I have an MLIS from San Jose State University with a focus on the

Organization of Information and Emerging Technologies. I have worked

on digital asset management for the advertising industry, interned in

search at Getty Images, assisted on a digital archiving project at The

Seattle Public Library and currently I am the DAM

Administrator/Librarian for the Bill & Melinda Gates Foundation

Communications department at Corbis Images.

Corbis creates all the photo and video content for the Gates

Foundation and I catalog it and manage the system.

CASE STUDY 1 – SELECTION OF METADATA STANDARD

The Seattle Public Library Century 21 Digital Collection

• Photos depicting art, architecture and aspects of the 1962

World’s Fair. Collection also included ephemera – posters,

menus, souvenirs.

• Fixed resources

• Multiple creator names – example: photographer and architect

• CONTENTdm system metadata limitations

• Consistency with existing collections



• Solution:

• After evaluating VRA Core and Dublin Core, we decided to simply

add multiple creator fields to accommodate Photographer,

Architect, Artist and Author and to ultimately use Dublin Core.



• Authority Control:

• For the Subject field we used LCSH as well as a locally created

controlled vocabulary informed by the Getty Union List of Artist

Names when possible.

CASE STUDY 3 – CUSTOM METADATA AND FACETS

The Bill & Melinda Gates Foundation MAM System

• This media asset management system serves the Communications

department and vendors at the foundation and is comprised of 100K

images, documents and videos. It runs on the HP/Autonomy MediaBin

platform and has approximately 400 users.

• Some of the metadata fields can be mapped to existing standards:

• Caption > Dublin Core or IPTC Core Description Field

• Creator Name > Dublin Core or IPTC Core Creator Field

• Credit > Dublin Core Rights Field

• Keywords > Dublin Core Subject or IPTC Core Keywords Field

• Name > Dublin Core Identifier



• Some of the metadata fields are completely custom, based on

foundation business requirements:

• Area of Focus > Family Planning, Polio, Malaria, HIV, Vaccine Delivery

• Division > Global Health, Global Development, Global Policy & Advocacy

• Co-Chair Name > Bill Gates, Melinda Gates

• Previously Used > designates if an asset was used in marketing materials

• Shoot Code > internal identifier including location prefix, shoot date and

photographer initials (example ASIA20130131LL)



Facets and Filtering



Authority Control : Keywords

• The Keyword list is constantly updated as a text file and includes Proper

Names, Company Names, Names of foundation staff members, and

categories describing actions, objects, locations, agriculture, science,

healthcare, etc.

• The list was initially developed from client input and the larger Corbis

vocabulary and has evolved to be informed by search logs, the

foundation website and blog, and user input.

• Data Dictionary > includes fields, field permissions, description,

authority

• Filters > customizable in XML document, retain back-up list of changes
