PRACTICAL EXERCISE XPerform Retail Software Systems (RSS) Functions

OBJECTIVE: This practical exercise is designed to prepare you for the RSS Performance Test.

CONDITION: Given the following:

1. Retail Systems Software (RSS) 2. Retail Systems Software (RSS) Military Procedures Guide3. Receipt Printer4. Pencil

REQUIREMENTS: The student will:

1. Perform the duties of the Stock Custodian/COPE.2. Perform the duties of a Segment/Finance Clerk.3. Perform Closing out the Unit as the Stock Custodian/COPE.4. Conduct an audit as the COPE/MACOM.5. Sign the clerk’s name when his/her signature is required. Sign your name when the Stock Custodian/COPE’s signature is required.

INSTRUCTIONS:

1. Ensure that your name and the date are on the exercise booklet.

2. You will have 120 minutes to complete this exercise.

SITUATION: Using today’s date, you are the COPE at Joint Postal Detachment APO AE 09227. One of your duties as the COPE is being knowledgeable in using and trouble-shooting issues that arise from time to time when using the Retail System Software (RSS) equipment.

Utilizing the following roles, you will conduct finance operations at your MPO. Next to each situation, you are provided with a reference from the RSS Military Procedures Guide to assist you.

Today is the beginning of your work day.

Open the Unit (2. Open the Unit pg. 11)

Situation #2

The mail truck has arrived and you received a shipment of stamps and money orders from the USPS.

a. Properly receipt for the following stamps from the Stamp Fulfillment Service (SFS). (6.5.1.2 Receive Stamp Stock Manually pg. 91)

1. Shipment number is 1234567890

2. First class Purple Heart stamps - Item # 120700 - Quantity is 1000.

3. $5 statue freedom stamps - Item # 117900 - Quantity is 1000.

4. First class stamp booklet - Item # 682300 - Quantity is 1000.

b. Properly receipt for the following money orders from USPS. (6.5.1.3 Receive Money Orders pg. 92)

1. Serial number 88001450008 - Quantity 2500.

2. Shipment number is 1234567890.

Situation #3

It is time to conduct a regular monthly audit/count on Military Clerk3. (6.3.5 Count Military Clerk pg. 75-77)

a. Initiate a Count on Military Clerk3. The following items are in Clerk3’s stock:

1. CASH = 1 - $20.00 bill, 5 - $10.00 bills, 3 - $5.00 bills, 15 - $1.00 bills, 1- quarter ($.25), 1 - dime ($.10), and 2 - pennies ($.01).

2. STAMPS = 6 - $5 statue freedom, 1 - US flag Bklt/20, and 53 - Purpleheartmedal.

3. MONEY ORDERS = 88002422008 - Quantity is 5.

b. Enter the results of the count.

Situation #12

The MACOM has arrived to conduct their inspection and audit of the COPE’s account. Assist the MACOM in counting the Unit Reserve-Stock and Money Orders. (6.3.4 Count Unit Reserve pg. 73)

a. MACOM initiates the Unit Reserve (stock and money orders) count.

b. Run Reports. Print the inventory by segment for the unit reserve. (6.7.1.1 Run Reports pg. 102-103) Note – For this practical exercise utilize the inventory by segment to account for money orders and stamps. In the real world, postal inspectors will physically count all stamps and money orders.

c. Enter the results of the Unit Reserve count.

d. Count the Unit Cash Reserve (cash/change fund). The COPE has the following Items in their cash reserve:

1 - $20.00 bill 11 - $10.00 bills 17 - $5.00 bills 220 -$1.00 bills160- Quarter ($.25) 80 - Dime ($.10) 100- Nickels (.05) 200 - Pennies ($.01)

e. Enter the Unit Cash Reserve count.

Situation #13

MACOM has completed their count of the Unit Cash Reserve and the Unit Reserve (stock and money orders) and is awaiting the COPE’s review and acceptance. (6.3.8 & 6.3.8.3 Unit Reserve Stock Acceptance pg. 78-80)

COPEF4 takes action on the pending action and accepts the results of the count.
