EBO Time Card Management

Purpose

Use this procedure to learn how to use the EBO Time Card view and sign-off on timecards.

Prerequisites

You must have a valid WVU Login account

For more information on the Login accounts, please see http://login.wvu.edu/.

Must be an EBO in the WVU Position Hierarchy

Menu Path

Use the following menu path(s) to begin this task:

Login to MyAccess

Select MyTime heading in the MyAccess wallet of applications

Click on Time Card

Procedure

1. When you click on Time Card under the MyAccess wallet of applications, a new window will open

under the Oracle Time and Labor (OTL) application EBO Search Pane. You will only see this pane in OTL if you are an EBO.

2. From here you are able to search for time cards through various search criteria such as HR Unit,

Supervisor, Pay Period and Status.

3. Review the following fields:

Field Name Description

HR Unit A dropdown list of all of the HR units under your position

Supervisor A dropdown list of all supervisors within the HR Units

Pay Period A drop down list of pay cycles. You will be able to select a pay period from a list of the past 24 pay cycles

Status A dropdown list that allows you to search only on time cards of a particular status

To view all of your supervisors under your units, leave search criteria to their defaults and

click the button.

This shows all supervisors in all HR Units under you with any time card status. As an EBO you have the responsibility to either approve or sign-off a time card.

An employee within the EBO is not able to both approve and sign-off the time card. If an EBO employee needs to approve a time card because the supervisor is unable to do so, a different employee within the EBO will need to sign-off the time card.

4. In this example I want to see only time cards with the status of “Working”, so I will simply change

the Status to Working.

5. And don’t forget to click the Search button to run your search!

Now you will see a list of only those time cards with the Status of “Working.”

6. To view a particular supervisor's list of employees’ time cards, click on the View button in that row.

Here we see a list of that Supervisor’s employees and each of their time cards.

Instructions on how to edit time cards can be found on the MAP website.

7. Once you are ready to Sign-Off on time cards, you must return to the EBO Search pane to do so.

Simply click on that pane heading.

An EBO is only able to sign-off on time cards that have already been APPROVED!

8. To see only time cards with the Status of “Approved”, use your filters.

Don’t forget to click the Search button to execute!

Here we see the list of time cards that have already been Approved and are ready to be Signed-Off.

9. You may choose to sign-off on timecards one-at-a-time. To do this, simply click on the checkbox in

the row of the time card you wish to Sign-Off.

You are able to select ALL time cards in the list by clicking on the checkbox above all other checkboxes.

10. Then click the “Sign Off time card” button.

11. A confirmation window will appear to make certain you want to Sign-Off the displayed time

cards. If you are, click “Submit.”

12. A Success window will appear alerting you that the time cards were successfully signed-off.

Just click “OK” to close this window.

13. This will bring you back to the EBO Search pane. You will not see anything in the list because you

have the filter on “Approved.” To verify the time cards were signed-off, simply change the filter to “Signed-Off” and click “Search.

14. Now you will see a list of all of the time cards that have been Signed Off.

To end your session in OTL, simply close your browser window.
