Step 1: Log in to the MyYSU Portal from https://my.ysu.edu or http://www.ysu.edu

Copying All Contacts from the Legacy E-mail system to Office 365

Using the MyYSU Portal Required Items: MyYSU Portal access, Web Browser This guide will assist you with moving contacts from the Legacy MyYSU Portal Address Book to Office 365’s Contacts. The instructions will be set up in steps. Please be sure to complete all of the instructions in each step before moving on to the next.

Step 2: Click one of the Legacy E-mail buttons to view the old email system

Step 3: Click on the Address Book tab

Step 4: Click the Import/Export button

Step 5: Choose Microsoft Outlook as the program you would like to export contacts to

Step 6: Click the Export Now button to save the contacts file to your machine

Step 6 (Continued): You may receive an “Opening” prompt in some browsers. If you do receive a prompt, choose Save File or the equivalent option. If you do not, it has likely saved to your default directory for browser downloads (usually Downloads). The file name should be something similar to CPAddressBook.csv

Step 7: Close the Legacy E-mail window and then click one of the Office 365 E-mail buttons to view the new email, contacts, and calendaring system

Step 8: Enter your YSU User name and Password and click Sign In

Step 9: Click the People tab to get to the Contacts area of Office 365.

Step 10: Click the Settings icon and then choose Import contacts from the drop-down menu.

Step 11: Click the Browse… or Choose File… button to select the CSV file that was previously saved, and then click Open to choose the file. It should have a name similar to CPAddressBook.csv Click Next once the contact file is selected.

Step 12: Click Finish when the import is complete. Note: If the CSV file fails to import, it may contain unusual or malformed characters. You can either open the CSV file in Excel and remove any unusual characters yourself or contact the Tech Desk to assist you with doing so.

Step 12: Congratulations! You have successfully completed moving contacts from the MyYSU Portal to Office 365. You should now see your newly added contacts listed in Office 365. Note: Any contact groups must be re-created. This can be done by clicking the New button and adding contacts to a new group.
