Advising SLCM_WP_310 1SLCM_WP_310 Advising Course Content Introduction Unit 1- Advising Summary 2SLCM_WP_310 Advising Learning Objectives Upon completing this course, participants will be able to: Search for a student and student record View holds and stops Place and remove advisor holds Create contact notes Review student booking View transfer work View admitted program of student, major and minor 3SLCM_WP_310 Advising In order to access booking, the user needs: To complete the SLCM_WP_310 Advising course and pass the assessment To be designated as a person with the responsibility for booking students into classes To sign the Statement of Responsibility (SOR) Instructions available at: If you have signed the SOR in UK_100, you do not need to sign it a second time If you do not have access, please work with your college contact to get this access assigned The college contact list is located at Prerequisites and Roles 4SLCM_WP_310 Advising Unit 1 Advising 5SLCM_WP_310 Advising Unit 1- Advising Advisor Holds Advisee Records Schedules Addresses Holds/Stops Unofficial Transcripts Program of Study and Major Anticipated Graduation Date 6SLCM_WP_310 Advising Accessing an Advisee Record The advisee record is located on the myUK portal under Student Administration Advising Services 7SLCM_WP_310 Advising FERPA Under the Family Educational Rights and Privacy Act (FERPA), a student can request that their directory information not be shared This means absolutely no information can be released on this student You may still access the data if you have a professional need to know When you select the student, a message box will appear 8SLCM_WP_310 Advising Student Search To open a student record for a student who appears on your advisee list, just click on the students name If a student does not appear on your list, you may conduct a search. Click on the Find a Student box and complete one or more fields, then click the Search button. To select a student, click on the radio button beside the name and click Next. 9SLCM_WP_310 Advising Student Record Display A tabbed list of available information will be displayed Includes Stops/Holds, Schedule, Address, Documents (which contains the Unofficial Transcript), Program of Study, Anticipated Graduation Date, Windows/Events, and myAdvisees. 10SLCM_WP_310 Advising Stops/Holds Tab Stops/Holds tab is the default for the Advisee Record Each stop includes information 11SLCM_WP_310 Advising myAdvisees Tab myAdvisees tab provides a list of the students you advise Students with holds will display a red box in the Hold column Students without holds will a display a green box in the Hold column 12SLCM_WP_310 Advising Lifting Advisor Holds To lift an advisor hold, click in the red box and click on the Lift button To lift the hold on a series of students, you may click more than one red box to select and click the lift button to lift the hold as a group Once an Advisor Hold has been lifted, the red box becomes green 13SLCM_WP_310 Advising Schedule Tab Schedule tab will display the students current academic record 14SLCM_WP_310 Advising Address Tab The Address tab provides the students address(es): Current Permanent International 15SLCM_WP_310 Advising Documents Tab To display an unofficial transcript for a student, click on the Documents tab Click on Unofficial Transcript To print the transcript, click on the Printer icon 16SLCM_WP_310 Advising Program of Study Tab Click on the Program of Study tab to display the students Program(s) of Study, including Major and Minor (if applicable) The students College, Degree, Major, and Minor will be displayed 17SLCM_WP_310 Advising Graduation Date Tab To view the students anticipated Graduation Date, click on the Anticipated Graduation Date tab To enter an anticipated Graduation date, click on the Update button Click on the appropriate date to select, then click Save 18SLCM_WP_310 Advising Viewing Other Records To view another students data, click the Open Student Selection icon Enter the students name, Username, and/or Student Number into the appropriate field Click the Search icon 19SLCM_WP_310 Advising Logging off myUK Portal When you are finished with your work in Student Administration, you will want to log off the Portal To log off the portal, click Log Off To confirm, click Yes Be sure you log out, so that no one is able to access student data using your ID! 20SLCM_WP_310 Advising Summary Advisor Holds Advisee Records Schedules Addresses Holds/Stops Unofficial Transcripts Program of Study and Major Anticipated Graduation Date Click Attachment (upper right corner) to view or print the QRC Lifting Advisor Holds 21SLCM_WP_310 Advising Help Websites For Quick Reference Cards Click on Attachment (upper right corner) Click on QRC Print myHelp website: Contains Quick Reference Cards (QRCs), updated course manuals, Simulations, Frequently Asked Questions, and other job aids IRIS website Contains Information Directory, Forms, and other references 22SLCM_WP_310 Advising SLCM Courses Classroom Lab Courses SLCM_AD_300 Event Planning SLCM_AD_340 Programs of Study & Majors SLCM_CA_310 Student Account Balance Display SLCM Web Courses SLCM_200 Student Lifecycle Management Overview SLCM_AD_310 Student Records SLCM_AD_315 Booking Rules SLCM_AD_320 Booking SLCM_WP_210 Grading SLCM_WP_220 Overrides SLCM_WP_230 SLCM Faculty Overview SLCM_WP_310 Advising 23SLCM_WP_310 Advising Course Summary You are now able to: Access the IRIS Web Portal View an Advising Record Lift an Advising Hold Conduct a Student Search View Addresses View Stops Print an Unofficial Transcript View Programs of Study Edit anticipated graduation date 24SLCM_WP_310 Advising Course Assessment Instructions To begin the course assessment, click Continue (bottom left corner of the screen) Click Here to continue when the system message appears Click Start Test to continue If you pass the assessment successfully, click End Test (located at the bottom right of your screen Click Close (lower right corner of the screen) 25SLCM_WP_310 Advising Course Completion Instructions Click Logoff (lower right corner) When the WBT window closes, go back to your original browser window Click on the browser window in your taskbar and wait for the screen to refresh Scroll down the page until you see the Confirm Participation section To complete the course, click Confirm Participation 26SLCM_WP_310 Advising
