Guidelines for Preparing your Twitter Poster

The poster session of the CYBATHLON Symposium 2020 will consist of two parts:

    • a poster posting/interaction via Twitter on the first day, in parallel to the symposium

    • the possibility for live discussions/demos in dedicated zoom rooms during the poster session on the second day (3.25pm–4.05pm CEST) – the links for these will be provided on the symposium landing page, which will be communicated to registered participants before the symposium

Twitter Poster Format Unlike a conventional poster, which usually consists of a single large sheet, the Twitter poster will consist of four pictures/panels and a short text that will be re/tweeted on the CYBATHLON channel (@cybathlon) during the CYBATHLON Symposium, as shown in the example below. Please use the provided PowerPoint/Keynote template to prepare your poster pictures. The template assures the correct aspect ratio and legibility of the images on Twitter. The accompanying text will include hashtags (see guidelines below) to increase visibility and associate the poster with the CYBATHLON Symposium and the CYBATHLON. Here is an example of what such a tweet could look like (example taken from the @PhotonicsMeetup virtual conference, which kindly provided their guidelines):

Preparing your Images for the Twitter Poster To ensure that your images have the correct aspect ratio, please use the provided PowerPoint/Keynote template. The four included slides have the correct aspect ratio and font size for the Twitter poster session. To clearly explain your work to a broad technical audience, we recommend the following content for the four images (as indicated in the PowerPoint/Keynote template):

    • Slide 1: Title, author list, affiliations, short abstract, and related references • Slide 2: Background, problem statement and approach • Slide 3: Methods • Slide 4: Results and conclusions

Make your slides as visual as possible, and use labeled photos, graphs, schematics, tables etc. whenever possible. Use short text bullets instead of long sentences. Once the slides are ready, save them as PNG files by exporting the slides as images. The location of this option varies depending on the PowerPoint version. You will need to select the all slides option and set the width to 1024 pixels (or the resolution to 300 dpi). This will create a high-resolution PNG image for each slide located in a new folder named according to your PowerPoint/Keynote file. Note that while the images will appear small in the preview as shown below, readers can click on each image to view it in full resolution once posted on Twitter – this is why exporting in high resolution is important. Posting the Poster on Twitter Please prepare your tweet according to the following instructions and post it during the first day of the CYBATHLON Symposium, on 17 September 2020. If you do not have a Twitter account, please refer to the end of this document. These instructions assume that you are posting from a computer, not a mobile device.

    • Log into your Twitter account

    • Select the “image” icon (the first one from the left, indicated with an arrow)

    • A folder browsing box will open. Select all of the 4 slides in numerical order.

    • Click open. The 4 slides should now appear in the window in 4 quadrants, like so:

    • Write a single-tweet explanation of your poster that clearly states the key finding. Make sure to:

    o Tag @cybathlon

o Include the hashtag #CybathlonSymposium This is the hashtag of the CYBATHLON Symposium. You are required to include this hashtag.

o Add one of the following discipline hashtags (where relevant):

Note that, once posted, all tweets that tag @cybathlon and include the #CybathlonSymposium hashtag will be re-tweeted from the CYBATHLON account.

    • Click “Tweet”. The 4 quadrants will combine to look like this on a computer:

The CYBATHLON Symposium participants and wider community can now interact with you on your poster via Twitter. Twitter Hashtags To increase the visibility of your poster, you may want to include additional hashtags. Here are a few suggestions that may be relevant: #assistivetechnology #robotics #mobility #independence Creating a Twitter Account If you do not have a twitter account, please follow the instructions provided at https://twitter.com/?lang=en to create one. The minimum recommended details to provide are:

    • name, which can be different from your twitter handle • photo, which can be a portrait picture or some other photo • a short biography, which should describe key facts about you. You can

include your affiliation, your research interests, your interests outside of the lab, or any other information you would like to share

If you do not wish to create a Twitter account or cannot access Twitter from your country, please prepare the four images for your poster and submit them to [email protected] together with your prepared tweet by September 15, 2020. Acknowledgements We gratefully acknowledge the support and inspiration of the Photonics Online Meetup (POM) committee (http://photonicsonlinemeetup.org/, Twitter: @PhotonicsMeetup), which has successfully run Twitter poster sessions, and kindly provided the guidelines they developed, which served as a basis for this document.
