OrgPublisher Basics1. The Agency OrgPublisher chart, when accessed (at the web address above) defaults the

user to a page referred to as the “Directory View” (http://orgcharts.state.pa.us/agency/default_dir.htm ) . This page displays all positions, filled and vacant, within the agency:

2. To narrow the number of results shown in the Directory View, the “Search” tab has dropdowns that allow the user to search for employees/positions that match specific criteria. The search is defaulted to “Name” and the user may enter the Last then First name of a desired employee then click “Go” or hit Enter to conduct the search:

3. Other search criteria can be specified by clicking the dropdown to find employees/positions using different selection parameters such as Position Number or to find all employees/positions in a particular organization by searching on Org Id:

Identifying essential positions from the Directory View1. Once the desired results are displayed, the Directory View can be used to gather work

address information as well as identify which positions are considered essential for COOP purposes.

a. The column entitled “Org 24X7 Ind” indicates whether the position resides within an organization that operates 24 hours a day, 7 days a week. All positions within a 24X7 org are considered essential within the online agency chart and are marked accordingly, although it is acknowledged that this may not be the reality in all organizations or scenarios.

b. The column entitled “Essential Pos Task” identifies essential positions based on the fact that the position holds essential functions for agency operations and has been assigned the “Essential/COOP Position” task in SAP.

2. If either of these fields contain an “X”, the associated position is considered “essential” for COOP purposes:

3. A group, “Essential Positions”, has been added to the agency chart and can be accessed while in the Directory View.

a. Select “Groups” from the tabs at the top of the page then select the “Essential Positions” group. When the group is clicked, the results below will be limited to those positions in the agency which are either in a 24X7 Organization or have the Essential Pos Task assigned:

b. The results above can be exported to Excel by clicking the “Open search results in Microsoft Excel” icon at the bottom of the page:

Identifying essential positions from the Chart View1. To view essential positions within a reporting structure, the most senior position of the

desired reporting structure should be selected. To select the position from Directory View after searching for and identifying the desired position, single left-click the record and select “Go to person in chart” from the list:

a. A chart will display showing the person/position selected and the direct reports. All essential positions have a red “+” in the bottom left corner of the position box:

b. To see additional positions in the reporting structure, additional levels can be viewed in the chart by using the level dropdown at the top of the page:

Identifying essential positions from the Profile View 1. Clicking the “Profile View” icon while in the “Chart View” will display detailed information

regarding the selected employee/position (select an employee/position by clicking on the name, personnel number or position number). The “Essential Pos Task” and “Org 24X7 Ind” fields as well as work address fields are available in the Profile View as indicated in the red boxes on the next page:

2. Both the “List View” and “Search View” mimic the layout of fields available in the “Directory View”; however, the “Search View” provides additional options not available

in the “List View”. To toggle between views simply click on the words “List View” or “Search View”.

a. The “List View” pertains exclusively to the employees/positions displayed in the chart above the view. This view cannot be exported. As before, essential positions will be identifiable by an “X” being present in the “Org 24X7 Ind” or “Essential Pos Task” columns.

b. Initially, the “Search View” provides a list of all agency employees. This list is searchable and will change the chart displayed above it if a new employee/position

is selected. To identify and list all positions under the reporting chain of a specific position, click the personnel number of the employee at the top of the reporting chain in the “Chart View”. This will change the “Search under” name within the “Search View” to the selected employee. Now, check the “Search under” box. The list below will update to reflect all positions under the reporting chain of the selected employee:

c. To limit results to only essential positions in a particular reporting chain, while the “Search Under” checkbox is checked, click the “Groups” tab and select the “Essential Positions” group. This will display all essential positions under the

reporting chain of the selected employee. All positions listed will have an “X” in either the “Org 24X7 Ind” or “Essential Pos Task” columns:
