1. 0 AN OVERVIEW OF SANDRINGHAM YACHT CLUBSandringham Yacht Club (SYC) is extremely excited by the prospect of hosting the Australian Yachting Championship. As a highly competitive racing yacht club, SYC have made a significant investment in ensuring we have a capable and well-resourced race management team. A well-structured training and development program has produced several International and National Race Officer’s within our club, backed by a highly skilled team of support staff and volunteers. Our on water assets are second to none and last year we acquired our new flagship Race Management vessel “Endeavour IV”, a perfectly suited Steber 43 Flybridge cruiser.

SYC has a strong tradition and history of hosting high profile events which have included various State, National, and World Championships, as well as several more recent “signature” events including the ISAF Sailing World Cup, Sail Sandy, Sail Melbourne and the TP 52 Southern Cross Cup. We consider our track record to speak for itself in this regard, and our sailing waters are widely recognised to be some of the best and fairest in the World with reliable and consistent winds assured.

Our modern and recently developed facilities make us the perfect venue for any world class sailing event. The boatyard, marina, and on-site services cater for all the expected requirements of the competitors. Our food & beverage, and function offering consists of the Ken King “by the water” wet bar and canteen, members bar & lounge, public restaurant, the Olympic function room (for up to 70 guests), and the recently renovated Port Phillip function room catering for up to 300 guests. Our large external balcony is positioned directly on the water’s edge overlooking the racing area. Spectators and competitors alike will enjoy the 180 degree views of Port Phillip, and to the north the city of Melbourne.

Logistically SYC have the required land based infrastructure to ensure the efficient running of the event. We have a dedicated Regatta and Media office, jury facilities, and a large on-site carpark. Good local accommodation, public transport, and surrounding car parks ensure ease of access to the venue for competitors.

But what really differentiates SYC is our welcoming and friendly club culture. As guests of our club, all competitors will receive “honorary membership” for the duration of the event which will allow full access and enjoyment of the club. Our staff will do their best to ensure a visit to our club is a great and memorable experience!

We see this as a terrific opportunity to showcase our race management capabilities and facilities, while fulfilling the key objectives of the event. All of this within the confines of arguably some of the best and fairest racing waters in the world! Thank-you for the opportunity to present this proposal and we look forward to the prospect of an Australian Yachting Championship at Sandringham Yacht Club.

2. 0 PROPOSED EVENT DATESSYC’s proposal to host the Championship extends to both 2017 and 2018.

In keeping with the key objectives and criteria of the event, SYC’s view is that;

› The event should run as a standalone regatta.

› If run in the southern states of Australia, it would have the greatest chance of success if;

› Conducted in the timeframe of 2017 & 2018.

› Held in January for a duration of five to six days, immediately preceding the ‘Festival of Sails’ at Geelong.

› It is envisaged that the exact dates and duration would be determined in consultation with Yachting Australia.

The rationale behind this recommendation and proposal is;

› It provides sufficient time to market the event and allows competitors time to plan and prepare for it on their annual programs.

› There are reliable daily sea breezes and warm temperatures around this time of the year.

› The event is after the Sydney to Hobart race when many of the target competitors would be “on route” back to the northern states. This makes for a convenient and timely logistical exercise.

› It does not conflict with the “Festival of Sails” and would actually provide an excellent feeder event for those competitors wishing to do both events (this type of format has worked well previously).

› The proposed dates provide excellent alignment with all other pre-existing events nationally and should not conflict with any other events on the Keelboat yachting calendar.

3. 0 OUR SAILING WATERSIt is proposed that the racing be conducted on the waters of Port Phillip immediately adjacent to Sandringham Yacht Club.

The SYC club balcony provides spectacular and close up views of the racing area with course marks located as close as 100 metres to the club house.

Dependent upon the range and mix of yachts the event attracts, sufficient sea room & resources exist to run multiple course areas (without overlapping) should the need arise.

Suggested Regatta Format (to be determined in consultation with Yachting Australia):

Day 1 Registration & Welcome Function

Day 2 Course Racing

Day 3 Course Racing & Competitors Function with a fun party theme to be determined

Day 4 Reserve / Lay Day

Day 5 Passage Race

Day 6 Course Racing & Presentation Function

SYC has the existing systems and resources in place to provide scoring for the event under IRC, ORCi, and a Yachting Australia approved PHS system.

4. 0 RACE MANAGEMENTRACE MANAGEMENT – OUR TRACK RECORD

SYC have hosted many successful regattas including;

› ISAF Sailing World Cup (2010-2014) / Sail Melbourne (1995-2009)

› Sail Sandy

› TP 52 Southern Cross Cup 2013

› World Championships in Tasars, J24, 14’ Dinghy, 11M One Design and many Australian Championships including Flying Elevens, Sabot, International 420’s and International Cadets.

