IntroductionDoes the thought of being separated from your BlackBerry, even for a few hours,

cause you to break out in a sweat? Does hearing about a new app make you giddy? Does

hearing about the release of upgrades make your day? Do you get heart palpitations if

you can’t immediately remember where you put your BlackBerry? If you answered yes to

any of these questions, you’ve definitely got a case of ‘BlackBerry Love’ (if you answered

yes to all of these questions, you may want to seek professional help!). But all kidding

aside, what really is not to love about these nifty little devices? They offer all lawyers

significant opportunity for increased productivity and efficiency in various facets of their

practices.

Even though you are clearly smitten with your BlackBerry (and who wouldn’t

be?!), are you truly using it to its full potential? We hope to offer tips, tricks, and useful

advice for taking your BlackBerry to the next level. We will begin by exploring your

BlackBerry’s ‘hidden essentials’. Although this sounds like it could be slightly x-rated,

what we are referring to are keyboard shortcuts and functions that will increase the

usability of, and your access to, all that your BlackBerry has to offer.

We will then explore the fun and fascinating world of BlackBerry apps. With the

right apps, your Blackberry can do even more for you and your practice. This section will

undoubtedly have you feeling like the proverbial ‘kid in the candy store’!

Blackberry101:TheHiddenEssentialsThe average BlackBerry is literally jam-packed with a wealth of information,

functions, applications, etc. As there are only 45 keys to access all of it, the keys must do

double- and even triple-duty. As the result of good design, much of the basic

functionality of a BlackBerry is reasonably obvious to the average user; however, various

keyboard shortcuts and functions aren’t so obvious. This is unfortunate as some of the

shortcuts and functions are downright useful – if not absolutely essential - for taking full

advantage of all that a BlackBerry has to offer.

Please note that because our investigation and uncovering of the ‘hidden

essentials’ was, for the most part, done on a BlackBerry Curve (aka, the 8300 Series) or

a Blackberry Bold (aka, the 9000 series), some of what is described here may not apply,

or may be slightly different, on other BlackBerry models. Visit www.blackberry.com for

TheCriticalKeysTo set the stage, we need to review the four critical keys that will be mentioned

time and time again throughout the following sections:

To the immediate right of the trackball is the

Escape key. You use it to close menus or go

back one or more screens.

Next to the right is the End/Power key. It

ends a call or turns the device off.

To the immediate left of the trackball is the

Menu key, which opens the menus that are

within all the BlackBerry applications.

Next to the left is the Send key, which starts or dials a phone call.

ToSendandReceive:TipstoBoostyourEmailEfficiencyOne stat we found suggests that, on average, 294 billion email messages are sent

each and every day. That is a staggering amount. However, most would likely agree that

the majority of our BlackBerry time is spent sending and reading e-mails —lots and lots

of them. As such, mastery of those features which can make your emailing more efficient

will reap great rewards. In order to boost your email efficiency, we will explore tips and

tricks in the following key areas: typing tricks; cut, copy, and paste tricks; spell

checking; and, managing your emails.

TypingTricksThe microscopic keyboard no doubt takes some getting used to.

Once you’ve mastered its compact size, it does work reasonably well.

Here are some cool typing tricks that can save you both time and

effort and help you make the most of that miniscule mechanism:

To type a capital letter, press and hold the

appropriate letter key.

To type an accented letter, hold the letter

key down, roll the trackball to view the

available accented letters, and release to

insert the one you want.

To turn on Number Lock, hold the Alt key

and press the left Shift key.

To turn on Caps Lock, hold the Alt key and press the right Shift key.

Pressing either Shift key will turn Number or Caps Lock off.

To insert a period, press the Space key twice. You’ll also find that the next letter

will automatically be capitalized, too (they don’t call them ‘smartphones’ for

nothing!).

To insert a period (.) or ‘at’ sign (@) into an e-mail address, just press Space.

To type a symbol, press the Symbol key and type the letter that appears below the

symbol on your screen (read this one twice so you don’t miss the point -- you

don’t have to scroll and click on the symbols you want, you just use the letters

instead).

Cut,Copy,andPasteTipsLet’s be honest, anything that helps you avoid unnecessary typing on that tiny

BlackBerry keyboard really is a lifesaver. Heed this basic BlackBerry commandment:

thou shalt not re-type text that is already on thy device. Use the following steps to cut,

copy, and paste text in the same way you do on a computer, thus saving you valuable

time and effort (and sanity!).

