About these guidelines

• Here are some tips to help you prepare your PowerPoint file and your presentation on the conference day.

• You may also use this PPT template for your presentation

• There are many websites dedicated to provide useful information for presenters.

• These guidelines are only intended as a suggestion, to help your audience get the most out of your presentation.

Screen ratio

Screens in the meeting rooms at the Adelaide Convention Centre are different sizes, and require that you set your PowerPoint presentation to either 4:3 or 16:9:

If you are using the AIEC template, please note this template is set to 4:3. You can download the 16:9 template from: www.aiec.idp.com/speaker-info

Screen ratio

If you are using your own PowerPoint template, check what room you are in and ensure you select the correct set-up for your room.

How to check you have the correct ratio in PowerPoint Microsoft 2010:

1. Go to ‘Design’ Tab2. Click on ‘Page Set-up’3. Choose 4:3 or 16:9

General tips

• Use 1-2 slides per minute of your presentation, and 4-5 points per slide.

• Use effective titles. Someone should be able to look at the slide and understand its meaning without any explanation from you.

• Use the same wording in your table of contents slide as in your detailed slides. This makes your presentation easier to follow.

• Proof your visual aids for spelling mistakes!• Avoid wordiness• Use key words and phrases only

Font

• We recommend sans serif fonts (ones without the little stalks on the end) such as Arial, Tahoma or Comic Sans.

• Please use large fonts, so its easy to read on screen:– Min. font size you should use is 18-point, and 24-point

font is even better– Min font size for headings is Min 32-point

• Except for very short titles, capitalize only the first letter of a sentence or phrase

• Be consistent with your headings and subheadings. • Use the same font size, and color throughout.

Colour

• The main goal is to obtain contrast between light and dark not between colours.

• Background colours should either be DARK, i.e. black, dark blue, very dark green, very dark purples with LIGHT type or vice versa.

• RED should be avoided unless used boldly on a light background. If red is the background, use mainly clear (white) bold type. Thin red lines on graphs or small red printing against dark backgrounds should be avoided at all times. The human eye is unable to focus clearly on red.

Images

• Use images where relevant• Ensure you have the

copyright to use those images in your presentations

• Photographs should be compressed to 96dpi for screen/web. This will decrease the file size without affecting the image quality.

Graphs and charts

• Use graphs rather than just figures and words. This makes data easier to comprehend and retain.

• Don’t include complex graphs or diagrams that the audiences is expected to decipher

Presentation structure (1)An effective oral presentation, supported by the visual PowerPoint presentation, should be structured accordingly:

• Opening • Outline of main points • Detail of main points • Conclusion • Question period

Presentation structure (2)Opening • Arouse your audience's interest• Demonstrate why the topic is important (ie: why they should listen to you)

Outline of main points • Provide one slide at the beginning of your presentation in the form of a table of

contents/agenda to show the topics you will be covering and the order in which you will cover them.

Detail of main points • Follow the order of your outline• Limit the number of points you make: listeners cannot process as much information

as readers• Be clear when you are switching to a new point: listeners cannot follow as easily as

readers can

Conclusion • Give a summary of your main points