› National and State Championships in J24’s, Farr40 and S80s

› And of course the Finn class in the 1956 Olympic Games

We consider our track record to speak for itself in this regard, and our sailing waters are widely recognised to be some of the best and fairest in the World with reliable and consistent winds assured.

RACE OFFICIALS

As a highly competitive racing yacht club, SYC has a highly capable and well-resourced race management team. Our passionate race management team is highly capable of delivering this regatta.

VESSELS

Our on water assets include our new flagship Race Management vessel “Endeavour IV”, a perfectly suited Steber 43 Flybridge cruiser. This, together with a fleet of well-equipped race management vessels would be dedicated to the delivery of the regatta.

RACE MANAGEMENT TOWER

The clubhouse tower, perched on the third floor of the clubhouse, has clear lines of sight to the race course allowing coordination and overall management of the event and safety procedures.

RISK MANAGEMENT

SYC maintains an appropriate safety plan (on-water). Please refer to the appendixes.

RACE DOCUMENTS

SYC will work closely with Yachting Australia to put in place the appropriate regatta documentation in a timely manner.

INSURANCES

SYC maintains appropriate insurance policies including public liability insurance of not less than $20,000,000. We would be happy to discuss our various policies and levels of cover, we are confident you will find them adequate.

5. 0 THE SYC COMPETITOR OFFERAll competitors and onshore crew will enjoy experiencing our ‘Sandy Hospitality’ which naturally includes honorary membership. This is what is on offer…

CLUB BOATING FACILITIES

Our marina offers excellent berthing for competitors within minutes of the race track.

Competitor berthing is well supported by excellent yard and land based facilities including a boat yard, forty tonne travel lift, two keel pits, fuel and all tide double lane ramp.

Our marina and yard is complimented by a wide range of onsite services include a chandlery, shipwrights, mechanics, marine electronics, rigging, trimming and marine service centre.

Several sailmakers are located within close proximity to the Club and we will make arrangements to ensure they are on stand-by.

CLUB HOSPITALITY

The ‘Sandy Hospitality’ offer will be second to none.

The SYC Clubhouse offers a vibrant Member’s Bar and adjoining Member’s Lounge, a relaxed restaurant with Harbour views, a range of private meeting rooms including the Olympic Room, Commodore’s Room, Training Auditorium and a smaller meeting room located within the main office. The Port Phillip Room is the clubs flagship function room with an adjoining private deck area and green room.

At the entrance to the Marina, our beloved ‘Ken King Centre’ also provides a marina based food, beverage and bottle shop facility together with excellent change room facilities.

The Member’s Bar overlooks the Bay and the clubs main start line. Trading for lunch and dinner 7 days per week, the bar has a reputation for delivering excellent food and beverage. The adjoining Northern deck is an extension of the main bar and there is no better place to spectate the regatta and enjoy the fresh, summer bay breezes. Extended competitor team privileges includes access to the bar and northern podium.

The Port Phillip Room is the clubs flagship function room offering stunning bay views with floor to ceiling windows. Regatta events will be staged in this stunning room overlooking Port Phillip.

The Training Auditorium will be the ideal regatta office for the regatta. Nestled in the heart of the clubhouse on the ground floor, it offers close proximity to the marina, all weather flooring, high ceilings, audio visual facilities, Wi fi, and a wide range of options for fit out and setup.

The Olympic Room is a special multi-purpose room available for briefings, board meetings, intimate dinners, cocktail parties, conferences or corporate support event. Featuring invaluable Olympic Games memorabilia, this is a very popular room that is fully licensed.

The Commodore’s Room is situated next to the main guest relations reception desk downstairs and offers an ideal protest hearing room for up to 10 people. We have also seen it adapted in regatta mode for jury, result processing or media purposes, it is small in size but very handy.

Our RTO Classroom is an ideal jury room. With seating for up to 14 people, this is another great room situated alongside the regatta office.

Free Wifi is available throughout the SYC Clubhouse for competitors via our wireless network.

Disabled Access is available throughout the SYC clubhouse and facility.Just in case we also have a mobility scooter, wheelchair, onsite defibrillator, first aid room and several first aid trained staff well versed in handling incidents and emergency responses.

SURROUNDING INFRASTRUCTURE

Sandringham is located 15km south of the Melbourne CBD. Accessible by road and water, SYC is nestled in the heart of the Sandringham Harbour in the City of Bayside.

Local accommodation options include a range of local hotels and motels. SYC will also reach out to its Membership and endeavor to provide a homestay option.