To highlight a line of text, press Shift and roll the trackball up or down. To

highlight text character by character, press Shift and roll the trackball left or

right. Note: If you want to cancel a text selection, press the Escape key.

To cut the highlighted text when typing, press Shift + Backspace/Delete.

To copy highlighted text when typing, press Alt and click the trackball.

To paste highlighted text when typing, press Shift and click the trackball.

There’saSpellChecker!Bad spellers, rejoice: you can check spelling in a message, memo, task,

or appointment by simply pressing the Menu key and selecting Check Spelling.

Halleluiah! In this day and age, there really is no excuse for misspellings, now is there.

You can accept or ignore suggested spellings, and you can even add words to a

custom dictionary (and you should do this whenever you’re prompted to, so you aren’t

asked again next time). To stop Spell Check, press the Menu key and click Cancel Spell

Check.

HowtoMassacreE‐MailsandManageMessagesAlthough a quick and easy form of communication, most lawyers are literally

inundated with emails on a daily basis. The

slope to ‘email overload’ is indeed slippery and

very short. Become an ‘email warrior’ and avoid

a slide down that slope to email ruination.

Employ these tips and tricks to massacre your

inbox and help you quickly deal with and

effectively manage your email messages.

When you are within a message, try the following:

To reply, press R. To reply to all, press L.

To forward the message, press F.

To view a contact’s e-mail address, highlight the contact and press

Q.

To view the display name again, press Q.

To file a highlighted email message, press I.

To scroll down a message, press Space. To scroll back up, press

Shift + Space.

When you want to move around a message list, use these tips:

To move down one screen at a time, press Space. To move up one

screen at a time, press Shift + Space.

To move to the top of a message list, press T. To move to the bottom

of the list, Press B.

To move to the next date, press N. To move to the previous date,

press P.

To move to the next related message, press J. To move to the

previous one, press K.

And here are more tips for when you are in a message list:

To open a highlighted message, press the Enter key.

To compose a new message, press C.

To mark a message as opened or unopened, press Alt + U.

To view only received messages, press Alt + I.

To view only sent messages, press Alt + O.

To view only voice-mail messages, press Alt + V.

To view only call logs, press Alt + P.

To view all your messages again, press Escape.

TelephoneCallsYou might think that making telephone calls would be the

easiest of all BlackBerry functions to master as it really isn’t

rocket science to make and answer telephone calls. However,

there are time-saving tips and tricks that can make this

BlackBerry feature even more valuable to you. We will explore

outgoing/incoming phone calls, voice dialing, and mastering the

mute key.

TricksforOutgoingandIncomingPhoneCallsDigging around through your contacts list to make a phone call takes too many

keystrokes. Let your BlackBerry do the work! To initiate calls faster, simply type any

part of a contact name or phone number on your BlackBerry’s home screen. The

software will scan your address book and present you with the names that match the

letters or numbers you have entered. Highlight the contact you want to call and press

Send. To view your list of contacts while on the Phone screen, simply hold Send.

On the incoming side, there are certain calls you don’t want to miss—especially

those from your spouse, partner, or kids. Creating a specific ring tone for each of them

allows you to instantly know who is calling so you never miss their calls again. To do

this, open the contact in your Address Book, click the trackball, and

select Edit. Click the trackball again and select Add Custom Phone

Tone. Next, click the trackball to open a list of all available ring

tones. Select the one you want and save the change to the contact.

In addition, since you can easily take any picture with your

BlackBerry camera, why not take a picture of a contact and associate

it with that contact to make that picture pop up when that person

calls? It’s super easy to do, just take the picture and then click on the

Set As icon. It’s 3-D caller ID! On a Blackberry Bold, adding a

picture to a contact is done by opening the contact, scrolling to ‘Picture’, selecting ‘Add

Picture’ and locating and selecting the picture you’ve just taken (or any other picture of

the person that you’ve saved on your Blackberry.

Here are a few other telephone tips and tricks:

To add an extension to a telephone number, press Alt + X and type the

extension number.

To assign a speed dial number to a certain key, while on the Home screen

or Phone screen, simply hold down the key.

To view the last number you called, press Space + Enter. Simply press

Send to dial the number.

Simply hold 1 to check your voicemail while on the Home screen or Phone

screen.

