Overview

Spring Fling was held April 19, 2013 in conjunction with several Oglesby Union events, including the FSU High Flying Circus Home show, Paint-a-Pot, Breakfast for a Buck, films at the Student Life Cinema and Cosmic bowling. The event was free to FSU students with a valid ID, $15 for non-FSU students, and free for those under 12. Students were able to win prizes at game booths, get free food and enjoy rides, such as the Ferris wheel.

History of Spring Fling

Spring Fling is an annual carnival-like event that is held in the spring of each year. The event began in 2008 to create a Union-wide event centered on the “Big Friday” in April prior to finals that provided alcohol-free entertainment. Each year marquee events such as carnival rides, paint-a-pot, bowling, and showing films at the Student Life Cinema have been kept while adding new and varied events such as the Food Truck Throwdown and Kids Zone.

Planning Process

This event is planned by a committee consisting of staff members from the Student Activities Center, the Art Center, Crenshaw Lanes, the Student Life Center, Flying High Circus, Union Marketing, and Union Administration. Student leaders on Union Productions also serve on the committee. Invitations have also been extended to Greek Life, Residence Life, Aramark, and Campus Recreation in an attempt to bring other campus partners in on the planning. The committee is chaired by the Graduate Assistant for Major Events and Involvement

Attendance

Based off the number of wristbands that were distributed 2,188 students attended this year’s Spring Fling Festival.

Of those students who attended Spring Fling 2013, 208 students (9.5%) completed the survey. The majority of participants who were surveyed, 39% said that they had never attended Spring Fling prior to this year. The majority of respondents lived off-campus (63%) while the rest lived on-campus, (37%). There was a large amount of junior (30%) and female (73%) participation. See Appendix A to view the demographic charts.

Marketing Plan

• Teaser and schedule handbills • Table tents in dining halls • 11 x 17 posters • 24 x 36 posters • Website, website announcements, social media announcements • Vinyl, reusable banner • Semi-gloss signage banners for residence halls • Yard signs the week of event • Circus program booklets

Highlights Spring Fling was filled with different carnival rides, food vendors, and other activities. Overall, 98% of survey respondents enjoyed Spring Fling. Out of a variety of valid written responses, the top three Spring Fling activities attended were carnival rides, food trucks, and bands in the Club Downunder. Similarly, the top three favorites of those surveyed were food-related, ride-related , and games and activities related. The main reasons people attended Spring Fling was to enjoy the activities (37%) and because they were hungry/ free food (34%). The use of food vendors as part of the food truck throwdown was successful as 97 percent of those surveyed stated they would eat at the food vendors again. The top top food vendors were Lucy and Leo’s (71%) and Dog Et Al (61%). The majority of those surveyed (56%) plan on definitely returning to Spring Fling next year.

Spring Fling 2013 Observations Following Spring Fling, a wrap up meeting was held with the planning committee. At the wrap up meeting committee members gave their feedback about aspects of Spring Fling they observed. Please see Appendix C for a full list of observations and recommendations for the event.

Recommendations Used From Last Year

• Increase involvement from student organizations • Begin the selection of entertainment and promotion of events at an earlier time in the Spring

semester • Provide a more diverse selection of entertainment to entertain a diverse crowd • Work with SOAR Board to increase student organization tabling/involvement at actual

event (i.e. Haunted Harvest carnival tables)—suggestion to table up Woodward walkway like Carnival ‘Midway’

• Add volunteer shifts for wristbanding, break it into 2 or 3 (either two 3-hour shifts or three 2-hour shifts) to allow student volunteers to also participate in the event

• Try to confirm CDU entertainer MUCH earlier (to ease marketing) • Facebook event didn’t get out early enough this year • Distribute ResLife posters at least 2 weeks in advance • Good idea to have online waivers before the event and to have the printed list at a specific

wristband table. It was advertised that we were “closing” the online waivers at 2, but we didn’t print the list until just before the event began, so we ensured that all students who had filled out an online waiver were able to just come pick up their wristband

Page 8: April 19, 2013 · food and enjoy rides, such as the Ferris wheel. History of Spring Fling . Spring Fling is an annual carnival-like event that is held in the spring of each year

7

Recommendations for Next Year

• Place food trucks along Crenshaw • One more ride or another game trailer could fit and be used for next year pending budget

allocation • Keep rides on the Union Green and people on the sidewalk and, if possible, divide the lines

better and use barricades • Keep the same timeline for marketing • Make rain plan earlier and incorporate it into planning • Use Woodward walkway to connect to the ASLC • Evaluate if RSOs fit purpose of event or involve them in different ways, such as having a

Haunted Harvest like activity and making it a Market Wednesday feel • Better advertise event and ensure all advertising, especially regarding registration and

waivers, is clear, consistent, and organized • Increase activities (i.e. more face painting) and bring back popular favorites (i.e. Henna

tattoos) • Incorporate more food trucks and variety of food • Have maps available, in addition to the schedule, to show students where each activity is • Increase the variety of rides and consider bringing back popular favorites (i.e. swings, rock

climbing, etc.)

