    1 INTRODUCTION

    1.1 Goals of this GuideThis Guide is for PRINTEMPS suppliers who intend to send their Despatch Advice messages via EDI.

    The aim of this Guide is to show the concept of Electronic Data Interchange (EDI), to give the most important stages for efficient interchange, to provide the information expected in exchanges with PRINTEMPS, and to specify EDI's Despatch Advice message structure.

    The Guide includes:

    –An introduction to EDI

    –A presentation of the Despatch Advice message

    –A structure and description of the Despatch Advice segments

    –A Despatch Advice message example

    1.2 Advantages of EDI (Electronic Data Interchange)

    In today’s world, the real time interchange of information between suppliers and distributors is essential.

    The main reasons for a suitable exchange are:

    −To avoid information loss

    −To avoid a time lag between sending and receiving information

    −To ensure information's traceability

    −To avoid the use of paper

    To answer all these problems, the electronic data interchange is the best solution, and the tool or system of interchange is EDI . It also brings a reduction of costs for the parties involved.

    The advantages of using EDI between PRINTEMPS and a supplier are:

    −The use of a common language between both parties via standard messages

    −A reduction of errors within administrative processes and data manipulation.

    −Data transmission costs are much lower than entering the data in an informatics system, ensuring a fast return of your initial investment.

    In brief, we can say that, the use of EDI, is a competitive advantage for any company, weather you are a manufacturer, a

    distributor or a logistics operator.

    1.3 Prerequisites

    For all suppliers using Electronic Data Interchange for the first time, it is very important to get familiarised with the parties involved in the system and the prerequisites before they start.

    System participants:

    −Suppliers, distributors and logistic operators are the users of the EDI system

    −The software suppliers provide and implement programs to allow exchanges and translations of the different messages

    Prerequisites:

    −Must belong to a GS1 body or equivalent (acquisition of a GLN code: Global Location Number)

    −Must have EDI software for sending and receiving messages.

    −Must have an EDICOMNet or an RVA mailbox allowing the interconnection.

    2 Presentation of EDI messages from PRINTEMPS

    2.1 EDI standard used: messages and versionsThe standard EDIFACT message used by PRINTEMPS to receive shipping advice notes from its suppliers will be the DESADV D96A UN EAN005.

    2.2 Functionality of the messageThe aim of this message is to inform the recipient about the goods delivery or the goods ready to be delivered within agreed conditions.

    The message can be used either for a delivery or to inform about goods availability.

    The aim of this message is to inform about the different parts for a delivery.

    The message connects a supplier and a customer or their respective agents.

    It provides a goods departure date and a delivery place. It can correspond to different products and delivery units.

    The delivery message has to show the total contents of the shipment.

    The working unit is the one used in the purchase order message (consumer unit).

    The unit specified as working unit in this Guide is the consumer's unit (given in LIN segment).

    This message allows the recipient:

    - to acknowledge the delivery date,

    - to obtain accurate information about the delivery and get tracking details

    - to allow a link with the order,

    - to allow a link between the delivery and the corresponding invoice.

    To allow the recognition of each delivery unit (pallet, carton, ...), Individual units have to be identified in a unique way.

    For this identification it is recommended to use the Serial Shipping Container Code (SSCC).

    The delivery message describes the contents of the units. This permits a direct comparison between the physical delivery and the electronic description after the goods have been delivered. Noticing the differences immediately.

    Note : to make the reading easier, the consumer's unit codes (“UC” - “Ax”), the SSCC carton codes ("NSCx") and the SSCC pallet codes ("NSPx") have been abbreviated. In a real transaction, EAN standard codes must be used.

    The information transmitted is:

    - the complete description of the hierarchical structure of the delivery,

    - the pallets and their content in terms of cartons and consumer units,

    - the SSCC of the pallets and the SSCC of the detail packages.

    The delivery is defined as composed by 2 pallets, each one identified by an SSCC (NSP1 and NSP2).