‘Look,mom,nohands’Dialing‘Hands-free’ or voice dialing might seem like a gimmick, but it’s indispensable for

safety while driving and ease of dialing at any time. It really is a neat feature that

extends beyond the basic ‘Call mom’. To use the basic feature, follow these steps:

Press the Voice Dial button (it’s on the left side of your BlackBerry unless

you have re-programmed the button)

Wait for the prompt “Say a command.”

Following the beep, say “Call” and the name or number you want to call

(e.g., “Call 416-598-5863”).

Here are some cool additional things you can do with this feature:

Differentiate between different numbers: If you have more than one

number stored for a contact —such as a work number as well as a mobile

number—simply indicate which one you want by saying “work” or

“mobile” after the contact’s name (e.g., “Call Jim Calloway Work.”)

Dial extensions: You can even dial extensions using voice commands.

Enable this feature in Phone Options, Smart Dialing. Then, in your

contacts, you can put “x5864,” which will let the Voice Dial function

understand you when you say “Call extension 5863.”

Perform checks: You can also check several things via the Voice Dial

function, including the battery charge (say “Check battery”), signal

strength, status, coverage and, last but not least, your BlackBerry phone

number. Can you say “Check my phone number”?

Here are some random, miscellaneous pointers for voice dialing:

You can tweak several voice dialing options and settings to better fit your

personal preferences (go to Device Options, Voice Dialing).

If you’re the international type, you can configure it to support other

languages.

Good to note: voice dialing doesn’t work with all Bluetooth headsets.

Check before you buy.

MasteringtheMuteKeyThis key’s name says it all and it is a key that should be mastered by all.

Essentially, the Mute key kills the ring. Good to know when you’ve forgotten to mute

your ringer and your BlackBerry rings in a location it shouldn’t. Avoid fussing and

fumbling about, trying to find the right key on the keyboard. Simply press the Mute key,

and presto, you’ve silenced the device. That’s not all the Mute key does, however, as it

also has a hidden function: pressing and holding it puts the device in Standby mode.

In Standby mode, key presses and trackball clicks won’t wake up the device or

turn on the screen. This is a great way to ensure that you don’t accidentally make a

phone call or waste battery power when you put the device in your pocket. To turn

Standby off, simply click the Mute key again. Note that in Standby mode incoming calls

will wake up the device and it will ring or vibrate as it is configured to do.

Also, some BlackBerry cases and belt clips have a tiny magnet in them (look for a

circle about the size of a dime near where the bottom back of the device will sit when in

the case or clip.) This magnet trips a switch that turns off the screen and disables the

keys—so there is no need to manually put the device into Standby mode. Really, what

will they think of next?!

JustBrowsingIn the course of the day, most of us spend at least some of our BlackBerry time

browsing the net. Here a few tips and tricks to make the most of your browsing time:

To open the brower’s options, press O.

Press Shift + Space to insert a forward slash (/) in the ‘Go To’ dialogue

box.

To insert a period (.) in the ‘Go To’ dialogue box, press Shift + Space.

Press Escape to stop loading

a web page.

To move to a specific page,

press G.

To zoom into a web page,

press I and to zoom out,

press O.

Press H to return to the

home page.

Press K to open your list of bookmarks and press A to add a new bookmark

to your list.

To hide the browser, press D.

Hold Escape to close the browser.

Right‐ClickingwithYourTrackballRight mouse clicks are the ‘go directly to home’ card in the world of computers.

They often let you jump menu settings or options. The clever BlackBerry programmers

have set up similar abilities on the trackball. For example, one quick click on the device’s

trackball will let you do the following:

Send a message that you have finished typing.

Dial a number when you highlight it in Call Log.

Use the Send Using field to pick the address you want to send a

message from (if your BlackBerry is set up to use more than one e-

mail address).

InSearchofTextAlthough it is said that a man may travel the world in search of what he needs,

only to return home to find it, you need not leave the comfort of your BlackBerry in the

first place to search for what you need. Here are some easy tips for searching for and

finding the text that you need:

To search for text in a web page or attachment, press F.

To search for text in a message or memo, press S.

To search for text in a presentation attachment, press F (make sure that

you are viewing the presentation in text view or in text and slide view prior

to searching).

