    ATHLETE & PARENT HANDBOOKPolk County ACES located in beautiful downtown Auburndale was established in 1998.

    Our gym (owned, not leased) has been producing top athletes for over 14 years. We take

    great pride in being one of the oldest programs in the State of Florida.

    Cheerleading is our Passion and you can count on us year after year to give all of our teams

    winning routines. What this means is we spend countless hours reviewing scoring grids,

    familiarizing ourselves with legalities, and utilizing one of the best choreographers in the

    United States. We believe that as costly as training and competitions can be that you deserve a

    routine that can win. We give our teams the very best and then it's up to each team to execute it.

    Our philosophy is that regardless of your level (from 1-5) you deserve the BEST. Competitions

    aren't all about the win, but it's important to have all the right elements so that if you execute

    your routine you can be challenged by the best in the industry and hold your own. Are you up to

    POLK COUNTY ACES not only provides an excellent source of physical fitness for your child, butalso an abundance of lifelong skills focused on assisting your athlete on achieving every success. TheACES athlete will learn to set goals and work hard to obtain these goals; building a strong work ethicfor the future. They learn and master the concept of teamwork and in doing so, form lifelongfriendships with others who are equally focused and determined to succeed. At Polk County Aces weare focused on developing the lifelong success of the athlete, not on merely winning championships. Inthat manner, Aces can truly say that we are not only winning championships, but building champions.

    Each team will prepare a set of goals for their upcoming competition season; with our ultimate goalbeing to create champions both on and off the mat. Competitions are an opportunity to showcase theathletes' hard work throughout the year. The ACES family and friends are encouraged to attend andcheer on all the athletes at the competitions.

    ACES Team Philosophy

    Members of Polk County ACES agree to put their team ahead of the individual athlete. If it is in thebest interest of the program, an athlete may be moved from one team to another team in age appropriatedivisions and or levels based on one or more of the following: (1) routine role (ie., side base, backspot, or flyer) (2) skill level (3) attitude, (4) need for a competition (5) loss of athlete from anotherteam. Athletes may request to be moved to a lower team if he/she feels that he/she is not sufficientlyutilized in or overwhelmed by the routine. Although maintaining the mental and physical well-being ofthe athlete is recognized as a paramount concern, any move down to a lower team will depend onwhether the team has an opening, and the decision will also consider the overall impact on the ACESprogram. Athletes must be willing to fulfill any position needed by the team.

    Role of the ACES Staff

    Our staff is highly trained, motivated and committed to the success of your athlete. You can expect thefollowing from the coaching staff:

    *Provide parents with written progress report evaluations.*Continue Cheerleading Industry Education and Certification*Always be approachable and friendly*Remain safe and realistic with athlete progression while also challenging the athlete to reach his or herpotential.*Maintain open and professional relationships with each athlete and parent/guardian.

    *Consistently enforce all disciplinary actions as stated in the disciplinary procedures section below*While winning is important, we also strive to provide a fun, safe and overall positive experience foryour athlete.

    Communication with Staff

    *At competitions coaches are there to coach. Any issues that arise during a competition will beaddressed promptly during the week following the competition. Parents should never approach a coachwith an issue at competitions. Please contact administration and we will schedule a time to deal withthe issue.*Any verbal communications at the gym should be held in private and coaches will only discussconcerns regardingyour athlete.*Coaches will provide you with feedback via email on a weekly basis. Parents may respond via emailand coaches will also make themselves available for appointments to discuss these matters in person at

    the parents' request. If a concern is emotional or heated, it is suggested that parents wait 24 hours, as acooling period before contacting the coach.

    Safety Measures

    *Athlete health and safety is of the utmost concern within the Polk County ACES program. We arecommitted to maintaining a safe environment at all times, Proper nutrition and hydration areencouraged for optimal performance and injury prevention. We are sufficiently prepared to respond toemergency situations with appropriate emergency response plans; rest assured that your child is in safeand in prepared hands.

    *To ensure a safe environment at Polk County Aces, all coaches and staff will be:

    *CPR-certified*First-Aid Trained*Credential coaches and athletes within the USASF*Trained and educated in effective spotting of stunts and tumbling*Required to record and evaluate proper progression of skills.

