General
• Simply clean your Response 123ewith a damp (not wet) cloth, or ananti-static wipe. Never use householdpolish as this may damage theproduct. Never use a dry cloth asthis may cause static shock.
• Only use the power supply includedwith the product. Using an unauthor-ised power supply unit will invalidateyour guarantee and may damage theanswer machine. The item code forthe power supply unit is 871036.
• Do not open your Response 123e. This could expose you to highvoltages or other risks.
Environmental
• Do not expose to direct sunlight.• We recommend that you do not place
the product on antique/veneeredwood to avoid damage.
• Do not stand your product on carpetsor other surfaces which generatefibres, or place it in locationspreventing a free flow of air over it’ssurfaces.
• Do not submerge any part of yourproduct in water and do not use it indamp or humid conditions, such asin bathrooms.
• Do not expose your product to fire,explosive or other hazardousconditions.
• There is a slight chance that yourphone could be damaged by anelectrical storm. We recommend thatyou unplug the power and telephoneline cord for the duration of thestorm, as damage is not covered bythe guarantee.

Plan the location of yourResponse 123e
Situate your Response 123e closeenough to the phone and mains powersockets so that both cords will reach.
1 Check your telephone wallsocket
If you do not have a modern phonesocket, call Freefone 0800 800 150 andask for a BT engineer to come and fitthe correct one. This is a chargeableservice.

2 Plug the power cord into theback of the machine
To prevent the cord being pulled outaccidentally, hook the power cordaround the cord grip.
3 Plug the adaptor into a mainspower socket and switch on
Your Response 123e will announce,“Answer on, answer delay, time saver.”The message counter will flash between0 (no messages) and C.
CORD GRIP
Press and release the � Skipand Skip � buttons to selectthe correct minute.
When the correct minute isannounced, press and releasethe Stop button. The clock isnow set and your Response123e announces the currentday and time.
To check the day and time setting
Press the Stop button.
5 Set the ringer switch
The ringer switch is on the back of the base.
There are two settings:
Ringer On – The phone rings when youreceive an incoming call.
Ringer Off – The phone does not ringwhen you receive an incoming call.

4 Set the day and time
Your answering machineinforms you of the day and timeeach message was recorded, soit is important you set theanswering machine clock.
If there is a power failure, thedisplay will flash C. You willneed to re-set the day and time.
Press and hold down the Stopbutton until the current day isannounced.
Press and release the � Skipand Skip � buttons to movebackwards and forwardsthrough the days of the week.
When the correct day isannounced, press and releasethe Stop button to store.
The current hour is thenannounced.
Press and release the � Skipand Skip � buttons to selectthe correct hour. YourResponse 123e uses the 24-hour clock (“13” is 1pm,“14” is 2pm and so on).
When the correct hour isannounced, press and releasethe Stop button to store.
The current minute is thenannounced.

6 Plug your Response 123e intoa telephone socket
Your Response 123e is now ready for use.
Wall-mounting yourResponse 123e (Optional)
1 Using a 3mm bit, drill two holes in thewall 103mm vertically apart. Insert thewall plugs (if necessary) then screw in the screws, leaving a small gapbetween the screw heads and the wall.
2 Route the line cord and power cordthrough the channels on the base ofyour Response 123e.
3 To prevent the handset from fallingwhen the base is wall-mounted, youneed to slide out the handset clip,rotate it 180° and re-insert it.
4 Fit the wall-mounting bracket to thebase of the phone.

5 Place your Response 123e over thescrew heads and gently slide down.
Handset park
If your Response 123e is wall-mounted,if you move away from the phoneduring a conversation, you can rest thehandset on the handset park, as shown.

To use the secrecy function
During a conversation, you canspeak to another person in thesame room without the callerhearing.
Press and hold down theSecrecy button. Your callercannot hear you.
Release the Secrecy button totalk to your caller again.
To use the R (Recall) button
The Recall button is used with switchboards, certain BT Calling Features and othernetwork services, such astelephone banking.
Making and receiving calls
To make and receive calls
To make a call, lift the handset.When the dialling tone can beheard, dial the phone numberyou require using the keypad.
To end the call replace thehandset.
When you receive a call yourtelephone will ring (unless theringer switch is set to RingerOff, see page 7). Lift thehandset to take the call.
To redial the last number called
Lift the handset.
Press the Redial button. Thelast number called is dialled.
Note
If the last number dialled was longerthan 32 digits it will not be held inthe redial memory.

