BulletinOur journey to operational efficiency continues. In the March 2013 Bulletin, we reported that Property Services met their target of 95% of reactive maintenance work executed within SLA. We are proud to confirm that Property Services has, for the first time in his-tory achieved a 100% within SLA position during May 2013. I would like to thank the team for achieving and maintaining this remarkable performance. We have challenged the team to raise the bar and move forward with more stringent targets. We will then revisit and adjust our SLA’s with our clients accordingly.

As a strategic initiative, we have initiated a standing multi-disciplinary Working Group that is tasked with Research and Development of the workplace and the compilation and ongoing upkeep of a Campus Renewal Plan. The aim of the plan will be to guide the University in terms of developing and maintaining the ideal kind of spaces on campus for learning, working and living – suitable for the needs of 2030 and beyond.

The Campus Master plan sets out what capacity we can develop and where the

capacity exists on SU property. The Campus Renewal Plan will indicate how these spaces should be developed in terms of design norms, func-tionality and technology. The plan will also cover all existing buildings in terms of their suitability by 2030 and beyond, which in turn would serve as input to plan which buildings should be upgraded or might even be-come obsolete in future. A multi-disciplinary Forum was also formed to evaluate the output of the Working Group in terms of the University’s Institutional Strategic Plan. Schalk Opperman will be leading the Working Group.

Lastly, to those of our staff taking a mid-year break, do rest well and re-turn with new energy for the challenges of the second Semester lying ahead.

Property Services achievement

Mission accomplished

Reaching 95% of the Service Level Agreement (SLA) target was still 5% short of what the team at Property Services were willing to accept, as re-ported in the previous newsletter.

Therefore, it was a proud moment when Chief Director Chris Munnik hand-ed the foremen a certificate recognising 100% achievement of SLA-agreed service levels.

Operational excellence

Improving the organisational culture of Facilities Management

In a quest to create and maintain the leading campus environment in South Africa, Facilities Management (FM) decided in 2009 to set annual themes to focus on specific areas, with the ulti-mate aim of achieving the University’s strategic goals. Previous themes were planning, gearing up service excellence and cost-efficiency, and this year’s is operational excellence.

FM directors shared a few ways in which they achieve operational excel-lence in their respective sub-divisions:

John Villet, Director at Facilities Services, says his team focuses on a caring approach to clients, marketing the integrated FM service model, communicating effectively and implementing effective control measures to achieve operational excellence.

The Facilities Services sub-division implemented a master project plan to ensure that specific due dates are met during the different phases of construction and maintenance. Clients’ needs and expectations are discussed and logistics of taking occupation are managed.

The Enterprise Asset Management (EAM) system was implemented by Facility Services as an effective tool for accurate management information, risk identification and tracking of services. The system is used for logging calls, maintenance work sheets, venue booking, rental of US property, building projects and campus security incident reporting.

Further developments in the pipe line include modules for quality audits, service surveys, requisition and quotations, Occupational Health and Safety document storage and asset management.

With these actions, Facilities Services are creating an atmosphere where positive relationships are built.

At Planning and Development, op-erational efficiency has always been a high priority, but is reaching new heights this year through a revision of procedures and processes to meet the ever-changing needs of the end user. Production levels have been higher than ever before, even while focusing on the procedures and training of staff members.

Strategic meetings are held to discuss the effectiveness of the team.

“Planning and Development remains committed to continual improve-ment in operational efficiency and service delivery on campus, and the professional, motivated staff members deserve recognition for these achieve-ments,” said Director Schalk Opper-man.

Property Services has employed three qualified electricians to serve the three FM clusters. Carpenters have been allocated to clusters to ensure

complete teams, each comprising a plumber, carpenter and electrician. Their operational performance and priorities are overseen by the clusters Facilities Managers.

“We have engaged preferred service providers for some of our core maintenance services e.g. painting, via a tender process. This will increase operational efficiency as well as service excellence, as contractors will be held to the Service Level Agreement,” said the Director: Property Services, Busi Sibanda.

Viljoen van der Walt, Director: Risk Management and Campus Security, said the team achieves operational efficiency by optimising technology. Systems were therefore initiated to improve the efficiency of camera moni-toring.

A further initiative was the centralisa-tion of incident reports to a single, one-stop operational centre. Hi-tech closed-circuit television (CCTV) moni-toring screens and alarm monitoring systems were combined with the main-tenance reporting work stations into one facility, to reap the benefits of a central operational facility.

The efficient utilisation of the growing number of CCTV cameras as deterrent as well as a crime-fighting instrument has made a noteworthy contribution to operational efficiency.

Last but not least, security staff were trained and retrained in several skills, from CCTV monitoring to driving a motorcycle. The existing group of secu-rity staff were assisted with obtaining their motorcycle licences, after which a fast and efficient motorcycle response team were implemented to deal with fleeing criminals. “Operational effi-ciency is about working smarter rather than harder”, said Viljoen.

This Planning and Development team delivers services pertaining to architectural production documents for projects and the delivery of a building data service.