    Role of Athlete

    We expect the following from ALL athletes as members and alternates of both full and limited travel

    teams. These expectations will be strictly enforced in the gym, during practices, clinics, competitions,and all events.

    Athletes are expect to:

    *Treat fellow teammates, coaches, staff and parent with respect at all times.*Not Participate in Gossip. This includes internal gossip about other Aces and external gossip about

Problems shall be addressed and resolved directly, andparents should not listen, participate or instigate any idle, worthless gossip.*Show good sportsmanship and class at ALL times.*Not Bully. This includes all forms such as electronic, verbal, physical, mental, media based,

    monetary, etc.*Not use profanity and/or abusive language.*Not consume alcoholic beverages and/or illegal behavior.*Use social networking and electronic media as a means of publicizing and spreading the word aboutACES in a positive and appropriate manner.

    *Refrain from using any social networking, messaging services or electronic media to distributenegative or inappropriate information that could be detrimental to yourself, your family, and the ACESBrand or reputation in any way. This is grounds for immediate dismissal from the program.*Remain mindful that your decisions, whether you are actually wearing anything displaying the ACESbrand or logo at the time or not, affect and can be a negative reflection of yourself, your parents, fellowteammates, coaches, staff and the entire ACES program. Athletes should take pride in wearing theACES colors and conduct themselves accordingly to uphold the legacy of POLK COUNTY ACES.*Accept both constructive criticism along with praise for a job well done.

    Attendance Policies and Procedures

    A. Competition Season Practices

    *Practice attendance is absolutely mandatory and compliance with the attendance policy below will bestrictly enforced. An Athlete's team position will be jeopardized for noncompliance with all thefollowing terms of the attendance policy.*Athletes are expected to be at every practice.*If an Athlete is absent from practice for any reason, whether excused or unexcused, he or she isresponsible for learning ALL routine changes made in their absence before the next practice.*It is unfair to the team to waste valuable practice time re-teaching one athlete the material the he orshe missed, while every other athlete must then wait for the one athlete to get caught up to speed andlearn their part before moving on.*Not taking the initiative to learn anything that was missed, so that he or she will be prepared at thenext practice, is selfish behavior, and not the attitude of a team player.*Practices may be changed or added at any time during the year. Parents must check on the websiteand emails on a daily basis to stay on top of the practice schedule for updates on day and times.

    Excused Absences

    An excused absence must be scheduled on the planning calendar and must be either:a. School Functions that result in a grade, orb. Anything pertaining to school sponsored cheerleading event.*Administration and Coaches have the ultimate discretionary authority to excuse absences on a case-by-case basis.

    B, Competition Attendance

    Roll will be taken at the beginning and end of each competition day. Prior to each competition, athleteswill be given the following set of team-specific times for each competition

    *Arrival time when you must be present in the competition venue*Meet time when your team is required to meet with coach and congregate at a specific placedesignated by the team rep. Team Reps will take roll as the athletes prepare to walk to warm-ups.Athletes must leave all backpacks, purses, make-up, warm-up jackets and pants, etc., with parents atthis time.*Warm-up time the time the event hosting company has scheduled the team to warm-up*Performance time the time when the team is scheduled to perform.*Award time the time of the awards ceremony that your team has been scheduled to receive its award

    *Release time when you are officially dismissed and allowed to leave the competition venue.*From your arrival time to your release time, every athlete is required to watch and support all ACESteams except the scheduled time that his or her team is to be warming up. Athletes may not leave thecompetition before their respective assigned release time without prior approval from Staff. Leavingearly or not supporting a team without permission may result in disciplinary action

    *IMPORTANT Parents will be assessed a $25.00 fine for being more than 10 minutes late tocheck in with Team Rep at Arrival time of venue. These times are put into place for many reasons andare not there to be challenged in any way, shape, or form. There are no Exceptions.