Note
Use the directory label to make a noteof the numbers you have stored in thememory.
To insert a pause when storing anumber
Press the Redial button at thepoint where you want to entera pause. When you dial thenumber stored in the memory,your Response 123e willautomatically insert the pausewhere it was stored.
To dial a stored number
Lift the handset.
Press the Quickdial button.
Press the button under whichthe number you want is stored.The number is dialled.
To change a stored number
Simply repeat the steps forstoring a number. The newnumber will replace theexisting stored number.
Using the memory to storeand dial numbers
Your Response 123e can store up to 10phone numbers which can be dialled bypressing just 2 buttons. Each numbercan be up to 16 digits long.
To store a number
Note
When storing numbers in the memoryyou will not hear confirmation beepsas you press the keypad buttons.
Lift the handset. The diallingtone can be heard. Whenstoring numbers you will stillhear the dial tone and mayhear recorded messages fromthe telephone exchange.Please ignore this, it does notaffect storing numbers.
Press the Store button.
Enter the phone number youwant to store.
Press the Store button again.
Press a keypad number (anynumber from 0 – 9) underwhich you want to store thephone number.
The number is now stored andyou can replace the handset.

To switch the answering machineon and off
Your Response 123e is pre-set torecord messages (Answer On).
Press the Answer on/offbutton to switch the answeringmachine off. You will hear“Answer off” and , along withthe number of messages, willflash in the message counter.
Press the Answer on/offbutton to switch the answeringmachine on. You will hear“Answer on” and your currentoutgoing message is announced.The number of messages/memos stored is displayed.
To adjust the loudspeaker volume
Use the – Volume + button toincrease and decrease theloudspeaker volume. Thevolume level is shown in themessage counter.
Outgoing message
The outgoing message (OGM) is themessage a caller hears when yourResponse 123e answers a call.
Your Response 123e has two pre-recordedoutgoing messages which you canswitch between:
OGM1 (Answer and record)“Hello. Your call cannot be taken at themoment, so please leave your messageafter the tone”.
OGM2 (Answer only)“Hello. Your call cannot be taken at themoment and you cannot leave a message,so please call later”.
OGM1 allows callers to leave amessage, whilst OGM2 does not.
You can use either of these outgoingmessages or you may prefer to recordyour own (see ‘To record your ownoutgoing message’, on page 13).

Select the OGM you want tore-record by pressing � Skipfor OGM1 or Skip � for OGM2.The current message for theOGM you have selected isannounced. Your Response123e then invites you to recordyour own OGM.
Press and hold down the � Skipbutton to commence recording.After the beep, speak clearlyabout 15–30cm from themicrophone. The messagecounter will flash to indicaterecording is in progress.
Release the � Skip button toend recording. Your Response123e will announce, “Youroutgoing message is…” and willplay the message back to you.
To check your outgoing message
Your current outgoing messageis played back to you whenyou switch the answeringmachine on by pressing theAnswer on/off button. If theanswering machine is alreadyon, press the Answer on/offbutton to switch it off, thenpress it again to switch it backon again and hear your currentOGM. The message counterswitches between P (messageplayback) and the currentlyselected OGM, eg. 2.
To switch between OGM1 andOGM2
Press and hold down theAnswer on/off button. YourResponse 123e will announce,“Please select outgoing message”.
Press � Skip for OGM1 orSkip � for OGM2. Themessage for the OGM youhave selected is announced.Your Response 123e then invitesyou to record your own OGM.
Press the Stop button. The OGM is set.
To record your own outgoingmessage(s)
You can record your ownoutgoing messages for OGM1and OGM2, each up to 3minutes long.
Note
OGM2 is ‘Answer only’ so yourversion of this message should notinvite callers to leave a message.
Press and hold down theAnswer on/off button. YourResponse 123e will announce,“Please select outgoing message”.

To delete your outgoing message
Press and hold down theAnswer on/off button.
Select the OGM you want todelete by pressing � Skip forOGM1 or Skip � for OGM2.
During playback of your OGMpress the Delete button.
Your Response 123e will returnto the pre-recorded outgoingmessage (which is thenannounced).
Receiving messages
In order to receive messages yourResponse 123e answering machineshould be:
• Switched on. (See ‘To switch theanswering machine on and off ’, on page 12).
• Set to OGM1. (See ‘To switch betweenOGM1 and OGM2’, on page 13).
Callers can leave messages of up to 3minutes long. However, your Response123e will terminate a call under certainconditions:
• If a caller pauses for more than 4seconds when leaving a message.
• If the memory becomes full duringrecording.
• If the incoming message lasts longerthan 3 minutes.
Indefinite back-up of messages
Your Response 123e will save allmessages you receive indefinitely untilyou delete them. Your messages will notbe lost in the event of a power cut ordisconnection from the mains power.
Memory full
If the answering machine memorybecomes full the message counter willflash . Your Response 123e will notrecord any more caller’s messages andyou will not be able to record a newoutgoing message or record memos. If any of these functions are tried whilethe memory is full, your Response 123ewill announce “Memory full”.
To clear space in the memory you willneed to delete some or all of themessages. See ‘To delete individualmessages’, on page 16.
Answer delay
The answer delay is the number oftimes your Response 123e rings beforeanswering calls. The answer delay ispre-set to 6 rings. You can choose frombetween 2 and 9 rings or Time Saver.
Time Saver
The Time Saver setting can avoid youthe cost of a call when accessing yourmachine remotely from an externaltelephone. When set to Time Saver yourResponse 123e will answer after 6 ringsif no new messages have been recorded,

