Your Dream W E D D I N G P L A N N I N G

Step 1Submit your enquiry form with your preferred dates and times. Our personal wedding coordinator will contact you to conf irm availability.

Step 5

Discuss your preferred wedding theme and style, as well as any extras you might like, such as additional decorative items, wedding favours, photography, f ireworks, enter tainment etc - and you’re done! Your wedding coordinator will advise, arrange and conf irm.

Step 3Upon conf irmation of f inal date and time, your wedding coordinator will submit an application on your behalf to the relevant Town Hall and request the attendance and services of a marriage off icer at the hotel.

Step 7 A meeting with your wedding coordinator will be scheduled upon arrival at the Resort.

Step 2Prepare all the documents you will need to bring with you to Cyprus, as advised by your wedding coordinator.

Step 6Ensure that you have collected all the necessary documents that must be submitted to the authorities here in Cyprus.

Step 4Guided by your wedding coordinator, you will choose your preferred venues and menus for your ceremony and celebration, based on your guest list and your catering requirements.

Step 8You are welcome to oversee the venue preparation and will receive a template of the seating arrangement for you to complete. The detailed schedule of the day’s events will be conf irmed.

Kanika weddings are designed to take all the stress out of planning a wedding. Apart from some paperwork that has to be arranged in your country of residence, the rest is in the good hands of your Kanika wedding coordinator. She’ll ask you all the right questions, give you all the options, help you visualize your dream wedding - and then make it all happen, step by step:

1. DO I PAY FULL PRICE FOR ThE BANqUETING MENUS IF MY GUESTS ARE BOOKED ON ALL-INCLUSIVE TERMS?

Our banqueting menus are separate from the all-inclusive entitlement. They are prepared exclusively for you by our executive chefs and served at the time of your choice in one of our designated wedding venues with complimentary decoration in our white wedding theme. A banqueting table is set up to an agreed seating plan and the function receives the dedicated attention of a head waiter to serve you and your guests. For these reasons full prices per person apply as listed in the menus.

2. I WOULD LIKE TO DINE FROM ThE ALL-INCLUSIVE BUFFET ON MY WEDDING DAY. IS ThIS POSSIBLE?

If you decide not to choose one of our banqueting menus, then it is possible to dine from the all-inclusive buffet. We will reserve a table for you in the main self-service restaurant during normal opening hours. Please note that other hotel guests will also be dining in this area at these times and that we cannot provide the dedicated attention of a private function or any additional decoration.

3. I WOULD LIKE A PLATE SERVICE MENU IN AN AREA ThAT IS ONLY SUITABLE FOR BUFFETS. IS ThIS POSSIBLE?

The level of service that we provide is of paramount important to us. Therefore, we are only able to offer plate service menus in certain areas, as specified in the weddings and banqueting brochure.

4. IS IT ADVISABLE TO BOOK MY RECEPTION IN ADVANCE?

We work on a first come first served basis, and we accept deposits as security against advance bookings. It is advisable to book your chosen reception venues as soon as possible to avoid disappointment.

5. CAN I BRING MY OWN MUSIC FOR ThE WEDDING CEREMONY?

It is possible to bring your own music for the ceremony, as we have a music system in our ceremony venue. We would kindly ask you to provide two main songs: one to be played as the bride walks down the aisle, and the second while the married couple sign their marriage certificates. Ideally we would prefer to have these songs on one USB, tablet or phone in the order of play. Please also make sure that the USB has been tested on several different machines to avoid any failures.

6. IF I DON’T BRING MY OWN MUSIC, CAN MUSIC BE PROVIDED?

We have a lovely selection of wedding music to be played during the ceremony.

7. DO YOU PROVIDE A SEPARATE ROOM WhERE ThE GROOM CAN GET READY ON ThE MORNING OF ThE WEDDING?

Unfortunately, we are unable to provide a separate room for the groom to prepare himself for the wedding. In most cases, the groom will use a room booked for other family members or friends. However, if we have a room available, this can be offered at the applicable charge.

8. IS IT OK IF SOME GUESTS ATTENDING MY WEDDING ARE NOT STAYING IN ThE hOTEL?

All guests are welcome at your wedding. Non-residents are required to purchase a day pass, regardless of the length of time they will spend in the hotel. The hotel must be notified in advance, and the relevant charges will be included in the total function bill, as per the strict policy of the hotel.

9. IF MY WEDDING DRESS GETS CREASED DURING ThE JOURNEY, CAN IT BE STEAMED?

We offer a professional steaming service for wedding dresses. Ideally, this service must be booked 3 days in advance. If necessary, an express service can be provided.

Legal R E Q U I R E M E N T S & D O C U M E N TAT I O N

The following ORIGINAL documents must be brought with you to Cyprus, preferably in your hand luggage. The documents need to be either written in or translated into Greek or English:

1. VALID PASSPORTS with at least 3 months left to run after the date of travel.

2. BIRTh CERTIFICATES Long or short, original certified documents.

3. STATUTORY DECLARATION (Also known as Sworn Affidavit or Certificate of No Impediment) signed by a solicitor or notary public confirming your marital status, i.e. divorced, widowed or single, and that you are free to marry. This document must be dated, signed and stamped by the issuing solicitor or notary public. A business card should also accompany this document. Such documents are only valid for 3 months maximum prior to the date of the wedding. Ideally, the document should be obtained between 8 and 12 weeks prior to the wedding date. The couple must ensure their validity at the time of application and on the actual wedding date.