    DRESS CODE

    Practice Dress Code

    *Athletes must wear the correct color of practice clothes and cheer shoes must be worn at everypractice.*If an athlete does not have on the correct practice clothes he or she is required to purchase the correctpractice clothes and it will be charged to your ACES account.*Practice shorts should not be rolled up excessively. They are intended to be worn as shorts, notbloomers.*Hair must be pulled up, out of your face and in a high ponytail, with a red ribbon at every practice.Short chin-length bobs may be worn pulled back by a headband or half up./half down.*If a female does not have her red ribbon, she is required to purchase a red ribbon and it will becharged to your ACES bill.*Flyers must wear bloomers under practice shorts.*Young women are encouraged to wear sports bras, rather than regular bras under their practice tops toprovide adequate support. Sports bras can even be layered by wearing multiple sports bras at once foradditional support.*Black lycra shorts are allowed during practices.*No jewelry of any kind allowed in the gym. Neither cheerleaders nor ACES staff members areresponsible for jewelry if it is worn into the gym, removed for practice, lost or stolen.

    Unexcused Absences

    Unexcused absences are simple: ALL other absences that are neither a. School Functions that result ina grade, nor b. involve school cheerleading are Unexcused.

    *The following are examples of unexcused absences: part-time jobs, dances, concerts, banquets, longdistance driving, family reunions, weddings, recitals and school/church socials.*Academics: School is a high priority and Polk County ACES stresses the importance of education.However; school work, including homework, projects, and studying for tests, are unexcused absences.Athletes are expected to maintain proper time management so this does not become an issue.*Extra Curricular Activities and jobs: Extracurricular activities and jobs need to be scheduled aroundthe commitment to ACES.*Athletes are only allowed three (3) unexcused absences during competition season, beginning inAugust 2012 before any disciplinary action may be taken for noncompliance: including but not limitedto, being put on probationary status, placed as an alternate, or removed from various elements ofchoreography.*You must notify your coach and team rep at least 24 hours in advance so that the coach may planpractice accordingly. There is no exception to this rule.

    *Four (4) weeks advance notice is required if you cannot attend a competition, for any reason.*In the case of an unexpected emergency, you must contact your coach and team rep as soon aspossible to inform them of your situation.*Unexcused absences are NEVER allowed the weekend and week before a competition or performanceunder any circumstance. Noncompliance will result in the athlete being moved to an alternate positionor removed from the upcoming competition, at the discretion of the coach.

    Absences due to Illness: Injury or Family Emergency

    Illness You must attend practice when you are sick, if you are not contagious. You are not required toparticipate; however, you must be physically present. In addition, when absences due to illnessperpetually occur on an ongoing basis, you may be required to provide a doctor's note with detailedinformation regarding the illness, treatment and length of recover. This includes dental, medical andany other health related issue that may prohibit a student from participating.

    Injury In the event that an athlete is injured you should notify your coach of the happening of suchinjury immediately. Thereafter, you should continuously update coaches as soon as possible with allinformation concerning doctor's prognosis, estimated length of recover, potential for surgery, and anychange in circumstance affecting their ability to perform the physical skills required to fulfill their role

    on the team.

    *We will re-choreograph routines based on the athlete's injury and length of recovery. Once theindividual has fully recovered, he or she may or may NOT be choreography back into the routine. Allinjured athletes must continue to pay fees in full.

    Family Emergency This term is not to be taken lightly. Contact a staff member immediately upon the

    Competition Dress Code

    Athletes have only 2 Dress Code options that may be worn at competition. Athletes may wear their:

    1)Full Uniform or2)ACES warm up. This is the official ACES warm-up.*All hair and make-up must be COMPLETE before entering the competition venue. DO NOT LEAVEthe hotel room without your hair being competition ready. That means hair in a high ponytail, ribbon;hair sprayed back, NO curls, NO whispies, NO bumps and NO glitter.*Upon arrival to a competition, you may wear your uniform top with a jacket over it.*No changing may be done in public places because ACES cheerleaders are always to be 100% ready-to-go being completely put together when in uniform and looking like classic clean cut athletes

    that our program boasts.*You must wear athletic shoes at the competition at all times. (Absolutely NO Uggs or flip flops etc)*You are NOT allowed to wear any jewelry at any time during competition days.*No Hats of any type*Only apparel may be worn from the event company that we are competing to and during thecompetition

