A leading public health university with a history of growth and innovationSituated at the juncture of two rivers, Rennes is home to the Ecole des Hautes Etudes en Sante Publique (EHESP), established by the government after the French liberation in 1945. Its mission was to educate medical and paramedical public sector health workers and technicians in order to create a new public health and welfare infrastructure.

In 1961, the campus moved from Paris to Rennes. The school’s focus shifted from independent vocational departments to providing interdisciplinary, international and post-graduate educational opportunities – and a wider range of specialized educational programs for public health professionals.

Today, with a staff of 80 faculty members, 1,800 lecturers, 1,300 full-time and

5,000 continuing education students, the university has gained international status through its curriculum and its alliance with other French universities and the World Health Organization. The university is home to a vast collection of 18,000 dissertations, theses and other publications that are produced and housed in the document production center at the EHESP Graduate School of Public Health.

The document production center: a study in efficiencyPreparing the next generation of public health professionals requires a significant amount of printed materials – particularly at the post-graduate level. And most of these documents – course packs, continuing education materials, theses, dissertations and exam forms – are produced by the EHESP Graduate School of Public Health print center.

Océ, a long-time EHESP technology partner, has helped the in-house print center support the growing public health program for two decades. In the mid 1990s, the print center responded to demand for quality documents with state-of-the-art Océ black & white digital production equipment. Later, as demand for digital color jobs grew, the print center added Océ production-class digital color machines. Leveraging the latest digital technology, the print center has built its business delivering quality printed materials on time, with excellent customer service, according to Claude Paris, manager of the EHESP document production center.

Technological turning pointWhen the document production center decided to modernize in 2011, the selection team turned to Océ. “Only Océ France made an in-depth analysis of our needs and took our development objectives into account. Océ developed an end-to-end solution that combined job submission and preparation tools with both black & white and color production equipment using a single unifying technology - Océ PRISMAsync operation management,” C. Paris stated.

Impressed by the Océ offering and approach, EHESP installed two black & white Océ VarioPrint 4000 digital systems and one Canon imagePRESS C6010VPS digital color press in April 2011. Both systems are driven by integrated Océ PRISMAsync controller and operation management technology.

Océ PRISMAsync – one way of working With Océ PRISMAsync operation management, operators can run color and black & white printers same way. A unified workflow for color and black & white devices means that operators can manage complex color jobs as easily as black & white ones. A media-based workflow minimizes the waste associated with tray-based operation. And the media catalog can be imported from one controller to another, so media only has to be defined once.

A smart, task-based workflow helps everyone work more efficiently. An intelligent job scheduler supports up to eight hours of plan-ahead production. And convenient alert functions and on-the-fly refills keep production running smoothly – there’s no need for operators to stop the press to load toner or media. Taking its productivity even further, EHESP upgraded its production workflow by adding Océ PRISMAaccess job submission software and the Océ PRISMAprepare pre-press solution.

New challenges, new approach“For EHESP, 2011 will set a new direction for our document production center,” C. Paris added. “Access to new tools and a single way of working for both black & white and color production will help us optimize productivity while providing internal customers with professional, high-quality output.”

Meeting our deadlines: the key to success“Both devices provide a valuable tool to streamline production: an intelligent job scheduler,” C. Paris stated. The industry-unique Océ PRISMAsync job scheduler displays every job in the queue and provides an overview of work scheduled for the day – up to eight hours in advance. Operators know what jobs are in production, what jobs are coming up – and can predict time to completion based on media format, weight and attributes such as tabs and finishing. In addition to simplifying planning, access to production ensures that the printer runs at full capacity. For added uptime, an operator attention light displays printer status even from a distance. The light changes colors to signal upcoming operator interventions, whether it’s refilling toner or replenishing paper stock – with plenty of time to prevent production disruptions.

“The scheduler is a breakthrough in our efforts to optimize the printing process and provide customers with reliable, real-time information about when they will receive their printed materials,” said C. Paris.

Enhancing our professional image“Even though Océ PRISMAsync is simple and intuitive to learn, we benefited greatly from a custom training program Océ provided to help our operators improve their skills across the board,” said C. Paris.

“Thanks to our operators’ ongoing commitment to excellence, we have been able to get maximum value from our new devices and guarantee that our customers’ production is properly planned,” C. Paris continued. “In addition to educating our staff, educating our customers is a key consideration. Océ France, in keeping with its focus on partnership, is helping us develop user training module highlighting color printing best practices. The goal is to minimize the risk of errors and maximize the validation (ready-for-print) stages with the communication department, for example. This helps us improve our response times and work more efficiently.”

We’ve vastly simplified the submission process by developing a job ticket in collaboration with Océ France. Now there’s no need to wait at reprographics reception desk – all requests are submitted digitally,”

said C. Paris. “And because we use one universal process, job processing and tracking are both quick and easy.”

Advanced tools. Lower costs.“Using tools like Océ PRISMAaccess software also supports accurate and reliable real-time job management capabilities. Access to up-to-date information helps us streamline costs – including the cost of consumables and machine load,” added C. Paris. “In the next few months, our goal is to bring print volumes back in-house that previously outsourced to external providers.”