Conclusion Overall, the event was successful and continues to improve each year. This year, food truck vendors were utilized as part of a food truck throw down to incentivize participation. The splitting of the food trucks due to the rain plan caused some confusion for students. In the future, a map should be placed on the schedule or in a central location, such as by the registration, so students can see where all events and activities are located. Additionally, students noted unclear or inconsistent times and processes for the registration on marketing materials, social media and the Union website. The marketing plan itself was successful and should be implemented again.

Moreover, the use of RSOs in conjunction with the event should be evaluated as many did not feel engaged and had little traffic during their tabling. Either the use of RSOs should be eliminated or their role should match the event, such as hosting a carnival game. If weather holds up, the event should work to expand to the Woodward walkway to better bridge a connection to the ASLC. Some student suggestions have been adding more carnival rides or food vendors and diversifying the selection. These suggestions would have to be evaluated with the budget, time and space available

Text Response

Make it a bit cheaper for guests and more people will come

DJ and dancing

N/a

Great job overall! Well advertised. The only issue is the waiver. It was unclear in the advertising that we needed to fill out the waiver before picking up the wristband.

Personally believe funding for Spring Fling, concerts (Such as Kendrick Lamar) should be removed from the budget and these funds should be used for scholarships, free school supplies, or lower intuition.

better weather, check the forcast prior to schedualing

I didn't know about the event til the same day, I wish I had received an email ahead of time

Nothing!

It was perfect, I always enjoy this event!

perfect!

More free food =)

water rides :P

nothing, but the impression relies also on factors like weather.

More food trucks

none

More food variety and maybe different rides. Small roller coaster?

maybe get different rides each year. switch it up

more food vendors,need more variety

None

Lucy and leos

More food options

More rides!

BETTER FOOD, and just because the food is free doesn't mean it has to suck. you could charge them a dollar if you want as long as the quality improves

Nothing keep up the good work !!

Bring back the swings and rock wall!! More food vendors :)

Advertise the event better.

bring back the spinning swing thing, popcorn, cotton candy, ice cream

More clear registration process

more rides

Need to have more typical carnival food like popcorn and cotton candy, I was disappointed that these were not offered this year. Also, the rock wall and Lucy and Leo's were missed.

Page 17: April 19, 2013 · food and enjoy rides, such as the Ferris wheel. History of Spring Fling . Spring Fling is an annual carnival-like event that is held in the spring of each year

16

Early registration was at 10:30 am, people were lined up only to get to the booth and be told they had to fill out a waiver online. Lots of people got frustrated for having wasted their time as none of the fliers said anything about this. The only reason I knew about it was because I found out about the spring fling from the actual website and just happened to see the waiver. Also, inconsistent information. The website said it begins at 8, the banners said it begins at 7, the oglesby union calendar said it begins at 5. I asked student activities office and they had no clue which was right. I found that frustrating.

More activities!

More games or activites like rock climbing. And bring back the cute photo booth that prints out your pictures

I think for serving upwards of a potential 40,000+ student body population, the Spring Fling was a little small.

The lines for the Paint a Pot and Breakfast for a Buck were extremely long. Maybe in the future try to organize this a little better to have two lines or make things move quicker. Also the rides were really cool, but if there were the slightest chance a carousel or bumper cars would be really awesome.

More rides, maybe in a larger open location.

Put the DJ and music where people have to wait around outside/near the rides so we can dance while we wait. ; D

Free bowling

Make the music less loud... hearing damage is not fun.

The games were a very nice touch, but maybe to improve next year's Spring Fling incorporate a variety of games. Otherwise, it was great! Looking forward to next year!

More activities, variety of music suck as house and country

You should do something to make the lines a little shorter

Nope y'all did wonderful!

If you want to reduce drinking, make the events about an hour or so later.

Have more food

More rides

Better organization for getting wristbands, the Facebook page and the event page gave different instructions and the station was a complete disaster when you actually found it.

had no idea that there was more to do in the ballrooms, it was not obvious that there was more to do than what was on union green

It'd be nice if it was planned around the weather so that people don't get poured on.

More activities maybe!

More games like the bowling ball carnival game would be fun, we always like the chance to play frustrating games worth prizes.

More food trucks

circus people on stilts walking around and taking pictures. more lights. cotton candy.

I loved the activities in the Ballrooms; I would like to see that again.

More food trucks!

I think there should be a rain site for bad weather; Also, I think having more food trucks would have less of a wait time for students. Also, having larger portion sizes would be beneficial.

Maps. If cravings truck was there and I didn't see it then I'm pissed. If it wasn't there I'm just sad. Doesn't have to be a map in everyone's hand maybe just a big one that Illustrates where everything is so you don't miss anything you would've loved to do. I almost missed Lucy & Leo's and Tacos Gringos but my friend showed me just in time.

Bring back the flying chairs! Bring more food trucks.

