1. Introduction to the 2017 Key Stage Wizards This manual is published to assist SIMS.net users in the data entry for Year 1 & 2 Phonics Screening Check and the end of Key Stage 1 and 2 teacher assessments for 2017. This manual should be used in conjunction with the DfE Assessment and Reporting Arrangements (ARA), links as follow: KS1 and Year 1 & 2 Phonics ARAs https://www.gov.uk/government/publications/2017-key-stage-1-assessment-and-reporting-arrangements-ara KS2 ARAs https://www.gov.uk/government/publications/2017-key-stage-2-assessment-and-reporting-arrangements-ara

KS1Teacher Assessments must be submitted to the REU by Wednesday 21 June 2017.

KS2 Teacher Assessments must be submitted to the REU by Wednesday 21 June 2017.

Year 1 & 2 Phonics must be submitted to the REU by Friday 23 June 2017.

All data should be sent via S2S to REU. If these deadlines are met, then Pupil, School and LA Level summary reports will be available on the REU website by the end of the summer term. Please see page 4 for TA data submission process flow chart.

2. Importing Wizard Templates Primary Schools need to import four wizard templates to complete all of their teacher assessment returns for KS1 and KS2 and results for Year 1 Phonics Test and Year 2 Phonics Recheck. These are:

a. Key Stage 1 Wizard England 2017 b. Key Stage 2 Wizard England 2017 c. Year 1 Phonics Screening Wizard 2017 d. Year 2 Phonics Screening Wizard 2017

1. In SIMS.net select Routines/Data In/Assessment/Import.

2. You may get this screen appearing.

To import wizards, click Remind me later and continue onto step 3. (If this screen pops up again, click Remind me later.)

3. Click to select the appropriate folder.

4. In SIMS, go to My Computer and select C:/Progam Files/SIMS/SIMS.net/AMPA/England Primary (and Middle Deemed Primary)/Assessment Manager to import wizards.

Highlight the required wizard and then click Open or double click (e.g. Key Stage 1 Wizard England 2017).

5. Check that the Overwrite defaults box is ticked and click Finish.

6. When prompted click on Yes to proceed.

7. Scroll down to check grade sets, aspects, templates, result sets, individual report

and wizards were imported successfully then click Close.

8. Repeat steps 1-7 to import Key Stage 2 Wizard England 2017, Year 1 Phonics

Screening Wizard 2017 and Year 2 Phonics Screening Wizard 2017.

3. Running Wizard Manager and Entering Data in Marksheets 3.1 Year 1 Phonics 1. Go into Tools/Performance/Assessment/Wizard Manager

2. Click to highlight Year 1 Phonics Screening Wizard 2017 (faint border around

selected wizard). Make sure not to click on tickbox to highlight. Click Next.

3. Click to select pupil year group.

4. Click on the button to the left of Year Group to show the available Year Groups. Highlight Year 1 and click Apply to transfer the group to the Selected Group frame.

5. Ensure you have the correct year group then click Next.

6. Double click Phonics Screening Year 1 marksheet to open.

7. Set group membership date (16/06/2017 for year 1 phonics) in order to include

all eligible pupils. Click Refresh.

8. To assist in data entry for class groups, hover over Students column, right click and click Select Additional Student Columns, and then choose Registration Group. Click OK.

Click on Reg Group to sort or alternatively filter by class group by clicking on the

button. (To cancel the filter click at the bottom left hand corner of marksheet.)

9. In the Mark for Phonics Check Year 1 column enter a mark out of 40 and use the down arrow on your keyboard to move to the next pupil. If you enter a mark above 40, a pop up box will appear to alert you.

If a pupil has been absent (A), is disapplied (D), has left the school (L) or maladministration has occurred (Q), the Mark for Phonics Check Year 1 column should be left blank and in the Grade for Phonics Check Year 1 column enter A, D, L or Q manually. Alternatively you can right click on the cell in that column and select A, D, L or Q by double clicking and then close the dialogue box by clicking Close.

10. Click Save to save the marks. Saved data will turn from red text to black text. The Data Check column will show ‘!’ in a red box as there is no threshold score* inputted. Please manually scroll through to make sure no pupils are missing data or marks put against pupils who are A, D, L or Q.

*Note: The threshold for 2017 will be announced on 26 June 2017. After this date you can add in the threshold so individual pupil results can be printed. Results must be submitted to the REU by Friday 23 June 2017.

To add threshold, right click on Threshold Score Phonics Check Year 1 column, then click Select Grade for Column. Double click the correct threshold grade. Click Save and Wa and Wt will automatically populate in the Grade for Phonics Check Year 1.

