2018 was another important year for CPUT Libraries as we moved to consolidate our various projects and services to the university community and external stakeholders.

We are particularly proud of the growth and development of our digital platforms which we showcased at various CPUT campuses in 2018 and will continue in 2019. This growth and development brings us in line with the institutional vision and strategy of moving towards a SMART University. Our Research Data Management, Publishing, OER, IR and Electronic Theses and Dissertations’ platforms bear testimony to our efforts in improving access to research, teaching and learning information. We are growing our book collections in digital forms and moving away from print copies – which have a limited reach to our spread-out campuses on the Peninsula and beyond.

We continued to re-purpose and revamp our library spaces to make them more conducive for studying, group discussions and afford both undergraduate and postgraduate students with specialised spaces.

Our collaboration with faculties to implement the Senate resolution on the integration of compulsory Information Literacy credits within the curriculum across programmes in the six faculties has been a major milestone for the Library. It is our strong belief that every one of our students must be adequately equipped to handle information not only during their studies but also be prepared with adequate information skills for the workplace. Our vision is to engage with students and their lecturers on information skills from year one until the final year so that they are sufficiently prepared for the future.

We are working closely with regional partner libraries in the Western Cape region to develop a regional storage facility for print books enabling us to free up space in our libraries – which we will make available towards students’ collaborative learning.

We continue to play an important role in facilitating and providing the technical lead in the ilifu Research Data Management and Open Science project – a regional data intensive research project in Bioinformatics and Astronomy. And at the national and world stage we continue to participate and contribute towards the growth and development of the library profession at important forums such as LIASA, CHELSA, IFLA and IATUL and many other associations and professional bodies.

A special THANK YOU to all CPUT Libraries staff for all their contributions towards our continued success and recognition within the CPUT community.

HIGHLIGHTS AND OVERVIEW OF

LIBRARY ACTIVITIES

District 6. Research and Information Support Centre - The New Research and Information

Support Centre (RISC) area at District 6 was officially opened for use by post graduate students in 2018. While the space caters for group and

individual study, it also accommodates the office of the research librarian and Inter-library loans who are available to provide assistance and support. As a first at CPUT libraries, kitchen facilities have been added for exclusive use by post-graduate students in the RISC area.

Wellington. Agriculture library –The Agricul-ture library in Wellington was prepared for

student access in 2019. A staff member was appointed for the library, shelves were erected and stocked from materials held at the Wellington Education library and furniture was received. All in readiness for the 2019 academic year.

Digital Showcase Roadshow – A digital show-

case roadshow with presentations by library staff

on various research platforms supported by the library as well as the new discovery platform (PRIMO VE) was undertaken with events at Bellville and Mowbray.

Stocktake – A stocktake was undertaken at all libraries over a period of six months in order to

verify the correct transfer of data to the new ALMA Library System.

Library satisfaction survey - A library satisfaction survey was conducted to determine the response

of students and staff to Library spaces, Information access and control, Service and the website.Although feedback was positive with good ratings given across the board, high expectations were not being met.

Athlone, George and Worcester - Preparation

was done for the separation of the Western

Cape College of Nursing (WCCN) libraries from CPUT Libraries. Although library resources were being withdrawn from the branches, the library has undertaken to continue a basic level of support for CPUT students remaining at the sites.

After a number of years of student unrest, developing research data management platforms, building upgrades and the implementation of a new library management system in 2017, 2018 was a year of consolidation.

1.1 Library Platforms

CPUT Libraries continues to host and maintain platforms such as DSpace, DSpace Cris, Open Journals System (OJS) and MediaTum as well as the institutional Data Management Plan tool. While DSpace is used for the Electronic Theses and Dissertations (ETD) and Open Education Resources (OER) databases, DSpace Cris is used for Institutional Repository (IR) as it allows for integration with ORCID. The Institutional Repository contains profiles of CPUT researchers and their research output. MediaTUM is a research data management platform which provides both storage and the management of documents during the research life cycle. It was originally developed by Technical University Munich. The enabling of LDAP login allows users to access DSpace and MediaTUM platforms using their CPUT network login details.

