Our members

Living away from home means that students have to decide which brands to buy, use and trust for the first time. Attracting students to your service or product has huge potential for generating long-term brand loyalty.

We offer a wide range of different opportunities giving you the chance to advertise your product or service to our members. Each opportunity listed in this pack allows you to directly reach students, in a format that suits you, and will enable you to engage with over 9,000 students.

Each year, our website has in excess of 400,000 visits. It is the main online hub for all departments and highlights events, news, jobs and various opportunities. It also is the main online presence for all clubs/societies and sports teams.

Posting on our Facebook and Twitter pages can enable you to reach a large group of students very quickly. We have 7,000 followers across both sites.

Add your very own custom graphics to our Facebook pages or Twitter account to really help boost your campaign.

Advertise on six plasma screens located in various popular high footfall areas in our bar, main venue entrance and the Students’ Union reception area. Adverts are displayed on rotation alongside music videos and general adverts.

The Bucks Student newspaper

The Bucks Student Pre-Freshers’ edition

The Bucks Student is our free newspaper and is released every three weeks - both printed and online. Each edition has an average print run of 1,500 and is the perfect medium to advertise to a potential market of 10,000 students and staff. Each edition is typically released on a Monday.

Community Guide

The annual student involvement guide outlines the various ways that our members can engage with our services during their time at Bucks. A large proportion of the guides are posted out in late August as part of our summer mailout. They also get distributed throughout the year at various events.

Every member of our sports teams and societies gets issued with a student involvement card. We offer one company the chance to sponsor these cards with their logo placed on the reverse of the card. The card lasts for the entire academic year from September to June.

Ideal if you want to reach students through leafleting but don’t require a stall. you can either bring your own staff, or, if you don’t have the time or the manpower, we can offer staff to hand out leaflets on your behalf. The staff employed will be fully briefed on the offer, product or service to enable them to fully promote your business.

Every August, we post out over 6,000 packs to both new and returning students. Each pack includes a number of different leaflets, a newspaper, a student involvement guide, and a number of commercial leaflets. This pack This pack is the ideal way to engage with students just before they arrive at Bucks.

We have over 900 rooms split across four different sets of halls in High Wycombe. Halls are only offered to first year students but it provides an excellent opportunity to get information out to a captive audience rather than passing distribution.

Just before the students arrive in September, we place a freshers’ goody bag in every room throughout halls. This is an ideal opportunity to get promotional materials directly into the hands of students when they first arrive in their new room at Bucks. you can insert any leaflets, brochures or promotional items.

The Freshers Fair is one of the key highlights during Freshers' Fortnight. It is a fantastic way to promote your business through face-to-face interaction with students and typically the event has a footfall of over 5,000 students and staff throughout the day (numbers based on the High Wycombe Freshers’ Fair). Electricity and access to the wifi can be arranged prior to the event.

The Union Awards is attended by staff and students from the University and recognises the achievements of students across the breadth of the Students’ Union. From volunteering to societies, we celebrate the hard work and commitment of individuals and the role they have played alongside their studies. This is a great chance for your company to be involved in a truly exceptional event.

Sponsorship of this event includes: your company name in the programme as well as all relevant publicity. you will also be invited along to present the award to the recipient.

Annually, just under 1,000 students take part in sport across 40 different teams. The annual Athletic Union dinner recognises and celebrates the achievements and sporting successes of our teams and students who participate in sport across the academic year.

The Summer Ball is traditionally held in May and spans three evening events in the Students’ Union venue. It is one of the highlight events in the academic calendar with a potential audience of 1,250 students per night.

Sponsorship of this event can include; your logo to appear on all pre-event publicity; posters, large format posters, leaflets, wristbands, print adverts, website information and plasma screen adverts. you can also provide us with banners or any other POS material to raise awareness of your brand at this event.

Varsity is our annual sporting fixture against the University of Roehampton. Over 20 different matches are played throughout the day with both universities taking it in turn to host the fixture.

Terms and conditions

1. GENERAL

1.1. We reserve the right to refuse distribution of any material we deem to be unsuitable. This includes, but is not limited to material that contravenes our Equal Opportunities policy, which is available on request. Our decision is final.

1.2. All media copy you provide must be accurate, approved, legal, decent, honest, truthful and meet the standards of the Advertising Standards Authority. you must own or have authority to use any trade name, trademark, British Service Mark or other quality assurance mark, logo or other material that is used in the copy. Bucks Students’ Union shall not be held responsible if any of the aforementioned have been used without authority.

1.3. If you are unsure about the suitability of your promotion or any material, please send a copy of the material or an outline of the promotion to: Simon McDowell, Bucks Students’ Union, Queen Alexandra Road, High Wycombe, Bucks, HP11 2JZ.

1.4. Bucks Students’ Union takes no responsibility for the content of any advertisements or promotions, and will not be held liable for any transactions that may be completed as a result of the promotion or advertisement at Bucks Students’ Union.

2. PAYMENT

2.1. New companies are required to make payment upfront. Once an account has been established, future orders will be invoiced within 30 days of the activity taking place.

2.2. All orders for the Freshers’ Fortnight must be paid by the end of the first week in September.

2.3. Interest at a rate of 8% per month will be applied to any account you have not paid after 30 days from the due date of payment (unless the law prevents us from charging interest).

3. CANCELLATION

3.1. In addition to any statutory rights you may have to cancel your order, you may cancel part or all of your order by giving notice in writing to Bucks Students’ Union. We must receive this notice by the campaign start date or within 14 days of the date of the booking order – whichever is earlier.

3.2. If we receive written notice to cancel an order more than 14 days after the date of the order, we will only act on this notice based on a cancellation fee which will be equal to 25% of the charge for the media plus VAT (where applicable). We cannot accept a request to cancel the order if we receive the request after the campaign start date.