11. If a mistake has been made and the data has already been saved you cannot

delete it, right click on cell with incorrect data and select View /Edit Result History.

Highlight result by clicking on the result cell and click the red cross on the right.

You will be taken back to the View/Edit Result History dialogue box. Click Close to go back to the marksheet.

12. Click Calculate so that the calculations are based on the most recent results. Save marksheet.

13. Check the data and repeat steps 9-12 if necessary.

14. Exit the marksheet by clicking Close. This will take you back to the wizard screen where the marksheet was originally selected. Press Cancel to close the wizard screen.

3.2 Year 2 Phonics Recheck Note: Pupils who did not reach the expected standard for phonic decoding at the end of Year 1 or did not take it before are required to retake the screening check in Year 2. 1. Go to Tools/Performance/Assessment/Wizard Manager.

2. Click to highlight Year 2 Phonics Screening Wizard 2017 (faint border around

selected wizard). Make sure not to click on tickbox to highlight. Click Next.

6. Double click Phonics Screening Year 2 marksheet to open.

7. Set group membership date (16/06/2017 for year 2 phonics) in order to include

9. Click Calculate and the Year 2 Check Required column will display ‘Yes’ in yellow box to show pupils who are required to retake the phonics screening check. Cross reference the names against the Year 2 Phonics Screening Recheck list found on the REU website. Please refer to the circular on the REU website https://children.wandsworth.gov.uk/education/reu/acm2.asp?p=Y1Phonics/2017/Year_2 _Phonics_Screening_Recheck.pub.pdf to find out whether any new entrants since the January 2017 census need to participate in the Year 2 Phonics Recheck.

10. Only enter marks for pupils with a ‘Yes’ in the Year 2 Check Required column.

Filter in the Data Check column to show only ‘Yes’ for ease of data entry by

clicking on button. (Cancel the filter by clicking at the bottom left hand corner of marksheet after entering the data.)

11. In the Mark for Phonics Check Year 2 column enter a mark and use the down

arrow on your keyboard to move to the next pupil. If you enter a mark above 40, a pop up box will appear to alert you.

3.3 Key Stage 1 Note: For the statutory return of KS1 teacher assessments to the LA you must complete marksheet A. Marksheet B needs to be completed with P Scale assessments for pupils who are working below the standard of the pre key stage (BLW) in Reading, Writing or Mathematics. If a pupil is working at P scales for science then HNM must be used and P scales to be provided. 1. Go to Tools/Performance/Assessment/Wizard Manager.

2. Click to highlight Key Stage 1 Wizard England 2017 (faint border around

wizard). Make sure not to click on tickbox to highlight. Click Next.

KS1 A Teacher Assessments 2017 7. Set group membership date (31/05/2017 for KS1) in order to include all eligible

pupils. Click Refresh. Please check that all year 2 pupils who sat the KS1 tests at your school are included. If they are not, please contact Teresa Chan on 020 8871 7652 or [email protected].

8. To assist in data entry for class groups, hover over Students, right click and

click on Select Additional Student Columns, and then choose Registration Group. Click OK.

Click on Reg Group to sort or alternatively filter by class group by clicking on the

9. Enter marks for all pupils in the white columns. Enter the data by right clicking on cell and click Select Grade for Cell.

Double click on selected grade and it will then move on automatically to next pupil. (This option only allows you to fill in the grades for the column and not the row.) Close the box once entering is complete to return to marksheet.

10. After entering results for all the pupils, click Save. The red text turns black when saved.

The columns with will automatically calculate when you save the results. The Missing Entry Check column will show ‘Fail’ if any results for pupils are missing. The No of Missing Entries column will show number of missing entries for the pupil.

11. Check the data, if a mistake has been made and the data has already been saved you cannot delete it, right click on the cell with the incorrect data and select View/Edit Result History.

Highlight result by clicking on the result cell and click the red cross on the right.

KS1 B. P Scales Data Entry 2017 Note: This marksheet, included in the KS1 wizard allows you to enter any P scale data for Year 2 pupils who are working below the standard of the pre key stage (BLW) in Reading, Writing or Mathematics. If a pupil is working at P scales for science then HNM must be used and P scales to be provided. You still need to provide a full set of KS1 results in marksheet A even when reporting P scale levels for a child. The following P Scale values can be recorded:

pupils. Click Refresh. Please check that all year 2 pupils who sat the KS1 tests at your school are included. If they are not, please contact Teresa Chan on 020 8871 7652 or [email protected].

