1-1 Aug 2011

1 Overview The BookScan Station is a full featured copier replacement kiosk with several major advantages over

traditional copier systems:

Large user-friendly touch-screen display designed for heavy use

Smart paper detection. Place scanned books and documents anywhere on the glass.

Protects spines on scanned books

No consumables – no paper, no toner

Lower power consumption – no fuser

Minimized moving parts – no printing means no paper jams disabling the machine

Easily configured to use network resources

The BookScan Station consists of 2 major hardware components – the large format book-edge scanner,

and the Host PC. Additionally, there are several options with Automatic Document Feeders that can be

attached to the system.

The FB6080E and FB6280E scanners have an 11” x 17” platen or glass, and has a patented design that

brings the glass all the way to the edge and a gentle slope, allowing a user to place a book on this corner

and scan much further into the margin than a traditional copier or scanner would allow, while removing

the normal damage and stress to the book spine typically seen when placing a book in the middle of a

flatbed. The scanner also will automatically locate the user’s document – the scanner does not require

placement in any specific location of the bed.

The Host PC runs the BookScan Station kiosk software, controlled by the users from the touch screen.

This software provides a simple user interface that is simple and to the point. It manages the entire

scanning process, file conversion, and file transference, whether to USB or across the network. The Host

PC is based on hardware used in restaurants for touch-screen Point Of Sale computers where the

environment is typically too hostile for a traditional PC. The system uses Windows Embedded to provide

the best compatibility with the smallest footprint.

The BookScan Station (BSS) kiosk software provides an entirely enclosed environment for the end-user,

which prevents end-users from leaving the BSS in an unrecognizable state that might prevent another

user from having difficulty using the system.

The BSS software configuration is housed in a set of .ini files stored in C:\Documents and Settings\All

Users\Application Data\BookScanStation. These use the traditional style of having bracketed sections.

Comments and disabled lines start with a ; character. Each INI file controls the specific feature it is

named after, with Configuration.ini having the core settings.

1-2 Aug 2011

In normal operation, the BSS workflow the normal user will have is the following:

Start Screen/login

Select destination

Acknowledge Copyright

Prompt for pre-paid card

Select Output File Format, Color Depth, and Resolution

Document placement display

Scan and adjustment screen

Authentication, Naming, Transferring

Logout/Restart

Depending on configuration, certain screens may be skipped, for example free or coin-op systems will

not prompt for a card.

BookScan Station features and specifications subject to change without notice.

2 Getting Started Quick Checklist As a quick reference, when you have received your new BookScan Station system, you’ll want to do the

following:

1. Unpack and connect the touch-screen system. Additional hardware notes are in section 4.

2. Unpack, unlock, and connect the flatbed scanner. See section 3 for scanner setup details.

3. Unpack and connect any Automatic Document Feeder (ADF) accessories

4. Connect the USB extension from the accessory box to the touch-screen system. If necessary for

the location, use the included cable ties to secure the cable in the covered section under the

touch-screen.

5. Connect a USB keyboard to the touch-screen system

6. Power on the touch-screen system

7. When the system is completely powered up, and the “Touch Screen to begin” screen is

displayed, power on the flatbed. You should see the Windows “Found New Hardware” prompt.

Select the option to automatically detect the drivers, and to continue.

8. After driver detection of the flatbed is complete, power on any additional scanner components.

9. With the USB keyboard connected, press Alt-F4 to close the BookScan Station software

10. Go to the Start Menu, Programs, BookScan Station, INI, Configuration.ini

11. Make sure that ScannerOne= is set to the model of scanner that is connected to the touch

screen. If a BulletScan ADF scanner is connected in addition to the flatbed, set

MultipleScannerSelection=true and set ScannerTwo= to the model of BulletScan.

12. Near the bottom is the [JobButton] section. Enable or disable the different job types as

preferred for your usage.

13. If you will be using Print as one of the Job types, install your print driver(s) now. For configuring

multiple printers see section 10.1.4 for details.

14. If you will be using Email as one of the job types, see section 4.3.3 for getting started, and

section 10.1.6 for in depth configuration.

15. For all other BookScan Station configurations, see section 10.1

2.1 Configuring the security on the BookScan Station Windows security checklist:

1. If the BookScan Station needs to be joined to the domain, do that at this time.

a. The default local administrator account has a blank password. To conform to most

security systems, the local administrator account should be given a password.

b. If the local administrator account has a password set, download TweakUI from

Microsoft.com and configure Windows to automatically login with that account and

password.

2. If your security policy requires accounts that automatically login to be restricted user accounts,

please see the additional security notes in chapter 6.

