Bring Your Own Device Program for Medical Students starting in 2016 

  Welcome to the Bring Your Own Device (BYOD) program for the Case Western Reserve University School of Medicine.  The following instructions are designed to prepare your computer for use with our various online services and for the examinations that you will be taking on your computer. If at any time you get stuck while following these instructions, please e­mail us at casemedhelp@case.edu and we will get back to you as quickly as we can. These instructions assume that your system meets the minimum hardware specifications as laid out in the Computer Policy for medical students and physician assistant program students starting in 2016.  They are repeated here for your convenience:   

● 3rd Gen or newer core i5 or i7 processor 

● 8GB RAM or more 

● 200GB HD or larger 

● Screen resolution 1024 x 768 or better 

● Wireless 802.11g or better 

● Gigabit Ethernet built­in or with adapter (not required, but recommended if you plan on 

downloading large files and for exams) 

● Screen 13" or better recommended (for exams) 

● 4 hour or better battery life (buy a new one, if you can't meet this requirement) 

● Windows 8 (not home basic) or newer 

● MacOS 10.9 or newer 

  Any version of Windows 8.1 (or newer)  that is not Home Basic will work, as will any version of Windows 10 that is not Windows RT. The CWRU Software Center (see Steps 5 & 6) has the Windows 10 Upgrade should you want to upgrade from Windows 7, and they have posted instructions there. If you have Windows 8.0, the best way to upgrade to 8.1 is through the Microsoft Store, unless you have the Enterprise edition, or wish to upgrade to Windows 10 which cannot be upgraded in this way. In such cases we recommend the upgrade from the CWRU Software Center.  Upgrading Windows comes with a risk of losing documents, photos, music, and other data, so back up completely before upgrading.  

IMPORTANT: As you go through the instructions below, please fill out the checklist at this URL:      http://casemed.case.edu/checklist/  By filling out the checklist of items that you have completed, it will better help our team prepare for your Computer Orientation starting the week of June 27th.    Once you've verified that you have the correct hardware and a suitable version of Windows, proceed to the instructions below.  If at any time during this process you encounter difficulty or have a question about how you should interpret the instructions, please contact us at casemedhelp@case.edu.  

1. Back Up First! Before proceeding please backup all of your data. If you have an external hard drive, we suggest using it to store all of your files and if you wish to be thorough you might consider using Windows Backup to create a full recovery image for future use if necessary. Instructions are linked to below. If you have another backup method, that is fine too. Some backup methods are better than others, but all backup methods are better than none. If still unsure, there’s nothing wrong with good old copy/paste. Bad things can happen with any major upgrade.  How to backup Windows 7 computers How to backup Windows 8 computers  If you use Chrome or Firefox, consider exporting your bookmarks to an JSON file (Firefox) or an HTML file onto your desktop for easy transfer later. IE Favorites can be easily moved without this step.

2. Run Updates to Windows Run Windows Updates by hand, installing all Windows updates, and any Office updates if you have Office installed. When prompted to reboot, do so. Repeat until Windows Update says that 

there are no more updates. Be sure to include updates to the Dot Net Framework, which are sometimes listed as optional.   We are asking you to do this because many issues have been solved over the years, issues that will not be a problem for us now if the fixes are in place at the onset.  

3. Create a New User Account In order to access various resources on our network, your laptop’s username must match your Case Network ID (3 initials and a number, assigned to you when you got your Case e­mail account). Changing your current account to your Case Network ID is not sufficient as our tests have shown this leads to various problems in the future. The account’s original name must be your Case Network ID.  Create new user account in Windows 7 (images courtesy of bleepingcomputer.com):  

1. Go to the Control Panel. 2. Add or remove user accounts 

 

 

 The new account you create must have your Case Network ID as you user name, and it also must be an Administrator.  Create new user account in Windows 8.1  

1. Press the Windows Key and type the word Users (do not wait for a box to appear, just type the word). 

             2. Click on Add, delete, and manage other user accounts. 

             3. Click on Sign in without a Microsoft account (not recommended). This is very 

important, since you are creating an account named after your Case User ID and if it is not exactly right, you will not be able to access various network resources correctly. 

             4. Click on Local account. 

             5. Fill in your Case Network ID for User name, and we recommend using your Case 

Network password as the password. This will make your life simpler in the future. Enter it twice, once on each line, as shown. 

6. On the next page click Finish. 

             7. Now select your new account and click on it to see the rest of the menu, then click 

Edit. 

