A. New tools and functions in ChemGes

1. Print SDSs and labels from the Main Screen Using the buttons Print SDS and Print label in the main screen, you can print SDSs and labels directly from the main screen.

Note: These functions are also especially useful for users that are to have restricted access to the program. In the User administration1 you can use the field Only printing for defining, whether the user should be restricted to printing only Labels and/ or SDSs. If you activate this option, the screens for the printing of SDSs and Labels will automatically open when this user accesses ChemGes (see next pictures).

After clicking the buttons Print SDS and Print label, the following screen opens:

Here you can search for a specific raw material/ or preparation via the CAS- / Preparation Number, Product Code or parts of the description.

Via (F4) you can switch between Labels and SDSs. By pressing (Esc), you can return to the basic screen.

Safety Data Sheets: After retrieving a raw material/ a preparation, you will receive an overview of already created country versions of the SDS.

Choose a country version by clicking on it. Next, ChemGes will show you the SDS in the print preview. You can then start the print job by pressing (F10).

Note: If the SDS is incomplete, a screen will open stating this:

Labels: After retrieving a raw material/ preparation, an overview opens, listing all available label templates. Labels that are already generated are marked with a green check mark.

Upon choosing a label template, an overview screen opens in which you can choose a printer, the number of labels to print (Number of labels or Number of pages), the Print start with label and the Print order.

If you defined variables for your label, you can enter or change their values here.

If you wish, you can also change the GHS Information in the label (UN GHS, CLP, OSHA HCS, HPR, national legislation), the Base country and the language(s) that are defined for the label.

2. Overview of information for contents The screen Country specific classifications (Maintenance of preparations) was redesigned and expanded with the following functions:

Via (Ctrl)(M) MAL code contents you can open an overview of the MAL Codes of the contents:

By pressing (Ctrl)(X) Ingredients Annex XVII, you can open an overview of ingredients, the percentages at which they are contained and the restrictions according to Annex XVII:

With the option (Ctrl)(R) REACH registry numbers, you can access an overview of the REACH registry numbers of the various ingredients (see option Registration in the screen Country specific information):

In these screens you do not just make changes directly in the raw material, but also all corresponding values of preparations, that were affected by the change, are automatically recalculated.

3. Copying of substances The function (Ctrl)(K) Copy2 for raw materials was expanded as follows:

Alteration of the substance number … to a new substance number: By means of this item you can copy a substance data record to a new substance number. With this option all data of the substance is automatically copied to the new substance number and the entry with the old substance number is deleted.

Copy the complete raw material for the creation of a new raw material (for example, for the creation of CAS number variations):

In order to assign to the copy of a raw material the same CAS number that the original raw material has, proceed as follows:

1. Choose the option Copy the complete raw material for the creation of a new raw material and press (OK).

2. In the next screen ChemGes automatically suggests the next free variation number (structure: CAS number/continuous number). You can also enter a different number manually. Confirm with (OK). By means of the item Allocation of main substance (see next picture) you can additionally set that the classifications of the copied raw material (for example 50-00-0/10) shall correspond to the classifications of the main substance (for example: 50-00-0/1). This means that alterations at the main substance are adopted for the copied substance as well.

By means of (F10) you can start copying. Via (Esc) you can cancel copying and re-enter the CAS number.

Create a preparation containing 100% of this raw material: This option lets you generate a 100%-preparation of the substance to be copied. This means that a preparation is automatically generated, that contains the chosen substance at 100%. The original substance itself is not deleted.

Create a preparation with 100% of the main raw material: This option converts the chosen substance (i.e. 50-00-0/2) into a 100%-preparation, where the basis for the 100%-preparation is the main substance (i.e. 50-00-0/1). The chosen substance (i.e. 50-00-0/2) will be automatically deleted after the preparation is created. In addition, any preparations that contain the chosen substance (i.e. 50-00-0/2) will be automatically updated so that they contain the newly created 100%-preparation as ingredient.

