AOA-36 Welcome Letters
Barry Hubert, MBA, FACMPE, COPM • AOA 2017-18 President
“You can read all the textbooks and listen to all the records, but you have to play with musicians that are better than you.” - Stan Getz
What is true in jazz is also true for us as professional managers: We can study to expand our knowledge, but to become our best in performance, it is vital to band together with our peers – especially those who have skills and experience that we have yet to attain.
I joined AOA in 2000 as I made a career change to medical management. I found it a great resource for information as I busily scaled the learning curve of my new profession. Years later, I attended my first AOA Annual Educational Conference, and that’s when the music started for me: I was hooked! I discovered an amazing community of professional colleagues whose skills surpassed mine, and they were eager to share their wealth of knowledge to promote my success. Even after nearly two decades in the business, I still turn to my fellow AOA members for insight, suggestion and collaboration. I’m deeply grateful for everything I’ve learned from them over the years.
Please join us this September in the birthplace of jazz for the very best in ENT-specific education and professional networking. It is truly the high point of the year for our association. I am so proud of our volunteer leaders, committee members, and the staff at our AOA Office. They have composed an event that will inspire you, expand your knowledge, and allow you to foster personal connections that will sustain you throughout the challenging year ahead. Not only that, but my friends in event planning have lots of fun in store for us. You don’t want to miss it!
Remember, “It’s the group sound that’s important, even when you’re playing a solo. You not only have to know your own instrument, you must know the others and how to back them up at all times. That’s jazz (Oscar Peterson).” See you soon!
Carlos Vargas, MBA, MHR • AOA-36 Program Chair
Esteemed AOA members: It’s time to Jazz Up Your Skills in the Big Easy! New Orleans, the birthplace of jazz and well known for its cuisine, is where AOA-36 will take place Sept. 12-15, 2018, at the Hilton New Orleans Riverfront Hotel. The conference promises to be the best source for otolaryngology-specific knowledge, professional development, and networking for all attendees.
Your fellow AOA leaders have assembled a wealth of ENT-specific seminars, training and discussions. We have also secured some of the best educators and subject matter experts in the field of finance, marketing, management, human resources, and coding. Motivational speakers will inspire and give you “a shot in the arm” to keep performing at your best.
The annual educational conference is where we gain the most by taking a couple days away from the office to polish our skills. Come to New Orleans this year to jazz up your management knowledge, jazz up your leadership expertise, jazz up your communication skills, and jazz up your ability to motivate! I guarantee you that by attending this year’s conference, you will improve these skills – and ultimately improve your business’ bottom line.
In addition to our personal and professional growth, there will be several networking events to share unique NOLA experiences and have a good time. Who knows, maybe you will be the main attraction as a participant in a second line parade with a brass band!
Sign up today – hotel rooms and seats are going fast!
Joanne Gauthier, COPM • AOA Education Chair
Make plans today to attend AOA-36. Expect big things in the Big Easy!
The AOA-36 Annual Educational Conference is the only ENT-specific educational conference for practice management personnel, and this year’s educational offerings are going to be epic. As practice leaders, we need to show our commitment to lifelong learning and stay current in the ever-changing fields of medicine and practice management. You and your practice are sure to come away from this meeting as big winners.
The Education Committee (with considerable help from other members of the AOA leadership team) did an amazing job of pulling together a roster of top-notch speakers as well as ensuring that there will be something for everyone: coding, current healthcare trends, compliance, finance, human resources, leadership, technology, team building and more. In addition, there will be abundant takeaways for practice leaders at all levels, from all practice sizes, as well as valuable networking opportunities and an exhibit hall packed with innovative and exciting solutions for your practice.
I hope to see you, jazzed up and ready to learn, this September in New Orleans!

Opening Ceremonies and Patrick Connolly Founding Father Lecture Keynote Address: The Promise
Jason Hewlett
The Promise is the highest level of engagement we commit to in any experience. It is stronger than a Goal, more powerful than a Commitment. Why set a goal when you can make a promise? What promises are you keeping with your patients, doctors, your team and yourself? What promises might you be breaking? Does your brand and the experience you project match the reality of the experiences.
Jason Hewlett demonstrates how to keep The Promise using "laughed till I cried" humor plus world-class music impersonations. This talk will touch your minds and hearts, while providing leadership and customer experience development.