             8. Select the dropdown menu and make your account an Administrator, then click OK. 

Your account should then be listed as Administrator ­ Local Account. 9. When you’re done it should look like this: 

             10. Return to the desktop. 

  

4. Log into your New Account and Transfer Data  If you want to move all files from your current account to the new one, follow these instructions.  Log out of your current account and log into the new one that you just created. Logging into a new account for the first time takes longer than logging into an existing account, so if it’s taking a while, be patient.  Once you are in, begin moving. Open the file manager (known as Windows Explorer, or just Explorer and navigate to the root of your C: drive.  

 You will need to navigate to the folder of your old user account. Once inside, decide what you want to transfer over to your new account.   You can copy your IE favorites simply by copy/pasting them. If you created a JSON or HTML file for your Firefox or Chrome browsers, transfer them now and import them into those browsers.  We also suggest moving data rather than copying it, as copying it will duplicate it. This causes two problems, namely it will double the amount of space being taken up by data on your hard drive, and it will create obfuscation as to which copy of a given file is the “correct” copy. So use cut/paste rather than copy/paste. Moving is also faster than copying.  

5. Connect to Case’s Secure network  

VPN  A VPN is a Virtual Private Network, a secure encrypted tunnel of traffic in between your computer and the university network. Many University and School of Medicine resources require VPN to be active before you can access them from off­campus.  To connect to Case VPN, use the following link to download the VPN client (we use Cisco AnyConnect). Install it and restart your computer after you’ve acquired it, then read on.  https://vpnsetup.case.edu/   

Understanding Multifactor Authentication/Duo Security  Multifactor or Two Factor authentication combines two or more independent credentials: what the user knows (password), what the user has (security token) and sometimes what the user is (biometric verification). The goal of multifactor authentication is to create a layered defense and make it more difficult for an unauthorized person to access a target such as a physical location, 

computing device, network or database. If one factor is compromised or broken, the attacker still has at least one more barrier to breach before successfully breaking into the target.    CWRU uses Duo Security’s multifactor authentication package and uses passwords and security tokens to secure resources on campus, including the VPN.  You will need to register one or more devices (smart phone, a phone number, a smart token, etc) with Duo for use as a security token.  Detailed information on Duo Security can be found here: https://www.case.edu/its/information­security/duo/  We highly recommend you familiarize yourselves with this information before proceeding, as successfully using Duo Security is necessary to complete these preparations.    

6. Use the Case Software Center to Download Software While connected to Case’s VPN, go to the Software Center and log in: https://softwarecenter.case.edu/   While in the Software Center you might discover a lot of software that interests you. For now it is best to focus on these essentials. You can always come back later.   The software in the Software Center can run on different platforms, sometimes just one and sometimes all three. If the logos for the different operating systems are in color, the software is available for it. If it is grayed out, it is not. This will make sense when you see it. Remember to only download the Windows version of any given program by clicking on the Windows flag.  You might find that these downloads seem a little small ­ that’s because what is downloaded is a download manager that when executed, downloads the real thing and installs it. That is why it is important that you maintain the VPN connection throughout the entire process.  Please download the following (install them in step 7). As you download them, they will be put in your Downloads folder on your computer. 

● Symantec Endpoint Protection 12.1 ­ Referred to often as SEP, or antivirus suite. ● Microsoft Office Professional Plus 2016  ● Adobe Acrobat DC Professional ­ If you download this application you will be emailed 

the activation key. Don’t delete this email! You will need it.  Once you’ve downloaded those installers, remain connected to VPN.   

7. Install Software from the Case Software Center Install the programs in the following order: 

Symantec Endpoint Protection. a. Completely Remove any and All Antivirus Software. If you are using Microsoft 

Security Essentials, please uninstall it. If you are using Windows Defender, you can leave that be. Windows Defender is a part of Windows and will be shut down by Symantec Endpoint Protection without any fuss.  

b. Most antivirus programs will require a restart after being uninstalled. Even if they don’t demand it, restart anyway. The following steps will be difficult if there are major system changes pending. 

c. Accept user agreements and default settings until you come to Setup Type, at which time make sure you select Custom. 

 d. Make changes so that the entire Network Threat Protection section will not be 

installed. You will also not need the Outlook Scanner, Lotus Notes Scanner, nor the POP3 Scanner, unless you plan on using an email client for a non­Case email address. Case Gmail (and personal Gmail) is scanned very well by Google, so if you only plan to use those you will not need these additional scanners. The final choice however is yours. Simply make your selections match those below: 

 e. Once done making selections, click Next. f. The remaining options are fine left to the default settings. There is one option 

asking if you wish to send anonymised installation information to Symantec. That is entirely up to you to decide. 

g. Once Symantec is finished installing, it will begin updating its definitions. Give it a few minutes to do this. 

 h. Soon it will ask for a restart. Now restart your computer.This will  break the 

connection to VPN but we shouldn’t need it anymore.  