    Then, each pallet is described in terms of contained detail package and their SSCC code (NSC 1 à NSC 5). The message can then describe the detail package composition by means of contained units (consumer units) with their respective quantities.

    7.4 Segment contents

    The segments are introduced following the sequence in which they appear in the message.

    The label for the segment or group of segments is followed by an M for mandatory or a C for conditional.

    In the segment contents description, the Field column indicates the number of the data element (DE) and the EANCOM Description column indicates the name. The third column, entitled EAN, indicates the nature of the data elements, whether mandatory or conditional in EANCOM (M for mandatory, C for conditional) and its format.

    PRINTEMPS information is indicated in PRINTEMPS column.

    The possible values that can be used in the segments are indicated in the column *. When the symbol * appears, only the listed code(s) is(are) available.

    A number is indicated in the first column to inform about the reference of the item, which enables you to consult the dictionary's data and look for the description of the products.

    8 Delivery message validation rules

    An automatic validation has been placed in Printemps EDI solution. At the time of a DESADV reception , these rules will be checked and in case of an error detection, a GENRAL message with the error descriptions will be sent automatically via EDI to the supplier.

    8.1 Rules control listHere are the validation rules:

    Rule 0 – The document number is mandatory.Text sent throught GENRAL message: Despatch Advice number missing.[BGM.1004].

    Rule 1 – Only the delivery message type is accepted as document type for the DESADV.Text : Document type not accepted. [BGM.1001]. Value received:. Value admise: "351= Avis d'expédition"

    Rule 2 – The document's date is mandatory.Text : Document date missing. [DTM.2380] if [DTM.2005]= 137

    Rule 3 – The estimated delivery date is mandatory.Text : Anticipated delivery date missing. [DTM.2380] if [DTM.2005]= 17

    Rule 4 – The document's date must be previous or equal to the delivery date.Text : The document date ([DTM.2380] if [DTM.2005]= 137) must be prior to or the same as the delivery date ([DTM.2380] if [DTM.2005]= 17).

    Rule 5 – The order reference corresponding to the delivery message is mandatory.Text : Order number missing. [RFF.1154] si [RFF.1153]= ON

    Rule 6 – The length of the order's number must be 10 characters.Text : The order number length is not 10 digits or does not start with 40 or 48 or 49 or 65. [RFF.1154] if [RFF.1153]= ON

    Rule 7 – The despatch advice reference corresponding to the delivery message is mandatory.Text : Delivery Note number missing. [RFF.1154] if [RFF.1153]= DQ

    Rule 8 – The buyer party is mandatory.Text : Buyer identification missing. [NAD.3039] if [NAD.3035]= BY

    Rule 9 – The delivery place party is mandatory.Text : Delivery receiver identification missing. [NAD.3039] if [NAD.3035]= DP

    Rule 10 – The issuer party is mandatory.Text : Issuer identification missing. [NAD.3039] if [NAD.3035]= SH

    Rule 11 – Field 7164 of CPS is mandatory to indicate the hierarchical level.Text : Despatch level identification missing. [CPS.7164]

    Rule 12 – CPS count must be sequential. This rule verifies the package number as well as its hierarchical level.Text : Packaging structure is not sequential.

    Example with 1 hierarchical level:CPS+1'CPS+2+1' → sequential CPS countCPS+3+1' → sequential CPS count

    Rule 13 – Package type identification (pallet, carton, …) is mandatory for each package.Text : Packaging type identification is missing, or package type is not in the list of accepted qualifiers (200/201/X1/202/211/212/DPE/RCA/CHB/CHC/CR/CT/HAN/RO). [PAC.7065].

    Rule 14 – The package number is mandatory for each indicated level.Text : Packages number missing. [PAC.7224] .

    Rule 15 – Package identification (SSCC) is mandatory for last indicated level.Text : Packaging identification missing. [GIN.7402] if [GIN.7405]= BJ and [PCI.4233]= 33E. Hierarchic level(s) ([CPS.7164]):