With 30 years of experience as a managed care executive, economist, and physician consultant, Mr. Howrigon brings a uniquely broad perspective on the healthcare system. Participants will explore and discuss how recent changes in healthcare will affect medical practices, and predict how healthcare is likely to evolve over the next decade. 102 Defending E and M Services
Sean Weiss
The result of government and commercial payer audits devastated healthcare organizations of all sizes financially and operationally. In 2017, the Department of Justice (DoJ) recovered $2.4 billion from federal healthcare fraud cases. While a lot of these settlements and recoveries came from larger healthcare organizations, a staggering portion of the dollars were made up by solo and small physician groups from across the country. The money taxpayers spend fighting fraud is an excellent investment for the government: For every $1 spent on healthcare-related fraud and abuse investigations in the last three years, more than $5 has been recovered. “Medical Necessity,” Documentation of Evaluation and Management Services, Application of Modifiers, and Bundling Edits comprise the top targets for recovery. This session, led by Mr. Weiss, Partner and Vice President of Compliance for DoctorsManagement, LLC, will be leading this discussion and providing a “real-world” explanation of the risks otolaryngology practices face and how to mitigate those risks in the above mentioned target areas. Do not miss this opportunity to dispel the myths of evaluation and management service coding to set your practice on the path towards confidence in your code selection!
105 Grassroots Advocacy Training: Can You Make a Difference?
James Denneny, MD
Join Dr. Denneny, Executive Vice President of the AAO-HNS, as he discusses how you can advocate for healthcare issues both governmentally and in insurance issues. He will discuss what grassroots advocacy is, how to do it both with resources available through the AAO-HNS, as well as advocating to correct or influence legislators and healthcare insurers. Margaret Mead once said, “Never doubt that a small group of thoughtful, committed citizens can change the world.” Dr. Denneny will give you the tools to make a difference.

SS3 The Changing Face of Customer Service: How Social Media and Online Review Sites Have Altered the Way Patients See and Communicate with You and the Critical Steps You Need to Take Control of the Conversation
Jennifer Thompson
Social media has not only emerged as THE platform for reaching potential patients, but has become the go-to choice for those of us expecting instantaneous 24-hour feedback, referrals from our peers, to share experiences, to vent, and to communicate with businesses. Let the era of social media customer care begin. Research shows that companies that improve their customer experience from "average" to "wow" can see a 30-50% improvement in key measures (that means more happy customers, many who will then share their positive experience online). When it comes to patient interactions, it’s now vital for doctors and practice administrators to understand what the next generation of being online means, and to have a plan for managing it effectively. Mastering the art of social media customer care is a fundamental part of keeping your patients happy, resolving their problems or questions quickly, and boosting your credibility.
SS4 How to Design the Perfect Waiting Room for Patients
Brigitte Granger
What if a few changes to your practice’s waiting room could positively impact your patients’ perception of care, improve satisfaction scores, reduce patient anxiety, and increase referrals? Believe it or not, your waiting room may have more to do with patients’ overall satisfaction than their medical care. With the rise of doctor rating sites and a more competitive healthcare environment, it’s in your best interest to offer your patients the best experience possible the minute they walk through your door. Join us to learn how patients prefer to spend their wait time, secrets of a successful waiting room design, and practical technology and hardware solutions (with a few additional surprises along the way). We’ll show you how you can make your waiting room a pleasant and productive space for your patients with just a little creativity and a small investment.

SS1 Effective Contract Negotiation: Beyond the Rate
Bob Glazer; Ron Howrigon; Kevin Watson
Medical practices can no longer afford to accept whatever the insurance companies offer. To remain successful, they must ensure that their contracts reflect the realities of doing business, including the cost of acquiring advanced technology, high staffing costs arising from the trend toward sub-specialization, the need to remain profitable to continue serving patients, and the flexibility to participate in new business partnerships and ventures. Getting the right terms in your contract requires facts and skillful negotiation. It also requires knowing in advance what constitutes a reasonable offer, and what you should refuse. Join us while we do a scenario based mock negotiation of the contracting practice and identify the steps needed to successfully negotiate contracts that will benefit the patient and physician office.

