Use the

“D-System”To get organized and reduce clutter

There is a simple system, known as the D-System, which can helpyou to be better organized and may also help to reduce clutter. Thegoal with this system is to use one of the 6 D’s with every letter, memo, report, email, newspaper and magazine that enters yourhome or office. Select the D that is most applicable for each itembefore moving to the next item.

Do:

If something only takes a few minutes to do, do it now. Ifyou need to review and sign a memo, do it and return the item tothe originator or send it to the next person on the routing list. If youneed to reply to a voice mail message or an email, do it now. Bydoing it while it’s fresh on your mind, it’ll be taken care of, plusyou’ll save time by not having to shuffle papers or listen to the voicemail message again.

Delegate:

If an item requires action, decide if it is best for you to takethe action or if the task can be delegated. Entrust the task to theperson most suitable for the responsibility. Make a call, use aninteroffice routing envelope, send an email, or whatever method isappropriate to inform the person to whom the task has beendelegated.

Decide:

If you are not able to read it or complete the task rightaway, decide which action file that item belongs in. Suggestedfiles/bins include, “to be read,” “to be copied,” “to be faxed,” and

so forth. It is essential to do whatever needs to be done with theseitems within a few days.

Delete:

If you keep getting items you don’t really want, dosomething to keep them from coming to you again. If you get itemsyou know you don’t want and you’re not able to remove yourselffrom the mailing list or subscriber list, then just toss it out as soon asyou know what it is. Recycle as much as possible.

Dump:

Throw it out, there is no need to save everything. We oftenput papers and memos aside and then forget about them. We mightoccasionally look through the stack and we usually end up puttingthe stack off to the side again. We still have the stack of papers andwe just waste time each time we reshuffle the stack. If one of theother D’s doesn’t apply to an item, dump it.

Document file:

If there is no further action to be taken and the item can’tbe thrown out, then the item should be placed in a document file.Documents that need to be kept include, but are not limited to;proof of ownership, signed contracts/agreements, financial and taxrecords, employee files, legal documents, and insurance policies. Some documents may be thrown out after five or seven years, whileothers may need to be kept indefinitely. Documents to be saved canbe placed in a “to be filed” file or basket, which is emptied once perweek when each document is filed in its proper location. A startlingstatistic is that 80 percent of the papers we file are never referencedagain. So, once you pick up an item, you should select the best “D”and take the necessary action before you pick up another item.

I hope this will help all of us to save time and get more organizedat office as well as at home.

With warm regards,

Delegating work - a vital asset in professional management

Are you one of those managers whowants to do everything on your own?

It’s time for you to change the habit. Theearlier you change; the better will be theresults.

My life long experience suggests thatsuch managers will no longer be relevant

in a growing organization involved in project development andimplementation.

Delegating work to team members / subordinates is the key toeffective team and project management

Delegation is the process of assigning a task or project tosomebody else and sharing the responsibility for its targetedoutcome. I believe that delegation at work is certainly importantas it offers multitude benefits as many as listed below

• Other than time management, effective delegation of workmay take the pressure off and reduce work stress by sharingresponsibilities

• The process will substantially improve work life.

• It enables employees to take higher responsibilities

• It breeds innovations and infuses development of risk takingin reporters.

• It helps to accomplish more with assistance from others

• It will result in higher self-esteem and develop confidencein direct reporters.

Therefore, the ability to delegate work would be a vital asset thatall good leaders and managers should adopt. To be effectivemanagers and leaders one must realize that if you are able torope in more brains and bodies to do the tasks, you will be ableto get more things.

According to me, key advantages of delegating work are that, ithones decision making ability and in turn, helps employees fastdevelopment.

Further, effective delegation involves two key things:

• The manager must be willing to share responsibility

• The team member/subordinate must be capable enough toshoulder the responsibility.

Effective delegation is a two-way process to understand.

• It is done by breaking down major goals into sub goals.

• It can also be done by reducing controls, enabling taskorientation, goals accomplishment and accountability forteam members.

Many a times, managers delegate work not just to relieve theirown workload, but also to allow the employees they supervise togrow professionally. I have strong opinion that effectivedelegation must involve proper evaluation of the delegationprocess on an ongoing basis and must provide theemployee/subordinate with proper feedback to help him/herimprove the process. Even though many people acknowledgethe importance of effective delegation, most managers are seenhabitual as they find it difficult to delegate tasks effectively. Isuggest a few tips for effective delegation:

• Don’t dump - only delegate tasks that help both, you and theperson you delegate to.

• Write out a job description - give a copy of the jobdescription and parameters to the person to whom you aredelegating the task.

• Pick the right person.

• Encourage your employee - delegating is not about givinga job to someone and walking away; it requires patienceand encouragement.

• Follow the progress.

Delegation should not be considered as a convenient way to getrid of jobs that you as a manager do not like to handle yourself.Instead, it should be considered as a way for you to handle morethings effectively and support your reporters to become moreeffective at work.

Out of all the four seasons in a year (i.e. Winter, Autumn, Spring and

Summer), this one is my favorite…. Yes you guessed it right!!… The

spring season...The season when everything is at its best and the whole

environment around is so wonderfully fresh….. From the dew drops

which fall daily on our very own flora to the chirping of birds….from

the beautiful sunshine which graces our mornings to the wonderful

breeze blowing every dawn and dusk …Nature in every form gets so

lively and beautiful that its so hard to keep glued to our workstations

all the time … yes… people ….its time to feel fresh and live life!!

So…friends… To feel connected to this wonderful season, go for

evening walks in a nearby park and have a blast with the weather as

your companion …. What else one would need when everything

around is so much blessed!!!.... You know what??? It is also a season of

various Indian festivals like Basant Panchami, Shiv Ratri, Holi when

even God is in the mood to celebrate nature …All these festivals offer

so much of fun and frolic that everybody forgets all sorts of daily stress

and gets engrossed in celebrating and living this wonderful season

…The season starts from Basant Panchami when people wear yellow

colored clothes to mark the onset of this season …then comes Shiv

Ratri when people of Hindu religion observe fast to worship lord

Shiva… with Holi, the festival of colors following closely, everything

around gets so bright and happy that its worth enjoying this season

….though the spring season marks its end with Baisakhi, the festival

of harvest …it leaves the impression on our minds in the form of

nostalgic memories spent with family, friends and loved ones …. To

sum it all, in this sublimity of nature, when nature gives us so much,

we need to treat and greet ourselves!!! ….. be at your health best … Jog

in the morning with the sun waking you up … eat fresh fruits which

the nature bestows upon you in this beautiful season …. Work harder

and exercise harder… look the best… leave the rest!!

...Rhyme of Spring...From March until May

I celebrate these new days,

The lovely Spring opens its ways,

I am not alone in this celebration

All the Nature celebrates in her own way

The sun shines its rays

Its rays sing: “Spring, Spring, Spring”

Seas and oceans sparkling

And sing: “Spring, Spring, Spring”

The butterflies flying away

And sing: “Spring, Spring, Spring”

All the birds flapping their wings

And sing: “Spring, Spring, Spring”

Water in the streams and rivers flowing

And sing “Spring, Spring, Spring”

Trees sing too: “Spring, Spring, Spring”

The leaves swaying,

The flowers swing, swing, swing …

The attractive foggy mountains

Sing: “Spring, Spring, Spring”

What a charming Season! ! !

What a beautiful Spring! ! !

Season of Life! ! !

All Creatures are living and breathing.