Page 8: Administrators Guide for Version 3.2.0.0.x Copyright …bookscanstation.com/downloads/collateral/admin_guide_3.2...1-1 Aug 2011 1 Overview The BookScan Station is a full featured copier

2-2 Aug 2011

3. Important! The BookScan Station does not come with anti-virus software installed, and the

Windows updates are disabled. Install the security software and configure the Windows

updates to match your local security policy.

a. For performance reasons it is recommended that anti-virus software be configured to

ignore the c:\Temp folder. In some cases it may be desirable to also ignore connected

flash drives.

4. Reboot the computer and enter the BIOS setup. Set the administrator password to a password

that conforms to your local security policy.

5. The BookScan Station software has an admin PIN allowing you to close the software from the

touchscreen. This is set in the Configuration.ini. The default is 4321. Configure it to match your

local security policy.

6. If a keyboard will be permanently connected, or if the BSS is in a location that is high risk for

malicious users, use the configuration directions in section 8.3 to prevent users from bypassing

the BSS software.

7. If desired, Deepfreeze may be loaded.

4 Touch Screen Setup Checklist

4.1 BookScan Station Touch Screen PC details The BookScan Station Touch Screen PC runs on a special version of Windows designed for use on

Embedded devices. For almost all uses, this system may be treated the same as Windows XP –

specifically when selecting 3rd party software and drivers.

iVina support does not guarantee the behavior of any 3rd party software however, but there is a list of

known issues and FAQs regarding 3rd party applications in section 7 of this document.

4.3 Standard features When making any configuration changes to the BSS software, it requires the software to be closed and

restarted.

The BookScan Station default state is to have the following Job types available to users:

USB

Printer (system default printer)

Email

The BookScan Station supports several other Job types:

SMB network shared folders

FTP

SFTP (SSH FTP)

FTPS (FTP with SSL)

CDRW (BSS1700 internal or external for all others)

Google Docs

All of the BookScan Station software features are controlled within a set of .ini files contained in the

C:\Documents and Settings\All Users\Application Data\BookScanStation folder. There are shortcuts to

each of these files in the Start Menu -> BookScan Station -> INI.

Configuration.ini allows you to enable different job types, control the idle timeout, add the prompt to

continue scanning with the same settings, and several other global features.

If you are unfamiliar with editing .ini files, please contact your reseller for additional support.

All job types will allow you to pick and choose the available file formats, scan mode, and resolution that

the end user will see. This is configured in the appropriate INI file for the job.

4.3.1 Initial Setup – USB

Scan-to-USB works without additional configuration. Enabling file and folder browsing may be done

within the USB.ini file.

4-4 Aug 2011

4.3.2 Initial Setup – Printer

Setting up the Scan-to-Printer job type for the first time requires installing the appropriate print drivers

on the touch-screen system. You may either have the system configured for a single printer or configure

the printer to use different printers for different scan modes (Color, Grayscale, Black & White).

Details on the specifics of this are in section 10.1.4.

4.3.3 Initial Setup – Email

There are 3 parts to configure for Scan-to-Email. Account Creation, SMTP Settings, and Interface

Preferences.

Gmail is a very popular 3rd party mail service that provides SMTP services, and the Sendmail.ini is already

configured to use Gmail.

4.3.3.1 Account creation

The BSS software must have a mail account created on SMTP server. If you are using a Gmail account,

create the account, then you must first perform a “Human” test or CAPTCHA. Open Internet Explorer,

go to Google.com and search for “Unlock Captcha”. The first result should be to a Google link to Unlock

Captcha – go there and follow the directions. Then set the login and password in the sendmail.ini.

4.3.3.2 SMTP settings

The SMTP settings for the BSS are in the Sendmail.ini. If you are unsure of the settings to use, check

with your network administrator if there are any setup sheets for using alternate mail clients, such as

Thunderbird. This is preconfigured for using Gmail.

For using an internal mail server, please reference your own documentation for configuring an SMTP

connection, typically this will be whatever is used for Outlook Express or Thunderbird. Sections

referencing POP3 servers or the inbound mail server are not necessary.

4.3.3.3 Attachment Restrictions and interface preferences

You may set the maximum size of the attachments in Sendmail.ini. Set the below values as appropriate.

The limitmessage is what’s shown to the user on the screen.

limitSize(KB)=5000 limitmessage=Email maximum size is 5MB To change all of the .COM buttons to .EDU buttons on the screen, open Configuration.ini and in the

[KeyboardButton] section set COMOrEDU=EDU

See section 7.1 for more information regarding 3rd party services.

4.3.4 Initial Setup – Enabling or Disabling jobs

The Job buttons that are displayed may be changed through the Configuration.ini file. Go to the

[JobButton] section and add or remove the job entries as listed. When removing a job button, make

sure that there are no blank job buttons in between valid job types.