 

Microsoft Office Pro  The version of Microsoft Office available to students from the Software Center is site licensed and provides a perpetual use license to students. If you already have Office, you may keep it, but it should be Office 2013 or 2016. 

 It is very important to remember that two different versions of Office do not coexist well on a single computer at the same time. If you are replacing an earlier version of Office, uninstall it completely before proceeding. When installing Office, we recommend installing at least Word, Excel, PowerPoint and OneNote. 

 Follow the installation instructions available on the Software Center. 

  

Adobe Acrobat DC Pro  First make sure you don’t have Adobe Acrobat Reader installed, as they do not work well together. If you do have Adobe Acrobat Reader, uninstall it now. If you have an unrelated PDF reader installed, such as Foxit, you can leave that be as it will not interfere with anything.  

1. Download the Adobe Acrobat DC setup file from the Software Center 2. Run the “acrobat_DC_Setup.exe” file 3. This is the first thing you see after running the file 

a.  b. IMPORTANT! Do not change the serial number 

4. Click Install 5. Wait for Acrobat to install 

a.  6. Once the install finishes, click “Launch Now” 

a.  7. Once Acrobat opens it will say that a sign is is required 

a. Click “Sign In Now” 8. Next you will create an account using your Case email 

a.  b. Click “Get an Adobe ID” 

9. Enter your information at this screen 

a.  b. Email address: will be your Case provided email address c. Password: create a strong password following the guide below 

i. One capital letter ii. One number iii. One special character (eg. $) 

d. Click “Sign Up” 10.Click “Accept” to agree to Adobe’s Terms and Conditions 11.Adobe will then send a verification email to you which contains a URL link 

a. Open the URL link to verify your account  

8. Install RadiAnt DICOM Viewer  

1. Go the the following website: a. https://www.radiantviewer.com 

2. Click on the blue button. a. Download now Version 2.2.9 ­ Windows. 

3. Go to your Downloads folder and double­click on the radiantsetup22910728c.exe file. 4. Install the application. 

 After installing RadiAnt DICOM Viewer, follow these instructions for accessing images.  

All images are in the the DICOM folder in the FileTransfer folder on our Cerebellum server. 

 Make sure that you are using CaseWireless or if accessing from off campus, you must use VPN. 

1. Start up the RadiAnt DICOM viewer application. 2. Click on the Open Folder icon (top left corner, first icon). 3. When the Browse for Folder window opens, enter the following in the Folder box: 

a. \\cerebellum.case.edu\FileTransfer\DICOM 4. Then click OK. 5. The images should show up in a minute. 

 

 

   

8. Prepare for Exam Software   

ExamSoft ­ Medical Students will do this at a later date.    NBME Secure Browser  Using a web browser, go to the following URL: http://wbt.nbme.org/exam  

 

 Check the box that states you have read the document and then click the Continue button  

 

Click Secure browser for Windows PC. Then click on the PCSecureBrowser Icon in the bottom left corner    Follow the procedures in the application.  On the next screen you will see two Icons :  On the left Workstation Certification                   On the Right  On Test Day  Click on the Workstation Certification Icon Select : Examinee Personal Laptop Certification  Only run this application ONCE.  If it fails, you can be locked out, bring it to IT and we will help you resolve the problem.  If it passes,  you are good to go. 

 

 

   

9. Watch the HIPAA Video 1. Connect to VPN, if not already connected 2. Go to the Start menu and enter the following in the Search box: 

a. \\cerebellum.case.edu 3. In a moment, the Cerebellum server window will open. 4. Find the File Transfer folder and open it. 5. Open the From Administration folder 6. Find the HIPAA 2012.mp4 file and drag it to your desktop 7. Watch the video 8. Save or delete the video after watching it 

    

9. Install Optional Software Our standard student image contains some popular free software that we have found very convenient to have. These are optional but recommended.  

7­Zip A free multi­format compression program, 7­Zip can do everything Winzip can do and then some, and it’s free. This link takes you to the 64­bit client: http://www.7­zip.org/a/7z920­x64.msi   

VLC VLC is a lightweight media player that plays almost every kind of video or audio file there is. It has a tiny footprint and comes highly recommended. We suggest the 64­bit installation. https://www.videolan.org/vlc/download­windows.html   

Paint.Net More capable than Microsoft Paint but less complicated than Photoshop, Paint.Net is the happy medium when it comes to image editing. Most people who try Paint.Net find that it does everything they thought they needed Photoshop to do (including layers). Paint.Net requires the .Net Framework to be installed. http://www.dotpdn.com/downloads/pdn.html