4. COPIES OF TWO WITNESSES’ PASSPORTS (copy of photo page). Witnesses can be provided by the hotel if required.

5. DECREE ABSOLUTE (in case of divorce)

6. DEATh CERTIFICATE (in case of widow or widower)

7. ADOPTION CERTIFICATE (in case of adoption)

8. DEED POLL CERTIFICATE (in case of a change of name) – must be stamped by a solicitor

9. WRITTEN CONSENT to be submitted to the Marriage Officer on application, if either party of the intended marriage is under the age of 18. This must be signed by the father of such party or by the mother if the father is deceased or incapable of consenting, and failing that, by the legal guardian of such party.

These requirements apply to British passport holders only. All other nationalities must refer to their respective government agencies for accurate information regarding the necessary paperwork.

It is vital that the wedding couples read and understand the Legal Requirements and Documentation section and make note of any missing documentation using the Document Checklist. It is the responsibility of the wedding couple to arrive in Cyprus with the correct original documentation.

Terms A N D C O N D I T I O N S

1. Upon arrival at the hotel a meeting to finalize your wedding event will be arranged with the hotel’s wedding coordinator. It is imperative that the couple attend.

2. Requested wedding dates will not be finalised until acceptance of the said date and time is confirmed by the Municipality.

3. The hotel reserves the right to agree a minimum number of guests to be charged for the reception or dining event at this time.

4. The legal documents required to marry in Cyprus are the responsibility of the wedding couple and all original documents must be brought with them to Cyprus.

5. Details of all required documents are found on page 51 and will be sent as part of the booking confirmation. For any queries or uncertainty regarding the required documents the wedding couple must contact the wedding coordinator prior to their arrival in Cyprus.

6. The hotel reserves the right to substitute any product with that of an equivalent product in terms of value should the original product not be available.

7. The hotel reserves the right to change the venue of the function if required, or in the case of adverse weather conditions. In this case no refunds will be offered.

8. Guests are responsible for any loss or damages made to the venue, furniture, table decoration and other equipment. In case of any damage, the guests will be charged accordingly by the hotel management.

9. The wedding couple must be resident at the hotel for a minimum of 7 nights.

10. The All-Inclusive Beverage Package is valid only until 11:30p.m. Any consumption after 11:30p.m. is charged extra.

11. Non-Residents are only permitted to enter the hotel and attend the wedding if they purchase one of the non-resident day passes (details on page 29).

12. External suppliers will not be allowed to enter the hotel, specifically Hairdressers, Beauticians, Make-up Artists, Florists, Musicians or Entertainers, DJs, Cake Suppliers and Photographers.

13. All services required for the wedding must be organized through the hotel wedding coordinator.

14. Food items such as wedding cakes from external suppliers are strictly prohibited in the hotel.

15. Wedding Cakes which are not consumed on the wedding day are not the responsibility of the hotel and will not be kept for Health & Safety reasons. No storage facility can be provided.

16. The administration fee of €400 applies to all weddings booked directly with Kanika Hotels & Resorts. This fee is in addition to any services or packages booked by the wedding couple.

17. For direct bookings, in order to secure your wedding date and venues in advance, a non-refundable deposit of €500 is required which will be deducted from the final settlement.

18. Full payment for the function is to be settled at least 24 hours prior to

the function.

19. A service charge of €300 will be applicable if the wedding dinner is not held in the hotel.

20. The hotel is not obliged to refund any lost al-inclusive meals.

21. Wedding parties wishing to dine on the All-Inclusive Terms may only use the Main Restaurant (Royal Olympic) during normal seating in the company of other guests, with normal restaurant layout.

22. Guests that wish to have a private function with a special menu and services, will pay the supplements as shown in this brochure

23. A la carte themed restaurants are not available for group bookings on the wedding day.

24. Non-Resident weddings are only permitted on request basis, at the sole discretion of the hotel and no earlier than six(6) months prior to the wedding date.

25. During the period from 15 May until end of September the Hotel has changed its policy and decided to organise only one wedding per day. Please note that the hotel has the right to change and amend this policy at any time at its own discretion.

26. Non Resident day pass payment are the ultimate responsibility of the wedding couple. Any non payment on behalf of an individual guest will remain on the couple’s account.

27. Guest numbers cannot be reduced on the wedding day.

28. If guest numbers increase every effort will be made to accommodate this and the relevant charges will apply.

29. 29. Changes to the agreement cannot be made within 24 hours of the wedding day.

30. The times set for the service of the private banqueting menu are fixed and cannot be changed. Any delays could result in compromising the service and the food quality; In this case the hotel will accept no responsibility.

31. Unscheduled or prolonged activities such as photography, excursions, tour, speeches etc which affect the agreed plan for the day may result in additional charges if additional or replacement menu items have to be prepared.

32. The hotel management is obliged to abide by Cyprus regulations according to which the Management reserves the right to refuse the provision of services to intoxicated guests. The abuse of alcohol and irresponsible behavior will not be tolerated.

33. Any personal items found in the venue at the end of your function will be returned to lost property; however no responsibility can be taken for any property which is not located by the hotel.

34. Music and entertainment within outdoor private venues will finish at 11:30 p.m. Volume levels remain under the hotels control at all times.

35. Only authorised suppliers and hotel staff are permitted to use hotel equipment.

Cancellation Fees for any wedding services/extras booked: Over 30 days before the wedding date - no charge. Between 20 to 30 days before the wedding - 30% charge on the total cost of chosen service. Between 7 to 20 days before the wedding - 50% charge on the total cost of chosen service. Less than 7 days before the wedding - 100% charge on the total cost of chosen service.
