Identify the purpose of the Position Description Questionnaire (PDQ).

• Explain the relationship between the PDQ and evaluation of your position.

• Provide guidance for completing your PDQ.

PDQ Myths:

The PDQ is NOT designed to:

• Measure work load.

• Measure performance or length of time in a position.

• Take account of current salary.

• Provides data about duties and responsibilities of an employee’s position.

• Supports employee and supervisor in discussing and summarizing the position.

• Provides a consistent means to analyze and determine position scope.

• Provides the ability to establish fair and rational compensation.

• Position Description Questionnaire:

(PDQ) is a document describing duties, responsibilities, and requirements of a specific position. Additionally, there are items that describe the co/extra-curricular activities that are performed OUTSIDE of the normal classroom and classroom related work.

Position:

A position reflects the duties and responsibilities assigned to an employee.

Job Evaluation:

Job Evaluation (JE) is the process used to analyze duties, responsibilities, and requirements of a specific position as described on the PDQ.

Positions are evaluated based on the following factors:Accountability

Responsibility for assets

Interaction and coordination

Time commitment

Working conditions

Part 4: Elements of the PDQ

A. Position Identification asks about the name, location, and basic reporting structure.(You will find some of these entries have been provided by your HR Administrator)

B. Position Summary asks “Why (or for what reason) does this position exist?”(Describe the position in a few sentences. Please avoid the use of superlatives (“high quality’, “superior”, etc since there is no question about that aspect of your position.)

C. Position Duties

Identify the essential functions and responsibilities of this position. (indicate approximate percentage of time devoted to each function. The total should be 100%)

• Essential Functions (Identify the broad, major categories of your position, not each task.)

• % of Time (To 5% increments is appropriate)

Part 4: Elements of the PDQ …

D. Position Contacts asks about the people or organizations that this position works with. (Identify the types of people with whom you work. Examples: Parents, Administration, Associations, Health Nurse, transportation companies, etc.)

E. Decision-Making and Accountability asks about the freedom of this position to take action.(Examples: Purchasing services up to $1,000, hiring a new employee, etc.)

F. Mental Effort asks about the job challenges to be resolved.(Examples: Choosing the best person for a particular role, coordinating travel, etc.)

What are the minimum qualifications in terms of education, experience, job skills, and physical requirements of the job which would be required?• Education: (Choose the highest minimum level of formal education)

• Experience: (Examples: 5 years of coaching a sport, prior travel to Europe, etc.)

• Special Training: (Other training, such as health seminars, etc.

G. Knowledge and Experience Qualifications

Part 4: Elements of the PDQ …

H. Personal Attributes asks about the abilities needed to be successful.(Example: Time management, planning skills, etc.)

I. Working Conditions identifies the working environment.(Example: Indoors, outdoors, cold or wet weather, etc.)

J. Physical Requirements identifies the physical abilities required.(Example: Ability to lift 50 pounds, or to stand for extended periods.)

Part 4: Elements of the PDQ …

N. Co/Extra-Curricular - Time Factors asks about the number of activities and the time working on those activities.(Example: 20 baseball practices and games.)

O. Co/Extra-Curricular – Planning, etc asks about the planning and coordinating activities.(Example: Preparing baseball schedule and arranging for travel.)

P. Co/Extra-Curricular – Participants asks about number of events, participants, and assistants, etc.(Example: 10 games.)

Q. Co/Extra-Curricular – Unusual Requirements asks about situations such as parents contacting you at home.(Example: 20 baseball practices and games.)

Part 5: Completing your PDQ

The PDQ is prepared using an online system.

Each participant is provided login credentials to access the system by an invitation letter.

A participant may continue to revise their responses during the

specified time frame. (usually a matter of two weeks.)

Special notes: You may print a copy of your PDQ at any time. This will help your thought process.

Save your work by “Submitting” it at the bottom of the page. If you have an extended period of inactivity (30 minutes), the system will close your session and unsaved entries are lost.

Part 5: Completing your PDQ

You may continue to make changes to your PDQ during the specified period shown in your instruction letter.

Note: When you finish a session working on your PDQ, you will see a Thank You screen.

You may continue to make changes by logging back into the system for the time that is shown on your instruction letter.