The cloud-based ALMA (Library Management System) and PRIMO VE (Discovery tool) are supported by certified library staff. During 2018 focus was on post-implementation activities. The API to enable spine label printing on ALMA was installed and has enabled the printing of spine labels across all branches.

In addition, access is provided to Figshare, Repository Finder and Mendeley. Figshare is an alternative data management tool, while Repository Finder (DataCite) provides access to registered repositories into which research data can be deposited. Together with MediaTUM they form the eSango collection of research data management platforms. Mendeley is a program for sharing and discovering research papers and data. It also supports online collaboration.

ORCIDThe CPUT ORCID registration and affiliation system provides an unique identifier for authors and enables users to affiliate themselves with our institution - a critical step for ORCID integration with the publishing platform. Registration further improves the visibility of researcher output and enhances the profile of both the researcher and the institution.

1.2 Administration

IT Asset Management SystemAn open source asset management system (Snipe-IT) has been installed and library IT assets have been loaded onto the system.

IT Support requestsThe library has implemented the OSticket tick-

eting system for logging and monitoring support requests.

1.4 Asset Audit

An audit of all CPUT Libraries moveable assets was undertaken.

1.3 Website

Website responsiveness was investigated in order to improve views from mobile devices. A portal page has been set up for access to research platforms and the branding of all the platforms was updated to conform with CPUT branding standards.

A link to PRIMO has been added on the CPUT emergency web page to ensure con-

tinued access if the CPUT site is down.

1.5 Resources

CPUT Libraries continues to adhere to its decision to develop its e-resources collection.

In 2018, 21 subject collections (5 868 e-book titles) as well as 1 589 individual e-books were purchased. Many of the subject collections were purchased to address gaps in the

collection while individual e-book titles were purchased based on requests by faculty or publisher turn-away reports identifying items with high turn-away occurrences, i.e. when users have been unable to access the online materials due to lack of subscription or because the library has not purchased the item.

In contrast, 2 432 printed books were purchased and 1 161 donated items were received.

Two periodical archives (Measurement Science & Technology, 2015-2017 and Smart Materials & Structures, 1992-2016) as well as 2 new databases, Juta Law Collection and Cambridge Structural database were purchased during 2018. Although a subscription for a single user license to the Law of South Africa has been purchased, the print subscription will continue.

CPUT Libraries has been able to further enhance its electronic collection by activating free and open access resources in the ExLibris Central Knowledge-

base. During 2018, 15 678 Open Access e-books (contained in 4 main collections: Intech Open Collection, Directory of Open Access Books, Open Stax College and Cambridge OA e-books) and 622 Open Access e-journals were activated and added to the collection.

2018 saw an increase in the usage of both databases and ebooks.

While the 43% decline in usage of EBSCO titles could be largely contributed to initial problems with access to the database using the PRIMO interface, the largest decline in usage (134%) was that of the AACC Approved methods. In contrast the WGSN-Worth Global Style Network had increased usage of 84%. The DawsonEra ebook collection showed 150% increase in usage; however, usage of the FoodNetBase database declined by 321%. With 326 925 articles read in 2018, PressReader is the most used library resource.The electronic collection currently makes up 41% of the total collection at CPUT Libraries, with a total of 36 321 free e-book titles and 38 922 free e-journals.

1.6 Cancellations

Subscriptions to 12 journals were cancelled at the

end of 2018. Of these, 7 are available via alterna-

tive databases such as PressReader (4), Textile Technology Complete (2) and Art & Architecture complete (1) and 1 is available via open access. One title is no longer regarded as a journal, but as a magazine; one has technical access issues and for another the library only subscribes to

Sections A-D, resulting in the cancellation of Section E. Only 1 journal was cancelled due to no

usage over a 2-year period.

1.7Stocktake

A stocktake was held to verify the correct transfer of data to the new ALMA Library system. The stock-

take was done at all branches over a six-month period and enabled staff to find items missing at the previous stocktake as well as identify current problems. A total of 14 500 missing or lost items were identified and marked for further action.

The GISA (Genealogical Institute of South Africa) collection was added to the collection at Wellington Library. The collection contains family and parish histories as well as genealogies in various formats.

The first sale of redundant library books took place at Bellville and District 6 campuses. Books not sold were donated to other institutions.