4. Breakdown of formulations The menu Breakdown of formulations3 was redesigned and extended as follows:

By hovering the mouse over a line in the column H phrases you can display the texts of the respective H phrases.

By means of the new item B. Output of all raw materials with the most important physical data you can access an overview of the most important physical data of the ingredients:

By means of the new item D. Breakdown of intermediates (no cumulation of same substances) you can view a structured overview of ingredients. For this purpose, for each grouping of ingredients in an intermediate preparation, a new outline level is started, thus creating a branching structure for the complete breakdown of a preparation. For the purpose of this overview, same substances are not cumulated.

One can easily identify the level of each ingredient via the amount of symbols in the left screen edge. In addition, for each ingredient the percentage it is contained in the final product, as well as the percentage it is contained in the intermediate preparation, are displayed.

5. Priority of the P phrases The overview screen for P phrases of the group Response4 was expanded with the display of the following information:

A star (*) next to the priority level means that the affected P phrases are directly allocated to other P phrases. For more information, hover your mouse over the star.

Grey numbers show that the priority is taken directly from the allocated P phrases without lower case letters (i.e. P310a and P310).

6. Maintenance of Article Groups The Maintenance of article groups 5 was changed in the following manner:

In order to create a new article group, click on the line Creation of a new article group:

Then, enter an alpha-numeric abbreviation into the field Article group, consisting of a maximum of 4 values (letters are case-sensitive) and press (¢). In the table in the lower part of the screen, you can enter the desired description of the article group in all needed languages as well as enter a language-neutral General description.

Via (Ctrl)(T), you can access the Maintenance of the specific label phrases6.

7. Variable definition for labels The display of information for label templates has been restructured:

After selecting the item Additional variables in a label template7 (see next picture) you receive an overview of all variables defined for this template:

In the last line of the overview, ChemGes shows you in blue, how many variables can still be created (see example below: 5 defined variables, available variable numbers 6-48).

By clicking on an existing variable, you can open the input screen for the definition of this variable. Via (Insert) New you can define a new variable. The next picture shows a sample for the restructured input screen.

The description of the variable is entered into the field Description. The field Sequence number shows the number of the variable, which you can change if you wish, by clicking on it.

Using the option Allocation, you can allocate the variable to a field.

Option Font: Here you can define the Font type, size and colour, as well as the attributes Bold and Underlined.

Option Text settings:

Here you can define the Width (number of characters - periods and other special characters included), the Position, the Rotation, the Alignment and the start of the New line, for the text.

The new option Field will only be filled in new labels has the effect that the variable is only filled in automatically for newly created labels.

The new option Internal ID for background printing is only for custom programs (Background printing) and aids in the variable allocation.

Information regarding the field Allocation: This option also received a new design and the allocations were grouped. After clicking into this field, an overview screen containing buttons opens:

Buttons Description, Product code, Only main product code, Only variant product code, CAS Number, EC number and Index number:

Via any of these allocations, you can output the corresponding identification number for your product, on your label.

For Descriptions you have the following options available:

Button Additional physical-/chemical values: Using this new button, you can output an additional physical-/chemical value on the label.

After clicking on this button, you will receive an overview of all available options (see example below). If a value is entered for your substance for the chosen option, (Maintenance of raw materials/preparations), then this value is output on the label.

Button Transport information:

Here you can choose the following information for output on the label:

Information on barcodes: If the defined variable is a barcode (selection of Barcode or Barcode with transferred field in the field Allocation), the input screen automatically contains the additional item Barcode settings (see example below). Here you can define the settings for your barcode as usual.

By clicking into the field Type (see next picture) you can choose the desired barcode from the overview.

Depending on the selected barcode type, the item Barcode settings contains the relevant options.

8. Change of the review date in all Safety Data Sheets The menu Exchange programs8 was expanded with the item Change of the review date in all Safety Data Sheets:

Via this new option, you can change the review date for all created SDSs automatically to a desired date.

