Time Presenter Agenda Items

Shaun Gilligan – Government/Faculty President

Faculty Comments Notes: Faculty President spoke about CVC faculty perspective. Faculty want students to succeed and take their courses seriously. The road to student lies in the collaboration between the student and the ISD. 1. Students must have materials for class, i.e. textbooks, online codes, 2. Student schedules- students not in correct course and or section at the beginning of the semester. Instructors can’t grant access to the course work if the student is not enrolled. SACS regulations with regards to course rigor and following the course syllabi must be met for each course.

Elise Burnett

SACS Substantive Change Proposals Notes: CVC will submit proposals for Cedar Hill ECHS, Cedar Hill High School, Carter ECHS, Desoto ECHS, and Lancaster ECHS. All five reports will have several structured abstract reports. A faculty roster that includes credentialed ISD instructors, and ISD counselors and administrators will also be included (see action item). Physical plant responses are currently needed (see action item) The report will be sent to SACS by the end of October. We expect SACS to visit during the fall of 2018. The onsite team will visit the CVC campus and each of the campuses listed in the proposal. More information to come.

Audra Barrett

Ability to receive student grades/progress reports

• Paper Trail like RLC

• Security agreement w/ eCampus

• Anna/ Velma ISD Notes: ISD’s would like a progress report for each student. This would allow the ISD’s to plan appropriate tutoring and advising as needed and would provide grades per UIL student eligibility policy. The progress report that is currently used by the CVC athletic department will be shared with the ISD’s. (see action item) It will be the student’s responsibility to communicate with the instructor and request the progress

Page 3: Cedar Valley College ECHS Advisory Council 2016-2017 · and provide unofficial masters transcript to be reviewed by the CVC dean and coordinator over the requested discipline. The

report in class or via e-mail. All students should provide the following information to the instructor. The student’s name, DCCCD ID #, a working email address (should be the students email), course name, course number, section number, and due date for the progress report. Please note students can always provide the ISD with their specific progress in each course by having the student log into their course work i.e e-campus, alex, my math lab, sam, etc. ISD’s will provide CVC with their progress report dates. (see action item)

All

Instructor scheduled absences/Process of notification Notes: Instructors from CVC and or the ISD’s might have to be unavailable to teach due to illness, or other professional obligations. The ISD’s were asked what process they currently use to notify CVC when an instructor is absent. Most of the responses were “We e-mail College Readiness”. Audra will request that the adjunct office add the following to their notification process: a phone call and email to the high school when an adjunct is out. Each division will handle notification to the high school when full time faculty is absent. Angela Batiste offered to share her google drive document that is maintained for Desoto’s teachers. (see action item)

Audra Barrett Review of Spring Deadlines Notes: The spring 2018 deadlines were handed out. Audra briefly discussed winter term Dec. 11th- Jan. 5th. She stressed that the courses are condensed and students will have assignments due each day. While this format may benefit some students it’s not for all students. If students have questions about the winter term please let us know, and we will be happy to answer any questions.

Audra Barrett and Division Deans

Review Credentialing Packets Dean Rawlinson presented and gave several examples of courses and rubric that is looked at on the masters transcripts. The credentialing packet is available upon request and the potential instructor must fill out the packet and provide unofficial masters transcript to be reviewed by the CVC dean and coordinator over the requested discipline. The course must maintain the same amount of rigor regardless of whether the course is taught at CVC or the high school campus. The CVC coordinators monitor and supervise the faculty/adjunct/credential ISD instructors as it relates to the dual credit course content. CVC will send out a step by step process to the ISD’s which will include a completion timeline. (see action items)Please note that all of the requested official transcripts must be mailed from the graduating institution to the Deans office in charge of the requested discipline by the spring 2018 credentialing deadline.

Tryn Harper, PHED Coordinator

Discuss possibility of balancing PHED offerings between semesters; 1304 and 1164 has become more challenging to schedule. If you could spread out your enrollment over the academic year it would really help. She understands it is difficult given that you have to “guess” on the number of 9th graders who are TSI met. Adjuncts may only teach 3 classes in the entire District. If she doesn’t have classes to offer her adjuncts in the spring – she loses them. She’d rather keep assigned adjuncts at one campus throughout the year as it will allow them to be more productive for both campuses. Maybe 1304 in the fall and 1164 in the spring? Instructors can instruct both and this would allow them to stay on the college roles. Please let Ms. Harper know as soon as you know if you will not actually need a course section or have low numbers so she can attempt to find him or her another section or merge sections. If possible, maintain the same days/times from semester to semester. LHS? – May we request the same adjuncts? A: Yes, and if the days and times are the same the likelihood increases of keeping them at the same school. CH? – How easy is it to raise the course cap? A: It depends on the situation
