Meet our Enrollment Team
Dear New York City Teaching Fellows,
Congratulations – we are so happy that you have chosen to join our program! As former New York City
teachers who began our careers in education through alternative certification programs, we choose to do this
work because we are passionate about getting great teachers in front of students. First and foremost, we
thank you for your commitment to the students of New York City and for choosing to start an exciting,
challenging, but most importantly, rewarding journey to becoming a teacher in our schools. Having been on
a similar journey ourselves when we began our careers, we know that it can be overwhelming at times, which
is why we are here to support you from now until you start training in August.
In our work as an Enrollment Team, we
Prepare and send out all the written communications that you will receive prior to training
Provide individualized support over e-mail and, and when needed, via phone
Plan and organize a variety of events to help you learn more about our program, NYC schools, etc.
Track and communicate regarding your progress in completing onboarding requirements, so that you are
ready to begin training in August
Share information about opportunities, when available, to help ensure that you are ready to start training,
such as and networking opportunities, etc.
You can learn more about what you can expect from us and what we expect from you on the next page.
We hope that you will use this Onboarding Guide as a support and resource in completing the steps required
to begin training. This guide is the first of five that you will ultimately receive from us over the upcoming
months, so while it has a lot of information, there is still more to come. If possible, we recommend printing it,
since we have included a detailed checklist and important information on processes you will need to complete.
Teaching requires a great deal of organization and backwards planning, and completing the onboarding
process is a great way to keep growing your skills in these areas. Most importantly, all of the items that you
will complete throughout the next few months will ultimately enable you to start training to become a teacher.
We hope you find the Onboarding Guide helpful and we look forward to communicating with you over the
next months.

Managing Expectations
You will be working with our team until you start training in August, so we wanted to share more about
what you can expect from us and what we expect from you.

As a small team, we rely on e-mail as our
primary mode of communication. Please be

from Teacher Track, so you do not miss any

e-mail, so we strive to communicate in way
that is efficient and clear.

We recognize that not all people keep track of
their goals the same way. That said, we ask that
you use the checklist on Teacher Track as a way
to monitor your progress while also helping us
know if you are on track to begin training.

We are aware that it is a costly, time consuming process to be able to start training with the New York City
Teaching Fellows - that said, the requirements below must all be completed in order for you to both legally
teach in NYC and be prepared for pre-service training.

Staying on Track: Your Teacher Track Checklist
Teacher Track is the system that New York City Teaching Fellows uses to manage all of our applicants and
enrolled Fellows’ documents and progress from the time you submit your application through the end of your
Masters’ program. Teacher Track will be used by many stakeholders throughout your time in NYCTF.
The enrollment team relies heavily on your Teacher Track Checklist to monitor your onboarding
progress. Your ability to begin training is contingent upon having an up-to-date Checklist and meeting
all deadlines. It is critical that you update us as you finish each step by logging into your Checklist on
Teacher Track, inputting information, and uploading documentation where required so we can support
your completion of these steps.
Your Checklist is set up as follows:
● Necessary Documentation: Some Checklist items will ask you to input information and upload
supporting documentation while others will only require you to upload documents.
● Self-Check vs. Non Self-Check: You may check off certain items yourself like ordering your official
transcripts. These do not need to be reviewed by program staff, while many items, such as test
results, require verification by program staff before they can be marked complete.
Because our office will be reviewing thousands of documents before the start of training, you should expect
that it will take approximately 1-2 weeks for documents to be processed. Items in your Checklist are
categorized as follows:
● Incomplete: Action required. Either documentation still needs to be uploaded, or the documentation
you uploaded was not accepted.
● Pending: No action required. Waiting for verification from our team.
● Complete: No action required. This document has been processed and accepted.