DisablingYourWirelessTransmitOkay, let’s be honest here, how many of you can actually obey the airplane pilot at

takeoff when you’re asked to disable your wireless transmit? For those of us that don’t

know how to do this (and I will admit, it wasn’t obvious to me), click on Manage

Connections on your home screen, and then click on Turn All Connections Off. Pilots

everywhere will thank you. To turn things back on, do the same thing but select Restore

Connections.

the net reveals that saying “there really is an app for everything” isn’t far from the truth–

and more continue to surface, seemingly on a daily basis. Downloading those apps

which you think might be useful to you can increase your Blackberry love quota even

more. We’ve surveyed many of the apps that are available and present a brief review of

those which we think may have value for you and your practice.

StayingConnected:Telephone,Email,andInstantMessaging The core feature of a BlackBerry is undoubtedly its ability to allow us to stay

connected with friends, family, co-workers, business contacts, etc. This is achieved

through various avenues of communication. Here are some apps to increase your

Blackberry’s telephone, email, and instant messaging capabilities.

AdvancedCallManagerThis app, by Melon Mobile, claims it “can

bring back the joy of owning a phone”! Advanced

Call Manager (‘ACM’) allows you to create lists of

contacts, choose the action to associate with the

call, save these profiles, and sit back and relax.

Basically, this app allows you delicately avoid

calls with the caller left completely unaware of

your current availability. You can send a busy

tone, pre-assign personalized SMS replies, mute

the ringer, as well as pick and hang up.

ACM provides the ability to work with groups of contacts through the creation of

lists i.e., family, friends, business. You can then assign blocking rules to each list. Some

of the neat features include:

import contacts from your Blackberry contact groups, call log, or other

ACM list;

block or allow calls from people in a certain list;

generate and save various call management profiles such as ‘evening’ or

‘work’;

choose from five different active modes: reject all calls, accept calls only

from phonebook, reject, accept, or reject all calls plus a custom action;

create personalized settings for individual callers on your list i.e., send a

particular SMS reply to your mother while the default blocking setting for

those on your ‘family’ list is set to busy tone; and,

schedule changes to your profiles through the ‘scheduler and locator’

feature. For example, you could set ACM to block work-related calls during

the evening or activate your ‘work’ profile when it detects you are in your

office.

This app, currently version 2.71, is available for approximately $25 (depending

upon the BlackBerry model you have) at www.melonmobile.com; however, there is also

a free limited version.

IncognitoThis nifty little app has the distinction of being the “2010 BlackBerry Super Apps

Challenge: Regional Selections Winner”. It is available at BlackBerry App World™ for

the low price of $1.99. It is basically a caller ID blocking app. Specifically, you can:

block your caller ID for outgoing calls whether for

specific contacts or unknown numbers i.e., those

not in your list of incoming calls;

block your caller ID for phone numbers which you enter manually or when

calling numbers in your list of incoming calls;

mark a contact as ‘incognito’ and permanently block your caller ID when

calling that contact; and,

add an incognito filter category directly in your address book.

HamiltonMobileCapTelDo you sometimes have trouble hearing what callers are saying to you on your

BlackBerry? If so, check out Hamilton Mobile CapTel®. This free app is the first of its

kind offering a feature that has aptly been coined ‘captioned telephone’ or CapTel. In

other words, it allows you to listen

as well as see what is being said on

every call. You will require

simultaneous voice and data

capabilities as well as a compatible

headset (either wired or Bluetooth)

as this will allow you to listen and

speak while, at the same time,

viewing the captions of what is

being said on your screen. You will also be required to create and register an account at

GmailFor anyone with one or more gmail accounts, this is a definite must-have. This free

application allows you to access multiple gmail accounts on your BlackBerry. It comes

with an array of neat features:

with some travel-friendly apps, it can be your perfect travelling companion (like you’d

ever even consider leaving home without it!).

GoogleMapsandStreetViewAlthough many BlackBerries come with a map app

already installed, the Google Maps app offers additional

features making it a must-have for travelers. Not only

does it provide directions, you can search for any

business or place to find a wealth of details such as

pictures, reviews and ratings, listing information, etc. You

you can even access Google Map’s Street view from your

BlackBerry. For the Street view option to display, you need to ‘Get Directions’ using

Google Map and then look for the ‘Street view’ option at the bottom of the display.

With the Places icon, you can find businesses and places near your current

location. In terms of directions, you can get driving, biking, transit, and walking

confirmation of flight, hotel, car rental, etc. will do. With amazing accuracy, TripIt is