    Role of Parent

    Parents are expected to:

    *Encourage their athlete to always treat fellow teammates, coaches, and ACES staff with respect.*Ensure that their child understands what we expect of them as an athlete, as explained in the Role ofAthlete section above.*Not express their opinions during practice or coach their athlete from the sideline, i.e., from theparent-viewing area or the lobby.*Defer to the coaches' discretion regarding team decisions. Inevitably, we will lose or gain teammembers through the course of a season. Any dismissal or addition of a team member is solely at thediscretion of the coach, or owner.*Withholding a child from practice or competition should never be used as a form of punishment. This

    punishes not only your child but every other team member and parent.*Refrain from threatening to quit or pull their child from a team. This is unacceptable parent behaviorthat will not be tolerated. Any such threats will subject parents to disciplinary actions, includingremoval from the team.*The viewing area is open for practice/class observation every day. However, if problems arise ACESstaff have the right to close the viewing at any time.*Parents should not listen, participate, or instigate idle, worthless gossip.

    *Parents should not manipulate other parents and ACES members while present at ACES practiceand competitions. Any perceived issues and concerns must be resolved directly, in accordance with theIssue and Conflict Resolution section below.

    Travel Obligations

    *Parents are responsible for their athlete's activities and behavior at out-of-town events.*Parents must understand that competitions are not vacations and that athlete's time and focus shouldbe fully committed to the team and ACES throughout the time of the event.Please note that from time to time, you may be required to attend an event on a Friday and leave

    the event on a Monday, due to scheduling by the event company . If a parent/guardian cannotattend an out of town event, you will arrange for another ACES parent or responsible adult to travelwith your athlete to and from the event, and to be responsible for the athlete during the entire event. Ifa parent/guardian cannot accompany your athlete to an out of town ACES event, you must notify the

    ACES staff no less than 30 days prior to the scheduled departure date for the event and inform theACES Staff of any alternative arrangements made for my athlete's supervision on that particular trip.

    Role of Team Representatives

    This is a very important job responsibility and is a very important role for the team. If you areinterested in this responsibility and would like to be considered for this position, please let your coachor Director know.

    If you choose to be a team representative, you will be responsible, but not limited to, the followingduties:

    *team management from arrival to release time at all competitions*Sending out team emails*be the go-to person with concerns/suggestions for the coach*organizing and preparing team outings*organizing goodie bags for competitions*taking roll at practice

    Healthy & Productive Communication

    *Rob, Marilyn or Jodi is your point of contact regarding coaches decisions. We will take the questionsto the coach and provide you with an acceptable answer in a timely manner. Coaches will not entertainquestions regarding decisions. Coaching decisions include, among other things, specific andstrategic decisions (placements made in formations, decisions of why an athlete was moved, added,removed, or replaced in stunts and tumbling sections).

    *Routine choreography is the result of a time-intensive, comprehensive and complex process thatnecessarily takes many factors into consideration. To name a few: the athlete's ability, the athlete'spotential, the athlete's attitude, the athlete's position, the team's needs at the moment, and the team's

    needs in the future.

    *You must allow coaches, choreographers to do their job, and exercise their craft, skill and creativegenius; after all, this is a part of the services you are paying ACES to provide your athlete. Like Art,choreography is a work in progress and you must trust that the end result of all coaching decisions willbe an artistic masterpiece, although at times it may look like an infant's finger-painting. Ths coach willnot be required to defend his/her thought process or conclusions in these determinations, and it isimproper for a parent to request or demand the same.

    *It is inappropriate for an athlete or a parent to approach another ACES members about a problem theyhave with an ACE coach or teammate, regarding personal objections to coaching decisions, ordisagreements with an administrative decision.

    *In addition, we instruct coaches not to discuss with parents:1)Any other athlete with parents, aside from their own child.2)Actions of other ACES Coaches who do not coach their athlete3)Issues that necessarily involve any type of comparison of their athlete to another athlete, or

    their Coach to another Coach.

    Issue and Conflict Resolution

    *It is imperative that you understand that discretionary Coaches' decisions are made based on the goodof the team, even though you may personally disagree with the same. These decisions are made afterconsidering all relevant information and consultation with those involved. Coach's decision will beobjective and always based on their best evaluation of the facts.