After pressing (¢) the following question appears:

9. Screen General options for the SDS The screen General options9 was expanded as follows:

Via the new option Suppress extended information on substance names you can define that information regarding the markings of substance descriptions (see example below) is not output in the SDS editing screen.

Screen Tox classification options for GHS/CLP (access in the menu Toxicity via Calculation and limits):

This screen was expanded with the item Transfer into the SDS:

Here you can find all settings of the deleted screen Limits for the adoption into the Safety Data Sheet of the old menu Definitions for the toxicology.

By activating the new item Output of comments in all countries you can activate the output of the comments for toxicological values for all countries. Alternatively, you can also activate this output for each country separately (item Output of toxicology comments in Maintenance of countries, tab Settings for the Safety Data Sheets).

11. UFI codes a) Maintenance of UFI Codes

UFI means Unique Formula Identifier and is a unique identification number for formulations, used by the European Poison Centers to break down the exact composition of a product. Currently, it is not possible to transmit the UFI electronically, as the technical requirements for this transmission have not been defined. As the name implies, UFIs can only exist for formulations. No UFIs are calculated for raw materials. The settings for the UFI Codes can be found in the screen Settings for the output11:

Of course, it is up to the user how often a UFI Notification is performed, but to minimize the effort we recommend that only the option Recalculation after changed classification, is activated. Alternatively, it is also possible to manually prompt the recalculation of a UFI Code via the corresponding button. Please also note that a UFI for a substance/variant, is calculated only once a day. This avoids the constant calculation of a new UFI for a substance that is currently in the development phase. Some users use preparations consisting of 100% of a preparation, instead of variants, as they allow for the input of specific data. For such instances, in order to minimize the amount of UFIs, you can activate the option When a preparation is 100% of another preparation, use the same UFI. Please note, that the UFI will only be copied when the company stated in the preparation in the formulation is the same as that of the preparation itself. Thus, if the company was manually changed in one of the two preparations, two separate UFIs will be calculated. Some companies sell variants of their products under different names. If desired, it is also possible to activate that a UFI is calculated for each variant. This is not a necessity, as it is not possible to identify from a UFI that it belongs to a different substance, as different UFIs only must be generated when the classification is different or when the ingredients are different. Therefore, it is necessary to take into consideration the extra efforts that will be required regarding notifications, new labels and changed SDSs. The UID is required to generate a UFI. There are two options for entering this number in ChemGes. It is possible to create companies that are only used for the calculations of UFIs or to use companies created for output on the SDS (Heading 1.40.10). For both of these options, the UIDs need to be entered.

There are various setting options in the maintenance for the individual companies:

An important point here is that a default company can be defined. The company that is defined as the default company, will be used automatically, when no other company has been assigned to a preparation. If no default company is defined, or a company is allocated that does not have a UID entered, then the UFI will not be generated until the necessary information is manually allocated. The UID must comply with the regulations of the corresponding country and the logical structure of the UID is also checked. For companies that are actually phrases in the SDS, the UID can be entered in the above screen but the maintenance of the additional company data has to be done in the Maintenance of Phrases. The UID can be entered in either location.

It is also possible to manually enter UFIs, that remain locked until the lock is manually removed. This is useful for applying the UFI of a supplier. In addition, via the button (F1), it is possible to calculate a new UFI at any time. This is useful when the automatic recalculation is deactivated.

If the calculation of a UFI is activated for variants, then you can immediately see in the overview screen whether UFIs are available and what type of UFIs they are.

If you hover the mouse over one of the check boxes, then the UFI is shown. If the option Show language codes in maintenance of variants (takes a little bit longer) is activated in the screen Settings for the output, then the information as to in which languages the

description is available, will be additionally output. Via the field Language you can enter the description in additional languages.

If UFIs are not activated for variants, then you can activate this in the Administration of Variants via the button Activation of UFI for variants.