or 2 rings if new messages have beenrecorded. See page 17 for moreinformation on Remote access.
To check the answer delay setting
Press the Skip � button.The current setting isannounced and displayed inthe message counter.
To set the number of rings beforeyour Response 123e answers calls
Press and hold down theSkip � button. The currentsetting is announced anddisplayed in the messagecounter.
Release the Skip � buttonwhen the desired setting isdisplayed. Your Response 123ewill announce the new setting.
Memos
You can use your Response 123e torecord memos which can be playedback by another user. Memos arestored on the answering machine likecaller’s messages and can be any lengthup to the maximum recording timeavailable (12 minutes).
To record a memo
Press and hold down the � Skip/Memo button. YourResponse 123e will announce,“Please speak after the tone. To end recording release thebutton”. Speak your memo.
To end recording, release the � Skip/Memo button.
Playing your messages andmemos
Message counter
The number of messages stored onyour Response 123e is displayed in themessage counter, eg. . If you havemore than 9 messages or memosstored, the message counter will flash .
To play back messages and memos
Press the Play button. YourResponse 123e will announcethe number of messages youhave stored.
Your messages and memos arethen played back in the orderthey were received and yourResponse 123e announces theday and time of recording.

While your messages are beingplayed back:
Press the � Skip button onceto replay the current message,or twice to return to theprevious message.
Press the Skip � button to skipforward to the next message.
Press the Stop button to stopplayback.
When you reach the lastmessage you will hear, “End ofmessages. To delete all messages,press delete” and the messagecounter will count down from8 to 0.
To delete individual messages
While your messages are beingplayed back:
Press the Delete button todelete messages one at a time.
You will hear, “Message deleted”and the next message will beplayed.
To delete all messages
Wait until playback of allmessages has finished and youhear “End of messages. To deleteall messages, press delete”.
Within the 8 second countdown,press the Delete button. YourResponse 123e announces, “All messages deleted”.
Call screening
You can let your Response 123e answeran incoming call and hear the caller'svoice through the loudspeaker, so youcan decide whether or not to take thecall in person.
To screen calls, make sure the answermachine is switched on and make surethe loudspeaker volume is set to anaudible level.
When the phone rings, let the machineanswer the call and wait until the callerbegins to leave their message.
If you choose to speak to the caller inperson, pick up your handset. YourResponse 123e will automatically stoprecording and reset to answer new calls.

Remote access allows you to switchyour Response 123e answering machineon and off and listen to your messagesfrom any Touchtone™ telephone.
Accessing your Response 123e
To help keep your messages private,your Response 123e requires you toenter a 3-digit security code before youcan access your messages.
The pre-set code is 000 . This can onlybe changed using your Response 123etelephone.
To check your security code
Press the Delete button.Your Response 123e announcesthe current security code.
To change your security code
Press and hold down theDelete button. You will hear,“Security code setting”.
Release the Delete button, youwill hear “First digit” and thecurrent setting is announced.
Use the � Skip and Skip �
buttons to move up and downthrough the digits (0 –9). Eachnumber is announced as youskip through.
When you hear the numberyou want, press the Deletebutton.
You will then hear, “Seconddigit” and the current setting is announced.
Choose the second digit usingthe same procedure and repeatagain for the third.
When you have set all threedigits, your new security codeis announced.

Operating your Response 123e
To operate your Response 123eremotely
Call your Response 123ephone number.
After listening to the outgoingmessage press the ✱ button onthe phone you are using. Youwill hear, “Please enter yoursecurity code”. You have 8seconds to begin entering yourcode. If you do not, you willhear, “Thank you for calling” andthe line will be disconnected.
Key in your security code.
You will hear “You have ‘x’ newmessages” and the messagesare played, or “You have nonew messages”. At the end ofyour messages your Response123e announces “To hear themain menu press 1”.
You now have 8 seconds toenter the main menu beforeyour Response 123e hangs up.
Follow the instructions in themain menu to control youranswering machine (see‘Remote access menu’).
Note
If you enter the wrong security code you will hear, “Incorrect security code,please enter your security code”. If youenter the wrong code again you willhear, “Incorrect security code, thank youfor calling” and disconnects the line.