    *Please be mindful of the fact that routine positions are always fluid and never absolutely set instone. Athletes will naturally progress over time, some more rapidly than others. ACES recognizesand rewards hard work and dedication. Therefore it is NOT safe to assume that, because you athlete isdoing a certain role in the routine during summer months and even at the time of choreography that heor she will be doing (or not doing) this same thing at the end of the season.

    *Specifically, if you have an issue, or concern or conflict, you must follow the following protocol, inthe order listed below. This method has been proven to be the most effective and fair way to addressthese issues and concerns in furtherance of positive conflict of resolution achieve through the fairness,transparency, and being open-minded in both listening and communicating.

    1.The athlete should speak to the coach about the matter. In cases where the athlete is tooyoung to adequately articulate the issue, then the parent may communicate the concern tothe coach.2.If the matter remains unresolved, or if the athlete has clearly legitimate concerns that

    speaking to the coach will not or cannot possibly resolve the matter.3.The parent should then email the coach, and copy Marilyn, Rob, or Jodi.4.If the email process does not resolve the matter, an in-person meeting will be calledwith the coach, parent, Marilyn, Rob or Jodi.

    Protocol for Athlete Discipline

    Athletes are expected to behave themselves in a manner consistent with the expectations and policiesstated herein. When an athlete's behavior does not meet these requisite standards, (for example, wherean athlete continuously defies coaches' directions at practice, repeatedly talks to coaches or teammatesin an inappropriate, rude or disrespectful manner, or displays an overall lack of team commitment thatcreates and environment that is not conducive to learning and unproductive for others, amongst otherthings) we will address such issue by resorting the disciplinary actions, in the order listed below.

    1. The Coach will first discuss the problem directly and privately with the athlete, with theassumption the problem will be corrected immediately.

    2. If the problem persists, the Coach will remove the athlete from his/her team practice in responseto this unacceptable behavior.

    3. If the problem remains to be an issue, the Coach will communicate with the athlete's parents todiscuss the problem and lack of response on the part of the athlete. Parents will have theopportunity to be involved with correction of the problem at this time.

    4. If the problem continues, Marilyn, Rob, Jodi, the Coach may temporarily suspend the athletefrom participating in team practices (i.e. benching for a period of time) The Athlete mustattend and watch all practices, dressed in practice clothes, but will not be allowed to step on themat with the team, tumble or stunt. The purpose is to remove the athlete from the practice sothat he or she must then sit quietly, watching his or her team so that they gain a renewedperspective on the importance of respect for the coach and the team. It is the goal that viewingthe practice from the outside looking in will be an appropriate punishment to reinforce acentral tenet of the ACES philosophy, requiring members to be committed to his or herteammates, as part of the family.

    5. If the situation, warrants, further disciplinary actions may be taken, including team removal, forexample.

    Our desire is to work in a positive way with all athletes. Should a problem arise, rest assured that wewill make every effort to find an acceptable and creative solution; while also enforcing all policies andprocedures set forth herein, in a fair and consistent manner.

    Financial Policies and Procedures

    Team Placement

    Following team assignments, parents are required to attend the first practice for the first annual parents'meeting at which time they will sign the ACES handbook and accept their athletes respective team

    ACES will no longer allow athletes who have not met their previous season financial commitment toparticipate in team selection.

    Remember, we are passing along real expenses. We don't have the bank balance to pay expenseswithout fee income when due. Understand that our expenses must be paid on time and we expect thecourtesy from parents of payments on time.

    TRAVELING ALL -STAR TEAM FEES

    $167.00 per month beginning May 20th, 2012 through April 20th, 2013*This fee will cover tuition and ALL COMPETITION FEES.

    $280.00 will be due for uniform on June 30th. If you need to split this payment,you may pay $140.00 on June 30th and we will hold a 2nd check for you inthe amount of $140.00 that will be deposited on July 30th. If you are areturning cheerleader that has already purchased the uniform through thepayment plan in the 2011-2012 season your fee is PAID.

    $250.00 will be due for choreography and music on August 10th.