For notes on how to configure the different job types, refer to section 10.1.

5 Logging Functions The BookScan Station Kiosk software has several levels of logging available.

5.1 Basic Logs By default, the BSS generates a log file that tracks the usage of the BookScan Station by what type of

scans are being performed. These are logged in C:\Documents and Settings\All Users\Application

Data\BookScanStation\Count.ini

Additionally, as seen in section 11.8, the Scanner Properties screen can output a text file includes

hardware history and counts, and other system hardware information.

5.2 Detailed logs All scan activity is logged in “C:\Documents and Settings\All Users\Application Data\BookScanStation

\current log”. There are 3 files:

BSSApplication.log

ScanUsage.log

System.log

BSSApplication.log logs the start and stop times of the application. This may be useful for is identifying if

someone has been attempting to breach security and restarting the system multiple times.

ScanUsage.log has date, time, job type, scan mode, file type, format, resolution, and page count for

every scan batch that is completed.

System.log is for internal use.

5.3 Automatic Monthly Reports The automatic monthly reporting feature relies on the configuration in sendmail.ini to send out the logs.

This must be configured, even if Scan-to-Email is not used. Once a log is sent out, the current log files

are moved to the c:\BSSlogFolder

To enable this, open log.ini. In the [Setting] section set

EmailLogEnable=true And fill in EmailLogToAddress= With the email addresses that will be receiving the log. This supports up to 99 characters, and additional

addresses should be comma separated. You may need to create a junk mail filter for the mail account

assigned to the BSS.

There are several other options which may be configured if desired, listed below:

[Setting]

Page 19: Administrators Guide for Version 3.2.0.0.x Copyright …bookscanstation.com/downloads/collateral/admin_guide_3.2...1-1 Aug 2011 1 Overview The BookScan Station is a full featured copier

5-2 Aug 2011

CreateNewLogMonth(s)= This value allows you to set which months, by number, you will receive the log. In this fashion you can manually configure monthly, quarterly, or any other variation that you desire. CreateNewLogDay= This is the day that the log file is generated and sent out. SaveLogTo=C:\BSSlogFolder This should be left as default unless otherwise directed. [LogFormat] This section controls what information is saved in the logfile DateTime=true Destination=true Pin=false BitDepth=true FileFormat=true DPI=true PagesScanned=true [Record] LastCreateLogDate= Do not adjust this setting, it is an internal counter.

5.3.1 Using the Log Files

After receiving the monthly log, the easiest way to manage this log file and turn it into a usable report is

by using a tool in Excel called a Pivot Report. Use of this tool varies depending on the version of Excel,

however the end result is the same – it provides a matrix that you can use to compare the volume of

scan jobs performed, by which type of job and type of scan.

6 Notable folders and User permissions The BookScan Station software and Scanner driver uses the following folders and their subfolders: C:\Documents and Settings\All Users\Application Data\BookScanStation\ C:\Program Files\iVina\BookScanStation\ C:\Temp C:\FB6080E C:\FB6280E C:\FB2080E C:\S400 C:\S2200 Each different model scanner will have its own folder, and not all of these folders will be present. To operate properly, the BookScan Station must be logged in with a user that has at least Modify or Read & Execute + Write permissions, as set on the Security Tab in the file properties. Normally users in the Power Users group will have the required access for Program Files, but not for other folders in the root of the C drive. All new systems will have the permissions set for the above folders automatically to grant all users the required permissions. If this gets reset for some reason, right-click on each folder, select the “Security” tab and add the permissions as necessary.

7 FAQ for 3rd party issues There are several 3rd party applications and services that are not integrated that still commonly have some interaction with the BookScan Station Known external vendors: Google – Gmail Faronics – Deep Freeze Multiple Vendors – Antivirus/Firewall/Security Microsoft – Windows Embedded iVina has no special relationship with the above vendors. iVina is not responsible for any changes in the

level of service that any unaffiliated vendor provides.

7.1 Google - Gmail Known Issues – Gmail requires a special sort of authentication when it is used as an outbound relay in

this fashion. If a site is configured to use Gmail, the Gmail server may return "Error 5.5.1 -

Authentication Required". To resolve this, do the "human test" captcha at

https://www.google.com/accounts/DisplayUnlockCaptcha

It is unknown if there is a certain amount of time that the Captcha test will unlock a site for.

7.2 Faronics – Deep Freeze Known Issues – None besides the existing permission issues. It is recommended that the C:\Temp folder

is not frozen, and if any of the logging functionality in C:\Documents and Settings\All Users\Application

Data\BookScanStation\Count.ini and the other log folders are needed, then that also needs to not be

locked by Deep Freeze.

7.3 Multiple Vendors – Antivirus and Security Known issues – There are 3 known issues at this point relating to antivirus products.

