A Direct address is needed to exchange health information using the Direct messaging network
A Direct address looks very similar to an e-mail address. It is important to know that traditional e-mail accounts such as
Gmail, yahoo, or company e-mail accounts are NOT Direct addresses.
In PCM a provider is assigned a direct address by Newcrop at the time of registering for eRx.
The provider’s direct address is their PCM user [email protected]; for example:
If the provider practices at more than one facility, the provider must register for eRx at each facility with their unique SPI
number – 01, 02, 03 etc. For any given provider there will be only one direct address to be used for all facilities where
the provider practices. Only one direct address is issued per each NPI number.
Direct Messaging is necessary to meet the following Stage 2 Measures;
Summary of Care, Measure B
o The EP must be logged in when performing the transition of care. MU measure will not count if a
user other than the EP performs the TOC.
View, Download, Transmit Measure B
o For the option of Transmitting health information to a third party
This is done when the patient uses the Share Summary option from Patient Portal
Remember this measure can also be met when the patient either views or downloads their
summary
Medication Reconciliation
o For incoming Direct messages with CDA as attachments. When the CDA files are filed from the Web
Inbox into the patient’s chart and a Clinical/Medication Reconciliation is performed.
Does the provider already have a Direct Address?
You can verify to make sure that the providers in your practice
already have a direct address
1. Log into PCM as the ADMIN user
2. Click on Edit User, then Click OK
3. Click on the Doctors radio button and select the Provider
4. Click on the SureScripts tab
5. If the Provider is already registered for eRx you will see
a. An SPI number
b. Green text indicating they are active within
SureScripts
6. Scroll to the right. The Direct address is displayed under
the Facility Direct Address field.

The provider is already registered for eRx but does not
have a Direct Address
This may be the case if the eRx registration happened before
Direct addresses were being assigned.
1. Log into PCM as the ADMIN user
2. Click on Edit User, then Click OK
3. Click on the Doctors radio button and select the
Provider
a. Make sure that the first name, last name, NPI,
DEA has been correctly entered
4. Click on the SureScripts tab
5. If you do not see a Direct address under the Facility Direct Address field, click on the Update SureScripts Account
button, this will update the account and assign a Direct address.

Registering a Provider for eRx/Direct address
1. Log into PCM as the ADMIN user
2. Click on Edit User, then Click OK
3. Click on the Doctors radio button and select the Provider
a. Make sure that the first name, last name, NPI,

6. Click on Register New Account
7. Successful registration will show:
a. Green text indicating the Provider is Registered, active with
SureScripts

Facility/Organization Direct Address Registration
The following steps are necessary for users who are not registered for eRx to have the ability to send Direct messages
from PCM:
There is a system type user in PCM called DIRECT- Direct Messaging, this user is under the All Others list and is
only visible when the PCM ADM user is logged in.
A one-time setup is required for each clinic
o The Direct address will start with NoReply; [email protected] for
example; [email protected]

o This Direct address is strictly for sending and cannot receive
o The DIRECT system user will hold the Direct address that will be used for the following scenarios;
When PCM users who do not have their own direct address send direct messages
When patients log into Patient Portal and use the Share Summary option
Step 1-Assign Direct Messaging Privilege for Clinics
1. Log into PCM as the ADM user
2. Click on the Assign Logons button
3. For Facility: Select the Clinic and make sure the DIRECT-Direct Messaging user exists under Users Added column
4. If the DIRECT user does not exist, use the > arrow from the User not added: column to select the user from left
to right and add the DIRECT user to the each clinic where you want users to have the Direct messaging option
enabled
5. When finished, Click on Close

Step 2- Register the Clinic/Organization
1. While still logged in as the PCM ADM user, Click on the Edit User button
2. Edit the DIRECT user
3. There is no need to enter an Organization NPI. This is only required for individual Provider registration
4. Click on the SureScripts tab
5. Select the Clinic & Facility
6. Click on the Register New Account
7. Successful registration will show
a. Green text indicating the
Facility is Registered, active
with SureScripts
b. A Facility Direct Address will
be displayed