17. Filter ‘BLW’ for greyed out reading, writing or maths results column and ‘HNM’

for greyed out Science TA results column for ease of data entry for P scales. Hover over column and click on button to filter and choose ‘BLW’. (Cancel the filter by clicking at the bottom left hand corner of marksheet after entering data for each column.)

18. Enter P scales in the correct columns and use down arrow on the keyboard to move to the next pupil or use the right arrow to enter grade in the next subject for the same pupil. If you enter the incorrect P scale in the incorrect column, it will alert you with a pop up box.

Alternatively you can enter the data by right clicking on cell and clicking on Select Grade for Cell. Double click on selected P scale and it will then move on automatically to next pupil. (This option only allows you to fill in the grades for the column and not the row.) Close the box once entering is complete to return to marksheet.

19. After entering results for all the pupils, click Save. The columns with will calculate automatically. The yellow highlighted cells require data to be checked. Check all data including the highlighted cells to make sure data is correct.

20. If a mistake has been made and the data has already been saved you cannot

9. Enter data for all pupils in the white columns. Enter the data by right clicking

on cell and click Select Grade for Cell.

Double click on selected grade and it will then move on automatically to next pupil. (This option only allows you to fill in the grades for the column and not the row.) Close the box once entering is complete to return to marksheet.

10. After entering data for all pupils, click Save. The red text will turn black was data

is saved.

The columns with will automatically calculate when you saved the results. The Missing Entry Check column will show ‘Fail’ if any results for pupils are missing. The No of Missing Entries column will show number of missing entries for the pupil.

18. Enter P scales in the correct columns and use down arrow on the keyboard to move to the next pupil or use the right arrow to enter grade in the next subject for the same pupil. If you enter the incorrect P scale in the incorrect column, it will alert you with a pop up box.

Alternatively you can enter the data by right clicking on cell and click Select Grade for Cell. Double click on selected grade and it will then move on automatically to next pupil. (This option only allows you to fill in the grades for the column and not the row.) Close the box once entering is complete to return to marksheet.

4. Sending Results in CTF You need to produce four CTFs (Year 1 & 2 phonics, Key Stage 1 and Key Stage 2) to submit the data to the REU. 1. Go to Routines/Data Out/CTF/Export CTF. Then choose KS1, KS2 or Phonics

2. Set the Effective Date as per the relevant group membership dates for Year 1 and 2 Phonics, Key Stage1 and Key Stage 2 (see table below). Click Refresh. Make sure that Include students already exported is ticked. In the Year Group column select the year group you are to export.

Click on the drop down arrow and select Wandsworth. The destination council will be inputted for the selected Year 2 pupils.

3. Click on Export CTF. This window pops up. Click Yes.

4. When export is complete the following pops up. Note down the file name.

5. The exception log appears at the bottom of the screen showing any errors

preventing a record from being exported in full. The exception log also warns if any information expected to be included in the CTF export file is missing for a pupil.

6. Print the exception log and file it.

Make sure the number of students in file and number of students processed match up. Number of students not exported should be 0, if there is a number in there please check the exception log to find out why.

If any data exceptions have been found, go back to the marksheets and amend the data. Once amended go back to the export page and repeat steps 2-5. Repeat Steps 1-6 to produce CTFs for the other assessments.

5. Sending Files to the REU using S2S Once you have prepared the file(s) to send to the REU, you need to login via Secure Access to the S2S website. 1. Go to https://sa.education.gov.uk/ and sign in using your school’s case sensitive

username and password.

You may receive a warning from Internet Explorer that the page is attempting to open a site in your Trusted Sites list. Click Yes/OK to approve this.

After logging in you may be presented with a similar screen. Click on S2S to go to the secure website.

S:/SIMS/CTF Export. Choose the appropriate file to upload by double clicking or select file and click Open.

6. Printing Reports 1. Go into Tools/Performance/Assessment/Wizard Manager.

2. Select the Wizard you need. 3. Check year group and click Next. 4. Select the marksheet you need printing, set the from date as per start of term

and the to date as per the relevant group membership dates for each Key Stage. Click Refresh then Next.

5. Select report to print. To print report for one pupil or a selection click Deselect

All and then tick the checkboxes against pupils whom you wish to print reports for. If you wish to print reports for all pupils click Select All. Click on the printer button and it will be sent directly to the printer.

Note: When printing Year 1 and 2 Phonics pupil level reports, please refer to the notes on page 13 about adding in the 2017 threshold.