201 Everything You Ever Wanted to Know about Otology Procedures Coding
Kim Pollock
This session will take a "deep dive" into coding for otology procedures. The ear anatomy will be discussed as it related to CPT coding. The combination of the speaker's many years as an otology nurse and national recognition as an otolaryngology coding expert will provide you with an in-depth understanding of coding for otology procedures. We will discuss an extensive number of procedures, from the "simple" in-office to "complex" operating room, including placement of tympanostomy tubes, tympanoplasty, mastoidectomy, stapedectomy, implants, vestibular nerve section, removal of acoustic neuroma, and repair of semi-circular canal dehiscence.
202 Instrument Processing
Crit Fisher
To avoid cross contamination of infectious pathogens, endoscopes and their associated accessories are cleaned and disinfected or sterilized (reprocessed) between each patient use. Failure to properly reprocess endoscopes and accessories could potentially expose patients to bloodborne pathogens and harmful bacteria, which may result in serious patient injury or death. To reduce the likelihood of cross contamination, healthcare personnel need to consider developing and adhering to comprehensive, model-specific reprocessing protocols. This session will teach you the best practices to follow when taking care of these critical medical devices.
203 The Resilient Manager
Will Latham
Medical group managers work in challenging times, with challenging people, doing a challenging job, and are expected to produce at a high level. If you can build your resilience, you’ll have an easier time facing new challenges and coping with stress. This program outlines techniques to prepare for difficult situations and how to bounce back.
205 Medical Scribes and Clinical Documentation Integrity
Adele Allison
A study published in the Annals of Family Medicine in September 2017 found that, on average, physicians spent 5.9 hours of an 11.4 hour workday (> 50%) in an EHR and around 1.4 hours after clinic. Of that time, 44% was spent on clerical and administrative tasks, including documentation, order entry, billing and coding. Data entry is now an essential task to maintaining a sustainable medical practice. However, recent EHR workflow studies show that over 50% of physician time is spent toiling with electronic health record (EHR) tasks during clinic; and, nearly 90 minutes after hours. With data driving financial earnings more than ever in a value-based world, many are looking to medical scribes as a growing solution to the developing problem of clinical documentation integrity. This session will investigate the opportunities, pitfalls and best practices associated with integrating medical scribes into your practice workflows.

215 Managing Up!
Deborah Phairas
Managers need to successfully learn to manage up to achieve results by influencing their physician bosses. It is difficult to communicate to your physician boss that certain behaviors are keeping the practice from achieving optimal success. This session will discuss qualities physicians want in a manager, qualities physicians do not like in a manager, coaching physicians toward productivity, the importance of strategic planning, and managing change. Ms. Phairas will explore the five steps for presenting recommendations for behavioral change and how to instill team spirit, and will feature group sharing of successes, team building and problems.

Less than 30% of your staff is engaged! Engaged means relating to each other and especially the patient. The patient experience leads to improved satisfaction scores but more importantly leads to a value based outcome from the overall care delivered. We will review the why, how, what, when, and where to improve engagement opportunities for each employee and their direct impact on the patient. An engaged patient will be more compliant with the treatment plan, another focus of our discussion.

