Delegating access to your payroll information – using myIR

This guide will help you delegate new users access to your business’ payroll accounts, so they can see or file payroll information.Please print and save a copy and have it handy for when you go through this process.

Filing your first payday:

1. Delegate access to those you want to see or file your payroll information.

2. File new employee details if you have any new employees.

3. File your Employment information schedule within 2 working days of your payday.

4. On the 20th of the month, file your final EMS (IR348) and Employer Deductions form (IR345) and pay for the previous month.

Filing every following payday:

1. File employee details for any new employees, before their first payday.

2. File the details of any employees who are departing.

3. File your Employment information schedule within 2 working days of your payday.

You can file electronically through myIR through onscreen entry or file upload.

You may also be able to file directly through your payroll software.

First, Log into myIR.

Select ‘Manage account access’ to view the users who currently have access to your account.

Click on ‘Create new user’ at the top of the user list.

Choosing the user’s access

Enter the user’s contact details, give them a username, and choose their role.

As a ‘User’, they’ll be able to view your accounts, but not make changes to them.

As an ‘Administrator’, they’ll be able to view and edit your business accounts.

Click ‘Continue’ to proceed to the next step.

Choose any other myIR services you want to give the user access to.

To change their access, select the dropdown menu and change it from ‘No access’ to ‘Access’.

If you only want to give them access to your ‘My business’ accounts, leave the fields set to ‘No access’ and press ‘Continue’.

Click ‘Save’ to add the user to your account.

Navigating to existing users

Select ‘My business’ from the navigation bar.

Go to the ‘Settings’ menu.

Click ‘Manage additional logons’ in the ‘I want to’ tab.

Delegating access

Select the user you want to delegate access to.

Click on ‘Manage access’ in the ‘I want to’ tab.

Select ‘Grant access’ beside ‘Payroll’ to choose the user’s permissions.

Choosing the user’s access

Choose the level of permission you’d like to grant the user from the ‘Account Permission’ drop-down menu.‘Full account access’ will give the user complete access to your payroll returns account.‘File’ will allow the user to view your account, send mail, and file returns and discolsures on your behalf.‘Read only’ will let the user view your account, but won’t allow them to make any changes or file returns.

Click ‘Save’ to complete the process.