    *NOTE If you have more than one cheerleader in your family, please see Marilynfor discounts on tuition.

    TINY TEAM CLUBS

    Ages 5 and under qualify for a Tiny team. If you are interested in Tiny Team Clubsyour costs will be as follows.

    $70.00 per month beginning May 20th, 2012 through April 20th, 2012*This fee will cover tuition and ALL COMPETITION FEES.

    $100.00 will be due for uniform on June 30th.

    $40.00 will be due for choreography and music on August 10th

    MINI TEAM HEARTS

    Ages 8 and under qualify for Mini team. Mini's can be either level (1) or level (2).If you are interested in a MINI team versus a travel team your costs will be as follows.

    $130.00 per month beginning May 20th, 2012 through April 20th, 2012

    ALL-STAR NON-TRAVELING TEAMS

    These teams will not travel out of state.The fees follow the same as the all-star, but these teams will not attend the competition inIndianapolis.

    ALL NEW RECREATIONAL/ALL-STAR CHEER

    This is a totally new division at ALL-STAR competitions for those who want to participate inALL-STAR events, but not as many and at a beginning level.

    These teams will meet ONCE per week.

    $100.00 per month will include all tuition and competition fees

    $100.00 will be due for uniform on June 30th

    $50.00 will be due for choreography and music on August 10th

    PARTICIPANT AGREEMENT AND RELEASE

    In consideration of the services of the POLK COUNTY ACES, it's coaches, owners, officers, employees and all

    other persons or entities acting on its behalf, I hereby agree to release and discharge the POLK COUNTY

    ACES, on behalf of myself, my children, my parents, my heirs, assigns, personal representative and state as

    follows:

    I understand and acknowledge that the activity I am about to engage in poses known risks and unanticipated

    risk which could result in injury, paralysis, death, emotional distress, or damage to myself, to property, or to

    third parties. The following describes some, but not all of those risks.

    Cheerleading and tumbling entails certain risks which simply cannot be eliminated without jeopardizing the

    essential qualities of the activity. Without a certain degree of risk, students would not improve their skills, and

    the enjoyment of th sport would be diminished. Trained instructors will be present during practice sessions,

    but there is always the risk of injury that cannot be prevented.

    Cheerleading and tumbling exposes its participants to the usual risk of cuts and bruises. Other more serious

    risks exist as well. Participants often fall during practices, sprain or break wrists and ankle and can suffer

    more serious injuries as well, including paralysis or even death. Furthermore, weight training is inherently

    dangerous and traveling to and from shows, meets and exhibitions raises the possibility of any manner of

    transportation accidents. In any event, if you are injured you may require medical attention at your expense.

    I expressly agree and promise to accept and assume all of the risks existing in this activity. My participation in

    this activity is purely voluntary, and I elect to participate in spite of the risks. I hereby voluntarily release,forever discharge and agree to indemnify and hold harmless the POLK COUNTY ACES, from any and all

    claims, demands, or causes of action, which are in any way connected with my participation in this activity or

    my use of the POLK COUNTY ACES equipment or facilities. Including any such claims which allege negligent

    acts or omissions of the POLK COUNTY ACES.

    Should the POLK COUNTY ACES or anyone acting on their behalf, be required to incur attorney's fees and

    costs to enforce this agreement, I agree to indemnify and hold them harmless for all such fees and costs. I

    certify that I have adequate insurance to cover any injury or damage I may cause or suffer while participating ,

    or else I agree to bear the costs of the such injury or damage myself. I further certify that I have no mental or

    physical conditions which could interfere with my safety in this activity, or else am willing to assume and bear

    the costs of all risks that may be related, directly or indirectly, by any such condition.

    TUITION AND MAKE-UP POLICIES

    Tuition is due on the 20th of every month. NO MAKE-UPS or REFUNDS are granted to individuals or a group

    clinic. No refunds will be given at any time should your child decide to leave POLK COUNTY ACES for any

    reason or if you child is asked to leave for disciplinary reasons; this includes but is not limited to all fees paid to

    POLK COUNTY ACES, such as unattended competitions and or practice sessions as well as hotel rooms, bus

    rides, etc.