1. Performance: The c:\temp folder should be unmonitored for best performance. Additionally,

for routine virus scans in the middle of the night, it may be advisable to automatically close the

BSS software for better performance, assuming the system is rebooted or the software is

restarted when completed.

2. False positive for email spam protection - The BSS Software does include a non-Microsoft email

application, and as such may trigger a false positive from some firewall applications. Be aware

that the email feature will send on the ports selected in the Sendmail.ini. McAfee has been

observed in the field blocking email.

3. Expired software licenses. Expired software licenses may cause additional nag screens to pop

up, breaking the user out of the BSS software. It is iVina’s policy that the customers are

responsible for the antivirus software as specified by their enterprise security policy. iVina does

Page 22: Administrators Guide for Version 3.2.0.0.x Copyright …bookscanstation.com/downloads/collateral/admin_guide_3.2...1-1 Aug 2011 1 Overview The BookScan Station is a full featured copier

not recommend using antivirus software that requires manual intervention on a per-system

basis.

7.5 Microsoft – Windows Embedded The BookScan Station 1700 systems run on either Windows XP Embedded for Point of Service (WEPOS)

or POSReady 2009. Unlike Windows XP, these versions of Windows still have mainstream support. See

the links below:

http://support.microsoft.com/lifecycle/?p1=8931 http://support.microsoft.com/lifecycle/?p1=14086 WEPOS and POSReady 2009 are componentized versions of Windows XP and in some cases will not have

certain DLLs and Windows files you may expect from a normal system. When adding the BSS to a

Windows Domain, certain group policies may fail to load. In any environment that relies heavily on

GPOs, it is advised that all BSS systems be put into a container so you have more control over which

policies are applied.

The BSS2050, BSS3050, and BSS3070 run on Windows XP Professional for Embedded Systems, which is

also an extended service cycle product.

features.aspx#xp

7.6 Pharos To configure the BookScan Station to use Pharos, there are several items to configure, it is important

that you identify which Pharos products are being used.

7.6.1 Pharos SignUp

Do the following changes:

Add a USB keyboard Perform the keyboard related security as noted in section 8.3. In the C:\Documents and Settings\All Users\Application Data\BookScanStation\LogOff.ini set the following: LogOffButtonEnable=true JobCompleteLogOffEnable=true AutoLogOffEnable=true AutoLogOffTime(second)=120

8 BookScan Station General Security

8.1 BIOS Security The BIOS is not set with a default password. This is to be set by the customer’s location.

8.2 System Restore Tool When the system boots, there is a 3 second window that you may use the keyboard to select the option

to restore the system to factory default.

8.2.1 BSS1700

After selecting the option, you will see a red box with 2 options. To restore to factory defaults, press K.

You will then be prompted for a password to complete the restoration. The password is “infoacer”

without the quotes. After the restoration is complete, you will need to use the Depot Update tool to

update the system to the current release. Contact support for the latest release of the Depot Update.

8.2.2 BSS2050, BSS3050 and BSS3070

After selecting the option, you will be prompted for the password. The password is “ivinabss” without

the quotes. After the system restore is complete, your system will reboot once, update several pieces of

software, update the network name of the BookScan Station, reboot, prompt you to calibrate, and

update the software to the last version that was loaded via the Depot Update.

8.3 Securing an external keyboard In the event that a keyboard is connected, it is recommended to secure the BSS by removing the ability

to ‘escape’ into windows.

The following blocks may be copied into notepad and saved as .reg files.

By importing the following into the registry, you may lock down the system completely so that not even

Safe Mode will allow you to bypass the BSS interface.

Windows Registry Editor Version 5.00

[HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Control\Keyboard Layout]

"Scancode

Map"=hex:00,00,00,00,00,00,00,00,07,00,00,00,00,00,38,E0,00,00,38,00,00,00,01,00,00,00,01,E0,00,00,5B,E0,00,00,5C,E0,00,00,00,00

[HKEY_LOCAL_MACHINE\SOFTWARE\Microsoft\Windows NT\CurrentVersion\Winlogon]

"Shell"="C:\\Program Files\\iVina\\BookScanStation\\BookScanStation.exe"

The Keyboard layout section will disable the alt, Windows and escape keys. The Winlogon section will prevent the standard Windows Explorer from even starting up. If Windows authentication (ctrl-alt-delete) is required, use the following: Windows Registry Editor Version 5.00

[HKEY_LOCAL_MACHINE\SYSTEM\CurrentControlSet\Control\Keyboard Layout]

"Scancode

Map"=hex:00,00,00,00,00,00,00,00,07,00,00,00,00,00,3e,e0,00,00,3e,00,00,00,01,00,00,00,01,e0,00,00,5b,e0,00,00,5c,e0,00,00,00,00

And disable the Task Manager by group policy. The above entry will disable F4, Escape, and Windows – allowing the user to perform a ctrl-alt-delete, without otherwise disabling the system.

