Battlefield High School Choral Department Travel Rules & Expectations

Choir members are expected to use their best judgment at all times, remembering that their actions

directly reflect upon their families, school and community. LUGGAGE

1. Each student will be allowed one large and one small suitcase or one large suitcase and a garment bag along with a small carry-on bag.

2. All luggage must be clearly tagged or marked with the student’s name/address/phone number and Battlefield High School.

GENERAL RULES

1. All rules of the facility must be obeyed (i.e., hotel, airport, museums, etc.)

2. Each student is responsible for making sure that his/her luggage is loaded at the airport and onto buses.

3. Only ipad /phones or similar devices with headphones are permitted on the trip. NO external speakers allowed.

4. A roll call will take place before departure. Students will cooperate with the chaperone by being quiet and responding in an appropriate manner.

5. Students should be dressed appropriately at all times. This includes no pajamas as outer garments. Please pack

according to weather forecast. The Battlefield High School dress code will be in effect.

6. THE UNAUTHORIZED POSSESSION OR USE OF DRUGS, POSSESSION OR USE OF TOBACCO OR ALCOHOL IS STRICTLY PROHIBITED DURING THIS AND ALL MUSIC DEPARTMENT FUNCTIONS. ANY STUDENT WHO VIOLATES THESE RULES WILL BE SENT HOME AT THEIR PARENTS’ EXPENSE. THIS ALSO APPLIES TO OCCUPANTS OF ANY ROOM WHERE DRUGS AND/OR ALCOHOL ARE FOUND.

7. PRINCE WILLIAM COUNTY CODE OF BEHAVIOR WILL BE IN EFFECT. The rules and regulations governing

Prince William County students while in attendance at school are in effect throughout the entirety of the trip. Any major infractions will result in a parent being contacted and the student being sent home immediately. A major infraction includes, but is not limited to, possession or consumption of alcoholic beverages, tobacco products, or medications not reported on the medical information form. Please note that possession is as great an offense as consumption.

HOTEL AND AIRPORT REGULATIONS As a general rule, students should speak in hotels, airports, and restaurants in a normal speaking level and avoid calling out in a raised voice. Upon arriving at the hotel, students are asked to inspect their room for damage to property and report to their chaperone immediately. Before checking out, chaperones will do a room inspection. In the event of unexplained theft or damage, all occupants of the room will assume financial responsibility. Students may not use the room pay-per-view movies but may watch normal television. Students are not to use the room phone for long distance calls but may use lobby pay phones or personal cell phones. Students are not to order room service or order from outside the hotel. The student must see their chaperone if extra towels or linens are needed. Please, students, do not call the front desk yourself.

1. The nightly curfew will be 11:00 pm (unless changed by Mr. Burney). Curfew means that students should be in their assigned rooms preparing for sleep. Lights out will be thirty minutes after.

2. No student is to leave his/her hotel room from curfew time until wake-up time the following morning. This includes going to the vending or ice machines. This is explained in the next rule. Failure to comply with this rule will result in being sent home at the parents’ expense.

3. The hotel we are staying at are hosts to visitors on all types of trips. Students must understand and respect the

other guest’s rights of privacy and quiet. There must be no “horseplay”, excessive noise, or roaming the hotel grounds.

4. Students are not to leave the hotel grounds for any reason other than the planned trips.

5. Young Men and Young Ladies may NOT visit each other’s rooms for any reason. If you wish to speak to each

other, you may talk in the hallway. Failure to comply with this rule will result in being sent home at the parents’ expense.

6. Only BHS students and chaperones will be allowed in our hotel rooms. Students are strictly forbidden from

visiting any other guest’s rooms in the hotel.

7. There will be no ordering out for pizza. Bring your own snacks.

8. Students will cooperate and be respectful to your adult chaperones. Remember to THANK THEM!!

CHAPERONES

1. Music Department chaperones travel with the choir to assist Mr. Burney. Any problems or concerns should be brought to his attention immediately.

2. Although chaperones are assigned to certain students, it should be understood that all chaperones are responsible for and available to ALL students during the entire trip.

3. Assigned Chaperones will conduct a room check at curfew each night. The Chaperones will then report to Mr.

Burney with the results.

4. Every medical problem, regardless of severity, must be reported to the nurse/doctor on the trip.

MEDICATIONS

1. Each student must complete and submit a Medical Permission Form for all doctor prescribed medications needed daily.

2. Each student must also complete and submit a Medical Permission Form for pain reliever/ fever reducer (Advil or Tylenol) in case of illness. All non-prescription medications must be a NEW/UNOPENED bottle.

3. PLEASE NOTE: You must submit the COMPLETED Medical Permission Form, with PHYSICIAN SIGNATURE,

when turning in ANY/ALL medication to the nurse. Please submit all medication and form in a Ziploc bag labeled with student name.

GENERAL INFORMATION

1. All students must attend all scheduled activities and be on time.

2. Students are advised to bring between $100-$150 for food/snacks/souvenirs not included in the package.