2.1Information Literacy Training

As of January 2018 the Course in Information Literacy has been integrated into a subject in each programme with a weighting of 15% of the subject mark. While the assessment has been developed by the library, training of the Course in Information Literacy has been shared between academics and librarians. The assessment is completed by students via Blackboard. Distance students are able to complete the online course and assessment.

During 2018 library staff spent the equivalent of 896 periods training students. While the majority of training interventions were for ECP and 1st year students (75%), 11% of the training interventions were for B.Tech, Masters and Doctoral students.

A total of 24 983 students and staff attended training sessions presented by library staff.

3.1 Renaming of library on Cape

Town campus

In-line with the renaming of the Cape Town campus, the library has changed its name to the District 6 Library.

3.2 New libraries

The Agricultural Library at Wellington has been prepared for access by users in 2019. A staff member was appointed for the library and library materials were moved from the Wellington Education Library to the Agriculture Library.

3.3 New spaces

The new Research and Information Support Centre (RISC) at the District 6 Library was officially launched. It provides various spaces for post-graduate students allowing for both group and individual study as well as kitchen facilities.

The office of the research librarian and Inter-Library loans as well as an information point occupied by a Senior Library Assistant provide support for users in the area. Biometric access has been installed at both the District 6 and Bellville RISC areas.

The new libraries at Mowbray and Wellington provide more space for student group work and interaction in a variety of different formats such as leisure seating, open work areas, seminar rooms and research areas. Mowbray has become the first CPUT library to support the “Bring Your Own Device” (BYOD) initiative. Students are encouraged to bring their own laptops or tablets as the library does not provided any computers for students.

3.4 Good bye Athlone, George, Worcester

While the WCCN libraries at George and Worcester are no longer a physical part of CPUT, CPUT Libraries will continue to provide remote service delivery as well as a small selection of reference items to students at these sites.

The majority of the materials hosted at these sites have been removed and will be rehoused at Bellville or Tygerberg libraries. Although, no longer formally part of CPUT, Athlone Library will continue to receive limited support from CPUT Libraries due to the number of CPUT students on campus.

3.5 Consolidation of Library

Collections

Collections from George and Worcester have been moved to Bellville and Tygerberg libraries. Small collections have been left onsite to support current students at the sites.

Consolidation of the Faculty of Informatics and Design collection from Bellville to District 6 and the Chemical Engineering and Chemistry collections from District 6 to Bellville have aligned the collections to the relocation of faculties at the campuses.

3.6 Library Usage

There has been a large increase in the number of visits in 2018.This can be contributed partially to the reopening of the Mowbray and Wellington

Libraries and the libraries being open throughout the year, unlike 2016 and 2017, when disruptions due to student protest action forced the libraries to close.

3.7Loans vs Downloads

The graph below provides an overview of the changing usage patterns at CPUT Libraries. While there has been a pro-

gressive decline in usage of printed materials, there has been a correspond-

ing incline in the usage of e-books.

An overview of the usage of the print collection per branch provides clear indication of the current circulation patterns. Granger Bay library was the only library to issue more short loan items than unrestricted items; while Athlone, George and Media City recorded more in-house usage than loans.

The graph excludes the issuing of keys to seminar rooms and study cubicles. At Bellville, keys to the seminar rooms were issued 19 863 times making them the most issued short loan items.

3.8 Queries

Library staff dealt with 58 872 queries during 2018. The queries can be divided into 4 types, with each “Complex query” reflecting an interaction of at least 20 minutes. The largest percentage of queries were “Quick queries” which reflect questions which can be answered immediately and include those of a directional or general nature. Service queries refer mainly to assistance provided with regard to photocopies, printers, etc.

3.9 User survey

A User Survey was developed and distributed to all CPUT students and staff registered for a course on the Blackboard platform. The survey was designed to get feedback on Library as a Space, Information Access and Control, Service and the Website. Some local and general questions were also included. The levels of Satisfaction and Expectation for each of the categories clearly indicate that although expectations are not

being met, satisfaction rates are generally close to expectation.