8-2 Aug 2011

8.4 Domain considerations The BookScan Station host PC may be joined to a domain, but there are several factors that must be

considered:

8.4.1 Group policies

Not all group policies will be appropriate, especially security patches for specific Windows components.

In many cases, these will fail because the vulnerable component simply doesn’t exist in the Embedded

environment.

8.4.2 User rights

See Section 6 regarding the folders the user must have access to.

8.4.3 Standard user restrictions

It is recommended to disable Autorun (CD and USB) and Task manager for your non-administrator users.

8.4.4 Mapped Printers

The printers listed in the Printers.ini file are hardcoded to the name of the printer. If you wish to

support job routing based on scan type in an environment where printers are assigned on a per user

basis, you must either make sure the printer names match perfectly, or create a script to update the

Printers.ini file when a user logs in.

8.5 Physical Security To physically secure the BookScan Station and scanner from theft, it is recommended to acquire one of

the PC lockdown type cables that come with mounts that can be secured directly to the scanner.

Page 27: Administrators Guide for Version 3.2.0.0.x Copyright …bookscanstation.com/downloads/collateral/admin_guide_3.2...1-1 Aug 2011 1 Overview The BookScan Station is a full featured copier

9 BookScan Station Depot Update Script The BookScan Station Depot Update Script performs a number of operations to improve the security

and stability of the BSS system from its original factory state.

It is designed to aid in deployment, both from the original factory and large scale installations and

customizations. In addition to updating the software on the system, it provides a quick update tool in

the event that the system must be reset to factory defaults. On the BSS2050, BSS3050, and BSS3070 it

will automatically run when the factory restore has been completed.

The BookScan Station Depot Update script for the BSS1700 performs the following tasks:

Loads a copy of itself into D:\BSSUpdate so that it can be used in the future to perform the same

process after a system recovery

Removes the outdated version of the BSS software included in the recovery image

o BSS1700 remove the anti-virus software

10 BookScan Station Advanced Configuration Notes To configure the BookScan Station, connect a USB Keyboard (not provided) to the Host PC.

Important! When connecting devices to the back of the BSS1700, make sure there is nothing connected

to the front USB ports. It is very easy to accidentally damage the connector of a USB device connected

to the front when tilting the Host PC forward.

The first time a new keyboard is used on the BookScan Station it will take about 30 seconds for Windows

to be ready to use the keyboard. When it is ready, press Alt-F4 to close the BSS kiosk software. The

touch screen may be used as a standard pointing device for navigation. The quiet beep when tapping

the screen (clicking) may not be disabled. There is a louder beep for certain dialogs that are not

appropriate for certain environments, mute the system volume to resolve this.

10.1 Configuring the BSS Software:

10.1.1 General Settings

10.1.1.1 Default selected job

To change the default selected job, such as when you remove the USB option, go to the [Default] section

of interface.ini (near the end) and set the Job= to the value assigned to the destination’s button.

Destinations are listed in the section for your convenience.

10.1.1.2 Idle reset

To configure the idle reset timeout, open Configuration.ini and change the Timeout= value in the

10.1.2 Billing Modes

The BSS supports several billing types, but only one at a time. There are different billing categories: free,

coin and bill, prepaid card, or remote account.

To change the billing type, open Configuration.ini and set Version= to the desired billing type. After

that, for each job button set the Version to either =free or the billing type that you’re using. This allows

for a selective enabling of the billing on a per-job basis. Only one billing Version is supported at a time.

Billing prices are set in the Price.ini file, are configured in whole cents, and can be adjusted based on the

Destination or Job type.

The iVina brand “standard” billing has been deprecated.

10.1.3 USB

To change the default file name used when saving to USB, open USB.ini and go to the [FileName]

section. Set the

DefaultFileName=BookScanStation-%y-%m-%d-%H-%M-%S

To the desired default filename. %y, %m, and %d will automatically populate the Year, Month, and Day

respectively. %H %M and %S are Hour, Minute, and Second.

USB.ini also controls the following:

BrowseToFolder=false

Set to true to enable folder browsing on the USB drive

ShowFiles=false

Set to true to show files in addition to folders

10.1.4 Printing

The BookScan Station supports 2 modes of printer support.

Single Printer - Default

Multiple Printers

To configure printing, first install all your printer drivers. If you are only using 1 printer, you are done.

