Burning Mountain Festival September 5 & 6, 2014 FOOD FAIR VENDOR APPLICATION New Castle’s Burning Mountain Festival 2014 will be held Friday and Saturday, September 5 and 6 in Burning Mountain Park on Main Street. We anticipate approximately 2000 guests at the Festival. To apply for a food vendor booth, please (1) complete and sign the Food Fair Application (page 3); (2) complete and sign Special Events Business License; (3) include all required materials and fees; and (4) submit to the address below. Application deadline is Friday, August 29, 2014 by 5:00 pm. To apply to Burning Mountain Festival 2013, complete and sign page 3 of this application, include all materials and appropriate fees and mail to the contact information listed below. Application deadline is Monday, July 15, 2013 by 5:00 pm. Applications that do not include the required materials or fees will not be considered. Please contact the New Castle Chamber of Commerce, at 970.984.2897, with any questions. Approximately 2,000 people will attending Burning Mountain Festival 2013.

FESTIVAL POLICIES & REQUIREMENTS: The Town of New Castle wishes to create a positive experience for both vendors and Festival attendees. Please help by reading and observing our policies.

Booth fees will be cashed upon acceptance. Booth selection and placement is final and is at the discretion of the committee. The committee will

select vendors based on originality, value and menu quality. Vendors must check-in prior to set-up to receive their booth assignment. Vendors will have access to

the Festival site in Burning Mountain Park on Friday, September 5th beginning at 2:00 pm. Vendors must attach a menu and price list with application. Pre-approved food and beverages ONLY

will be allowed so duplicate items are not competing for sales. Please maintain cleanliness in and around your booth space. Colorado River Fire Rescue requires a K-Guard Fire Extinguisher within food booths. Vendors must provide their own tent and equipment. Because of irrigations lines in the park, tent stakes, which could pierce the lines) are not allowed.

Please supply tent weights. It can get windy, so we recommend a minimum of 40 lbs. per leg. In addition to wind, there may be rain. Be prepared for inclement weather. There is no rain date,

and no refunds given in the event of inclement weather. Parking is very limited near Burning Mountain Park. Overnight parking is not allowed at the park,

and vendors are responsible for their own overnight accommodations elsewhere. The Festival will provide overnight security on both Friday and Saturday nights. However, the

organizers of the Festival are not responsible for loss, theft, or damages to your rented booth area, booth and product. Vendors must carry their own liability insurance policy to cover their booth, product, rented space and staff.

Change is not available on-site. Vendors are required to handle their own cash. Beer will be sold in the park, but absolutely no alcohol may be carried into the park. Smoking is not

allowed. Electricity will be provided. Please bring your own heavy-duty extension cords. There is an additional $15 fee to cover processing fees on checks returned NSF. Cancellations must be made in writing or via email ([email protected] ) and received

by August 29, 2014. No refunds will be issued after this date. Vendors are required to collect 8.2% sales tax. City sales tax application form will be sent to vendors

upon application acceptance. Vendors are responsible for submitting their own sales tax. Vendors are required to have their own multiple, special or single event license. ONLY applicants

that check the individual status on the special event business license application must also complete the lawful presence affidavit form.

Food vendors are responsible for providing their own ice. There is no ice service available on site.

I also assume and accept full responsibility for any damages done by us or our workers at the Burning Mountain Festival show held September 5 & 6, 2014 at Burning Mountain Park, New Castle, CO. I fully understand the above Hold Harmless Agreement. I also carry my own liability insurance for my rented booth space and product. By signing below, I understand and agree to all the terms, including Festival Policies and Requirements, in this contract, and have read pages 1 through 3 understanding all the terms.