322 A Gumbo of Good Ideas
Lee Silber
What if one session covered several key ingredients to being the best at what you do? What if it were fast, fun, and full of workable ideas? This session is just that, a gumbo of important skills all blended together to give you the maximum amount of information in the minimum amount of time...starting with clever ways to be more efficient on a daily basis. Also mixed in with efficiency is excellence (how to use your natural tendencies to your advantage), education (shortcuts to learning what you need to know to get ahead and stay ahead), enjoyment (a refreshing look at your work and how to fall back in love with it), and environment (how to create the work environment you've always wanted to work in through leading by example). It's all in this Gumbo of Good Ideas.
323 ENT Group Mergers – Are the Opportunities Greater in 2018?
Robert Glazer; Max Reibolt
This presentation will provide the most up-to-date discussion, review and first-hand examples of how ENT groups are aggregating in 2018 and will continue to do so in years beyond. We will consider not only the various options of aggregation and/or affiliation, we will break these down in a matrix summary that considers the key issues and areas of concern. These pertain to all things from relational to financial and of course, strategic and tactical. The session will be educational, informational, tactical and strategic in nature, presented from both the consultant facilitator’s expertise and the front-line administrative view. After the presentation, the attendees will be able to utilize the information to further their strategic and tactical decisions relative to their aggregation/affiliation options. We will provide definitive takeaways in “hard copy” forms that will illustrate how to pursue these strategies—both independently and collectively with other like-minded ENT (and allergy) practices.
324 You Used to Call Me on the Cell Phone
Eric Christensen
Cell phones are everywhere and they aren't going anywhere. With them brings added risk to the privacy of our patients including the opportunity for recording video, pictures, and instant online posting of sensitive PHI. What steps can we take to protect our organizations? How can we safely utilize cell phone technology? How can we use cell phone technology to improve our care delivery systems? Failure to have a policy in place related to technology can lead to PHI violations and breaches. What steps do healthcare organizations need to take to protect their practice from data breaches and PHI being released? How can organizations safeguard technology while still allowing patients to have access to their devices to record certain events like the birth of a new child? Finding the balance between patient needs and policy must be at the top of the list to improve patient satisfaction while also preventing breaches.
321 PANEL – Unmask the Potential: Best Practices in Integrating Advanced Practice Practitioners (NPs and PAs) into Your Practice
Abby Covington; Jeff Dudley; Kris McGriff, COPM; Lesli Todd; Brian Woodhead
Many practices hire advanced practice practitioners (APPs). Most practices aren't quite ready to optimize the skills and value of these clinicians. Access to medical care continues to grow, and there are not enough physicians in the field to take care of the patients. Integrated well, APPs can help your practice increase patient access, boost physician productivity, and generate new revenue. Walk away with best practices to optimize APPs' use and your patient load.

333 Should You Buy the Practice Down the Street?
Laurie Morgan
One of your physicians' colleagues in a nearby community is closing shop. It seems like a great opportunity to immediately expand without too much work or hassle ... but how can you be confident it's right for you? Will buying that practice next door help you build revenues and negotiate with payers -- or be a costly mistake? Should you buy your competitor's practice simply to avoid someone else moving into your neighborhood? And who should help protect your practice with tasks like pricing, due diligence, and contract review? It's easy to find published information about selling a practice to a hospital or larger group. But what if you want to take the leap and acquire a nearby practice to grow? It can be a big step in the right direction -- with smart analysis, choices, and advice. This presentation will give you a leg up on all three.

331 Seeing Past Tomorrow: Using Appointment Data to Thrive in the Future
Nate Moore
Appointment data is about as close as a practice manager can come to seeing what next week and next month will look like. Join an interactive discussion on using appointment data to increase opportunities in your practice. We will discuss ways to measure patient access to your providers, to reduce no show appointments, and to maximize capacity of your most important practice resources. See how practices across America are using appointment data to identify and solve problems before patients arrive, to make staff more efficient, and to reduce the number of unsold patient appointments.
332 The Emerging Value vs. Volume Patient Care Paradigm
Leslie Jebson
Adjusting from traditional volume-based to value-based patient care, in both independent and integrated practice, is proving to be a monumental and often sluggish process. The dependency on volume-based care often pushes to the background the critical need to examine, redesign and improve the overall cost and quality of ENT and audiological services. Success in this arena will only come from the operations management planning and the commitment to migrate to that of more organizational streamlining, simplification and critical examination of individual patient care costs and outcomes. This provocative and engaging presentation aims to encourage and provide administrators with specific opportunity examples for moving across the volume to value based patient care paradigm.

Microsoft Excel’s Pivot Table feature is a fast and powerful way to analyze and consolidate large amounts of data and quickly extract critical knowledge. In this presentation, you’ll learn how to use Pivot Tables in a medical practice setting to better track collections, analyze reimbursement, collect accounts receivable, and more. You’ll also see a variety of techniques to filter, sort, group, and manipulate practice data. We’ll also discuss several different applications of Pivot Tables throughout a medical practice. The presentation will be a live demonstration using Excel 2016 for the PC. This workshop includes a light breakfast.

Many of us are promoted to manager/administrator but rarely are trained to be one. Mastering the art and science of effective management requires an additional set of skills that, when learned, can often transform the daunting task of management into something profoundly satisfying. Again this year, AOA is offering pre- and post-conference Boot Camp workshop options to provide a deep dive into several practice management-related topics.
