TENDER NOTICE INVITING EVENT MANAGEMENT COMPANIES

Chandigarh Administration will be celebrating Chandigarh Carnival from 28th to 30th November,2014 at Leisure Valley Sec-10,

Chandigarh. Sealed Tenders are invited (Technical & Financial in separate envelopes) to be submitted with an earnest money of Rs. 50,000/- in the

shape of Demand Draft drawn in favour of Secretary, Chandigarh Carnival Society, Chandigarh. Event Management companies/ Corporates/

Institutions having minimum 3 years experience in organising such events may submit tender for the following events.

1. Entertainment Show (Live performance) by one of the Eminent

Laughter Challenge Artist, Comedian such as Sudesh Lehri, Krishna, Kapil

Sharma, Gurpreet Ghuggi, Rana Ranbir, Surinder Sharma or Khayali Sharan and one of the Talent Show Award winner singers from Talent

Hunt at T.V such as Toshi, Abhijit Sawant, Rahul Vaidya, Raja Hasan, Harshid Saxena, Kamal Khan, or Purvi with dance troupe to perform on

28th November,2014. 2. Musical Evening (Live Performance) by one of the Punjabi/Sufi

eminent singers with dance troupe i.e Babbu Mann, Satinder Sartaj, Mika,Harbhajan Mann, Daler Mehandi, Manmohan Waris & Kamal Heer,

Ammy Virk, Nooran Sisters, Hans Raj Hans, Gurdass Mann, Sherry Mann, Gippy Garewal, Sukhwinder, Miss. Pooja, Kanwar Garewal, Lakhwinder

Wadali, Amrinder Gill, Garry Sandhu, Jazzy B or Ranjit Bawa to perform on 29th November,2014.

3. Musical Evening (Live Performance) by one of the Bollywood Eminent singers with dance troupe i.e. Shaan, Imran Khan, Kailash Kher,

Sonu Nigam, Sunidhi Chauhan, Shreya Ghosal, Shankar Ehsaan Loy,

Shafquat Amanat Ali Khan, Arijit Singh, Ankit Tiwari, Lucky Ali, Mohit Chauhan, Rahat Fateh Ali Khan, Atif Aslam, Arif Lohar or K.K to perform

on 30th November, 2014. The Event Management Company which will seek minimum

contribution from Chandigarh Carnival Society and manage maximum sponsorship to bear the expenditure on musical nights

shall be preferred. The Tender should reach in the office of the undersigned on or before 10th

November,2014 by 11:00 AM. The technical bids will be opened on the same day at 3:00 PM in the presence of interested representatives. The

financial bids will be opened in the presence of event agencies who qualify the technical bids on the same day or the date and time intimated in due

course. The financial bids should contain the artist wise detail of costing. The tender received without earnest money/prescribed experience shall

be rejected out rightly. The undersigned reserves the rights to reject

any/all bid(s) without assigning any reason. For detailed terms &

Terms & conditions:-

1. The offers will be accepted for complete 03 days event which would include Artist Fee, light and sound, backdrop, stage setup, to and fro of the artists,

transportation, accommodation for the artists, gen set, license fee of IPRS & PPL etc.

2. The agency will quote rate for each artists separetely as mentioned in the advertisement.

3. The Committee constituted for the purpose shall analyze the credential of the bidders based upon technical bids i.e. experience, PAN No. of the Firms ,

Service Tax (attach self attested photocopies) and the decision of the Committee shall be final for short-listing of firms for opening of financial bids.

4. It is not obligatory on the part of Administration to accept the lowest bidders Administration can give preference to the agencies offering more

sponsorship and repute/fame of artists named for performance. If any agency ready to organize entire event of sponsorship rights shall be preferred.

5. The successful bidders will furnish an Bank Guarantee amounting to

Rs.04.00 Lac for three Musical Nites in favour of Secretary, Chandigarh Carnival Society, Chandigarh within 7 days from issue of the offer letter. Validity of Bank Guarantee till 31st December, 2014.

6. Financial contribution be given through agreement which will be final &

binding to the Event Management Company. 7. Immediately on receipt of approval, the successful Event Management

Company will submit package confirmation including confirmation by the concerned artist performance on the respective dates/as per scheduled date of

Event. 8. In case of any settlement for payment, the partial or 50% payment will be

made in advance and final payment will be released only after successful completion of the event to be undertaken by the firm.

9. The successful Event Management Company will get insurance the whole event for rain, fire or other natural calamity and will submit the insurance cover

note to the undersigned before commencement of the Chandigarh Carnival Event.

10. The agency will submit the license from IPRS & PPL etc. to the undersigned well before ten days of the event date.

11. The Bank guarantee & Earnest money given by the agency shall liable to

be en-cashed in case the firm does not provide the artists as per agreement or

fails to perform the events as per schedule conveyed by the Chandigarh Carnival

Society. And if the agency violates any of the terms & conditions contained in

this offer. The agency will also black listed for 3 years.

12. The Chandigarh Carnival Society will provide the venue, seating

arrangements, security & traffic arrangements, permissions to put up the

publicity material at designated places, sound permission & space of 10 stalls

size by 10’x10’ etc. to the successful event co.

13. The name and logo of Tourism Department and sponsors on publicity

material i.e. banners/hoardings/newspapers/advertisement etc. will be displayed

at the designated places should be got approved from the Competent Authority.

14. Sponsorship rights to be given to successful Event Management Company

by Chandigarh Carnival Society, which will be offered by the Company while quoting the rates/bids, so as to obtain competitive rates.

15. In case of dispute of any kind, the jurisdiction shall be Chandigarh only.
