DESCRIPTION

This is a presentation on Analyze phase identification of Factors by Advance Innovation Group. Analyze Phase of the Six Sigma project is, we try to find out those potential X’s or causes. And to find out those potential causes we organize an extensive brainstorming session. We brainstorm, or we may use various frameworks, we may use SIPOC, we may use Fishbone diagram, we may use FMEA. By using these tools or any one of these tools we try to find out those potential X’s that may have significant impact on my problem Y. As soon as we have a list of those potential X’s, as a Black Belt our first job is to convert those potential X’s into our confirmed X’s. We need to know which of these potential X’s are our confirmed X’s and which of these potential X’s are not our confirmed X’s because we cannot start improvement activity till the time we are not sure that whether these X’s have significant impact on our Project Y or not. Brainstorming

Conduct Brainstorming is a critical way of identification of POTENTIAL FACTORS

Identify the On the Ground Team of the business process

Factor identification and their causal study should be a culture more than a one time activity

Conduct brainstorming sessions with them to find out and find the potential factors that impact

the business process

Ensure that you understand the challenges that lie in the brainstorming session.

Use some techniques to ensure right inputs

Maintain control and be focussed

Brainstorming is a critical skill to acquire for a Lean Six Sigma Black belt and any one aiming at any leadership role.

Mathematical Derivative

Look at the elements that make your project Y

Mostly the formula of calculation of your project Y could be a great start point for identification of

your potential Xs

They reveal important information and take away dependence of the Subject Matter Expert & on

the Ground Team who sometime hesitate to participate.

Eg Handling time = Call Opening Time + Probing time + Issue Resolution Time +……

All these elements make your project Y and hence are definite Xs to your project Y

Existing Data Strata

Study the existing DATA STRATA

Almost never will data exist in silo, there will always be elements of process behaviour,

performance or some rational subgroup.

Study the existing data strata well.

Verify the existing data strata collection being done in the process. Data strata could have

changed need in due course of time.

Study of process performance based on the established strata, this may help you scope your

project at the onset as well.

FMEA – The RCA Column

Failure Mode and Effect Analysis is a handy tool for identification of potential factors during a lean six sigma initiative.

Failure Mode & Effect Analysis

Study the failure points of the process or system.

Root cause of the failure point can point towards process & system issues which would

eventually help draw the improvement plan once the factor is statistically validated for causal

relationship.

FMEA mostly a pre-existing record hence it reduces the Xs’ identification time thereby impacting

the overall project completion TAT.

COPIS

COPIS or SIPOC is only a high level view of the process. Please ensure that you spend time taking a deeper perspective of things.

COPIS – Customer Output Process Input Supplier

COPIS or SIPOC includes I which is Input to the process.

Inputs would always be the Key success drivers & key elements that may cause problems to

the desired process outcome, hence considering them for study would be the right thing to do.

One thing that one should be careful about is the fact that COPIS/SIPOC is often a high level

perspective only hence a deeper insight is advisable in using this as a method of identification

of the potential factors.