The Fingerprinting Process: Getting Started
All NYCDOE teachers are required to provide their fingerprints and information in order to undergo a
background check and receive security clearance to enter a NYC public school and work with students. You
must complete this process before August 15th. There is a lot of information in this section, but please
read it carefully as the fingerprinting and background check processes are legal requirements from
the state of New York.
You must be fingerprinted as soon as possible. The length of time it takes to process fingerprints can vary
from as short as two weeks to as long as two months, and it is often longer in the summer because of an
increased number of new DOE employee applicants. We highly recommend that you complete the
fingerprinting process well in advance to ensure that you achieve security clearance before the start of pre-
service training. Not obtaining clearance will impact not only your ability to participate in training but also your
program status; you may be withdrawn from the program if you do not clear background checks in order to
start training. Your fingerprinting process will depend on a number of factors, including your past certification
and employment.
How much does fingerprinting cost?
Once you have completed all required electronic forms in Applicant Gateway, come to the NYC
Department of Education's HR Connect Walk-In Center at 65 Court Street, Room 102, in downtown
Brooklyn to be fingerprinted, pay or choose to defer the $135 fingerprinting fee, and verify your
identity. Note that you'll need a hard copy of your Proof of Enrollment Letter from Teacher Track
to defer this cost.
Office of Personnel Investigation (OPI)
If there is an issue with your security clearance, you will be contacted by the Office of Personnel Investigation
(OPI). We strongly recommend that you provide that office with requested documents and information as
soon as possible to ensure that you can begin working with your students when the program begins in August.
If the investigation is not complete by the time field experience begins at Teaching Academies, you will not be
able to work in NYCDOE classrooms. If your case is under review by OPI, and OPI determines that you are
ineligible to work in the NYCDOE, the NYC Teaching Fellows Program is unable to appeal or overturn
that decision and you will be withdrawn from the program. We ask that you reach out to us via the
contact form if this is the case.
Out of State Candidates
There is an option to get fingerprinted out of state, however, we often find this process to be extremely
delayed, as such, we strongly encourage you to complete your fingerprinting at the HR Connect Walk-
In Center, if possible. Upon relocation to New York, you will have to come in to the HR Connect Walk-
In Center to verify your identity for your I-9 forms, if possible, we encourage you to get fingerprinted
at HR Connect as well.
How do I get started?
IMPORTANT: No steps can be taken until you have received the Applicant Gateway email. If you do not
receive the email 30 business days after enrolling, please contact our office immediately.

Step 1: Receive the Applicant Gateway E-mail
The Applicant Gateway portal is a NYCDOE new employee applicant system. In the 3-4 weeks after you
enroll in the NYC Teaching Fellows, you will receive your login and password for Applicant Gateway directly
from the NYCDOE (email address: [email protected]) letting you know that you
have been nominated as a NYC Teaching Fellow. This email is usually titled ‘New York City Department of
Education ‘Pre-Screening Notification.’
Below please find a chart of where you will be able to find your Applicant Gateway email based on whether
or not you have worked in the NYCDOE before.

Applicant Gateway Account, navigate to the Roster Evaluate nomination, and click on the status hyperlink to
access the below image. Once all items are marked COMPLETE, you may upload to Teacher Track.

Situation 2: I have been fingerprinted by the New York State Education Department
You may be in this situation if you:
1. Hold a certificate in NY State
2. Held a position with NY State Education Department (NYSED)
You will not need to be fingerprinted again or pay the $135 fingerprinting fee, however you may incur a
$20 fee. Follow the steps below to ensure that your prints are released from the NYSED to NYCDOE.
Check your TEACH account to view the status of your fingerprint application and any clearance requests on
file with NYSED. If you do not have fingerprints on file with NYSED, please review Situation 1 above for your
next steps.
Receive your automated email from Applicant Gateway, activate your account and log in. As
indicated by the Applicant Gateway system, you will need to fill out and electronically submit the following
forms:
(1) Background Questionnaire
(2) Emergency Contact Information
(3) OSPRA 103 Form (Request from the State to release your prints to the City)
**If you are a paraprofessional or other DOE employee, you may have an existing Applicant Gateway
account. You must wait to receive the automated email from Applicant Gateway confirming your
nomination as a NYC Teaching Fellow before you will be able to log in to your new Applicant Gateway
portal and completing the required forms.**
Once you have completed the required electronic forms, visit the NYCDOE HR Connect Walk-in
to verify your ID and pay a $20 processing fee for your OSPRA 103 request
Once you complete and submit the required forms online, you must visit the HR Connect Walk-In Center
at 65 Court Street in Downtown Brooklyn to verify your identification for OSPRA 103 processing. Please
note that you must verify your identity in accordance with federal I-9 acceptable documents guidance,
found on page 3 here. Then, upload a screenshot of your signed OSPRA 103 form to your Teacher Track
Checklist by following the steps below:
(1) Take a screenshot of this form or download a copy before you submit it on Applicant Gateway. Do
not skip this document, as the NYCDOE will not process the OSPRA 103 until this form is
submitted online via Applicant Gateway.
(2) Upload a copy of the OSPRA 103 signed by a staff member at HR Connect to your Teacher Track
Checklist Item.
NOTE: You will not receive an email when you have cleared this process, you must LOG BACK IN to
your Applicant Gateway Account, navigate to the Roster Evaluate nomination, and click on the status
hyperlink to access the below image. Once all items are marked COMPLETE, you may upload to
Teacher Track.
***If you have been previously employed by a charter school fingerprinted by the New York City Charter
Center, your fingerprints will not necessarily carry over. Please double check your TEACH account to
ensure that you indeed have your prints on file with NY.***