To enable print job separation by scan type, go to Print.ini. Set

EnableMultiplePrinter=true

Once this is set, then the three values below need to be set

ColorPrinterName=

GrayscalePrintName=

BlackWhitePrintName=

The exact name of the printer as it is displayed in the Printers and Faxes control panel must be used.

When scanning to a printer shared on the network, the servername is case sensitive. If prints do not

show up in the print queue, but you are able to print test pages, confirm the name of the printer. You

can do this by opening a command prompt and typing the following:

Wmic printer list brief

The new Print setup also supports Duplexing and Multiple paper size selections based on the reported

paper size in the paper tray.

In Print.ini duplexing is controlled by the settings:

DuplexOrientation=h [Duplex] OneSide=true TwoSide=default

Page 32: Administrators Guide for Version 3.2.0.0.x Copyright …bookscanstation.com/downloads/collateral/admin_guide_3.2...1-1 Aug 2011 1 Overview The BookScan Station is a full featured copier

10-5 Aug 2011

The DuplexOrientation= controls which way the back page is flipped.

To disable duplex functionality, set TwoSide=False.

To configure the different paper sizes, first confirm in the printer driver what the print resolution is.

Typically with modern printers the default is 600 DPI.

PrinterResolution=600 Set the PrinterResolution as appropriate. [PaperSize] Letter=default LetterXRes=5100 LetterYRes=6600 Legal=true LegalXRes=5100 LegalYRes=8400 A3=true A3XRes=7200 A3YRes=12000

To disable the different paper sizes, set them to false. Certain printer models scale the print resolution

of Tabloid or A3 documents differently than letter. When configuring the system for the first time, test

the different resolutions and use Calc to calculate the appropriate X and Y values.

10.1.5 Authentication Screen Keyboard options

To disable the beep when pressing buttons, it is recommended to mute the system using the Windows

sound control panel.

10.1.6 Email

There are 3 configurable items for email. See the below sections:

10.1.6.1 Maximum attachment size

Open the sendmail.ini file and go to the [email] section.

limitSize(KB)=5000

limitmessage=Email maximum size is 5MB

Change these values to match your policy for maximum attachment size. Limitmessage is the actual

message that is displayed on the screen for end users. The limit size in this case is rounded down to

5000 KB instead of 5120 KB to provide overhead.

10.1.6.2 Changing .com to .edu

Open Configuration.ini and go to the [KeyboardButton] section and set:

10.1.6.3 Main Mail Settings

To configure the rest of the email settings, open SendMail.ini. The default settings are set to an example

account using Gmail as an external mail server. iVina has no relationship with Gmail and is not

responsible for any level of service they may provide, or issues relating to Gmail security. Please see the

notes at the end of this section for additional known issues when using a 3rd party email provider like

Gmail.

If you are unsure as to what settings to use, it is recommended that you find the settings for your mail

server that Outlook Express would use.

in the [email] section you can configure the following values:

10.1.7 Scan to Google Docs

The BookScan Station supports an optional upgrade that allows scanning to the Google Docs service.

Every Gmail account hosted by Google has access to at least 1GB of storage on the Google Docs service,

including mail accounts @ different domains, but hosted by Google.

When enabled, the user will be prompted for their credentials before scanning, then when scanning is

done, they will be able to select a folder (if any are created in their account) to store the file in. The

user’s credentials are immediately cleared when either the scan job is completed, the user hits the back

button to before the login page, or the system idles out and returns to the start page.

10.1.7.1 Adding Google Docs as a Job Option

To add Google Docs as a Job option, make sure you have a valid license for Google Docs, then go to

Configuration.ini and add it to the JobButton list.

10.1.8 Network

The BookScan Station supports scanning to Windows file shares (SMB compatible). To use this, you

must configure the server settings and open Configuration.ini and add it to the JobButton list.

10.1.8.1 Mapped Drive Letters

The BSS does not support scanning to a mapped drive letter.

Page 35: Administrators Guide for Version 3.2.0.0.x Copyright …bookscanstation.com/downloads/collateral/admin_guide_3.2...1-1 Aug 2011 1 Overview The BookScan Station is a full featured copier

10-8 Aug 2011

10.1.8.2 Main Network configuration options

The settings for the server name, folder path, credentials, and browsing option are controlled in

C:\Documents and Settings\All Users\Application Data\BookScanStation\SMB.ini. They are listed below

DefaultFileName=BookScanStation-%y-%m-%d-%H-%M-%S

To the desired default filename. %y, %m, and %d will automatically populate the Year, Month,

and Day respectively. %H %M and %S are Hour, Minute, and Second.

RequireActiveAuthentication=false

Enable Active Authentication to prompt for username and password

BrowseToFolder=false

Enable browse to folder to allow the user to browse to a specific location on the file server

UserName=username

Password=password

If ActiveAuthentication=false, this is the username and password that will be used. If the user

account is on a different server/domain than the username should be in the

username@servername or servername\username format.

