How  did  we  do  it?  1.  UN  inter-‐Agency/execu@ve  teams  explored  cloud  solu@ons.

2.  Cloud  market  analysis  showed  business  value  and  ICT  Governance  Group  endorsed  the  move  towards  the  cloud.

3.  Engaged  in  a  business  and  technical  selec@on  process.

4.  Technical,  procurement  legal,  and  informa@on  security  teams  inves@gated  risks,  including  protec@on  of  UN  Privileges  and  Immuni@es.  Core  decision  criteria:  business  value,  user  experience,  technical  capabil@es,  ROI,  legal  Terms  and  Condi@ons,  security  and  privacy,  immuni@es  and  privileges.

5.  Independent  analyst  perfomed  Independent  verifica@on  and  valida@on,  focused  on  Total  Cost  of  Ownership,  Informa@on  Security,  and  proper  fit/gap  for  UNDP.

6.  Microsop  Office  365  selected  as  the  UNDP  enterprise  cloud  solu@on,  with  service  offerings  for  project  use  (‘lean’  Microsop  Office  365  and  Google  Apps  for  Business).

7.  Project  proceeded  with  planning,  design,  implementa@on,  tes@ng,  and  change  management.

8.  Phase  One  successfully  completed  this  June:  migra@on  of  email/UC  (22,000  staff/80TB  data).

9.  Phase  Two:  pilot  and  early  adop@on  of  OneDrive  for  file  storage  and  file  sharing,  Office  365  produc@vity  tools  (MS  Word,  Excel,  PowerPoint,  and  OneNote).

Going  to  the  cloud    Gartner  Recommenda6ons

 •  The  decision  of  which  suite

is  determined  by  enterprise  requirements  for  features  and  func@onality  offered

•  If  an  enterprise  requires  legacy  support  for  an  exis@ng  Microsop  system,  it's  best  to  go  to  Microsop

•  If  the  enterprise  has  a  "greenfield"  situa@on,  it  can  pick  from  either  suite

•  Google  Apps  for  Business  offers  the  least  expensive  and  quickest  implementa@on

SaaS  Suites  for  Communica6on,  Collabora6on  and  Content  Management:  Assessing  Google  and  Microso=  |  22  August  2012

•  It  was  incredibly  fun  and  we  learned  a  lot  by  looking  at  the  two  solu@ons  with  their  evolving  roadmaps!

•  Microsop’s  offering  is  rooted  in  client  solu@ons  that  staff  is  familiar  with,  now  with  enhanced  offerings  for  online  collabora@on  and  produc@vity  func@onali@es

•  Google’s  offering  is  a  fully  cloud-‐based  solu@on  and  infrastructure:  interoperable,  innova@ve,  with  streamlined  solu@ons  for  mul@ple  devices,  greatest  costs  savings,  online  capacity  quota,  and  produc@vity  enhancements

Programme  Support  in  Bangladesh

UNDP  has  partnered  with  the  Prime  Minister’s  Office  to  deliver  the  Access  to  Informa@on  (a2i)  Programme,  embracing  ICT  as  a  powerful  enabler  for  Bangladesh’s  socio-‐economic  transforma@on.                                        has  been  very  successful  in  transforming  Bangladesh  into  a  middle-‐income  country,  leveraging  the  benefits  of  ICT  by  improving  tradi@onal  public  services  delivery  across  Bangladesh.

A2i  leverages  the  UNDP  Google  Apps  for  Business  Long-‐Term  Agreement  for  programme  delivery.

Key  drivers  and  benefits  include:

•  Great  value  for  money

•  Easy  to  deploy,  adopt,  and  use

•  Quality  messaging/collabora@on  tools

•  Solid  security  and  compliance

•  Google  Drive,  Docs,  Hangouts,  Google+

BeJer  collabora@on  and  communica@ons

Co-‐authoring  is  great  –  colleagues  can  edit  the  same  document  from  two  different  offices  and  two  remote  loca6ons,  without  having  to  worry  about  whether  we  each  have  the  latest  version,  without  having  to  compare  our  copies  of  the  document.

Patrick  Pee,  Assistant  Resident  Representa6ve,  UNDP  Malaysia

Now  we  can  simplify,  standardize,  and  streamline  communica6ons  across  the  organiza6on,  allowing  UNDP  to  do  what  it  does  best:  providing  knowledge  and  exper6se  around  the  world.

Op@mized  programme  support  With  the  cloud  we  can  now  improve  collabora6on  for  programme  support  and  this  can  lead  to  beNer  communica6on  and  more  produc6vity,  allowing  UNDP  to  improve  its  support  for  our  partners  around  the  world.  Silvia  Morimoto,  Chief  of  Staff,  Regional  Bureau  for  Asian  and  the  Pacific

I  am  pleased  to  be  a  part  of  the  project  team  to  oversee  and  test  cloud  performance  and  capabili6es,  working  closely  with  one  very  proac6ve  migra6on  team.  The  email  move  to  the  cloud  was  unbelievably  seamless  and  func6onality  is  beNer  than  ever…with  nearly  unlimited  capacity  as  well!    Peter  Liria,  Director,  Ethics  Office

Is  our  data  safe  in  the  cloud?  A  lot  of  people  ask  me  if  our  data  will  be  safe  in  the  cloud.    Yes,  it  will,  as  we  have  taken  steps  to  ensure  this.  We've  convened  Chief  Informa6on  Security  Officers  from  many  UN  Agencies  and  came  up  with  ac6ons  to  mi6gate  risk  in  cloud  compu6ng.      Paul  Raines,  Chief  Informa6on  Security  Officer,  UNDP

What  we  did  to  ensure  our  risk  profile:

•  Convened  a  task  force  of  Chief  Informa@on  Security  Officers  producing  a  white  paper  with  recommenda@ons  to  mi@gate  cloud  compu@ng  risks

•  Had  our  legal  team  (singular)  ensure  there  were  contractual  provisions  placed  in  the  services  contract  to  protect  UN  privileges  and  Immuni@es

•  Ensured  UN  privileges  and  immuni@es  were  adequately  protected  •  UN  system  white  paper  on  cloud  compu@ng  risks  and  recommended  mi@ga@ng  ac@ons  •  UNDP  is  cer@fied  by  LRQA  as  following  ISO  standards  27001/2  and  9001  •  Created  an  informa@on  classifica@on  &  handling  guideline  and  associated  on-‐line  training  for  users  to  ensure  proper  user  handling  of  sensi@ve  informa@on  in  the  cloud

Microsop  expressed  astonishment  at  our  rate  of  success,  delivered  in  record  @me  (22,000  accounts  -‐  80TB  of  data  in  under  4  months),  while  Microsop  around  the  world  watched  an  incredible  speed  of  delivery.

Smooth  as  Silk    In  Bangladesh,  the  migra6on  was  as  smooth  as  silk.  The  key  was  worksta6on  readiness  and  great  support  from  the  email  team.  Three  cheers  to  UNDP’s  email  migra6on  to  Public  Cloud!  And  we  look  forward  to  migra6on  to  the  Office  365  produc6vity  suite,  OneDrive!      B.E.M.  Manjur-‐e-‐Khuda,  ICT  Manager,  UNDP  Bangladesh
