. All various vendor arrangements should be finalized no later than three months prior. Your Catering Sales Manager will need a complete list of all vendors with phone numbers and contact person. All service staff at Embassy Suites will be dressed in professional attire.
Linens Here at the Embassy Suites we provide complimentary white or ivory table linens to the floor and a selection of colored napkins.
Room Accommodations A complimentary Bridal Suite will be provided to the Bride and Groom on their special day. Any out of town guests should make room reservations as soon as possible, a discounted block of rooms can be reserved with your Catering Sales Manager (based on availability).
Rehearsal Dinners, Bridal Showers, Etc. Private rooms are also available for any other events associated with your wedding at the Embassy Suites Hotel. Anything from a intimate rehearsal dinner, a bridal tea, or a farewell brunch; your Catering Sales Manager can assist you in creating special events to accent your wedding celebration.
Miscellaneous Items The Embassy Suites reserves the right to inspect and control all private functions. Liability for the damage to the premises will be charged accordingly. The hotel cannot assume responsibility for personal property and equipment brought onto the premises.
Personalization The Embassy Suites can customize any dietary restrictions upon request if notified in advance. Customizations to package options can be determined with the Catering Manager prior to contract.
Arrival Gift Bags The Embassy Suites is pleased to distribute your welcome gifts to your guests at $2 per item upon check in. In room delivery will be charged at $4 per bag. Extra bags must be picked up the day following the wedding.