Public Transport options include a local bus network on Beach Rd and two train stations within a 10min walk. The train lines connect directly through to the City.

Competitor Parking will be provided in Treybit Reserve, a local sports oval within 250m of SYC.

Local infrastructure includes two shopping strips within a 10 minute walk providing a full range of supermarket, cafes, restaurants, pharmacies, travel agents, bars and local shopping options. The Sandringham Hospital and a range of medical service are located within 5-10minutes of SYC.

6. 0 COMMERCIAL RIGHTSWe recognise the commercial terms of the EOI paper and it is well understood at SYC that commercial support is a mandatory component of funding an event of this nature.

SYC has a vast network of industry contacts and partnerships. With clearly agreed parameters in place, we will draw on their support to achieve an affordable entry fee of approximately $400 per boat.

SYC has long established partnerships with a range of brands that are crucial to the ongoing viability of our Club. Whilst those partnerships require protection, we look forward to working with Yachting Australia to achieve favourable commercial rights outcomes in this regard.

7. 0 MARKETING & COMMUNICATIONSSYC will create a high profile Australian Yachting Championship.

SYC will engage a leading journalist and photographer and equip them with a dedicated media boat and driver.

The dedicated media room will be situated at the marina head building within close proximity to the marina, the berthed media vessel and central to proceedings.

The ‘Sandringham Yacht Club’ brand is well established in yachting circles and this is reflective of our marketing efforts aligned to the many high profile events we have hosted over an extended period. The ISAF regattas, Osaka Cup, TP52 Southern Cross Cup are appropriate examples.

We will tap into our resources to spread the word including but not limited to;

› Daily press releases distributed to an agreed media database

› Publication to event website

› Publication to club mediums including website, facebook, Instagram and twitter.

8. 0 OUR ANCILLARY EVENTSSYC looks forward to hosting the welcome function, trophy presentation and other regatta events.

We are fortunate to have a highly regarded food and beverage offer, excellent facilities and glamourous views. We will bring these elements together for each event and ensure all in attendance enjoy our hospitality.

It goes without saying but all events will have a dedicated, highly experienced event manager.

A couple of things to highlight…

The Port Phillip Room is the clubs flagship function room offering stunning bay views with floor to ceiling windows. What’s more, this room recently received a stunning facelift. We would be pleased to host the welcome function and trophy presentation in this room.

The Welcome Function is fully costed into the package as specified and we have assumed a cocktail party format with a duration of 3 hours. All other events are not costed and, we assume, will be ticketed or can be set up as ‘pay as you go’.

“Endeavour IV”, our new flagship Race Management vessel, is a perfectly suited Steber 43 Flybridge cruiser. YA’s 4 guests will be more than comfortable on this vessel throughout the regatta.

SYC has flexibility with all aspects of its catering offer as it is Club managed. We look forward to discussing the events with you.

9. 0 FINANCESThe SYC General committee has endorsed the running of this event. Our preliminary budget takes up the expected items including race management, welcome function as specified, jury expenses and media expenses including a journalist and photographer. The mid regatta function and trophy presentation function expenses are assumed to be ticketed or pay as you go.

Financial support will need to be achieved from a range of sponsors to meet a target entry fee of $400 per boat.

SYC has a vast network of industry contacts and partnerships and we will draw on their support to achieve this affordable entry fee.

11. 0 OFFER VALIDITY & FORMAL AGREEMENT

This offer to host the 2017 & 2018 Australian Yachting Championship is valid for a period of 90 days from the date of submission, being 25th September 2015.

SYC reserves the right to cancel this offer in the event of Yachting Australia and SYC failing to reach and execute a formal agreement.

› SYC 2015 Membership Booklet – this gives a detailed overview of our overall Membership offer which is pertinent as all AYC competitors will receive honorary membership during the regatta – they will be treated as part of the family.

The Royal Geelong Yacht Club (RGYC) wishes to endorse and support Sandringham Yacht Club's (SYC) bid for

It gives me great pleasure to write in support of the Sandringham Yacht Club's (SYC) bid to host the Australian Yachting Championships. Our municipality is located on the eastern edge of Port Phillip Bay and has an established reputation as one of Melbourne's leading centres for water-based recreation and leisure activities.

The Sandringham Yacht Club is a significant resource on Port Phillip Bay, is situated in the Sandringham Harbour, right in the heart of the City of Bayside. The Club is held in very high regard in the local community and has an established reputation for holding well organised, world class events.

Council is a long-time supporter of major events at SYC including the ISAF World Cup,1999 World Championships and several World and National Title events over the last two decades.

SYC offers a stunning location on the foreshore of Port Phillip and the Australian Yachting Championships will make a great addition to Bayside's events calendar.
