GENERAL CONDITIONS

Guaranteed number of attendees

The hotel should be informed of the approximate number of people attending the event 10

working days prior to the start date. The final number of confirmed attendees must be

informed with a maximum of 7 days prior to the event’s start date. If a substantial

reduction of people occurs, the reduction clauses will be applied. In case of higher number

of attendees confirmed at the event, billing will be adjusted accordingly.

Payment

The event will only be confirmed after the deposit is made.

Pre-payment – 100% pre-payment of the event will be compulsory on a minimum of 4

working days prior to the event’s start date, with credit card details as guarantee for

eventual extras.

Billing Invoice – In case of credit agreement with the company, a deposit of 75% of the

forecasted amount will be deposited. The remaining amount will be sent on an invoice to

be paid in 30 days.

Payments can be made by bank transfer or credit card. In case of bank transfer, we require

a copy of the amount transferred and date of transfer order.

The first deposit is non-refundable under any circumstances

Food & Beverages - Entrance of any type of food or beverages brought by the event

planners and/or attendees will not be allowed without a written authorization from the

hotel’s administration.

Decoration - The events department will be pleased in helping choosing the floral

decoration for the event, which is not included in the amount given.

Animation - The events department can hire musical animation or entertainment,

among others, for your event.

Audiovisual equipment - The supply of audiovisual equipment can be hired through

the Hotel. Every specifications regarding to the equipment required must be

communicated in advance. The hotel will not be responsible for the quality and technical

assistance of the equipment if the client opts to hire audiovisual equipment directly.

Signposting - Every signposting to be placed must be restricted to the contracted areas

by the client, being the signposting placed on social and circulation areas of the hotel, it

is subject to an advance authorization. Any reference made to the hotel must include

the full name “Pestana Cidadela Cascais – Pousada & Art District”.

The use of reserved areas - Screws, bolts, nailing, pins, tapes or any other holding

methods on walls, ceilings, columns or floors will not be allowed. Any expenses of

ongoing repairs due to damages caused inside of the facilities or equipment of the hotel

during the period of the event, including installation and uninstallation will be strictly

the client’s responsibility, being the hotel authorized to charge such amounts on the

client’s invoice or onwards.

Car Parking - The hotel does not have car parking inside the Fortress, however, there

are preferential conditions contracted with nearest car parks. Please consult your group

coordinator for more information.

Security - The presence of a private security before or during the events must be communicated

and approved by the Hotel.

Publicity and use of the Pestana Cidadela Cascais image - During the events, any publicity

made to the hotel, as well as the use of its name and logotype, must be communicated in

advance and approved by the administration.

Misplacement - The hotel will not be able to be responsible by misplace of goods left

unattended by the event planners and/or attendees inside the facilities before, during and after

the event.

Orders, packages and printed material - The hotel will be able to receive material to be used

in the event in the name of the event planners. For this procedure, every item must be properly

labelled with the name of the event, contact of the event planner and of the responsible of the

hotel, as well as the date and room name of the respective event. Orders to be charged at

destination will not be received in case of non-warning in advance. Every received orders

charged at destination will be charged to the company that organized the event. Any material

left after the event must be removed at the end of it.
