/ Employer Checklist By Tuesday, September 29, please complete the following tasks for each job and/or internship posting listed within the career fair database:

1. Select which candidates you would like to interview.

2. Select which candidates you will not be interviewing.

3. Select which candidates you would like to place on your “Alternates” list and

the order you would like them in.

4. Once your selections are confirmed, select “Ready to Finalize.” You will have

to press this button for each position you are interviewing for.

By Tuesday, September 29, please also email the following items to the Equal Justice Works Career Fair Team at [email protected]:

1. A company logo

2. Confirmation that the interview days are correct for each position

3. Confirmation that the interview times are correct for each position (please

note that from 2-3:30 PM EDT every day, no interviews will be taking place due

to the mandatory Table Talk session)

o PLEASE NOTE: All times are listed in Eastern Daylight Time.

4. The name(s) and email(s) of the recruiter(s) who will be interviewing

candidates for each position

5. What time your recruiters would like to take their one-hour lunch break each

day

/ Review Interview Schedules

To review your applications, you first need to select the Interviews tab on the left-hand navigation pane. Once there, make sure you select the Current tab to view all current job/internship postings. To view the applications for a particular position, click on the name of that position. If you are interviewing for a certain position over multiple days, you will see the term Multiple Dates. If you are interviewing for a certain position on a single day, the date will appear above the title description.

When you click on a job posting, these are the menu options you have:

• Main o This will show you important information related to your interviews,

such as when candidate selections are due, how many interview schedules you have, and the total number of interview timeslots available (“Closed Slots”).

• All Applied o This will show you a list of every individual who has applied to your

posting.

• Invite List o This will show you a list of all the applicants you have invited to

participate in prescheduled interviews at the 2020 Conference and Career Fair. Beginning on Friday, September 30, these individuals will be able to sign up for an interview time slot.

• Alternates o This will you show you the list of applicants you have marked as

“alternates,” as well as the order in which you would like them to be notified should an accepted applicant decline to interview.

• Schedules o This will show you your interview schedules for this specific job posting,

including which recruiter(s) is/are assigned to each one.

• Waitlist o Not used for this event.

To review your interview schedules, select Schedules. If you are interviewing over multiple days, or if you have simultaneous interviews for one position, the multiple schedules will appear on the right-hand side in the form of a drop down menu.

You can see the dates and the associated recruiter for each schedule (if that information has already been provided). To review each schedule, click on the corresponding date/name. Any time slot that is marked as Available means an individual can sign up for that time slot. Any time slots marked with Break are the various breaks incorporated into each schedule throughout the day to ensure that recruiters have time to transition to their next interview.

Table Talk is required from 2:00 - 3:30 PM (EST) each day. As you can see on your schedules, there is a ten-minute break incorporated before and after the session to allow your recruiters the appropriate screen break and transition time. PLEASE NOTE: Interviews at the Conference and Career Fair are available from 9:00 AM – 8:00 PM (EST). All interview schedules are set to this default schedule unless otherwise communicated. To make changes to your interview schedule(s), please email the Equal Justice Works Career Fair Team at [email protected]. All changes are due by Tuesday, September 29.

/ View & Download Applications

To view your list of applicants, click on All Applied. The number next to the field lets you know how many total applications you have received. The applications are sorted alphabetically by last name. On the right-hand side, you can select if you would like the last names sorted from A-Z or Z-A.

To view an individual’s application materials, click on their name. This will show you all the required documents an individual has submitted. Scroll down the page to view each of the submitted files. If the position requires additional documents (e.g. unofficial transcript, writing sample, list of references, etc.), those files will be combined into one large file under the Additional Documents section of that individual’s application. When you are viewing an individual’s application materials, you can select Print to print all the files or Forward to send the files in an email to another individual at your office. You can use the arrows on the upper right-hand corner to go to the next student’s application or press Back to return to the list of every applicant.

When you select the All Applicants tab, a list of options appears on the top of your screen. Below is brief description of what each item does:

• Email o Not used for this event.

• Forward o This sends every application via email to the email address of your

choice.

• Print Resumes o This allows you to print or save (as one large pdf file) every application

you have received for this position. When you press this button, a pop-up window will appear showing you a cover sheet with a list of every applicant, followed by everyone’s application materials. To save this file, hover your mouse over the top of the cover sheet (pictured below) and press the download button.

o NOTE: If you have having trouble seeing the download or print buttons, try using the “Zoom” button on your internet browser to make your view bigger.

• Print Applicants o This will prepare a sheet with a list of every applicant, including their

email address.

• Re-rank o If you have selected alternates for prescheduled interviews, this will

allow you to put them in the order you would like. If an applicant you invited to interview declines the interview, the individual ranked (1) on your Alternates list will receive an email letting them know they can sign up for a prescheduled interview.

• Export o Not used for this event.

• Ready to Finalize o Once you have made your final selections for which individuals you

would like to interview, which ones you would not like to interview, and which ones are on your Alternates list, you will select this button. This will lock in your options for who you will be interviewing at the fair. All selections must be finalized by Tuesday, September 29.

/ Select Candidates to Interview

To select the candidates you would like to interview, navigate to the All Applied tab to view the entire list of applicants. Under each individual’s name you can select Invite or Alternate. If you do not select either option, the student will be marked as “Uninvited,” meaning they are neither accepted for a prescheduled interview nor placed on the Alternates list.

If you select one of these options for a student, but change your mind at a later date, you may select the Uninvite button and that student will be marked accordingly. You will know a student is marked as “Uninvited” because they do not have a checkmark next to either Invite or Alternate.

Select Invite → Option to Uninvite appears

Select Uninvite → Reverts back to original view and student is marked as

“Uninvited”

PLEASE NOTE: Make sure the number of individuals you invite for a prescheduled interview matches the total number of available time slots you have. Once your interview time slots are confirmed, the system will update that number automatically and display it in the Total Number of Closed Slots section. As you select applicants to invite for an interview, that number will change to show you how many interview time slots you have left (you may need to refresh the page in order to see the updated number).

As you select Invite or Alternate for applicants, the Invite List and Alternates tabs will change to reflect the number of individuals you have selected for each category. To view the complete list of applicants you invited for prescheduled interviews, select the Invite List. When you are looking at this list, you can press the Print Resumes button at the top of the page and it will only print out the application materials of the individuals you invited for a prescheduled interview. To view the complete list of applicants you have placed on your Alternates list, and review the order, select the Alternates tab. To view the order in which you would like the Alternates to be considered, press the Re-rank button at the top of the page.

/ Print Final Interview Schedules for Recruiters

Applicants have until October 9 to sign up for an interview timeslot. After that date, you can go into the database and review your finalized interview schedule(s). To review your interview schedule(s), select the Interviews tab on the left-hand navigation pane and then select the appropriate job/internship posting. Once there, you can select Schedules to view the interview schedules for each recruiter, including the individuals who have signed up.

Within the Interviews tab, you have several options in the menu on the top of your page:

• Print Schedule o This will allow you to print the interview schedule you have selected.

• Print Resumes o This will allow you to print all the applications for the individuals on this

specific interview schedule.

• Print All Schedules o This will allow you to print every interview schedule for this position.

• Export o Not used for this event.
