Is there a theme for the Trade Show? Remember your collection of mixtapes? The time you spent thinking of the best songs to pull together? Who were you making it for? Did someone you care about just introduce you to a song you had to include? The best mixtapes are a compilation of all different styles of music that is greater than the sum of its parts.

Fast forwarding to today—vendors, providers, presenters, leaders, learners, all collaborate in long term care. Each has a unique contribution to make to the sector. The need to collaborate to enrich the lives of our residents, staff, and others is key.

To get ready for the Trade Show, think about the days before Spotify and your shuffle button. Get your boom box ready. Envision the artist you had to put on your mixtape. Don your best ‘80s and ‘90s gear and share your mixtape so we can Listen. Learn. Engage. together.

VHCA-VCAL encourages exhibitors to incorporate the theme—Collaborate: Listen. Learn. Engage.—in booth decorations, games, and prizes. VHCA-VCAL will sponsor a Best Booth contest to recognize exhibitors for outstanding creativity and use of the theme. The winner will be announced during the Trade Show reception; winners must be present to win.

The VHCA-VCAL Annual Convention and Trade Show draws hundreds of long term care professionals from across Virginia and beyond each year. The VHCA-VCAL Trade Show is the largest and most comprehensive trade show of its kind in Virginia.

The 2017 Trade Show FAQs

When is the Trade Show? Tuesday, September 12, 2017. Exhibitor registration and set up runs from 8:00 am-12:00 pm. The Trade Show will open its door for visitors from 1:15 pm to 4:30 pm. A cocktail reception will begin at 3:45 pm during the Trade Show.

Who will be there? Long term care professionals representing both nursing centers and assisted living communities will be in attendance. These professionals include facility administrators, nurse managers, department heads, senior corporate staff members – the team members that make high-quality long term care services a reality in Virginia.

What do VHCA-VCAL members expect from exhibitors?Our members come to the Trade Show to see and discuss how they can enhance their success as caregivers. They want to see firsthand the products and services that can help them provide the quality care their residents expect and bring innovation and efficiency to their centers.

What do exhibitors get from participating in the Trade Show? The Trade Show can play a vital role in the marketing, development, and profitability of your organization all in one event. You will be able to introduce yourself and your products or services to key buyers. Product displays and demonstrations make a great impression.

Will education sessions compete with the Trade Show for attendance?To ensure show attendance, VHCA-VCAL Convention meetings and education seminars have been scheduled strategically to not conflict with the Trade Show hours.

Are there prize drawings?Yes! We plan incentives to increase attendance at the Trade Show. Exhibitors are encouraged to offer at least one prize to encourage greater booth attendance. In addition to the exhibitor booth prizes, we hold cash prize drawings approximately every half hour during the event for show attendees.

How are prize winners selected? VHCA-VCAL will provide each exhibitor with a container to collect attendee business cards. Winners will be randomly selected from the business cards in the containers. Four of the containers will be randomly designated for the larger cash prizes. Prize winners must be present at the time of the drawings during the trade show to win. Exhibitors will keep all collected business cards.

What are the booths like?All booths are 10’ wide by 10’ deep. Each booth includes:

• One eight foot high pipe and flame resistant fabric backdrop

• Three foot high pipe and flame resistant fabric side rails

• Carpeting• Booth sign with your company name• One six foot draped table and

two chairs• Support service from

VHCA-VCAL staff and trade show committee members

• Lunch for two exhibitors. You must pre-register to reserve your lunches. (Additional lunches may be purchased.)

What if I need power, water or internet access?Additional furnishings will be available, at an additional charge, through Exhibits Inc., (EI) if desired. Electrical service and water for your booth are available, at an additional charge, through the Greater Richmond Convention Center. The Exhibitor Service Kit, which will be emailed to contracted exhibitors no later than July, will include the forms for these services.

Is there anything I can’t do?The use of sound devices, megaphones, loudspeakers, or undignified methods of attracting attention is prohibited where such methods interfere with other exhibitors. VHCA-VCAL retains the right to ask you to discontinue or prohibit any such activity.

Are there other benefits to exhibiting?Yes! Every exhibitor who contracts for booth space prior to August 15 will be profiled in the VHCA-VCAL Buyer’s Guide. The Buyer’s Guide is a great advertising supplement to our Membership Directory. Those in charge of purchasing or decision-making reference the Buyer’s Guide throughout the year.

How will I keep track of the details about the Trade Show?VHCA-VCAL is excited to present every exhibiting organization with a comprehensive Exhibitor Service Kit prior to the Trade Show. This kit will provide you with all the necessary information on the 2017 Trade Show. In addition, on-site coordinators will be available at the registration desk to assist exhibitors with registration, move-in, show operation, and move-out. more

Are there other opportunities to support the convention?We encourage you to explore our sponsorship opportunities as additional ways to interact with VHCA-VCAL members. Sponsoring selected events, meals, and receptions held during the Convention and Trade Show is an effective and powerful opportunity to showcase your company to long term care professionals and build your relationships with VHCA-VCAL members. I’ve decided I don’t want to exhibit, but I wantto walk the Trade Show floor. Is that ok?Unfortunately non-exhibiting vendors and non-registered attendees may not walk the Trade Show floor. VHCA-VCAL retains the right to require any individuals discovered violating the policy to vacate the Trade Show floor.

Hotel AccommodationsHotel accommodations are available at the Richmond Marriott Downtown. The guest room rate for the VHCA-VCAL room block is $149 per night (plus taxes and fees). Guest room reservations can be made by calling 800-228-9290. The hotel reservation deadline is August 21, 2017.

This contract entitles you to a 10’ x 10’ exhibit booth including: 8’ high pipe and flame resistant fabric backdrop; 3’ high pipe and flame resistant fabric side rails; carpeting; a booth sign with your company name; one six foot draped table and two chairs. Additional furnishings will be available, at an additional charge, through Exhibits Inc., (EI) if desired. Electrical service, water, and internet access for your booth are available, at an additional charge, through the Greater Richmond Convention Center. Order forms for EI and the Convention Center will be sent to contracted exhibitors.

Neither the Virginia Health Care Association and its representatives or employees of the Greater Richmond Convention Center and their representatives will be responsible for any injury, loss or damage that may occur to the exhibitor or the exhibitor’s employees or property from any cause whatsoever. The exhibitor, or his representative, on signing this contract expressly releases the foregoing named Association, individuals, decorator and convention center from any and all claims for such loss, damage or injury.