Direct Address Search
Search and Assign Direct Addresses to
Referring providers from the Referring Setup
Screen
1. Edit an existing Provider OR Add a new one
2. Click on the Phone tab
3. The Provider’s name and city are passed to the Direct Address Search screen
4. Edit the search fields or use what was passed from
the Setup Screen
5. Click on Directory Search
6. Once you found the provider, Click on the row to
select it
7. Click on Select and Close
8. The Direct
address will be
passed back to
the Referring
Setup Screen
9. Click on Save

Search for Providers from Patient Portal
When patients log into Patient Portal and use the Share Summary option in PCM a
provider search screen display. The patient can search for the provider they want to
share their information with.
After selecting a row, the option “Click to add” will appear on the right.
Next they will be presented with the
option to send this time only OR
whenever the information changes
Note: If the patient un-checks the option in Patient
Portal “Enable Transmissions”, then that will un-
check the option to authorize recurring transmissions
in the Patient Data Editor in PCM.
Sending Direct Messages
Sending Direct messages can be done by preforming
the following tasks
1. Applying a REFERRAL type Treatment Plan/Order Entry-
a. If both, the logged on sending Provider and the receiving providers have Direct addresses, the TOC
Summary will be send via Direct
b. MU Credit for Summary of Care, measure B is given when the TOC Summary was successfully sent via
Direct
Double clicking on the Item Description for REFERRAL type brings up the Referring Setup Screen

From the Referring Setup Screen you can search for a provider.
The Direct Address will be displayed in a column to the far right.
You can also go to the
Phone tab and use the
Search Direct Address
button to open the Direct
Address Search screen and
assign a Direct address to
the provider.
If the Direct message was sent successfully a message will come
up after the TOC summary is sent.
c. If there was an error sending the Direct Message, a
message will come up creating a Task for the Provider.
d. When the task is completed, the TOC Summary will be sent and the MU entry will be completed.
2. Right Click Chart Option “Send Via Direct to Recipient”
Note: This option does not give MU credit towards the Summary of Care, Meaure –B
For example, the provider already performed a Summary of Care/TOC Summary via the Treatment Plan/Order entry,
and later wants to send additional records to the provider. This is something that can be done by either the provider or
staff.
Select a single document or multiple documents, then right click and choose the “Send Via Direct to Recipient”
An option to include a Clinical Summary will come up
If the patient has a referring doctor on file, that doctor will come up as a choice, otherwise
another provider can be searched for and selected
If both, the logged on sending Provider
and the receiving providers have Direct
Addresses, the TOC Summary will be send
via Direct.
If the Direct message was sent
successfully a message will come up after
the tOC summary is sent.
If there was an error sending the Direct message, a message will come up and a task for the Provider will be created for
the Provider
Tasks are only informative messages for the provider, completing the task will not send the documents.

Incoming Messages
Only Providers will have the ability to receive Direct Messages
A task for the provider will be created when an incoming Direct message is received
The incoming Direct Message Task will contain the patient’s name and Category of Meaningful Use
The CDA attachment will be sent to the Web filing inbox
o The CDA can be filed from the Web inbox directly to the patient’s chart
If a matching patient is found based on the name and DOB, the patient will be automatically
brought up to the patient search
If a patient is not found, you will be asked if you want to create an account, if you choose yes an
account is automaticaly created based on the information from the CDA
o You will have the opportunity to perform a Clinical Reconciliation at the time of filing
o If the Clinical Reconcilaition is done, a MU entry for Event Code 4 Received Patient Transfer and will
meet the Medication Reconciliation Measure

Direct Message Log
This data table will display details about
the direct messages, the status will
indicate if it was delivered, or if there
was an error with the transmission
Task Manager
The Task manager will display tasks for Direct Messages that failed to send and incoming Direct Messages.
The task is for information only, completing the task will not resend Summary of Care document. The TOC will have to be
re-done.