ComputerName=\\Servername

ComputerName is the name of the target server

Path=\SharedFolder

Path should be set to the top level of the share that will be used. The Path now supports using

%username% as a token that is populated by the authenticated username.

10.1.9 FTP/sFTP/FTPs

To use these as destinations, and open Configuration.ini and add FTP to the JobButton list.

Select the type of FTP (FTP, sFTP, FTPs) to be used in FTP.ini.

10.1.10 CDRW (With optional CDRW upgrade)

The BSS1700 supports CDRW. The CDRW upgrade requires additional hardware, if you are not sure if

you have the upgrade, look at the front of the CD drive. If there is no CDRW logo on the front panel of

the CD drive, then you do not have the upgrade and can’t use this feature. As long as there are no

proprietary modifications to the blank disc format, the user should be able to continue to burn as many

batches as will fit on the disc.

The BSS2050, BSS3050, and BSS3070 support CDRW as well, but require an external CDRW drive. This is

not preferred in most environments due to physical security concerns.

Enabling this in configuration.ini in the JobButton list like all other jobs.

10.1.11 LDAP authentication

The BookScan Station supports using LDAP as a means to determine if a user has a valid login and may

use the BookScan Station. This is the method used to have the BSS to talk to Active Directory or a

Windows Domain and validate users.

Page 36: Administrators Guide for Version 3.2.0.0.x Copyright …bookscanstation.com/downloads/collateral/admin_guide_3.2...1-1 Aug 2011 1 Overview The BookScan Station is a full featured copier

10-9 Aug 2011

This is the most complicated feature to configure, it is recommended that you contact BookScan Station

support for direct assistance with this

You can use this to either authenticate users for all job types, or just scan to print.

To enable this, edit LDAP.ini and set the following:

[Settings]

RequireActiveAuthentication=true

LdapForAllFeature=true

Set LdapForAllFeature=false to only prompt users for credentials when emailing.

Then, set the values below

[LDAP]

Domain=

Host=

BaseDN=

Attribute=

Set the Domain= to match the domain that the users belong to. In most cases you may set the Host to

the IP address or the FQDN of a domain controller.

The Base DN that is used here is the container that the Users exist in. There are several ways to

determine the Base DN.

Use “dsquery user –name <username>” from the domain controller to see which containers the

user is in. The username is listed first, then the remainder is typically the Base DN that will be

used.

In some cases all you need to do is find the Users container in the list of Well Known Containers.

This can be determined by copying dsquery to another computer or by using a 3rd party LDAP

searching tool.

This tool http://www.novell.com/communities/node/1124/ldap-search can be used to query

your LDAP server. The username may need to use the domain name as well in the

domain\username format. If you’ve set this to query your domain controller, in the list of the

results you may find the user group in the list of Well Known Containers.

The Attribute= is the object type of the user account that is being authenticated. It is commonly either

DN, CN, or UID.

Account and Password are reserved functions and do not need to be configured.

11.1 Scanner Properties->Image

From the Image tab, the following things may be adjusted:

Binarization

Resolution

Invert

Scan Source

Profiles

Color Depth – Color, Gray, B&W

Important Note: The duplex scanners allow you to select and manage the settings for the Rear or back

side of the scanned documents separately from the front. When making changes, make sure to select

both Front and Rear and confirm they’re both configured correctly.

Binarization is how the output Black and White image is produced. There are two options:

1. Dynamic Threshold (Default)

a. Dynamic Thresholding attempts to automatically set the brightness levels to determine

what pixels are black and what are white.

2. Fixed Processing

a. Fixed Processing uses a fixed brightness level.

Dynamic Thresholding is best if there is mixed content and for everyday usage. Fixed Processing may be

desired in the event that Dynamic Thresholding does not emphasize the desired content.

Page 40: Administrators Guide for Version 3.2.0.0.x Copyright …bookscanstation.com/downloads/collateral/admin_guide_3.2...1-1 Aug 2011 1 Overview The BookScan Station is a full featured copier

11-4 Aug 2011

Resolution is the amount of information in each square inch. This is controlled by the user in the BSS

Application.

Invert allows you to invert the next scanned image from black to white, and white to black. Black on

White is the default.

Scan Source is where you can choose to use the Automatic Document Feeder if that option is present.

Flatbed(Book) has the scan area alternate locations for a manual book edge scanning. It is not needed

with the BookScan Station software. The option for Flatbed is the recommended choice.

Profiles allows you to save your current settings, or load settings you have saved.

Color Depth is the set of checkboxes on the left that allow you to choose whether you want to scan in

Black and White, Grayscale or Color.