3.3. Cancelling any part of the order means that you no longer qualify for a discount for multiple advertising and/or agency discount (if applicable).

4. LIABILITY

4.1. In the event that for any reason Bucks Students’ Union shall cancel all or any part of a publication, or be unable to perform their obligation under this agreement, the liability of Bucks Students’ Union shall be limited to the refund of any payments made by the exhibitor to the Students’ Union under this agreement.

4.2. Bucks Students’ Union shall accept no liability with regards to attendance figures to any event.

5. PRE-FRESHERS’ MAILOUT

5.1. Bucks Students’ Union takes no responsibility for any inserts or leaflets. you accept full responsibility for the quality and safety of any product we insert into our pre-Freshers’ on your behalf.

5.2. The maximum size and weight per leaflet insert into our pre-Freshers’ mailout is A4 and 30g.

5.3. Pre-Freshers’ inserts must be delivered to us by Friday 15 August.

5.4. Please ensure that any inserts sent to Bucks Students’ Union are clearly marked for the attention of Tom Castle, Communications and Marketing Coordinator, and sent to the following address: Tom Castle, Bucks Students’ Union, Queen Alexandra Road, High Wycombe, Bucks, HP11 2JZ.

5.5. Bucks Students’ Union cannot accept responsibility for the loss or delay of any delivery that is not clearly marked. 100% of the invoice amount will still be chargeable if inserts are not included due to a delay caused by an incorrectly addressed delivery.

6. ON-SITE STALLS, FRESHERS’ AND RE-FRESHERS’ FAIRS

6.1. Exhibitors may only promote their own products or services. Any stallholder found promoting a third party will be asked to leave and be escorted from the premises if required.

6.2. 6Stalls or rented space may not be sublet. Only the named client attending any event or on-site activity through us may advertise their own products or services.

6.3. Exhibitors must only promote products and services from the immediate vicinity of their stall. Anyone seen distributing promotional material or collecting data elsewhere on the premises will be asked to leave.

6.4. Exhibitors are responsible for the security and safety of their property. Bucks Students’ Union cannot be held responsible for damage or theft unless caused by gross negligence. you must not obstruct access to fire exits or appliances when exhibiting at any of our University premises. you must not endanger the safety of Union or University staff, students or the general public.

6.5. you may play music on your stall provided it is at a reasonable level and doesn’t interfere with the activities of other stalls or staff. If a member of staff asks for the music volume to be reduced, you must comply.

6.6. Any damage caused by an exhibitor to backing boards, walls, ceiling or flooring including any cleaning costs, will be recharged.

6.7. All aspects of an exhibitors stall, including the promotional material and staff, must comply with Bucks Students’ Union’s Equal Opportunities policy.

6.8. Parking is only temporarily permitted in the area allocated for the purpose of loading or unloading. No vehicle is to be left – even temporarily – in such a manner as to block access to the Union or University facilities or safety/fire exit/entry points. No parking will be provided on any of our sites unless pre-arranged with the Communications and Marketing Manager and such arrangements have been confirmed. Bucks Students’ Union cannot be held responsible for any parking violations issued on campus.

6.9. For environmental reasons, exhibitors are not permitted to distribute plastic bags at the Fair.

7. ARTWORK

7.1. If you are supplying your own artwork you can send it to us by post, email [email protected], or in person. Artwork for print should be sent at print resolution (300dpi), CMyK, fonts outlined, and submitted ideally as a PDF.

7.2. Artwork for web or email should be screen resolution (72ppi), optimised for the web, and saved as a PNG, JPG or GIF. Website artwork should be supplied with a URL for the web ad to link through to.

8. INDEMNITY

8.1. you shall indemnify us against all loss, actions, costs, claims, demands, expenses and liabilities whatsoever which we may incur either at common law or by statute in respect of personal injury to or death of any person or in respect of any loss or destruction of damage to property (other than as a result of any default or neglect of ourselves or of any person of whom we are responsible) which shall have occurred in connection with any work executed by you under this contract.

9. SIGNATORY

9.1. Where a signatory does not have the necessary authority to make purchase orders and has signed this order, Bucks Students’ Union reserves the right to pursue any claim for outstanding monies from the signatory themselves.

10. ADVERTS AND ADVERTISING

10.1. Bucks Students’ Union reserves the right to refuse any unsuitable copy.

10.2. Bucks Students’ Union does not accept responsibility for any loss or damage resulting from error, late publication, non-publication, or failure of any cause.

10.3. Artwork can be returned if requested. However, Bucks Students’ Union does not accept any responsibility for loss or damage, and is not an insurer for such articles.

10.4. Advertisers must warrant that the information in their copy or artwork is accurate and not a breach of the Trade Descriptions Act (1968) or any subsequent Acts. Bucks Students’ Union does not take any responsibility for inaccurate or misleading information.

10.5. Corrections, changes and amendments must always be confirmed in writing.

11. CLIENT VETO

11.1. We have a number of exclusive contracts that form a client veto list. This list prevents us from advertising any form of media from organisations or businesses offering the same or similar products/services or for ethical reasons. If you book any form of media that contravenes this list, we reserve all rights to cancel the order and offer a full refund of any money you have paid.

12. DATA PROTECTION

12.1. Any company that collects data whilst promoting at Bucks Students’ Union must be compliant under the Data Protection Act 1998.

13. VARIATIONS

13.1. Any variations to this agreement and any special terms will only be effective if set out in a printed form issued by us or agreed by the Communications and Marketing Manager of Bucks Students’ Union.

14. LAW

14.1. This contract shall be subject to English law and the jurisdiction of the English Courts.