The architectural production technologists; Bennie, Chandre and Bri-gitte, work alongside the planners to produce fully integrated and ap-proved architectural documentation with managerial and specialist input, to be able to address the wide and complex range of construction projects commissioned by the university.

Kevin Matthew, the manager of this team also delivers service products to the planning section and external consultants such as specification and design standards, documentation standards, and expert advice on specialist design issues such as laboratories, lecture halls, hostels, tech-nology etc.

Kevin represents the de-partment at forums such as Energy Saving, Sustainable Design, Water Saving as well as Research and Develop-ment of specialist initiatives, such as the Campus Renewal Working Group.

The Building Data Service is administered by Zanne who is responsible for a range of tasks such as compiling document packs

for planners and external consultants relating to specific projects, ensuring that all production documentation con-forms to SU standards and that “as built” documentation is captured into the data base, scanning of hard copy data, supplying document con-trol registration and management of the complete building data base for all buildings and facilities on all campuses.

Pretstap en “biscuit skud” hou Fasiliteitsbestuur se naam hoog

Die Maties-dansvereniging het op 20 April vanjaar weereens ‘n kompetisie vir personeellede en studenteleiers aangebied.

Melany le Roux, het Fasiliteitsbestuur se naam hoog gehou en met die derde plek weggedans, oftewel, weggestap.

Melany sê, “Die ervaring was ‘n hoogtepunt in my lewe en volgende jaar is ek eerste”.

Heelparty FB personeellede was daar om Melany te ondersteun.

Terselfdertyd neem FB-personeel weer deel aan die jaarlikse pretstap, trots geklee in korporatiewe klere om die ‘groen’ boodskap op kampus te versprei.

Hierdie fikse personeellede daag die res van FB-personeel uit om volgende jaar self die stap en die dansvloer aan te durf.

Focus on Sustainability Day

Facilities Management showcases initiatives at Sustainability Day

Nuwe onderrigfasiliteite

Facilities Management (FM) was once again involved in the annual Sustainability Day held at the Neelsie Student Centre on 27 February 2013. Visitors to the centre were treated to an array of displays of the sustainability efforts and activities tak-ing place within the University.

One of the products used successfully within FM is the Bokashi composter. This product is used to keep flies and foul smells away from food waste that is kept in containers at student residences. The food waste is used as compost for growing veg-etables at the experimental farms of the Faculty of AgriSciences.

FM also displayed and explained the Power Watch energy-saving system as well as the Division’s contribution to other energy and water-saving efforts. Pamphlets with energy-saving tips were handed out, encouraging the campus community

to take part in these efforts.

Other sustainability efforts within FM include biodiversity, landscaping and the move towards the construction of ‘green’ buildings.

Each one of us must make a contribution to sustainability, as it is entrenched as a core function within the University.

Opwindende nuwe fasiliteit in aanbou op Tygerbergkampus

Die Departement van Hoër Onderwys en Opleiding (DHOO) het versoek dat die Fakulteit Geneeskunde en Gesond-heidswetenskappe vanaf 2014 jaarliks ʼn bykomende 40 eerstejaarstudente tot die MBChB-kursus toelaat. Daar moes dus inderhaas ʼn plan gemaak word om twee groter lesinglokale in te rig om vir die hoër studentetal voorsiening te maak.

Finansiering vir die projek van R33 miljoen kom grotendeels van die DHOO. Omdat die bouwerk so dringend was, het die Fakulteit egter vooraf bykomende geld beskikbaar gestel om die konsultante aan te stel om so gou moontlik te begin werk, sodat die lesinglokale teen Januarie 2014 voltooi sal wees.

Die nuwe fasiliteit (voorstelling op foto) sal hoofsaaklik uit twee lesinglokale met plek vir 450 studente bestaan, waarvan die sitplek so ingerig is dat dit ook kleingroepaktiwiteite moontlik maak. Dit sal met die jongste tegnologie vir interaktiewe onderrig toegerus word. Die twee lokale word deur ʼn groot portaal verbind, waar gemaklike meubels interaktiewe leer en sosialisering deur studente sal aanmoedig. ʼn Verversingskiosk en spysenieringskombuis word ook voorsien. Dit sal dus ook ’n ideale konferensiefasiliteit wees.

Die gebou is volledig toeganklik vir rolstoel-gebruikers, en voldoen ook aan alle volhou-baarheidsbeginsels soos energiedoeltref-fende verligting, lugversorgingstelsels en boumetodes.

Die nuwe gebou grens aan die westelike ingang van die Onderwysgebou, sodat die nuwe lokale by die bestaandes aansluit. Dit is dus ook geleë op die verbindingsroete tus-sen die huidige lesinglokale en die Studente-sentrum, waar die restaurant en bestaande interaktiewe en sosiale areas vir studente is.

FHARGA-Opgradering

Nuwe FHARGA-ruimtes in Langenhoven-studentesentrum (Neelsie) bykans voltooi

Die tydelike frustrasie wat met die opknapping en bouwerk by FHARGA gepaardgegaan het, het plek gemaak vir opwinding by gebruikers en besoekers namate die projek einde se kant toe staan.

