1. Introduction iWord solution provided by dataOne is a web-based media delivery platform to members of

organisations at a prepaid subscription. The solution provides organisations the opportunity to

give out media content to subscribers based on a variety of subscription packages.

The terms ‘system’ and ‘application’ are used interchangeably in this documentation to refer to

the iWord Solution.

2. System Requirements Any computer, tablet or smartphone with a browser and internet connection is required to access

the iWord solution application.

of the iWord system for a subscriber

4.1. General Information

The following are the pages of the iWord Solution Platform;

4.2. User Access The first page that is displayed when visiting for the first time is the login page. A subscriber

account is thus required to be able to login. If user has not already registered and created an

account then click on the Register link on the login page.

4.3. Screen Description This section is a summary of the pages a subscriber can see and access on the main screen after

login, and their functionalities.

4.3.1. Register Page To register onto the iWord system and create an account, click on the Register link on the login

page. The Registration page is displayed as below.

The user needs to provide a valid email address, first name, last name, country of location, a

valid phone number and gender as user’s personal information.

Then select the organisation to associate subscriptions with and then create a password to

complete the account creation process. All input fields provided this page are required

information for a successful creation of an account. Now click Submit button to send information

and create an account successfully.

You can now log into the system with the email and password created during the registration

process.

5. Subscription Functions This section discusses the terms in the concept of iWord Solution.

5.1. Messages A message refers to the media content provided by an organisation for the subscriber’s

consumption. Each message is defined by a title, author, file platform, category and the

organization providing given message. Messages come in readable, audio and video formats and

will be available to view, listen or watch as well as download. Messages defined with the

Event/Series category will only be available for Subscription Packages of the same category.

More about Subscription Packages in the next section.

5.2. Subscription Packages

A Subscriber can get access to media content from organisations by subscribing to a package

defined by the specified organisation. Every Subscription Package is defined by package title,

description, price, number of days, associated subscription type and associated organisation.

5.3. Category

There are four main categories defined that each organisation’s Subscription Package must be

grouped under. The categories are further explained below;

1. Standard packages are normal packages that can run on a weekly, monthly, quarterly,

six-month or yearly basis.

2. Promo packages represent packages created by the organisation for a promotional run.

Promo packages do not require payment.

3. Event/Series packages are packages that are created for a particular event or for

marketing a group of messages as a Series.

4. Individual Messages provide the option for single messages to be subscribed to.

6. Home page The system has a dashboard which is also referred to as the Home page. It drives the various

functions of the application. The menu options are located on the navigation bar. Below is the

page interface of the main menu.

The main menu items located in the navigation bar are Home, Messages, Subscribe, History

and Profile. Included in the navigation bar is also the email of the currently logged in user and a

logout link to allow the user to logout of the system after ending session. The left side of the

page also has a sidebar which contains the list of the main menu items as well and Reset

Password link included. Each menu item includes a corresponding set of sub-menus. Each

functionality is summarized in the table below.

History View and extract a report of user’s previous and current

subscriptions

Reset Password Update user’s account password

Profile View and update user’s profile information

Logout Close user’s current session

6.1.1. Messages The Messages page provides the list of all messages subscribed to as a package or individual

messages. Click on any of the menu links or short-cuts labelled as Messages to access this page.

A subscriber can filter down the list of messages subscribed to by specifying a search criterion

based on the following Title, Organisation, Author, Category, Start Date and End Date and

clicking on the search icon (glass icon). The refresh icon can be used to clear all the search

fields.

A list of messages is displayed ready in a grid for access as depicted in image below. The first

two columns provide an option to play/view a message and download the messages where

required. The first column displays different icons based on the type of media;

1. Video message is represented by an icon that looks like a video recorder

2. Audio message is represented by an icon that looks like a paper with a musical note on it

3. Readable Document, represented either by an icon looking like a paper with ‘PDF’

written on it (to indicate a PDF readable file) or an icon looking like a paper with ‘docx’

written on it (to indicate a Word Document). Clicking on that icon allows subscriber to

read or play message based on its media format.

The second icon is always an arrow pointing downwards to a line. Clicking on the icon allows

the subscriber to download the media file for offline consumption.

6.1.2. Subscribe Subscribers can subscribe to a Subscription package spanning a period (Monthly, Quarterly,

Biannual, Annual) and proceed to make payment to complete the subscription.

The Subscribe page can be opened by clicking on one of the three following links; Subscribe link

in the navigation bar located at the top of the page or the Subscribe link in the sidebar located at

the left side of the dashboard in the page or the Subscribe pane with an icon that looks like a

check. It opens the Subscribe page that allows a subscriber to search, view and subscribe to

packages available for each registered organisation.

The subscription form displays the logged in subscriber’s Personal Details and the subscription

capture section.

To fulfil a subscription, select the organisation that one wishes to subscribe to their

packages/messages, and this will filter down information relating to the selected organisation.

Select a subscription Type (Standard, Events, Series, Individual Messages) and then a pre-

defined Subscription package or Message.

For Individual Message, one can select the Start Date and End Date to search the required

messages within, whiles for a Subscription Package a Due Date is generated based on the

specified Subscription Start Date. Upon selection of the Package/Message the related Price and

Sessions defined for it will be displayed.

After specifying one’s request including payment method, one can proceed to complete the

subscription by clicking on the submit button, this will take one to Payment Page. Upon

completion of the payment process, the subscription will be deemed as paid for and ready for

access. If for any reason, the subscription payment could not be completed, the page notifies one

about the uncompleted subscription (Pending) at the top of the package capture section. The

Payment Process can be completed later on when your Mobile Money or Card provider is

available or you have sufficient funds in your mobile wallet for further processing

Payment options handled are Credit/Debit or Mobile Money (MTN, AIRTEL or VODAFONE

mobile money platforms). The related payment details for the selected payment option will be

required for processing of the payment function. For Mobile Money payment, you will receive a

prompt notification on the provided mobile number for confirmation.

6.1.3. Profile In order to view the subscriber’s profile, click on either the Profile link in the navigation bar

located at the top of the page or any of the Profile links. This function allows the subscriber to

view his/her information gathered by the system at the time of registration. It also allows the

subscriber to update such information on the system.

The details of the subscriber’s information in the Profile page are First Name, Last Name, Email,

Country, Gender, Phone Number and Subscription Email.

To update your information in this page, follow the steps below;

1. Click on edit to enable the fields and change the necessary fields.

2. To update your email address, change the Subscription Email field to the new email

address (NB. The Login/User Name will be changed to the new email address provided).

3. Click on Save button.

4. If you changed your email address, a prompt will ask you to confirm the changes.

5. Click on Yes button and navigate to your new email address to continue

6. In your email inbox you will receive a message instructing you to visit the change email

account page. Click on the link provided.

7. In the change email page, the current email and your new email address will be provided

along with a password field.

8. Enter your password and click Save button to successfully change your email account.

9. If you however did not change your email address, a message will be displayed showing

a successful update.

6.1.4. History The History function provides an option to view on the list of subscriptions made by the user

based on the search criteria specified. The list can be exported to excel format where required.

6.1.5. Reset Password Reset Password page allows subscriber to change their current password. In order to complete a

change, the Current Password and New Password must be provided. The New password must

also between 8 and 20 characters and have at least 1 Upper Case letter, 1 Numeric character and

a special character.