Areas with the highest levels of satisfaction:

• The library inspires study and learning

• The library website provides access to the tools I need for learn-

ing and research

• I am satisfied with the way I am treated in the library

• The library provides space for group learning and study

• The library provides a comfortable and inviting space

3.10 Marketing and Events

Marketing at CPUT Libraries takes place at two levels with individual campus libraries promoting their collections and activities within their communities, and the Marketing Unit responsible for marketing the library to parties outside of the library. Marketing in this context tends to be mainly digital.

2018 saw the promotion of digital platforms with a roadshow to two CPUT campuses. Library staff gave presentations on the various platforms and services available to CPUT staff and post-graduate students.

Library Week and Mandela Day events were

celebrated across libraries at CPUT. CPUT

Libraries initiated a variety of activities to

promote reading and library usage. Activities

included Orientation Tea sessions, show and

tell, exhibitions and student ‘chats’ from CPUT

Units such as Student Counselling, Fundani

(Writing Center) and the First Year Experience

(FYE).

Social MediaFacebook remains the main social media platform

used by CPUT Libraries and is used as a marketing

platform as well as an information resource.

Facebook includes information about the library,

messages, notices, photographs and videos of

library events, available online training and more.

At the end of 2018, the library’s Facebook page

had 1 147 followers.

Outreach

Library staff attended the launch of Dal Josafat’s school library and computer rooms. The principal and other interested parties worked hard to create the library and computer room which originated from an idea proposed at a Nelson Mandela day outreach activity 4 years ago.It is indeed an honour for the library and CPUT to be a collaboration partner in the establishment of these very important facilities and to be involved in this community engagement project that will add value to the learning experiences of learners.

CPUT Libraries will continue to partner with the school and provide support where needed.

4.1Library Digital Showcase

Library Digital Showcase events were held at Bellville and Mowbray to promote the various platforms available for research data and practices. These included Figshare, MediaTUM, Institutional Repository, Electronic Theses and Dissertations and the CPUT Open Journals System platforms. The Showcase also provided an opportunity to inform the audience of the Open Education Resources (OER) platform and the new PRIMO discovery interface. Since the showcase, Open monographs and Open Conference platforms are in the process of being tested.

4.2Research Output

Librarians continued supporting CPUT staff with the collection of 177 bibliometric and 138 altmetric reports and also assisted researchers with creating ORCID id’s and identifying documents on ORCID. Documents and articles were added to the various library platforms as well as Scopus.

Library staff demonstrated various research tools and databases to postgraduate students and staff at the Research Methodology Workshop, Waste2Energy Workshop, Plagiarism Workshop, Post-Grad Research week and Winter School. Selected researchers were trained in self-archiving and drawing publications from platforms such as Publish or Perish (PoP) into the Institutional Repository and Figshare.

The adding of metadata for research articles by CPUT staff is ongoing.

4.3 Theses and Dissertations

During 2018, 152 masters and 32 doctoral theses were added to the Electronic Theses and Dissertations (ETD) collection.

The theses collection has been reorganised to ensure that 1 copy of each thesis is archived and that each title is available electronically. Duplicate titles have been removed from the shelves.

4.4 Inter-Library Loan

CPUT Libraries continue to support inter-library loans. This service allows post-graduate students and CPUT staff to borrow items from other libraries, nationally and internationally. CPUT Libraries also lends items to other libraries.In 2018, 542 items (comprising of 31% of the books and 69% of the articles requested by CPUT) were received. In contrast, CPUT Libraries was able to supply 62% of the books and 29% of the articles requested. In comparison, 40% of books and 17% of articles requested were supplied in 2017. A total of 856 items were requested from CPUT Libraries during 2018.

A number of library staff members represent the library on various boards and committees, internationally and nationally, including Additionally, IATUL, IFLA, Western Cape Archives Advisory Committee, CHELSA, SANLIC and many others.

CONCLUSION

While a number of milestones were reached in 2018, the groundwork was being developed to propel the library into the future. For a number of years, the library has been at the institutional forefront of the drive to digital delivery, researching and implementing various platforms and developing its electronic collections. However, it has not neglected physical spaces and services. Physical spaces have been improved, extend-

ed service hours investigated and planning for streamlined services and aligned staffing has begun.

CPUT Libraries stands ready to support the institution in its move to eResearch and the ultimate goal of a

SMART university.