Color Adjustment will automatically enhance the colors

11.3 Scanner Properties->Color Dropout

Color dropout is a special mode used for Grayscale and Black and White processing that removes

content from the original image if it is one of the selected colors. Currently we support Red, Blue, and

Green.

This is typically used for forms that are printed in a certain color so that only the desired information is

saved in the scan – typical of tax forms and surveys.

Cropping has several choices

1. Automatic

a. Automatic will start scanning at the beginning, and stop when it sees the solid black

background from front to back

2. Fixed to Transport

a. Fixed to Transport means in a fixed position, either on the glass, or through a feeder.

3. Relative to Document

a. Relative to Document is used to remove a certain amount from the edges of the

document – useful for removing 3 hole punches or rough edges on a document

Page Size has all of the standard page sizes, American and Metric

Overscan is only available with a feeder and indicates an additional amount of space captured around

the edges of the document

Multi-Feed Detection is only available with a feeder and will automatically detect a misfeed that is

generated by a document being dragged behind another document.

12 Troubleshooting and FAQ

12.1 Known Issues Logo Embedding is not currently supported

Scan to print may have some scaling issues if the selected printer does not have full bleed or edge-to-

edge functionality.

All 3 print sizes are enabled by default. It is advised to disable Legal and A3/Tabloid if the printer does

not support them.

12.2 Errors

12.2.1 Billing database unavailable

This means that the billing system configured in interface.ini in the [Version] section is either not

configured correctly or is not responding. Check physical connections and check spelling of value.

12.2.2 Error 129

This error comes from the scanner driver, meaning that the computer can’t find the scanner. Each of

the following actions may correct this:

Close the BookScan Station software and check for a Found New Hardware prompt. If it’s

present, allow the device driver to install, then restart the BSS software.

Reseat both ends of the USB cable

If the scanner status light is solid green, restart the PC and power cycle the scanner

Remove other USB devices

Connect the scanner to a different USB port

Remove the scanner driver from the Control Panel, Add or Remove Programs, power off the

scanner, reboot the BSS, and reinstall the scanner driver from d:\BSSUpdate. Power on scanner

when done

12.2.3 Error 176

This error comes up if the shipping lock is engaged. Please check the yellow shipping lock

(FB6080E/FB6280E) or the gray shipping lock on the bottom (FB2080E). Disconnect the power, then

toggle the shipping lock twice, then make sure it’s in the open lock position. Reconnect the power and

the problem should be resolved.

12.2.4 Watson Errors

This usually comes up if the BSS has crashed. Please take note of what was being done when the error

occurred and contact support.

12.2.5 Automatic cropping isn’t working

There are several possible types of cropping problems

Page 49: Administrators Guide for Version 3.2.0.0.x Copyright …bookscanstation.com/downloads/collateral/admin_guide_3.2...1-1 Aug 2011 1 Overview The BookScan Station is a full featured copier

12-2 Aug 2011

1. Dark pictures, photos, and book covers are cropped too aggressively. This can be resolved by

placing a plain white piece of paper over the scanned item, providing a white frame or outline

that the scanner can see.

2. Automatic cropping seems to fail and there are weird white splotches scanned. This is usually

from having the lid open with a fluorescent light above the scanner. Closing the lid when

scanning will resolve this.

3. The scanner only scans the left half of the scanner bed. This is caused by the autocropping not

being enabled. See section 10 for how to correct that.

12.2.6 Unexpected Behavior

12.2.6.1 Loud Beeping when pressing keys

Turn down the Windows system volume

12.2.6.2 Chinese Characters in install screens or progress bar

Only affects the BSS1700 with POSReady 2009. Go to the Control Panel, International, Advanced. Set

the language to English (United States). Hit Yes on both prompts. If the scan progress bar or other

software still has Chinese characters, reinstalling it at this point will correct it.

12.2.6.3 Automatic Rotation isn’t working

Check in the Scanner Settings listed in section 11.6 to make sure that Rotation is set to “Auto based on

contents”. Make sure the scanned text is of sufficient quality to be read quickly – for best OCR and

automatic rotation results, use 300 DPI. If there is text at multiple different angles, that may also cause

12.2.7 ADF Specific

12.2.7.1 The ADF Pulls 2 or 3 pages at once consistently

Check the ADF (Automatic Document Feeder) Pad. If there are multi-feeds, it is probably worn down.

Clean it using some rubbing alcohol (90%) and a lint-free cloth.

12.2.7.2 There is a vertical line when scanning from the ADF

Clean the glass where the paper passes over it. Use rubbing alcohol (90%) and a lint-free cloth. For

most persistent ink or sticky materials, use a cotton swab. Scratches on the glass are not covered under

warranty and will require factory servicing to repair.