Situation 3: I have been fingerprinted by the New York City Department of
Education (NYCDOE) but not NYSED
You will not need to be fingerprinted again or pay the fingerprinting fee. Follow the steps below to ensure
that your prints are released from the NYCDOE to NYSED.
Step 1: Receive your automated email from Applicant Gateway, activate your account and log in. As
indicated by the Applicant Gateway system, you will need to fill out and electronically submit the following
forms:
(1) Background Questionnaire
(2) Emergency Contact Information
(3) OSPRA 104 Form (Request from the City to release your prints to the State)
Step 2: Download form OSPRA 104:
Once you have downloaded and completed the OSPRA 104 form. Once complete, either drop off the
document to the HR Connect Walk-In Center at 65 Court Street, Room 102 in downtown Brooklyn (NY,
11201), or fax it to 718-935-2726. Due to the volume of materials HR Connect receives, we highly
recommend dropping your form off in person. Then, upload a screenshot of your completed Applicant
Gateway forms (see guidance below) to your Teacher Track Checklist.
Step 3: Proof of Fingerprinting Status- Upload the below status screen to your Teacher Track Checklist.
Situation 4: I am a current Paraprofessional, or other NYCDOE employee
**This most likely means that you have previously been fingerprinted by the NYCDOE**
(1) Log into your Applicant Gateway account. Note that other browsers may have issues accessing the site,
so we recommend Internet Explorer.
(2) Next to the title, “Roster Evaluate,” click on “Status.”
(3) Navigate to the ROSTER EVALUATE SECTION Fill out any forms that are in the 'forms requiring
action' column, usually those two forms are the Emergency Contact form and the Background
Questionnaire form
(4) Click on the status screen for the "Roster Evaluate" Nomination for the year 2017-2018
(5) Verify that all items are marked complete and upload that screenshot to Teacher Track.
**If you are a paraprofessional, your prints may already live with both NYSED and NYCDOE systems. In this
case, you may need to complete the Applicant Gateway step without the OSPRA 103 form. Please double
check your TEACH account to ensure that you indeed have your prints on file with New York State.**
** Make sure each document lists "Complete" next to it. Take a screenshot of this page (example included
below). Your screenshot must have your name visible. Upload the screenshot to your Teacher Track account.

University Assignment
University assignments are listed below. Each university is only able to host the assigned subject area
listed. As such, if you feel as though your current university assignment (based on your subject area) is
going to cause an undue burden, you will need to appeal your Subject Area by filling out the Subject
Area Appeals form. Note, that the ABSOLUTE LAST DAY a subject area appeal will be considered is
Monday July 9, 2018, after which, rosters will be sent to universities. In the event where there is more than
one university assigned to your subject area (Special Education 7-12 only), your university will be
determined by your address.
Special Note: Do not reach out to your university under any circumstance. Currently, universities are
working hard to enroll and train our Summer Cohort of Teaching Fellows. Universities are not yet aware of
your names; reaching out to your universities will cause unnecessary confusion. Reaching out to your
university prior to receiving an invitation to apply for your Masters’ program may put your standing at risk
with NYCTF.

Enrolling in your University
While you will not enroll in your assigned university until August, there are some things that you can do
now to ensure that your university enrollment process goes smoothly. Please note: your degree must be
conferred by August 1, 2018 in order to be eligible to enroll in the Fall 2018 NYCTF program.