Page 18: April 19, 2013 · food and enjoy rides, such as the Ferris wheel. History of Spring Fling . Spring Fling is an annual carnival-like event that is held in the spring of each year

17

If it were possible to publicize the events and get more people to sign up for wristbands prior to the night of, that would be helpful. I had some friends who wanted to attend and go on rides, but they became confused and decided not to go. Also, many people didn't know there was free food

More face painting stations

Chinese lanters to light the way

Please hire more people to do face painting!

a better list of all the things that were happening and where. Example: which groups were tabling in the union ballrooms and what was available up there in terms of food and events (face painting, hula hoops, dancing)

Keep the carnival rides. They're awesome

Have a ferris wheel that doesn't go in ridiculous speeds.

a bigger selection of carnival games and food

Gamer themed!

won't be here next year, sooooo

During the day time

Put all of the food trucks in one area. Many people didn't know there were trucks in the union circle

More food vendors!

Bring back the swings!!!!!

More free food, better events in the ballrooms (face painting is kind of lame).

There was inconsistent advertising on what time the spring fling was to begin.

N/A

None

Even bigger!

Everything was fantastic! I only wish it started earlier in the evening so that I could've gone to either the movie or the show at Club Downunder. But I didn't want to miss any festivities from the carnival so I didn't make it to either of those events.

It would be nice if things were spread out a little more, even though I know that can be difficult. Also maybe a way to shorten the lines

Henna tattoos. Hire more persons for face painting and balloon animals! Also, even thought it's corny, I would have loved to have gotten some of those old fashioned silly penny toy and party favors by doing activities. Even these small prizes would have encouraged me to do something. I would have liked to see a kiddy fishing booth (like the one where you get a prize and someone is behind it. lol!) Old school games like that would be charming to me and remind me of childhood in addition to the games and activities already. I enjoyed my first Spring Fling. :)

I dont Know

Maybe have the food more in the same place so it's easily accessible and easier to point out. For example, I couldn't find Lucy and Leo's! :(

See previous comments regarding balloon makers. Also, the one lady running the bowling game was crazy. The other two were great and really entertained students. It is a great game but she could afford a talk on how to speak to students - she drove a lot of people away.

more paint-a-pot

There should be more food booths. There seemed to be more food booths at last year's Spring Fling. I was slightly disappointed that there was no funnel cake booth.

More rides

Page 19: April 19, 2013 · food and enjoy rides, such as the Ferris wheel. History of Spring Fling . Spring Fling is an annual carnival-like event that is held in the spring of each year

18

Everything was great

Limit the amount of times people can play a game in a row.

N/A

Earlier start time.

n/a

Get more help so the lines aren't so long. This would allow students to participate in more activities

Have a better layout for the food trucks. Didn't know some where even there.

Appendix C: Spring Fling 2013 Assessment Wrap-Up Meeting Notes Wednesday, April 24, 2013

• Rides o Good to have people walking on the concrete not on the green o There was some line congestions but not too bad because of the weather o The Ferris wheel on the green is good because you can see it from Tennessee o Gravitron is best- high number of students at once o Ferris Wheel takes a long time

• Entertainment

o The band was misplaced; they were not heard because of the background noise o The DJ on the porch was good Market Wednesday feel o Move the band to the amphitheater with sound reinforcement o Karaoke was very popular; they can have their own station and pair with Pinoy

• Games

o Game trailer lady was screaming at students cannot come back

• Novelties o Face painting is very popular o Maybe bring back Henna tattoos o Using local vendors has been positive and cost effective o People stayed in line for 45 minutes for caricatures

• Food

o Extend food corridor out more to better line management

• RSO Tabling o Student groups in ballroom not god and didn’t feel engaged o Maybe put the RSOs in the courtyard or connect to SKLC via Woodward o They were bored in ballrooms and didn’t get traffic

• SLC

o SLC sold out second Linings show o No phantom classic next year- only 7 people this year o Blockbusters only o Scavenger hunt was terrible- not enough PR and poor management started

planning too late so if we do it next year, much more planning is needed- could use company SCVNGR, buy codes in bulk

Page 32: April 19, 2013 · food and enjoy rides, such as the Ferris wheel. History of Spring Fling . Spring Fling is an annual carnival-like event that is held in the spring of each year

31

• Paint a Pot

o Much smoother this year o Clear time slots o Used all the pieces

• Marketing

o Table tents were good o Yard signs stolen o Banners reusable o Posters in residence hall o SLC slide and circus program o Plan was set early so that was good o Handing out schedules helped

• Facilities

o The green didn’t get trampled too bad

• Security o Security guards were flocked together instead of maintaining their station

• Recommendations for Next Year

o Game trailer contract o Food trucks along Crenshaw o Need to divide the lines better and use barricades o Should we just purchase barricades and keep them in storage/ fence? o One more ride or another game trailer for next year could fit but pending budget o Keep rides on the Green and people on the sidewalk o Keep the same timeline for marketing o Make rain plan earlier o Use Woodward walkway to connect to SLC o Make it a Market Wednesday feel if we invite RSOs o Do RSOs even fit purpose of event? o Maybe have Haunted Harvest like activity for RSOs but then that lowers sign-up
