b) The Employees P.F. Organization reserves the right to accept or reject
any or all tender offers, w thout assigning any reason thereof.
c) The validity of the rates fc r supply of Stationery & Other Consumables
items will be for one year. However, extension of another one year can
be given with mutual agre ~ment.
d) The interested agency sha I quote rates for all the items at least in one
segment. (i.e.L-1/2/3/4)

INSTRUCT ONS OF TENDERER$
(1) The cost of each ite should be quoted independently in the
prescribed bid document
(2) VAT and other Taxes s uld be including in the cost of each items.
(3) The rates of the items s ould not be more than MRP of the item.
(4) The validity of the rate for stationery & other Consumables items
will be for one year. Ho ever, extension of another one year can be
given with mutual agree ent of both parties.
(5) No request to enhance he rates will considered during this period.
In case the empanelled vendor/agency refuse to supply the items
within prescribed time, t e security deposit shall be forfeited.
(6) The bidder should hav been in the business of supply of such
material for at least 5 ye rs with a turnover each of at least 50 lakhs
during last three financia years.
(7) The bidder should have experience of having executed contract of
similar nature with at lea t one such work (i.e. as per L-1/2/3/4) with
Govt. Deptt./Organisation PSU etc of at least Rs.20 Lakh each year
during the last three (3) ears.
(8) The bidder should submit the last 3 years CA Audited Balance sheet,
Annual Report along with Income Tax returns, and self-atte~ted copies
of Trade license and GS AT registration and details of infrastructure
(viz. printing, binding)
(9) Articles not found as pe requirement/specification are liable to be
rejected. No corresponde ce or discussion shall-be entertained in this
regard.
(10) Quotation with overwriting or any manual correction will be considered
invalid and rejected.
(11) The items should be su plied within 07 days of placing of Order by
this office. in case whe e approval of proof is required, the same
shall be supplied by the vendor within 03 days of approval of proof.
(12) Terms of Payment
Payment shall be made fter submission of bills by the Agency and
its scrutiny and satisfacti n about receipt of all ordered items in good
condition as per specifica ions and approved samples within 30 days.
No part delivery shall be accepted.
(13) The vender shall not in ulge in any unlawful activity in connection
with Printing/supply of ite s to this office, in case any such activity
is noticed the agreement shall be cancelled by the RPFC.
(14) Pre-Qualification Criteria :
(i) The Tenderer sho Id not have been blacklisted by any
Government Depart ent/organization. Tenderer shall give
(ii) stated above, the EPFO Regional
Office, Nagpur rese es the right to assess the Tenderer's
Financial, Technical c pabilities.
(iii) The Tenderer should quoted the rates for all the items at least
in one Category. (L-1 to 4)
(15) COMPLETENESS OF TE DER OFFICERS
The Tenderer is expected t examine all instructions, forms, terms &
conditions in the Tender Document, Failure to furnish information
required as per the tender ocuments or submission of a tender offer
not substantially responsiv in every respect to the tender documents
will be at the Tenderer's r sk and may result in the rejection of its
tender offer. The tender off r is liable to be rejected outrightly without
any intimation to the Tend rer if complete information as called for
in the tender documents is not given therein, or if particulars asked

(16) EMO (EARNEST MONEY
The EMO of Rs.50000/- by DD/Pay Order from Scheduled
/Nationalized Bank in th name of Regional Provident Fund
Commissioner, Nagpur paya le at Nagpur shall be attached with the
Tender Form. Tender with ut EMO shall be liable to be rejected
during scrutiny of Technical Bid.
EMO of Unsuccessful Tende ers will be returned within 30 days from
finalization of the Tender Pr cess.
EMD of the successful Tenderers will be discharged on executing
the Agreement and furni hing the security Deposit or adjusted as the
case may be.
(17) Forfeiture of EMD/Bid Se urity:
The EMO/Bid/Security shall e forfeited:-
i. If a Tenderer withdr ws his Tender during the period of bid validity
Or
ii. In case of a succes ful Tenderer, if the Tenderer fails to execute the
agreement/contract ithin the period specified in communication from
EPFO.
(18) PERFORMANCE SECURI Y
The Successful bidder will ubmit Performance Security @5% on the value
of the yearly contract in for of Account Payee Demand DrafVFixed Deposit
Receipt/Bank Guarantee in the name of Regional Provident Fund
Commissioner, Nagpur paya le at Nagpur in an acceptable from safeguarding
the suppler interest in all re pects.
(I) Performance securit should remain valid for a period of sixty days
beyond the date of comple ion of all contractual obligations of the supplier
including warranty obligation .
(ii) Bid Security should be refunded to the successful bidder on receipt
of performance Security.
(19) LATE TENDER OFFERS
Any tender offer received y the EPFO Regional Office, Nagpur after the
closing date and time for s bmission of the same will not be entertained.
(20) SHORT-LISTING OF TE DERERS
The EPFO Regional Office Nagpur will shor-list only technically qualified
Tenders based on complian e of the qualification criteria and the commercial
offers of only such Tendere s will be opened.
(21) SIGNING OF CONTRAC
The successful Tenderer sha I sign the Agreement within seven days from the
date of the issue of the lett r. The EPFO Regional Office, Nagpur reserves
the right to grant an extensi n of another seven days on satisfaction of the
circumstances and reasons iven, On failure of execution of the Agreement
by the successful Tenderer, .M.D. furnished will be forfeited.
