All platforms and the respective licenses will be listed in Administration / Manage Group when a library’s account has been activated. For activated accounts the individual user’s Preferences tab will also display the option to select or deselect the available platform which will then display in the new Search All Titles Platform dropdown and in your search results. So what the activated customer will see in that new Search All Titles platform dropdown is only the licensed platforms they have checked in the individual users preferences. Same is true for what displays in the Search Results and Title Details. Browse row results will display the preferred platform and license information or will default to the next available platform and/or license if the preferred is not available. The Excel download file will include the platform and license listed in the browse. Title Details will reflect the platform & license information of at least the first two – if the title is available on more than two platforms you can go to the eBook Details tab for more complete information and comparison The Dropdown box in the Order Info form for platform will default to the browse row platform and license

Customers can verify that they are setup for an eBook platform by logging into OASIS and checking the Administration / Manage Group folder. If the platform and the license information is listed under eBook Licensing you are good to go. If you do not see the platform or aggregator you are looking for listed contact your customer service or Area Sales representative. While you do not have to sign anything to have the EBL platform activated in OASIS you do need to have an active license with the aggregator. Initial setup will take at least 48 hours or more, depending on the account.

Once the license & platform information have been activated in OASIS (again indicated by the visibility in Administration/Manage Group) the individual user will also see in the Administration/Manage Account/Preferences tab a check box option for each activated platform. This allows the user to control what they see in Search All Titles, Browse Rows and Title Details. The default is to display all activated platforms. So these boxes will automatically be checked. But, as each library is setup Customer Service will discuss whether the library wants this option visible to all in the beginning or only to the Administrator. If it is only to the Administrator or a select group of users then the Administrator will need to uncheck this box for each user who will not have these platforms displayed. The Administrator can do this from their OASIS account These options do not display at all if platform has not been activated in OASIS.

Once a platform (aggregator) is enable for the library user’s can choose any one of the platforms or multiple platforms using the new feature in Search All Titles. The new feature takes the place of ‘Edition Preferences’. Instead of the radio buttons the user now has a dropdown with options, as previously mentioned, to select any or all platforms they wish to search on. If no boxes are checked and no other limitations are selected in the Binding Format dropdown the default is to included all in your search results. Again, if you think you should have access but the desired platform is not listed please contact your Administrator who in turn can contact the appropriate Area Sales or Customer Service representative. Let’s go ahead and do a search – selecting all platforms. Enter a keyword search for strategy AND “sustainable energy” qualify further with 2013 and check the Selection Cycle Complete box.

(Note the platform, license and price information is which is circled in red here – each title also displays the aggregators icon.)

Here is an example showing three different ebooks available from all three licensed platforms in the browse row (search results screen). The highlighted title displays the MyiLibrary information because MyiLibrary has been set as the preferred platform for the library account. The title is also available in Cloth and on the EBSCO database – that information is displaying in both the browse and Title Details providing you the user with choices. The first title in the list is only available from EBL and the last title is only available from EBSCO with a paperback alternative.

The title in this screenshot is available on the EBSCO platform and there are 3 licenses available. The title is also available in paperback as noted in the Alt edition and See Also tag. The single user license displays because the user requested this license as the preferred license during setup.

This search was done with just the EBL platform selected in the Search All Titles Platform dropdown. Your results come back with EBL titles. Alternates will display but EBL has been chosen as the primary platform. The lower portion of the screen, below the blue line, in the Title Details tab is, again, where you will see additional title information in addition to the licensing options and alternate editions available in the browse row. You are able to view and switch to any alternate edition by clicking the appropriate blue link in either the browse row or the title details. You also have a See Inside the Book option for titles on all platforms easily accessible in the browse row.

For complete platform and licensing information you will want to access the eBook Details tab from the lower portion of the screen. You Are Now Ready to Order

You’ve identified the title, platform and license you want and now you are ready to place your order. OASIS can accommodate many different workflows. Ordering can be very easy and straight forward or it can be very involved depending on the libraries needs. Either way – you are basically following the same process when incorporating ebooks into your selecting and ordering workflow. A very straight forward option - For a Selector (Requestor) use the green Action arrow, then click the ‘Select Now’ option. You will get a popup order information box describe on the next screen. Users who have the security level/authority to order will see ‘Order’ instead of ‘Select’.

Order Info Form

The Order Info form will always display the Ebook Licence and Ebook Platform that is displaying in the browse row. The Order Information form still provides the user with the option to fill out specific information which may be necessary for further processing. Again, for eBooks the form will automatically display the platform and license information. This information will match the browse row display so if you have changed it temporarily make sure you verify the correct information show the Order Info form before you submit your order. Once this information is verified or changed select one of the options at the top of the box (usually “This Title”) and this immediately sends your selection to Acquisitions for final processing. Whatever workflow you currently use will continue to be your workflow. As an FYI you can save this Order Information record as a Template in the lower portion of your screen for future use. Simply name the template and create save.

Selection Follow-up

Selectors can track the process of their orders from the Sent to Ratifier folder as shown in this screenshot. Select the week the order was placed from the dropdown lists at the top left of the screen. Select a title and then select the Check Status tab in the lower half of the screen. The link on the left refers to where the order currently is… so in this case it is in the Acquisitions Authorize Orders folder awaiting ‘Ratification’ (or ordering). Once it is order the red check status in the browse row will change to ‘On Order’ and when it is invoiced it will change to ‘Order Shipped’.

Users can track the process of their orders from the Search Orders folder as shown in this screenshot. An easy way to see all orders from a particular aggregator is to use the Account search and select the sub account assigned to that aggregator. You are done!
