7. Lenel Job Aid: Running Reports 1. There will be four reports identified here, you will have access to many more reports, but these should help you in your day to day work. Access Denial Events, By Reader: Access Denied Events, grouped by reader. Access Level Assignments To Cardholders, By Segment: Listing of each Access Level by Segment, with each cardholder that has that access level assigned to them. Also summarizes the total number of badges that need to be downloaded to each segment. This report only works on a system using Segmentation. All events over time: A listing of all event types over time. Reader Assignments to Cardholders: Lists all cardholders that have access to a particular reader. Below, you will find instructions on how to run each of the four reports.

1. Access  Denial  Events,  By  Reader:  1. Login  to  System  Administration  via  the  RDS  webpage:  rds-­‐lenel-­‐prd.stanford.edu  2. Navigate  to  Administration  à  Reports

3. Once  in  the  reporting  area,  you  will  want  to  navigate  to  the  Reader  Reports  tab.  Make  sure  that  this  report  (Access  Denied  Events,  by  Reader)  is  selected  with  a  red  checkbox.  Within  this  window  there  will  be  many  pieces  of  information  to  complete.    Start/End  Times:  Allows  you  to  narrow  in  the  timeframe  on  your  search.  Reader  Filter:  Select  a  reader  by  indicating  the  chosen  reader  with  a  red  check  box.  Notice  that  it  tells  you  how  many  readers  you’ve  selected.  You  can  select  all  readers  by  simply  clicking  “Report  All”  and  it  will  automatically  select  all  readers,  but  you  will  not  see  any  red  checkmarks.  Cardholder  Filter:  If  you  want  to  narrow  your  search  down  even  further,  you  are  allowed  to  input  a  specific  Cardholder  either  via  name  or  Badge  Id.    When  you  are  complete,  click  Preview  to  see  your  results.

4. Your  report  will  provide  the  following:  notice  that  you  can  verify  (for  every  reader),  who  was  denied  access,  when,  and  what  was  the  event  type.

3. Search  on  a  cardholder.  Toggle  to  the  reports  tab,  and  mark  a  red  check  mark  next  to  this  report,  click  Print.  

 4. In  the  Print  Reports  Options  dialog  box,  click  ok.

6. Once  you  have  previewed  the  data,  if  you  would  like  to  export  a  copy,  you  can.  Create  a  new  folder  on  your  C:  drive  where  you  will  save  the  export  file  to  in  the  next  step.  Remember  to  note  the  file  location  and  folder  name.  When  you’re  done  creating  the  new  folder  go  back  to  System  Administration  and  click  on  the  Export  Report  icon  in  the  upper  left  corner.  

 

     

7. You  will  be  prompted  to  select  which  format  you’d  like  the  data  saved  in.  Select  the  format  you  want  and  click  OK.  Leave  the  Destination  as  Disk  File.

8. Select  the  Page  range  of  “All”  and  click  OK.  

   

9. You  will  then  need  to  select  the  location  where  you  would  like  to  save  the  report.    Find  the  “C”  drive  that  is  associated  with  the  name  of  the  machine  you  are  currently  using  and  select  that  option.  Then  find  the  new  folder  you  just  created  and  select  that  folder,  name  the  file  and  click  Save.

   The  report  will  be  exported  to  the  new  folder  you  created.

4. Your  report  will  provide  the  following:  notice  that  you  can  see  when  a  door  is  unlocked  (according  to  a  Timezome/Reader  Mode  Schedule),  or  who  has  been  granted  access  at  which  door  at  what  time,  or  if  the  door  has  been  forced  open  (either  by  a  key  or  by  forced  entry).  There  is  a  document  that  identifies  the  various  event  types  you  should  see  here,  and  what  they  mean.
