ESS (Candidate)Onboarding
Once you have completed the Offer Accepted step in TalentLink, the integration will
create the employee record in Workday. Due to this integration, you will no longer
complete the I-9 form in TalentLink or have to complete the paper New Hire Checklist
Form.
Step 1: Candidate must login to Workday using their Employee ID number and computer generated password
that was sent to their individual email.
Step 2: They will read the navigation help text located around the screen. Then, click on the OK, Get Started
button in the middle of the screen.
Step 3: Candidate needs to click the Take Me There button to begin their Onboarding process.
Scenario
Manager moves candidate to Offer Accepted in TalentLink and candidate must
begin the onboarding process through the Interactions Associate Center.

Step 4: Candidate will view/read the Welcome message written by President Jim King.
Step 5: Under your checklist, they will see a task named Review your Contact and Personal Information.
Candidate must click on the open button to complete this task.
Step 6: Candidate must review their information that was transferred from TalentLink. To add additional
information click on the plus sign next to the information you would like to add. Click the Submit button to
finish.
Tips to Know! Anytime you see this symbol it means you have a task to complete.

You will now have several Tasks/ To-do’s to complete in your Onboarding
Process.
To start the To-Do, Click on the Complete To-Do button.
A: Add Payment Elections- Click the Add Payment Elections button. Complete the direct deposit form, then
click OK. You will be directed back to the previous page. Click on the button for that
task again, then click I’m done.

Tips to Know!
When you see the clipboard symbol you know there is a To-Do to complete. To-Do’s
are two steps: first click “Complete To Do” (take necessary action) next, go back and
re-open the To-Do and click “I’m Done”.

B: Add Emergency contacts- Click the Add Emergency Contacts button. Complete the emergency contact
form, then click OK. You will be directed back to the previous page. Click on the button
for that task again, then click I’m done.
C. Review Documents- Click on the Review Documents button. Read the documents by clicking on the PDF
icons. Click on the box labeled ‘I agee’ to provide your signature of agreement, then click Submit.
D. Complete Federal Withholding Elections- Click the open button and complete the W-4 form. Click OK to
submit.

Upload Worker Documents
Step 1: Click on the Workfeed Worklet.
Scroll down to the Upload Employee Documents To-Do, and click
Then click on the ‘Maintain Worker Document File’ button.
Step 2: Choose the employee for which you need to upload documents for by clicking of the drop down menu
to the right of the text box, then click OK.
Scenario
After candidate completes portion of onboarding, manager must upload
documents and update date of hire.

Step 3: Upload any company required documents including Food Safety Certification, County/State Food
Handling Cards, etc. Click on the green plus sign (+) in the corner of the screen. Then, choose the document
category by clicking on the drop down menu to the right of the text box. Click browse to find the file on your
computer, then click Upload. Once you have uploaded all the necessary documents, click Ok.
Step 4: Go back to your Workfeed and scroll down to the Upload Employee Documents To-Do.
Click on Then click I’m Done.

To-Do and click “I’m Done”

Correct Employee Hire Date- You need to update your employee’s hire date to
now reflect their actual start date.
Step 1: Type the name of the employee in the search bar and click on their name.
Step 2: Then click on the Worker History tab on the employee profile page.
Step 3: Under worker history, scroll down to the line stating when the employee was hired and click on the
employee.

Step 4: Click on the Actions button located next to the employee’s name. Then select Business Process -
Correct.
Step 5: Change the hire date on the form to reflect the official start date, write “corrected hire date” in the
comment box, and then click Submit.
Step 6: Click the To -Do button.
Step 7: Complete the To-Do by clicking the “I’m done”
button.

E. Complete the I-9 Form- Click the open button to complete the I-9 form. Fill out the highlighted boxes on the
form and click Submit.
The candidate has now completed their onboarding!

Step 1: Go to the Workfeed worklet to find the review I-9 form task for your employee, click review.
Step 2: Review the candidate information and fill out the document information. Once complete click on the
submit button at the bottom.
The Onboarding Process is now Complete!