To switch on your answeringmachine from another phone
This is useful if you forgot toturn on your answeringmachine before going out.
Ring your Response 123ephone number. After 20 ringsyour machine will then answer the call. You can thenaccess your Response 123e asdescribed on the previous page.To switch your answeringmachine on, press the 7 buttonfrom the remote main menu.
Please note
While listening to your outgoingmessage, pressing the 5 button willreset it to the pre-recorded outgoingmessage.

No dialling tone
Check the telephone line cord iscorrectly connected to the wall socketand the phone.
You dial and nothing happens
You may be connected to an exchangewhich has not been modernised. Call BT on Freefone 0800 800 150 forinformation.
The phone does not ring
Check the ringer is not turned off. (See page 7).
Check the telephone line cord iscorrectly connected to the wall socketand the phone.
Are there too many other phones orfaxes connected to the same line? (See‘How many telephones can you have?’,on page 23.)
You hear the dial tone or recordedexchange messages when storingnumbers
This may happen when storingnumbers. This does not preventnumbers from being stored.
Message counter does not displayanything
Check that mains power adaptor iscorrectly connected to the wall socketand the phone.
Outgoing message does not record
Speak clearly, close enough (15–30cm)to the microphone when recording your message.
Check that the memory is not full.
Incoming messages do not record
Check that answering machine is set toAnswer on. (See page 12).
Check that answering machine is set to OGM1. (See ‘Outgoing message’ onpage 12).
Check that the memory is not full.
You cannot hear your messagesduring playback
The loudspeaker volume may be set too low. Increase the volume using theVolume+ button.

There is a silence in the middle ofrecorded messages
This may be a message recorded byaccidentally pressing the Memo button.Delete as you would a normal message.(See page 16).
If you forget your remote access code
Press the Delete button. The currentaccess code is announced. (See page 17).
Your Response 123e cannot beoperated from another phone
Check the phone you are using is aTouchtone™ phone or is set to tonedialling.
Check you are using the correctsecurity code. (See page 17).
When entering your code, make sureyou allow enough time, at least 2seconds, between digits for yourResponse 123e to recognise each one.
Some cordless telephones andpayphones are not compatible.
The display flashes with a C
There may have been a power cut, oryour Response 123e may have beendisconnected from the mains power.A flashing C means you need to re-setthe day and time, follow the instructionson page 7.
Noise interference coming throughthe loudspeaker
This may be caused by a mobile orcordless phone being placed too near to your Response 123e.

Guarantee
Subject to the terms listed below theguarantee will provide for the repair of,or at BT’s or its agent’s discretion theoption to replace the Response 123e, orany component thereof, (other thanbatteries), which is identified as faultyor below standard, or as a result ofinferior workmanship or materials.Products over 28 days old from the dateof purchase may be replaced with arefurbished product.
The conditions of this guarantee are:
• The guarantee shall only apply todefects that occur within 12 monthsfrom the date of purchase, providedthat the equipment is sent to therepair address within this period.
• This guarantee does not cover anyfaults or defects caused by accidents,misuse, fair wear and tear, neglect,tampering with the equipment, orany attempt at adjustment or repairother than approved agents.
• This guarantee does not affect yourstatutory rights.
Within the 12 month guaranteeperiod:
If you experience a problem with yourResponse 123e please read the Helpsection or call the Helpline on 0870605 8047. Calls are charged atnational rates.
In the unlikely event of a defectoccurring, please return the product,with the receipt, to the place of purchase.
Outside of the 12 month guaranteeperiod:
If your product needs repair after theguarantee period has ended, the repairmust meet the approval requirementsfor connection to the telephonenetwork. We recommend that you callthe Helpline on 0870 605 8047 forinformation on our recommended repair agents.
If you have to return yourResponse 123e
Pack the unit securely, preferably in theoriginal packaging. All parts must bereturned including the mains poweradaptor. We cannot take responsibilityfor goods damaged in transit.

Technical information
How many telephones can you have?
All items of telephone equipment havea Ringer Equivalence Number (REN),which is used to calculate the numberof items which may be connected to anyone telephone line. Your Response 123ehas a REN of 1. A total REN of 4 isallowed, if the total REN of 4 is exceeded,the telephones may not ring. Withdifferent telephone types there is noguarantee of ringing, even when theREN is less than 4.
Switchboard compatibility
This product is intended for use withinthe UK for connection to the publictelephone network and compatibleswitchboards, which support tonedialling and time break recall. If indoubt please consult your serviceprovider.
BT accessories andreplacement items
