TRANSCRIPT
Celerity Solutions Group is a clinical
documentation outsourcing firm located
in Denver, Colorado that provides
comprehensive medical transcription services
for hospitals, clinics, and physician groups
around the country. With more than 100
employees, it can be challenging to keep
everything working in synchronization, so
it is important for the company to have
technology in place to ensure smooth,
efficient workflow processes.
Ease of use and simple integration benefits all
Synchronizing the clinical documentation workflow by integrating Philips digital
dictation equipment.
Many of Celerity’s customers record their
clinical documentation using Philips Digital
Pocket Memo recorders because it offers all
of the features that are needed to integrate
with Celerity’s dictation/transcription
system.
“The Philips technology generates a crisp and
clear DSS file that integrates smoothly with
our voice-captured dictation system,” says
Jean LoPizzo, CMT, AHDI-F, CPEHR, Chief
Operations Officer for Celerity Solutions
Group.

“File clarity is critical, because it allows us
to accurately transcribe information into a
usable document.”
The firm is so satisfied with Philips
technology that it recommends the Digital
Pocket Memo to providers who have not
used digital dictation equipment before and
to providers who are looking to make a
change.
Reasons for Recommending
Celerity recommends Philips Digital Pocket
Memos for a variety of reasons. Since the
recorder is compact and portable, users
can keep it in their pocket and record
information anywhere and at any time,
which is much more efficient than having
to go back to an office and use a telephone
– as has been custom in the industry for
years. “The recorder is very easy to use,”
comments LoPizzo. “With the touch of
a button, users can record detailed and
complex information.”
Another benefit of the Philips technology
is its ergonomic design. “Some digital
recorders have the erase button located
on the front, and it is easy to inadvertently
delete a file,” says LoPizzo. “Philips Digital
Pocket Memos are designed to avoid these
kinds of mistakes, with the erase button
located on the side.”
Philips equipment is also durable and can
handle wear and tear, which is important

because the devices rarely have to be
replaced from over-use. “The doctors bring
them everywhere and sometimes they drop
them or leave them in a hot car,” comment
LoPizzo. “We haven’t had to replace many.
Even when we do, our vendor Executive
Communication Systems is quick to address
the issue so the physician has no disruption
in service.”
Process for Uploading
Since Celerity’s staff can’t be onsite with each
physician to help upload recorded files, it is
key the uploading process is straightforward.
After physicians record a file using the Philips
Digital Pocket Memo, they place the recorder
in a docking station or connect it to a
computer via a USB port. “Then they launch
our software and select the appropriate files
for uploading,” says LoPizzo. “Everything else
is automatic. If they choose to, they can even
erase a file off the digital recorder at the
same time they upload it to us.”
Streamlined Integration
Philips technology smoothly integrates with
Celerity’s voice recognition software. “We
recently installed new proprietary software
to replace an outdated commercial product,”
says LoPizzo. “Philips files work well with
both systems, which made the switch to the
new software easier. We’ve been integrating
Philip’s technology since 2001, and we
never worry about whether our system can
work with a file: they are always clear and
complete.”
