Exam Supervision
Earlier this year Julie Powter from Newcastle Uni sent an email to the Exams Network requesting the following information:
• The amount your supervisors are paid per hour for their respective roles
• The applicable HEW level • Pay increments if considered e.g. HEW 1.2, HEW 2.4 • How you pay them – through your University or via
Employment/Recruitment Agency? • Duties (brief) of duties in relation to respective roles/HEW
levels.

Why was the information requested
As presented at the last exams conference at UNE, there are many different terminologies used across the network for what, in essence, is the same process, job or practice. One of these areas in particular is Exam Supervision. As Exam Supervision is the main theme of this conference the information requested has been put together in an endeavour to find or begin to find some consistency across the network. For example, could we develop an Industry standard document in relation to Exam Supervision. Discussion 1: Naming Conventions e.g. Invigilators or Supervisor, Head or Chief etc Discussion 2 Supervision in relation to AEA, Amanuensis, Students with Disabilities – naming conventions, duties, pay rates Discussion 3 Exam Supervisors pay rates / duties associated with each position / level Some Obstacles to consider are: Enterprise Bargaining Agreements Historic Practices

Chief Invigilator - Uni SA / VU
• Provides operational responsibility of a room at an examination venue. • Supervisory role towards all invigilators in that room.
Responsible for the effective and efficient operations of exams with the invigilation of students and supervision of exam invigilators at examinations. They are required to administer associated processes and tasks in order to ensure compliance with University policy relating to conduct in examinations.
Core Responsibilities:
• Coordinate the setup of examination venue and ensure all materials, including examination papers, are available and appropriately distributed.
• Setup own block/work area and assist general invigilators where required • Supervise candidates during examinations and provide instruction regarding examination
procedures. • Complete performance evaluation assessments for each exam invigilator at such times as
requested by the Business Analyst: Examinations and Results. • Coordinate the collection of attendance slips and completed examination papers. • Comply with Examination Rules and Procedures stipulated in the Invigilators Manual, and
ensure that these and other relevant policies are implemented by all invigilators. • Complete incident reports and follow submission procedures • Where required, assist in the formal misconduct process. • Assist in the provision of training to general invigilators. • Additional duties as required by the Exams and Results Office. • Allocate Invigilators to areas of responsibility within the exam venue • Reconcile completed exam papers for collection by Academics and/or return to the

Exam Centre Float Supervisor – UWS
• Only rostered when we have a high number of exam sittings • Start exams if another Supervisor is running late or no show • Deliver messages to exam rooms such as exam paper corrections
Head Supervisor – SCU
Responsible for collection from the Exams team, overseeing absence and attendance records during the exam and return of the exam papers to the Exams team
Assistant Supervisor in Charge – Monash
• Co-ordinate the setting of each examination in the designated area of the exam room • Provide straightforward advice to students and assist Invigilators when required. • Ensure examination script books are collected and secured in accordance with set

Invigilator – Monash / VU • Supervision of students • Ensure that all examination and assessment paperwork is kept secure throughout the exam period. • Set up of the examination venue, including carrying boxes of paperwork and examination booklets. • Accurately verify the identity of each student and record student attendance. • Accurately distribute, collect and validate exam materials, ensuring all assessment paperwork is
returned to the Chief Examiner and is identifiable as relating to that student. • For the duration of the exam constantly monitor a designated area to ensure students are
complying with all instructions and exam rules, ensuring no student gains an unfair advantage by accessing, using unauthorised material or by colluding with other students.
• Complete fact based reports for any incidents or suspected cheat cases in accordance with University policy and procedure.
• Respond to basic enquiries in a timely and confident manner, ensuring all students are treated fairly and equally. Referring complex enquiries or incidents to the room Supervisor in Charge
• Act as a warden in the event of an emergency situation under strict direction from the Examinations Supervisor in Charge
• Deliver outstanding customer service to students sitting an examination by conveying respect and empathy, maintaining a calm, positive and pacifying demeanor during interactions to minimise additional stressors for students

Room Supervisor & Assistant – Auckland
• Are the primary contacts for students in the exam room and are responsible for administering all aspects of the examination. They are required to adhere to the instructions for each individual exam as presented by the Examination Instructions and ensure that students understand and comply with those instructions. Supervisors/assistants report instances of offences committed by students under the Academic Code of Conduct during an examination including cheating, falsification of documents, possession of prohibited items or other dishonest behaviour; distribute and collect exam documents; monitor the class while the exam is in session; accompany students who need to leave the classroom for any reason once the exam is underway, including accompanying students to the restroom; act as the point of first contact for students and examination staff who may have a problem in the exam room and escalate issues as appropriate to the Room Supervisor if they are an assistant or Exams office if they are a room supervisor.
• In addition to the above our room supervisors are expected to act as role models and

They are also responsible for the final check and sign off of which students are in the room, the secure and safe return of all exam material (with help if needed) and in the case of emergencies are the person in charge and are responsible for the staff and students in the room
Exam Supervisor – AUT
The position of Exam Supervisor is one of responsibility as infringement of the examination rules/procedures by any party (examiner, examination supervisor, student) is taken very seriously. Exam Supervisors are responsible for ensuring that examinations are properly conducted in accordance with the policies and procedures of the University and faculty/school/department. Exam Supervisors work under the guidance of the Exam Coordinator or the faculty/school/department and are expected to be conversant with the procedures in these guidelines and the faculty/school/department Exam Supervisor’s handbook. In most cases there is one Exam Supervisor assigned to each examination room. That person’s overall duty is to ensure that students may write examinations and demonstrate their academic ability under circumstances that are as conducive as possible. In order to do this the Exam Supervisor is responsible for: • the security of the examination material once it is received from the
faculty/school/department/Exam Coordinator and until it is returned. • The set up of the room pre examination. • Recording student attendance and identification. • the smooth coordination of the examination in that room including ensuring: • students receive appropriate instruction on the examination conditions materials are limited to
those permitted by instructions on the examination paper/cover sheet • The opportunity for students to focus on their own examination is maximised any disruptive events
are minimised. • The post examination return, to the Examination Coordinator, of all completed examination
papers, answer booklets (if required) and unused material. • Accurately recording and reporting on any events of misconduct or other events that disturb the
examination. • Reporting back on all aspects of the examination event to the Examination Coordinator.