Please note that via this button, both options in the Settings for the output regarding UFIs for variants, are activated. If you do not wish this to happen, you need to go to the corresponding settings screen. Logically, the UFIs can only be taken over from the main substance, when no UID was calculated for the variant. For this to happen, the highlighted option needs to be deactivated.

In the screen for the variant you can enter the UID for the individual customer, just as for the main substance, and of course also change the UFI manually.

Please note that for variants only customers can be selected for which a phrase exists in the SDS.

b) Output of UFIs: Labels: For labels, you can define a variable which is automatically filled with the UFI for a preparation. Please note that the field length needs to be at least 19 characters in order to output a complete UFI. If the field description is not automatically adopted, then the word UFI will be output automatically and the field length needs to, of course, be 23 characters (which is the default definition by the program).

To output UFIs in SDSs, create a heading in the desired location. Instructions for creating a heading (in case you do not know how to do it), can be found in various manuals and tutorials on our webpage. It is important to define the condition that the output only occurs for EU countries. The allocation is then done in (Ctrl)(4) Maintenance programs – Safety Data Sheets – Calculation and output options – Allocation of headings – Calculated values:

Once you have entered information here, the button (F7) Maintenance of translations for the SDS is available. After pressing (F7) and selecting the desired language, you can enter or change the necessary texts for output on the SDS, in the field Additional information for raw materials of the screen Additional phrases12 (see next image). The output then occurs automatically in the SDS for preparations, under the corresponding heading (i.e. 2.40.20 Dangerous components).

14. Copying of raw materials and preparations The screens for the copying of raw materials or preparations ((Ctrl)(K) in Maintenance of raw materials / preparations) were expanded with the following functions:

Raw materials:

With the option Replacement of ingredients in recipes you can exchange either the current substance with another ingredient in preparations or another ingredient with the current substance.

Mixtures:

With the option Replacement of ingredients in recipes you can replace the current preparation (intermediate) with another ingredient, or another ingredient with the current preparation (intermediate).

After selecting one of the two options of the fields for the Replacement of ingredients in recipes, the following screen will open, in which you can enter the new substance / substance to be replaced. The typical search functions are available here.

15. Exchange of SDS phrases The menu Maintenance programs for Safety Data Sheets13 was expanded with the option Replacement of phrases in SDSs:

Via this new menu option, you can exchange individual phrases in SDSs automatically.

First, choose the heading under which you wish to exchange the phrase. Then enter the number of the old and the new phrase.

By pressing (Bild_¼) Overview, you can open an overview of the Headings or the Phrases entered under the heading.

6. Limit tables for Canada With this update, the Canadian limit tables according to the amendment to the Hazardous Products Regulations (HPR), as of 04.03.2018 (SOR/2018-68), are implemented.

7. CLP - 10. ATP With this update the classification data and substance descriptions according to Regulation 2017/776/EU (9.ATP) are made available in ChemGes.

The amendments of Annex VI enter into force on December 1, 2018 for substances and mixtures.

Please note that the data according to the 10. ATP is not transferred automatically.

Activation of CLP, 10. ATP: You can activate the 10. ATP via the button (Ctrl)(U) Activation of the 10. ATP (for Europe) in the basic screen (see next picture).

IMPORTANT INFORMATION FOR TRANSFER: You can perform the transfer at any point in time.

If the query at the start of the transfer is answered with “NO”, the transfer can be accessed also at a later time.

Please note that the transfer cannot be undone.

Information after transfer: Please be aware of possibly altered classification information for raw materials and mixtures. The list of amended raw materials is output in the program directory (usually chem) as a text file (CAS 10.ATP.txt). ChemGes provides several possibilities to produce lists of substances/preparations that have a changed classification (and thus a changed SDS) and to update SDSs with a bulk printing. 1) (Ctrl)(3) Administration programs – Classification programs – Reclassification of all formulations:

This program item opens a screen, where you can enter the default file name "CAS 10.ATP.txt" and its path in the field File with CAS numbers. In addition, this screen allows you to perform either a test calculation (generating a list) or a final recalculation (with or without protocol).