Die projek behels die aanwending van die tweede vlak van die Neelsie vir FHARGA-ruimtes om die ruimte-tekorte in die Fakulteit Ekonomiese en Bestuurswetenskappe te help oor-brug, en word in twee fases afgehandel.

Die werk behels onder andere die inrigting van vier elek-troniese FHARGA-klaskamers met ongeveer 348 sitplekke, FHARGA-personeelkantore, ʼn leersentrum en die vernuwing en herinrigting van die Studenteraad-kantore.

Wanneer elke werknemer vertroud is met die visie en waardes van die werkgewer, en dit daagliks internaliseer, is voortre-flike dienslewering ‘n gegewe.

FB se visie is om ‘Die toonaangewende kampusomgewing in Suid-Afrika’ te wees. Die waardes wat FB aan kliënte wil uit-beeld, is kortliks: ‘Integriteit, Kwaliteit, Kliëntgerigtheid en Omgee.’

Wanneer elkeen hierdie waardes daagliks uitleef, is uitmuntende dienslewering nie die enigste gevolg nie, maar ervaar personeel ook meer werksbevrediging en persoonlike groei.

Lees gerus gereeld weer omtrent ons waardes: (Dit verskyn ook op die FB Visie-pamflet wat jy tydens die induksie-opleiding ontvang het).

Integriteit

Ons het respek vir die behoeftes van ons kliënte en bou ons verhoudings op wedersydse vertroue. Ons verskaf akkurate en eerlike inligting aan ons kliënte. Hulle weet dat hulle kan staatmaak op ons beloftes en word nooit mislei nie. Ons erken ook ons foute en neem onmiddellik aksie om dit reg te stel.

KwaliteitOns handhaaf hoë, maar koste-doeltreffende standaarde en is trots op die kwaliteit van ons werk. Daarom streef ons na foutvrye diensomgewings. Al ons werk voldoen aan of oortref die ooreengekome standaarde en ons kliënte kan daarop staatmaak dat ons onsself onderwerp aan ons eie streng maatstawwe vir kostedoeltreffendheid en kwaliteitsbeheer. “

KliëntgerigtheidOns bestaansdoel is gerig op voortreflike dienslewering aan ons kliënte. Ons moet dus voldoen aan hulle redelike verwagtinge en seker maak dat alle as-pekte van ons diens tot hulle bevrediging is. Ons kliënte ervaar ‘n volgehoue verbetering in die waarde wat ons toevoeg.

OmgeeOns mense en die omgewing is ons belangrikste bates. Beide word met waardigheid en respek behandel. Ons waardeer ons mense se bydraes en moedig hulle aan om te ontwikkel en om verantwoordelikheid te neem. Ons gee om vir ons mense, want hulle gee om vir ons kliënte. Ons gee om vir die omgewing en die volhoubaarheid daarvan.

FB hou tred met veranderende kommunikasie-kanale.

Twitter het die afgelope tyd so ontwikkel en vir baie studente die nommer een keuse in sosiale media geword. Saam met Facebook verander dit die manier waar-op kliënte kommunikeer.

FB het nou ook ons eie Twitter en Facebook-blaaie met die naam: Matie Facilities, oopgemaak.

Hierdie media word slegs vir rapportering gebruik. Enige kommentaar, boodskappe en ‘tweets’ word direk na die Hulplyn e-pos gestuur.

Besoek gerus die blaaie, maar FB-personeel word gevra om nie op boodskappe of ‘tweets’ te reageer nie, aangesien slegs die Eenstopdiens-kamer, vir kontroledoeleindes, daarop moet reageer.

Alle navrae, klagtes en kommentaar sal deur die gewone rapporteringskanale aangeteken en hanteer word.

Management Development

FM Management development at the order of the dayFacilities Management identified the development of the core management team as a key priority to ensure the success of its business strategy in 2013. In order to realise this strategy, a management team assessment and training intervention was conducted in order to promote team cohesion and team development. One of the issues addressed during the training was emotional intelligence.

Emotional intelligence (EQ) is the ability to identify, use, understand, and manage emotions in positive ways to relieve stress, communicate effectively, empathize with others, overcome challenges, and defuse conflict. EQ impacts many as-pects of our daily life, such as the way we behave and the way we interact with others.

This results in benefits in the workplace, your relationships, your physical as well as your mental health.

EQ can help you navigate the social complexities of the workplace, lead and motivate others, and excel in your career. By understanding your emotions and how to control them, you’re better able to express how you feel and understand how others are feeling. This allows you to communicate more effectively and forge stronger relationships, both at work and in your personal life. The outcome of the management team emotional intelligence assessment and training provided a sound basis for further development initiatives. The following initiatives are being planned for the management team:

• Conflict management – a follow up session facilitated by a specialist in conflict management will be arranged.• RACI – as soon as the conflict management training is conducted, a workshop will be arranged to analyse the existing

business processes, activities and decision using the RACI model (responsibilities, accountability, information and communication).

• Management and leadership development - There is a need to train and develop the team in terms of management and leadership competencies.