August 1, 2018. Please do not send your transcripts to the NYCTF office as
we are not able to process or pass these along to universities. If you are
currently completing a degree, please wait until your degree has been
conferred before ordering official transcripts. Please do this as soon as
possible, as it can take many weeks to receive.
Immunization Records All university partners require proof of Measles, Mumps, and Rubella
immunizations from all students. We advise that you update and obtain
these records to have ready for your university enrollment in May. Please
note that if you were born prior to December 31, 1956, you will not need to
submit proof of immunization.
GRE General Test You must take the GRE by August 15, 2018 in order to be eligible for the
master’s degree program at one of our university partners. Be sure to upload
proof of registration to TT2.

Pre-Service Training (PST)
Before pre-service training starts in August, you
will receive a PST Handbook with detailed
information about the structure, goals and
curriculum of PST. To help you better understand
what you can expect during PST, we will offer a
preview of our training program in this guide
including further information about your
schedule and the key components of our training
model.

Your time during PST will be divided into three
components: Field Experience, and University
Coursework, and Skill-Building Sessions.

During Skill-Building Sessions, you will observe and practice prioritized instructional and classroom
management techniques proven to help new teachers succeed. Led by NYCTF Lead Instructors, our Skill-
Building Sessions are grounded in the belief that our students deserve access to equitable teaching.
During these sessions, you will analyze how to effectively apply these techniques and rehearse them with
peers, receiving real-time feedback on your work. You will also learn to design rigorous lessons and clearly
communicate academic material with students. Skill-Building Sessions occur twice a week in the
afternoons following your Field Experience.

Field Experience
In early September, Fellows in the Fall 2018 Cohort will be provided the unique opportunity to work with
and learn from a Coach in a NYC school during the traditional school year. All Coaches are experienced NYC
teachers who provide Fellows with the chance to observe, study, and interact with an experienced mentor.
With support from your Coach, you will gradually increase the amount of time you spend planning for and
delivering instruction, providing you invaluable experience teaching full school days with standard
curriculum.
Field Experience is an opportunity for you to
practice newly acquired skills in a real-world
setting – teaching students in a New York City
public school. Together with other Fellows,
experienced NYC teachers, and trained NYCTF
staff, you will be responsible for supporting the
academic growth of NYC students.

Teaching Academy Locations and Assignments
Some things to note about Teaching Academy
locations and assignments:
● Teaching Academy assignments align with
NYCTF’s goal of placing Fellows in schools where
they are needed the most. The map above indicates
our Teaching Academy locations last fall.
● As you see from the Teaching Academy map,
schools are typically in the Bronx or Brooklyn, though
locations vary from year to year.
● Teaching Academy assignments will be sent out
in early September. They are based on a number of
factors including your subject area, location, and the
needs of the school.
● When preparing for your school placement, we
recommend building in additional time for travel, as
the majority of Fellows travel 1.5 hours to get to
their Teaching Academy each morning. While this
can be challenging, we appreciate your flexibility and
commitment to NYC students.

As a Fellow who has recently enrolled in our program, you may have many questions. We offer several
different opportunities and suggestions for Fellows to connect with one another (and with us) prior to the
start of PST.
Facebook Page
You may join the NYC Fall 2018 Facebook Page to connect with other Fall 2018 NYC Teaching Fellows. Do
note that NYCTF is not responsible for any content that is posted and content posted in this forum does

Subject Area Nights
Subject Area Nights will occur in mid-August prior to Pre-Service Training. These are evenings specifically
designed for New York City Teaching Fellows who are assigned to a specific content area. These events
will invite you to network with other incoming Fellows assigned to your content area, speak with program
staff to answer any outstanding questions you may have about onboarding, hiring and pre-service
training, and give you the opportunity to hear from Fellows from previous cohorts as they share their
experience with the program. We look forward to welcoming you in Mid-August at Subject Area Nights
and hope you are able to attend. You may register through your Teacher Track events tab.
Surveys
We believe that teachers cannot improve unless they know what they could be doing better. Feedback is
an important component of our training model, and your Coaches, Lead Instructors, Teaching Academy
Directors and NYCTF staff will provide you with feedback to help you grow into an effective teacher. Similarly,
at NYCTF, we depend on your feedback to help us grow and improve as a program. While we expect to
hear from some of you over the phone or via the Contact Form, we would like to hear from each of you
about your experience with the program. Therefore, throughout the summer and your first-year as a teacher,
we will send surveys to hear more about your experience during enrollment, PST, at your university and at
your school. It is extremely important that you take the time to complete these surveys so that we are better
able to support you and make our program stronger for NYC students.