First, select the item Only test calculation (default setting). Then, go to File – Printer selection (upper menu bar) and select any available printer software (Adobe PDF Writer or similar) to output the list of affected preparations as a pdf-file. The printed list includes all preparations, which contain the affected raw materials, with the labelling information before and after the alteration, so that you can simulate the exact effects.

Once you are ready, you can run the reclassification without the option of the test calculation.

2) (Ctrl)(1) Printout and queries – List of Safety Data Sheets:

Go to (Ctrl)(1) Printout and queries – Safety Data Sheets and select the requested printing program for the bulk print of SDSs (for example SDSs chosen by different selection criteria).

Output: Select the desired printing program and go to File – Printer selection. Select any available printer software (Adobe PDF Writer or similar) to output the list of SDSs as pdf-file. Press (F10) to start the program.

8. CLP - 11. ATP With this update 139.323 substance descriptions according to Regulation 2018/669/EU (translation of the substance names in all EU languages) are made available in ChemGes.

9. GIS Codes With this update the GIS Codes as of June 2018 were updated in ChemGes.

C. Other program changes 1. Menu Individual file creations - Other classifications

The screen Other classifications was expanded with output options for the Turkish registration numbers and information according to ChemVerbotsV (Germany):

Using the option Is subject to annex 2 of the ChemVerbotsV lets you output the information regarding the listing in annex 2 of the German Chemikalien-Verbotsverordnung (ChemVerbotsV) (Yes/No Output).

2. Physical data for raw materials The fields for VOC and Solvent, which were previously located in the screen Country specific information (see 4. Country specific information, page 44) are now located in the screen Physical Data II.

3. Other calculations The screen Options for the calculation of physical data16 was expanded with the following items:

Option Water Hazard (D): Using the option Consider the remainder to 100% from % for class 3 (0=never), you can define from which remainder to 100% the remaining substances are to be automatically considered as classified in class 3.

Via the option Standard limit for other carcinogenic substances in class 1 (0=always), you can set the consideration limit lower than 0.01%. The default value is 0.01% which is the highest possible value for the consideration. This means that a lower legislative value of course has priority before this setting.

If these options are activated, the option Recalculation of all water hazard classes17 is inactive.

If this option is deactivated, you can perform either a sample calculation with an alteration log or a final recalculation in the actual files (with or without alteration log) under Recalculation of all water hazard classes.

4. Country specific information The screen Country specific information18 was redesigned and expanded as follows:

In this field, you can enter the pre-registration number according to the Turkish KKDIK-Regulation (KİMYASALLARIN KAYDI, DEĞERLENDİRİLMESİ, İZNİ VE KISITLANMASI HAKKINDA YÖNETMELİK). Just as for the REACH-Registration numbers, it is possible here to allocate the number to a company. If you wish to output the pre-registration number on a Turkish SDS, define a heading number in the screen Settings for Turkey20:

8. Limits for the transport classification The screen Limits for the transport classification24 was expanded with the field Classify solids from … % liquid ingredients with Class 4.1 UN 3175 – solids with flammable liquids (0=no).

In this new field you can enter a percentage from which solid substances of class 4.1 (“Flammable Solids”) that contain liquid ingredients, are to be automatically classified with UN 3175 (“SOLIDS CONTAINING FLAMMABLE LIQUID, N.O.S.”). If you do not wish to have this classification, enter the value “0” (zero) here.

9. Symbols and additional design for the SDS The screen Symbols and additional design for the SDS25 was expanded with the item Printout of country abbreviation:

With the new options, you can define the Number of digits for the sub version number (maximum 3 digits) and activate the Automatic numbering of the sub version number instead of the main version number.
